Overview:

The Administrator will play a vital role in supporting the smooth and efficient running of the organisation. This position involves handling administrative tasks, maintaining records, supporting communications, and assisting with event coordination. The role requires excellent organisational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities:

General Administration:

• Maintain and update records, databases, and files.

• Handle correspondence, including emails and phone enquiries.

• Prepare reports, documents, and presentations as required.

• Support meeting coordination, including scheduling, agenda preparation, and minute-taking.

Financial & Office Support:

• Assist with processing invoices, expenses, and financial records.

• Monitor office supplies and place orders when necessary.

• Support the Head of Operations with budget tracking and financial documentation.

Event & Programme Support:

• Assist in organising events, workshops, and meetings.

• Coordinate logistics, including venue booking, catering, and materials.

• Support volunteer and participant communications.

Communications & Stakeholder Engagement:

• Maintain mailing lists and support donor communications.

• Assist in preparing newsletters, social media updates, and website content.

• Liaise with stakeholders, including funders, partners, and volunteers.

Qualifications & Skills:

• Previous experience in an administrative role.

• Strong organisational and time-management skills.

• Excellent written and verbal communication skills.

• Proficiency in Microsoft Office and cloud-based tools

• Ability to work independently and manage multiple priorities.

• A passion for nonprofit work and community engagement.

At St John Ambulance we are looking to embed ourselves within our communities, delivering support which is tailored to the needs of those communities whilst providing a positive experience for our Volunteers.

We need leaders who are passionate about making a difference in their communities, who care about helping and developing others, who will lead and inspire a volunteer movement across a geographical area to deliver Community First Aid, Community Education and Community Fundraising as well as develop our offering for young people. Through leading a team of Volunteer leaders, you will drive excellence in delivery, develop an inclusive and diverse volunteering experience for new and current volunteers, and help navigate through change to build a bigger and better St John Ambulance.

We will make sure you will have access to a proper induction to volunteering with SJA and the training you need for the role you take on. The Network meet regularly, every Wednesday evening, but this is not mandatory to attend; occasionally would be wonderful. Need to attend regular Network Leads meetings (monthly).

Following the successful shortlisting of your application, you will be invited to an in-person interview. This is a relaxed opportunity for us to get to know you, and you to learn more about the role and ensure it is a good fit for your volunteering aspirations. We will then undertake necessary screening for the role, including an Enhanced DBS check, right to volunteer check, professional references and an occupational health assessment. Please note this process usually takes around 6 weeks.

Volunteers would be expected to attend training for the role both online and in person, to attend regularly network weekly meetings to enable them to keep their skills up to date.

If you are successful you will need to undertake relevant training for the role, details of which will be discussed after you have been appointed.

• Inductions and training or this role will need to take place - As a President, many personal embedded skills are required. An Induction programme into the Organisation will be delivered.

Youth Leaders work directly with young people in St John Ambulance Badger Setts and Cadet Units. By organising a mixed weekly programme, this role will support the learning and development of young people into the next generation of health citizens. Youth Leaders also help young people develop their confidence, teamwork skills, self-discipline, and generally encourage them to strive to be the best they can be, as well as supervise and support other adult volunteers in their team.

Role of a Trustee

Our Board of trustees have shared responsibility for the overall governance, financial health and strategic direction of the charity, developing its organisational aims, objectives and goals in accordance with the governing document, legal and regulatory guidelines.

In addition to the statutory duties, each Trustee uses their specific skills, knowledge and experience to help the Board of Trustees reach sound decisions and support the Chief Executive and Senior Management Team in delivering the charity’s mission.

Important Information

• This is a voluntary position, but reasonable expenses are reimbursed.
• ReachOut board meetings are held in-person in London, online if necessary.
• The overall time commitment for a Trustee is expected to be around 30 hours per annum. There are four full board meetings a year that last approx. 2 hours, outside regular office hours. Meetings are held on weekday evenings.

