As a Trustee, you will play a crucial role in the governance and strategic oversight of the charity, ensuring that we operate effectively, achieve our mission, and comply with all legal and regulatory requirements. Trustees are collectively responsible for safeguarding the charity’s assets, ensuring they are used exclusively to further our objectives, and overseeing the charity’s financial health, including budgets, financial controls, and reporting. Acting with integrity and in the charity’s best interests is at the heart of the role.

The Treasurer oversees the financial affairs of the charity and ensures that they are conducted legally, transparently, and in line with the charity’s governing document. Working closely with the Chair, Managing Director, Trustees, and any staff or volunteers, the Treasurer helps safeguard the charity’s financial sustainability.

About the Role

HR Liaison plays a pivotal role in driving the success of our flagship professional development initiative. This position is responsible for managing the end-to-end execution of the progrmme, ensuring seamless coordination between participants, Heads of Department (HoDs), and stakeholders. The ideal candidate will combine exceptional organizational skills with a passion for fostering professional growth, ensuring participants remain engaged and supported throughout their development journey.

Key Responsibilities

1. Programme Management

   • Oversee the effective implementation of the HR programme, ensuring alignment with organisational goals.

   • Welcome participants to the programme, providing orientation materials and clarifying expectations.

2. Participant Support & Progress Tracking

   • Conduct initial skills assessments to identify individual development needs.

   • Monitor and document participant progress, providing regular updates to stakeholders.

   • Schedule and coordinate meetings between participants and their respective Heads of Department (HoDs).

3. Coordination & Communication

   • Manage day-to-day operations, including scheduling sessions, sending reminders, and maintaining programme documentation.

   • Serve as the primary point of contact for participants, addressing queries and resolving issues promptly.

4. Engagement & Feedback

   • Design and organise feedback sessions to gather insights from participants and HoDs, using data to refine the programme.

   • Develop strategies to ensure active engagement (e.g., interactive workshops, milestone celebrations).

5. Reporting

   • Prepare progress reports for senior leadership, highlighting achievements, challenges, and recommendations.

Key Responsibilities

Employee Relations (ER) Case Management

• Handle end-to-end ER cases, including grievances, disciplinaries, absence management, and performance issues, ensuring fairness, transparency, and compliance.

• Advise managers on ER processes, providing coaching on conflict resolution, documentation, and equitable decision-making.

• Document case outcomes meticulously and identify trends to recommend preventative measures.

Investigations & Compliance

• Support complex workplace investigations, gathering evidence, interviewing stakeholders, and drafting reports in collaboration with the Manager: Talent Advisory.

• Ensure all ER outcomes comply with UK employment law, organisational policies, and QuilomboUK’s D&I principles.

About us

We’re part of the Royal Air Force Air Cadets, a national youth organisation empowering 12- to 20-year-olds through flying, adventure training, sports, and leadership development.

West Mercian Wing supports over 900 cadets across 27 squadrons in Herefordshire, Worcestershire, Shropshire, the Black Country, and Cyprus. Each squadron is supported by a committee of trustees who oversee governance, fundraising, and community engagement, helping ensure incredible opportunities for young people.

What’s involved

Being a trustee is a simple but highly impactful way to support your local squadron:

• Attend quarterly meetings (around two hours each)
• Discuss finances, fundraising, priorities, and squadron activities
• Take part in decisions, especially financial and strategic matters
• Support events, networking, or community initiatives

Typical commitment: 8-12 hours per year.

Who we’re looking for

Trustees come from all walks of life. No military, youth work, or charity experience is required. Trustees actively participate in meetings and decisions – there’s no obligation to take on an elected role.

Eligibility:

• Must be 20 years or older.
• Must have lived in the UK for 3 or more years.

Useful skills (optional but welcomed):

• Finance, budgeting, or business management
• Fundraising or grant writing
• Event planning or project management
• Governance, committee, or leadership experience

   • Assist in compiling data for reports on participant engagement, attendance, and feedback to support programme evaluation.

4. Logistics & Communication:

   • Manage programme logistics, including training materials, technology setups, and participant resources.

   • Draft and send routine communications (e.g., reminders, updates) to participants, trainers, and partners.

5. Compliance & Record-Keeping:

   • Ensure all participant files and programme documentation adhere to organisational policies and grant requirements.

   • Support audit processes by maintaining organised participant consent forms, evaluations, and feedback records.

Required Qualifications:

• Education: A high school diploma is required; an associate’s or bachelor’s degree in administration, communications, social sciences, or a related field is preferred.

• Experience:

  • 1–2 years in administrative support, customer service, or programme coordination, preferably in education, non-profits, or workforce development.

  • Experience managing high-volume inquiries and maintaining detailed records.

• Skills:

  • Exceptional organisational skills with the ability to prioritise tasks in a fast-paced environment.

  • Strong verbal and written communication skills, with a customer-service-oriented approach.

  • Proficiency in Google products (Forms, Docs, Sheets, Slides) and familiarity with databases or CRM systems.

  • Attention to detail and commitment to accuracy in data entry and reporting.
