BACKGROUND INFORMATION AND PURPOSE OF THE POST

The Finance and Resources Team is responsible for responsible for HI’s finances, general services and HR in the UK. It comprises the Chief Finance and Operating Officer, a Finance Officer and an Accounting Officer.

The main purpose of this post is:

• To ensure smooth and efficient running of the HI UK office, including office services, IT, internal communications and health & safety
• To act as a key point of contact within the organisation and externally
• To undertake human resources administration for staff and volunteers, including supporting recruitment and follow-up
• To provide administrative support to the Chief Executive, Leadership Team and Board of Trustees

MAIN DUTIES AND RESPONSIBILITIES

Operations

• Maintain the office facilities and environment to agreed service levels
• Act as primary point of contact with the landlord and all suppliers for the office space, proactively dealing with arising issues
• Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
• Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
• Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.
• Act as designated Health & Safety Officer for the office, including ensuring Health & Safety policies are up to date and being adhered to
• Continually review systems in place within the office, make improvements where required, and communicate these to relevant people

Human Resources

• Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
• Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook
• Support teams on volunteer recruitment, contracts, induction, support and training
• Maintain an up-to-date welcome kit for new starters and provide and coordinate induction training sessions

· Make sure that HR policies and internal processes are updated and well known by all the staff

• Provide support and advice to managers on HR matters, in collaboration with the Chief Finance and Operating Officer and the Chief Executive, including leave management, payroll, pension, changes in contracts or situation, flexible working and flexible hours, diversity and inclusion, potential conflict and interpretation of the Staff Handbook

Administrative support

• Provide administrative support to the Chief Executive, including diary management, preparing and servicing meetings and filing
• Organise and support meetings of the Board of Trustees, including room booking, diary management, preparation of papers, minute-taking and organising catering
• Maintain filing systems
• Deal with enquiries, calls and emails from the public, partners and other HI entities
• Support specific projects as needed

Other tasks

• Contribute to projects led by the Finance and Resources team and the HI UK whole team.

We are currently looking for a dedicated and enthusiastic Bid Coordinator to join our Fundraising Team.  Within the team you’d be responsible for generating income from The Door’s fundraising portfolio to meet our budgeted current and future service delivery needs, and specifically for raising income from grants and tender bids.  You’d coordinate the end-to-end process of bid submission, from researching funding opportunities to writing compelling bids to ensuring the timely delivery of reports to funders.

You’ll be an excellent written communicator, with the ability to compose accurate, concise and persuasive prose, strong administrative and relationship management skills, experience of working with budgets and a good eye for detail.  You should have experience of writing successful funding bids and reports.  A detailed understanding of the wider funding environment in the voluntary sector is also highly desirable.

This role is home-based and ideal for a skilled bid writer who needs flexible hours.  Occasional travel to our office in Stroud, Gloucestershire will be required.  Applicants must be UK-based and eligible to work in the UK.

The Central Resources Coordinator will also support the effective implementation and project management of Construction Youth Trust’s centrally coordinated programmes. 

Specific Responsibilities

• Acting as the main point of contact for entrepreneurs on a cohort, ensuring they all have the information they need to get the most out of programmes

Programme delivery and support

• Ensuring that workshops, events, and sessions run smoothly and deliver a great experience for everyone involved

SPANA - The Society for the Protection of Animals Abroad is the global charity for working animals in low-income countries. We are looking for a Global Resources Coordinator to ensure operations within our global resources team run smoothly and efficiently. This is an exciting opportunity to join our new service supporting Unpaid Carers across Lewisham to improve their health and wellbeing, and access support that meets their needs.

The team works with unpaid Adult Carers, Young Adult Carers and Young Carers, completing statutory and holistic assessments to understand people’s individual circumstances and level of need. You will carry out home visits and community meetings, co-produce support plans, and develop effective relationships with Unpaid Carers, families, and professionals.  

You’ll build on your local knowledge to signpost and facilitate access for Unpaid Carers to support services, including financial and benefit advice, housing, health and safety home systems, and leisure and social activities. You will also support the development of escalation plans so that Unpaid Carers are prepared for unforeseen circumstances that would impact negatively on ability to care.

Applicants should have relevant personal or professional experience of working with Unpaid Carers and/or vulnerable adults or children in a social care, health, education or voluntary and community sector. You’ll need a practical understanding of barriers faced by Unpaid Carers, and an awareness of cultural differences and access to services. Experience of working in mental health or dementia services would be an advantage.

The Peer Support Coordinator will play a critical role in the delivery of Day One's Peer Support Service. The primary objectives are to ensure a high-quality service is delivered to our beneficiaries; to develop our regional peer support model; and to facilitate a positive volunteering experience for our lived experience volunteer team. Responsibilities will include the day-to-day coordination of peer support activity. This will involve sensitive communication with trauma-affected individuals to understand their needs and preferences, using this information to facilitate suitable peer support matches.