Citizens Advice Winchester District is a dynamic, values-led, and award-winning local charity which is passionate about creating a fairer society for all.

We do this by helping people to resolve a wide range of problems they’re facing, so that everyone can achieve a good quality of life.Every year, we provide free, confidential and impartial advice on issues such as debt, housing, benefits and employment advice to people across the Winchester district, many of whom are in desperate or challenging situations and have nowhere else to turn. We may also suggest to our clients' other agencies that may be helpful to them, depending on their individual circumstances.

Our greatest asset is our dedicated team of staff, volunteers and trustees, who also advocate for lasting policy change both locally and nationally. To help us in our work, we are seeking an additional 3-4 trustees to complete our board and help us lead the charity over our next phase of strategic development.

The role  

We want our board to have a diverse range of experiences and backgrounds and are looking for strategic thinkers with a commitment to good governance and a willingness to work collaboratively and challenge constructively. Previous experience of Citizens Advice, or of being a Trustee (or equivalent), would be advantageous, but the commitment and enthusiasm to help us shape the work and strategic direction of our forward-thinking charity is essential. 

We would be particularly interested to hear from people with experience in HR (especially those with current CIPD membership), Charitable Trust and Foundation fundraising, and change management.

We offer a lifelong befriending service for adults with learning disabilities. Matching the skills and interests of passionate visitors with the specific hobbies and interests of the people we visit. Visitors visit six times a year to create a 1-2-1 connection, offer companionship, encourage people to do the things they enjoy and check-in on their wellbeing. In many cases, the visitor is the only person in someone’s life who isn’t paid to be there for them.

We are looking for a patient and caring volunteer to visit a man in his early 60s who lives in a supported living home in central Coventry. He enjoys going to watch the football, woodwork and crafts, gentle walks, and watching sports and films.

Out and About Role

This is an Out and about visit role which means your visits are likely to be longer, very active and the person you visit will often take an active part in planning your outings and activities in the community. Your volunteer manager will be happy to help you with ideas and suggestions for things you can do. Visits will vary in length but tends to be around a couple of hours, sometimes shorter or longer, depending on what you plan to do.

In this role you will spend quality time with the person you visit and could do a range of different activities like:

• Sitting and having a chat
• Checking in on their well- being
• Going out to a local café/pub for a meal/drink
• Take part on community activities like visiting a place of interest, go shopping etc.
• Enjoying a walk
• A craft activity at home

About Medact

Medact organises the health community to work towards a world in which everyone is able to live healthy, dignified lives, supported by political and economic systems that centre health justice. Our priority work areas are some of the most pressing threats to health and wellbeing, including ending state violence, housing & energy justice, and migrant access to healthcare. Medact seeks systemic solutions to major social problems, and is unafraid to hold decision-makers to account. We launched our new five-year strategy at the end of 2025, embedding our vision for how we win and how we grow.

We’re member-led, and our membership spans a range of people who work in health, including nurses, doctors, midwives and clinical researchers, as well as people from the wider health community.

About the role

Our Board of Trustees provides guidance, governance and final sign-off on major decisions on behalf of our membership. Trustees are collectively responsible for the governance of the organisation in line with the requirements of the Charity Commission. Trustees also contribute to the development of Medact's strategy and participate in a range of other activities to support the Director and staff with our work.

There are four planned board meetings per year, which are hybrid, and it is expected that each Trustee will attend most Board meetings. Trustees are also sometimes asked to give their views or sign off on issues between Board meetings if an issue cannot wait. It is hoped that each Trustee will have the capacity to use their unique skills to support the team more broadly with Medact’s work.

As Chair, you will support the Executive Director and staff to help build on our achievements and realise Medact’s vision. You will work with fellow Trustees to make up a strong and effective Board governing the Charity. 

Acting as a Trustee is a voluntary role but reasonable travel expenses can be paid. 

