Job Overview
We are seeking a highly organised and proactive Executive Support Officer to provide comprehensive administrative support to the Chief Executive Officer (CEO), Chair of Trustees and Senior Management Team. The successful candidate will be responsible for coordinating Board, Committee and leadership activities, working with trustees and Committee chairs as required, including organising meetings, preparing papers, taking minutes and tracking actions to support effective governance and decision-making.
Alongside this, you will provide practical operational and administrative support across the organisation, helping to coordinate day-to-day activities and maintain effective systems and processes,
Working with a high degree of autonomy, you will manage competing priorities, use your initiative and identify opportunities to improve administrative processes and ways of working. This is a varied role that will play an important part in helping the organisation run smoothly and effectively.
Responsibilities

Provide high-level administrative and governance support to the CEO and Chair of Trustees, helping to coordinate priorities, communications and key activities.

Keep governance and organisational records accurate, up to date and easy to access.

Coordinate Board, Committee and Senior Management Team meetings, working with Trustees and Committee Chairs as needed. This will include preparing agendas and papers, taking minutes and following up actions.

Review and improve administrative systems and processes to enhance organisational efficiency and effectiveness.

Prepare, review, and distribute correspondence, reports, presentations and other organisational documentation using Microsoft Office applications.

Provide day-to-day administrative and operational support, including organising meetings, events and travel, ordering supplies, coordinating equipment and helping with other practical tasks.

Maintain clear and organised digital and physical filing systems.
Skills & Experience:
-
Proven experience providing executive, governance, or senior administrative support.

Experience coordinating meetings, preparing agendas and papers, and producing accurate minutes and action logs.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and a range of digital systems

Ability to handle confidential and sensitive information with professionalism, integrity, and discretion.

Excellent organisational and planning skills, with the ability to manage competing priorities and meet deadlines.

Ability to work independently, using initiative and sound judgement to solve problems and improve ways of working.

Excellent interpersonal and communication skills, with the ability to build positive working relationships with colleagues, Trustees and external stakeholders.