The postholder will contribute to building a diverse volunteer team by supporting the volunteer recruitment and induction processes. They will offer ongoing support, guidance and motivation to our volunteers, ensuring meaningful opportunities to engage with Day One. The postholder will support the Peer Support Manger to conduct regular reviews with volunteers to gather feedback on their experiences as well as supporting their personal and professional development.

The Peer Support Co-ordinator will monitor service delivery and volunteer activity to ensure it is operating within agreed policies and processes. To ensure we can evidence the success and quality of the service, a key aspect of the role will involve keeping accurate records of interventions as well as collecting regular evaluation/impact data and personal case studies.

You will be a compassionate individual, dedicated to ensuring the highest quality of support for our beneficiaries and volunteers alike. You will be empathic with strong active listening skills, able to demonstrate sensitivity and discretion in your communication with trauma-affected individuals.  You will be adept at identifying individual’s support needs and have strong social/communication skills enabling you to facilitate appropriate and meaningful peer support matches. Possessing excellent organisational skills, you will thrive in the fast-paced and reactive environment of peer support service delivery.

You will be committed to maintaining high standards and have a keen eye for detail able to keep accurate records of interventions and collect evaluation/impact data with regularity. Additionally, you will have a proactive approach to building and supporting a diverse volunteer team.  You will be a ‘people-person’, enjoy speaking with others, and have the knowledge and confidence to offer ongoing guidance and motivation to our volunteer team. We are looking for an organised and creative individual to join our service supporting Unpaid Carers in Lewisham to improve their health and wellbeing, and access support that meets their needs.

The team works with unpaid Adult Carers, Young Adult Carers and Young Carers and you will carry out home visits and community meetings, complete assessments, co-produce support plans, and develop effective relationships with Unpaid Carers, families, and professionals. You’ll build on your local knowledge to signpost and facilitate access to support services, including financial and benefit advice, housing, health and safety home systems, and leisure and social activities.

To facilitate group work, you will plan and deliver a programme of events, groups, activities, training and workshops. You’ll need to research and book trainers, venues, activities and resources, negotiate value for money, promote the calendar of events and manage bookings. The sessions will offer opportunities for Unpaid Carers to meet with peers, develop confidence, learn new skills, reduce social isolation, and improve their own wellbeing.

Applicants should have relevant personal or professional experience of working with Unpaid Carers and/or vulnerable adults or children in a social care, health, education or voluntary and community sector, as well as experience of planning and delivering a programme of group work.

You’ll need a practical understanding of barriers faced by Unpaid Carers, and an awareness of cultural differences and access to services. You should be an excellent communicator and able to motivate and empower others.

The role

The role is a 12 month fixed term contract and sits in our people team, supporting the charity by providing a professional, comprehensive and proactive recruitment service. To work closely with the HR advisors, the HR coordinator and as necessary, the HR and organisational development manager, to support recruitment and selection-based projects.

As the first point of contact for all recruitment related queries from recruiting managers and candidates, you’ll be responsible for uploading vacancies and supporting information onto our online advertising platforms and manage recruitment activity as a key user of our recruitment applicant tracking system (ATS). You’ll also ensure all our recruitment and selection literature, including adverts and job descriptions are correctly branded and formatted.

You’ll actively support and provide guidance to recruiting managers at the beginning and during all the stages of the recruitment process, along with offering a face to face service to build key stakeholder relationships across the charity. You’ll also be required, when necessary to actively represent the people team at interviews.

You’ll also be responsible for managing the recruitment inbox and supporting recruiting managers and the HR advisors from coordinating interviews to creating a range of quarterly recruitment reports.

About you

You’ll have experience of working in a recruitment administrative role within an HR or recruitment function. And be proficient in using administrative systems and databases specific to recruitment. You’ll have the ability to work as part of a hybrid team and possess excellent written and verbal communications skills allowing you to work together at all times when in the office or when working from home. You’ll understand the importance of working accurately and with attention to detail within a confidential framework and have the ability to use your initiative to plan and organise your own workload.

Primary location of role and hybrid working

This role is primarily based in our London office, however in line with our hybrid working practice, you will be required to work 2 days in the office which will be Tuesday and Wednesday; the remaining days will be from home.

Bexley Food Alliance Project Coordinator

The Bexley Food Alliance is a new network which was funded by the GLA to work towards taking pressure off the emergency food aid services and providing increased financial support to Bexley residents. This network has now expanded and aims to build a collaborative network of agencies that can increase fairer access to healthy, nutritious and culturally appropriate food, as well as any additional support residents might need. We are looking for a Project Coordinator to take over the day-to-day running of this network (see below for a brief description). This is a good opportunity for anyone who wants to take on a part-time, one-year project, perhaps as a stepping stone into something more significant, or perhaps you’re returning to work or changing careers. This is an opportunity to be at the start of an exciting, innovative partnership project, shaping a network and forming strong alliances with various agencies. 

You will work closely with the VCS within Bexley to build the capacity and capabilities of local groups, provide partnership/networking opportunities that enable them to carry out their own objectives effectively and offer high quality services.