Who we are looking for

Our current Board brings a broad range of skills, but we recognise that we do not yet reflect the diversity of the health community. There are also specific types of experience and expertise we would like more of on the Board. In particular, we are looking for potential Trustees with one or more of the following attributes:

• Lived experience of an issue that Medact campaigns on, for instance the Hostile Environment, the health impacts of economic or housing injustice, the health impacts of armed conflict or UK security policies

• Experience as a frontline health worker of any sort, preferably current

• Legal and safeguarding expertise

• Fundraising expertise, particularly individual giving or major donor fundraising

• Human resources expertise

As Chair, you will be actively networked within the health community or broader social justice movement and highly experienced in governance or strategic leadership of a charity or NGO. You will have the skills to line-manage the Executive Director. And you will have the ability to advocate on behalf of Medact’s work, as well as helping to build the membership and public image of the organisation. 

We hope all Trustees will: 

• Share our vision for a fairer and safer world, and our analysis of the transformational change needed to get closer to it

• Approach Board discussions and conversations with the team with an open mind, able to listen to and genuinely engage with others’ views

• Display collaborative behaviours which promote harmony and good team working which supports Medact to be an effective, well-governed organisation

Previous experience on a charity board or in another governance role is useful but by no means essential. The Deputy Treasurer aids the Treasurer in fulfilling their duties. The Treasurer is responsible for overseeing financial strategy, governance, and compliance. The Treasurer role exists to ensure that the Pagan Federation’s finances are kept in good order and that we remain a financially sustainable organisation which supports its members effectively and meets its aims and objectives. This also includes ensuring that the PF meets its statutory obligations by submitting annual returns and accounts to the Charity Commission, and advising the Board on financial matters. This is a critical role which requires a financial background, preferably in non-profit/charity accounting. The Deputy Treasurer also aids the Treasurer in managing a team of treasurers who each maintain and keep appropriate financial records for individual teams within the Pagan Federation. 

Your line manager is the Treasurer.

You must not have an IVA, bankruptcy or conviction to apply for this role.

You will help the Treasurer to:

• Lead on financial strategy, ensuring alignment with the charity’s objectives and sustainability. This includes overseeing the production of an annual budget and propose its adoption at the last meeting of the previous financial year. 
• Ensure the charity has an appropriate reserves policy and finance manual.
• Liaise with relevant staff, trustees and/or volunteers to ensure the financial viability of the organisation and that all record keeping is kept in accordance with relevant legal requirements.
• Make trustees aware of their financial obligations and take a lead in interpreting financial data to them.
• Regularly report the financial position at trustee meetings (balance sheet, cash flow, fundraising performance etc).
• Monitor financial risks and recommend mitigation strategies 

Ensure compliance with specific legal and regulatory requirements including the submission of annual returns and accounts to the Charity Commission.  This includes:

• Overseeing the preparation of the annual report and accounts in line with charity law.

• Ensuring the annual report and accounts are independently examined or audited as required

• Timely submission of annual report and accounts to the Charity Commission

Ensure proper records are kept and that effective financial procedures and controls are in place, ie:

• Cheque signatories

• Purchasing limits

• Purchasing systems

• Petty cash/ float

• Others as appropriate
   

You will also:

• Appraise the financial viability of plans, proposals and feasibility studies.

• Lead on appointing and liaising with auditors/an independent examiner.

• Undertake bookkeeping duties and/or oversee the finance volunteer(s) ensuring posting and bookkeeping is kept up-to-date.

• Maintain the petty cash system and regularly process petty cash claims.

• Regularly carry out reconciliations/ oversee regular reconciliations.

• Arrange payments to creditors as appropriate and arrange appropriate signatures on payments.

• Raise invoices for paid services provided by us, i.e. advertising space in Pagan Dawn.

• Make the necessary arrangements to collect payments from debtors and bank payments promptly.

• Provide training and guidance on financial procedures and compliance
