A fantastic opportunity has arisen to join Westway Trust as a Property Assistant, providing efficient and responsive administrative support across the full property team. You will be a friendly, motivated, and active administrator who will play a key role in the smooth running of the property department.

You will be pro-active, organised, with good initiative being the main point of contact responding to estate and property related enquiries and reports of issues, from tenants, customers, contractors and the community.  You will therefore need to possess or demonstrate a willingness to provide a good level of customer service with property knowledge.

Key responsibilities of the role include:

• Provide efficient and effective administrative support across the Property team, including daily active filing, archiving, photocopying, scanning and record keeping.
• Initial point of contact for enquiries to the Property team.
• Provide a responsive customer service handling system to record such enquiries.
• Coordinating the general day-to-day activities of the Head of Property & Estates in relation to emails, posts, and voicemails.
• Assisting in the preparation and maintenance of property particulars, void reports, and reviewing property marketing websites for current information.
• Cross-referencing and managing the prospective tenant’s selection list with the historical enquiry list and alerting the team of any repeat/active enquiries.
• Regular visits to Trust premises to record any Health and Safety/Fire Risk Assessment breaches and reporting these to the appropriate Facilities Management team member. 
• Assist with attending Unit Base Parking/Filming/Events on the estate, recording any infringements of agreements on site, and notifying the appropriate team member for further follow-on action.
• Preparing notification details for relevant authorities for entry and exit of tenants – rates, utilities, etc.
• Assisting with servicing property meetings (i.e., circulating papers, coordinating actions where required).
• Responsible for the recording of void premises and issuing of building keys.
• Occasionally provide assistance to the Trust’s reception/office manager for general office duties and reception cover if required.

Knowledge and Experience:

• A minimum of one year’s experience in a busy property department.
• A broad understanding of commercial property or demonstrable experience of transferable skills if you are from a different sector.
• Customer focused, with the ability to provide a friendly and efficient service to customers, staff and tenants.
• Good time management, attention to detail, organisational skills and the ability to work under pressure with changing priorities.
• Excellent administrative skills.
• High level IT skills and experience of using MS Office (Word, Excel, PowerPoint)

Personal skills:

• A personable and collaborative approach, with experience of developing and maintaining positive relationships with a range of stakeholders.
• Good communication skills, orally and in writing.
• Ability to work independently and as part of a team in a multi-cultural and diverse environment.

Main Responsibilities:

•  To provide facilities management to all YMCAES sites across East Surrey. This includes 5 housing schemes and one sports and community centre all owned by the YMCAES together with six family and youth centres that the YMCA lease from local authorities. 
• u  To manage a team of three maintenance technicians (full and part  time), and facilities administration assistant and to be responsible for their training and professional development 

• u  To be the Health and Safety Officer for YMCAES to ensure that the organisation complies with all current legislation and to encourage good practice throughout the YMCAES. 

• To be responsible for ensuring all risk assessments are up to date and accurate:
•   to carry out regular building risk assessments
•  where necessary support and advise staff in completion of risk assessments
•  to ensure fire risk assessments are carried out in accordance with legislation and good practice
•  To be responsible for the maintenance of YMCA buildings and sites. Including preparation of cyclical maintenance plans and to arrange and supervise necessary major works to be scheduled and safely carried out in accordance with the project plans. 
• To be responsible for managing the online maintenance system (Pyramid) ensuring accurate recording and reporting of:
• daily reactive maintenance tasks
• planned and cyclical maintenance tasks
•  all regulatory building compliance requirements.
•  To manage YMCAES building contracts and to comply with the Accepting Contracts and Procurement policies and procedures. 
• To be responsible for the compilation and upkeep of the preferred provider list of contractors.
• To put in place and manage a call out system for managers to respond to any emergencies relating to buildings.
•  To be responsible for all ground maintenance including management of a ground maintenance worker and/or external contracts. 
• u  To maintain the fleet of vehicles owned by YMCAES, including insurance, tax, MOT, fuel and maintenance.
•  To support HOCS for responsibility of all insurances required by the YMCAES. Ensuring compliance with legislation and efficiencies and effectiveness of all policies. Also, to ensure that necessary inspections and certification of lifts and other equipment are carried out as per requirements of insurers and current legislation.
• To provide the CEO and Head of Housing with advice and guidance around technical and regulatory requirements on YMCA property developments and acquisitions of new buildings.

 To work with the HOCS to prepare a budget for central costs (buildings and vehicles) and to manage this budget through the year. 

To prepare and present a report to the quarterly Governance and Risk Committee which has a remit for overseeing the organisational risk management framework, incident reporting and regulatory compliance. 

•  Any other duties are required to be performed within the grade and renumeration of the role.

DESCRIPTION

Job Purpose:To manage the facilities and services that support the core functions of YMCA East Surrey (YMCAES), including maintenance across multiple sites.

To be the competent person to oversee all health and safety matters across the organisation

Hours of work:35 hours per week , Monday to Friday 9.00am to 5.00pm.

ABOUT THE SERVICE

Synergy, Brent is a Housing Related Support (HRS) Service for a range of vulnerable people who have been or are at risk of homelessness. The age eligibility criteria for the service is adults between the ages of 18 to 60, who are identified to have low/medium support needs. Some of the needs we support are:

• Single homeless between ages of 18 to 60
• Socially excluded individuals
• Ex-Offenders
• People with substance misuse
• Mental Health (Low)
• Learning disability (Low/Medium)
• Women who have come from domestic abuse environments and situations who may need low level support as part of their resettlement following a move on from a refuge or other safe domestic abuse supported accommodation.