You will work flexibly, applying initiative to provide consistent and seamless support to organisations.  You will support across a variety of charity development but focus on food partnerships and wraparound support to provide more holistic support.

Key Duties:

• Build and promote positive working relationships between VCS groups and organisations, statutory partners, commissioners and funders.
• Work with a wide range of delivery partners and other key stakeholders to maximise the use of community resources and ensure opportunities are maximised.
• Undertake community and outreach work – particularly to parts of the borough where the VCS voice is less heard.
• Encourage and support groups to seek funding from a range of sources including contracts and grants and provide the necessary support.
• Use our database to keep well maintained records of support given, funding achieved as a result of our support, case studies and outcomes, brief summary reports for monitoring and development purposes.
• To continuously engage in a mapping process, highlighting existing providers and supporting the start-up of new services.
• To organise and facilitate network meetings bringing organisations together to tackle food poverty and offer increased support with additional needs such as financial, physical and mental health wellbeing.
• To build relationships with various organisations, offering diverse support to increase collaboration, new offers and increased support.
• To work closely with the Local Authority to support policy change.
• To build relationships and network outside of the borough to bring in good practice and successful initiatives.
• To attend any relevant training and/or workshops that support the development of the network.
• To increase knowledge and understanding of food poverty and the cost-of-living crisis in general as well as grants and funding opportunities.
• Attend staff meetings, and training as required.
• Identify, report, and monitor any safeguarding concerns in accordance with the latest local procedures relating to the appropriate service.
• To support and work closely with all the teams within BVSC.
•  To comply with, and share responsibility for ensuring the implementation of, BVSC policies and procedures and key legislation such as GDPR and Safeguarding.
• Undertake any other duties that may reasonably be assigned from time to time including travel throughout the borough to attend events, occasionally on evenings/weekends, meet with volunteers and organisations.

These are the normal duties which are required of the position; however, we do require that all staff be flexible and may be required to perform other duties to ensure the efficient running of services. 

Please note that the base for this role is split between the Engine House, Bexley, and Bexley Civic Offices. In addition, the post will involve occasional working from various venues across the borough.

• Continue to develop relationships with the voluntary sector and local organisations to find out more about what services they currently offer, if they have scope/capacity to expand their offer and what support they might need.
• Encourage and support collaborative projects between organisations within Bexley.
• Research and keep up to date with current developments, grants and opportunities for voluntary organisations and charities relevant to Bexley.
•  Network with various organisations offering support, learning opportunities and guidance in running the network.
• Continue to work on an agenda for regular, local networking sessions which you would facilitate (with support if needed).

As a Circles Coordinator you will make a real difference to preventing sexual abuse and sexual violence. This varied and rewarding role means working with people who have sexually harmed, a team of local volunteers and public protection colleagues. Join our dedicated regional team of 12 staff and 180 volunteers working towards the vision of ‘No More Victims’ of sexual abuse.

About Circles South West

We are an award winning independent charity providing services that prevent sexual re-offending by people who have sexually harmed, as well as support services for non-offending partners, family and friends impacted.  Our core service is Circles of Support and Accountability; a ‘Circle’ is a small group of local volunteers who assist the safe integration of an individual who has sexually harmed, meeting with them over a year or more. Working closely with responsible statutory agencies we provide a complementary risk management approach, making communities safer. Informed by our practice expertise, our training and consultancy for professionals is designed to enhance skills, knowledge and understanding in order that they can more effectively engage with people who sexually harm and contribute more widely to the prevention of sexual abuse.

About You

With experience of working with adults convicted of sexual offences, you understand how local communities can support risk management and be committed to the safe integration in the community of people who have sexually harmed. You will be skilled in the management and support of volunteers, the critical success factor for Circles. You will assess referrals, coordinate Circles, review progress and share relevant information with police and probation. 

We’re looking for a dynamic Workforce Development Coordinator to lead, manage and develop our incredible sports coaches, volunteers and tutors. You’ll be managing everything from recruitment through to personal and professional development. 

You’ll use your people skills to work closely with partners to deliver expert-led training courses, making their activities more inclusive for disabled people. Highly organised and with an eye for detail, you’ll liaise with each partner to make sure we meet their needs. 

You’ll also manage Inclusive Activity Leaders – a truly life-changing programme created in partnership with Nike that trains disabled people to become fully qualified sports coaches and enjoy new careers.

Job Purpose: The Adult Carers Service supports carers aged 19+. The service provides practical, emotional and planning support so that carers are supported to maintain their caring roles, increase their resilience, and support them plan for the
future to avoid crisis. The Carers Support Coordinator will work in close collaboration with the Services Manager and SMT to support the implementation and development of the Bromley Well Adult Carers Service. The post holder will coordinate the provision of emotional and practical support to Adult Carers in the London Borough of Bromley, aligned and working closely with the integrated care networks and other Bromley Well Services, both within Age UK Bromley & Greenwich and Bromley Well partner organisations.