RISK MANAGEMENT, INFORMATION MANAGEMENT AND CASE RECORDING

• Follow the relevant risk assessment and management procedures, share any relevant information with partner agencies as appropriate.
• Ensure all case recording, and information is accurately recorded in a timely manner, ensuring electronic records are protected in line with GDPR, and kept up to date and written to a high standard.
• Alongside the Service Manager, champion, and act as a point of reference for safeguarding concerns within the service(s). Ensure all staff attend relevant safeguarding and training and use knowledge to coach and advise the team.

PROPERTY AND HOUSING MANAGEMENT

• Create and manage a welcoming, psychologically informed home environment for residents and participants, ensuring a continuous focus on safety, health, and wellbeing.
• Ensure the accommodation in which residents live is maintained to a high standard, in line with SIG’s property standards and meets all legal and statutory health and fire safety requirements to operate safely, effectively, and efficiently.
• Ensure all repairs and maintenance issues are correctly reported and managed through to completion.

FINANCIAL MANAGEMENT

• Provide support in setting the service’s budget and reviewing monthly management accounts; manage set budgets effectively and ensure resources are maximized.
• Maintain financial management within the service, including but not limited to, invoice management, arrears management, management of petty cash, and expense claims.

OTHER RESPONSIBILITIES

• Contract Management and Internal Auditing; Ensure due diligence is carried out and records are well maintained.
• Administration duties will vary, including operating online systems and ensuring correct processes are followed alongside GDPR and confidentiality.
• Other duties may include but are not limited to, maintaining clean and tidy environments, removing rubbish, ordering supplies, arranging in house events and activities and other general on-site duties.

Other responsibilities than those described above may be required to be undertaken from time to time and will be expected to be performed to as long as it is within the capability and level of the position.

What we are looking for:

• Understanding and/or experience of working with people of complex backgrounds, ex-offenders, mental health, substance misuse, challenging behaviours
• Experience of working with and engaging with diverse groups of people from varying backgrounds
• IT Proficiency, including Microsoft Office, and the ability to navigate and learn new case management systems and other types of organisational software
• Understanding and/or practical knowledge of the social and societal marginalisation that can be attached to people with mental health issues, addiction, exploitation, homelessness and within the criminal justice system
• Ability to promote the service and provide outreach-based provision, with an ability to liaise and work effectively in partnership with stakeholders
• Ability to follow organisational policies and process in line with external governance

• Previous experience in people management and development

In this role you will provide line management and support to staff who work with and help women and their children who have experienced domestic abuse and are staying in our Lambeth refuges. Prospectus is delighted to be working with Your Place for their new Facilities Officer. Your Place's mission is to build hope and enable lasting change to end homelessness for people in east London. The facilities Officer will be responsible for the building, reactive building works, renovation, and repair of the building. Working as a senior member of the maintenance team under the supervision of the Facilities Manager.
 
Additionally, this person will ensure that day-to-day repairs and planned maintenance of Your Place properties are efficiently and effectively carried out. The post-holder will monitor the performance of internal operatives and contractors handling communications and ensuring the work is carried out in line with completion targets and quality standards. Furthermore, the Senior Maintenance Officer will carry out minor repairs to the buildings, plumbing and electrical systems.
 
The ideal candidate will possess experience in facilities, and ideally experience working as part of a team and interacting with a variety of people. A basic understanding of health and safety and risk assessment is necessary. The role requires flexibility, including the ability to work evenings and weekends on a rota. Additionally, holding a clean driving license is essential.

You will have a usual place of work at either Katherine Price Hughes House, Highbury or Wincott Street, Lambeth as we have two Housekeeping roles available, but be required to work flexibly across the property portfolio if business needs demand this. You will facilitate end of licence/tenancy cleaning preparing these spaces for new residents, or you could be asked to provide cleans between room hire in our counselling and our community spaces. The post holder will ensure their working practices are safe and compliant with the organisation’s health and safety guidelines.

You will be in a specialist role designed to work with people with complex support needs relating to: mental ill health, physical health & substance use needs. A self-starter, you’ll need to be able to work independently within agreed brand guidelines and with minimal supervision. You’ll also need to be highly organised, ensuring that deadlines are met and that content lands in a timely manner. Through analytics, you’ll monitor engagement, using these insights to inform our evolving content plan and drive growth.

As well as creating compelling content for our core communications platforms, you’ll also provide valuable support to our ambitious press plan, helping to amplify the voice of Pilgrims’ Friend Society in local and national media.

Our mission is to help children and young people have a fair chance to be who they want to be. We do this by providing a safe home, increasing life skills and self-confidence, and improving emotional wellbeing and mental health.

You will be working as part of the West Sussex night team providing mobile support to our 24-hour services, ensuring that our transitional properties are safe, secure, and welcoming through the night. You will be based at the Horsham Y Centre and will support the static night worker there during the night as well as undertaking your mobile duties. You will regularly complete building checks and monitor CCTV upkeeping health and safety regulations in accordance with YMCA DLG's policies and procedures. You will work to prevent any anti-social behaviour from impacting our neighbours and other residents. You will help to contribute to a great working environment, with a calm, yet assertive manner, being able to handle potentially difficult situations.

In addition, you will work alongside other support staff to maximise the wellbeing of residents by completing one to one interventions with young people who may be experiencing mental health crisis and/or who may need medical assistance.

This is a mobile role, requiring all applicants to have a full valid, UK Driving Licence. You will also be lone working as part of the role, so you will need to be comfortable with decision making and following procedures.

You will work on four nights on, four nights off rota. Although these are long shifts, you will get four days off after, which can provide a great work life balance.
