Role Requirements
- Support planning and changes in the administration of children and young people’s timetable for children and family services.
- Support with photocopying of notes for subject access/ solicitor requests (SARS).
- Manage the SARS and redacting process with appropriate members of the Therapies teams.
- Update logs and coordinate the Clinical and Safeguarding Supervision across the Therapies teams, escalating non-compliance where required.
- Monitor mandatory training compliance and administer booking processes for all relevant training sessions/course.
- Coordinating specialist clinics, including spine and hip clinics; liaising with the Physiotherapy team to ensure the correct children are on the schedule. Liaison with external Consultants to organise the clinic lists.
- Carry out audiotyping of clinic letters and distribute as required.
- Update absences within the teams onto the SMI (staff care) system, as requested by the Heads of Service.
- Place orders for any required equipment and/or resources for departments and for the children and young people as deemed necessary.
- Take overview of clinical asset ordering, linking with the clinical assets team and management system, in line with MHRA guidelines and the medical devices policy.
- Track and monitor equipment orders with Heads of service, escalate delays and provide a central overview for all equipment re-charges and ordering.
- Raise and receipt PO’s and invoices for the therapies directorate and liaise closely with the finance team.
- Undertake other or additional duties that are within your skills and abilities, as the organisation may reasonably require from time to time.
With experience of working in a complex environment, across a large and diverse workforce, you will be exceptionally organised with a high-level of attention to detail. You will naturally possess excellent inter-personal skills, and an ability to consult and positively engage with key stakeholders across the organisation.

The Role
This is an exciting opportunity to join the Client Services Team which operates within HBF’s vibrant, multi-disciplinary team. The duties of Client Services Administrator are two-fold 1) is to host our busy reception area and friendly waiting room; welcome clients and visiting professionals to the Helen Bamber Foundation and attend to any needs they might have and 2) to oversee the booking of appointments between clients and staff/volunteers across the organisation; liaising with third parties and clinicians in relation to Initial Assessments; booking and managing doctor’s diaries for our Medical Advisory Services and the booking of interpreters across the organisation. You will be at the heart of an exciting team of experts, working as the face of HBF and the first point of contact for both external and internal queries. You will be a self-motivating team player, organised, efficient and have a compassionate mind-set.
The role will work closely with the other person in post as Client Services Administrator and jointly manage the workload. The role also includes assistance and general facilities support to the Senior Operations and HR Coordinator.

The Central Resources Coordinator will support the development and implementation of central processes designed to support programmes that meet the expectation of funders, the needs of our beneficiaries and the wider needs of Construction Youth Trust. The Central Resources Coordinator will also support the effective implementation and project management of Construction Youth Trust’s centrally coordinated programmes.
Specific Responsibilities
· Relationship management of key employer partners
· Organising work experience placements
· Coordination of the Trust’s employer partners job/apprenticeships opportunities process.
· Provide administrative support for the management of centrally run programmes
· Delivering and co-delivering activities as necessary
· Managing induction, training and support of Industry volunteers as necessary
· Supporting the Trust’s programme of events
· Representing the Trust at relevant industry and non-industry events
· Other duties as agreed by the Central Resources and Relationships Manager

You will work with the Head of Services to ensure the service responds holistically to young people with multiple needs or barriers. New Horizon Youth Centre runs a busy day centre from Monday to Friday, providing basic needs to young people experiencing homelessness and a one-stop-shop for housing advice, youth work activities, counselling, jobs, education and training support. The Services Manager (Day Centre) is a brand new role for the organisation. They will work as part of the existing Youth Work Team to provide vital additional capacity and expertise to respond to the significantly increased demand we have been experiencing. This role is primarily focused on delivering our frontline day centre service each week. You will spend around 2-3 days per week frontline as our Duty Manager ensuring the smooth running of the day centre. You’ll also be responsible for coordinating our weekly rota, line managing the team, overseeing our Locums, Students and Volunteers programme, supporting with donations and day centre stock, and delivering staff training . You should be passionate about supporting young people who are unsafe or facing homelessness, be able to motivate a multi-disciplinary team of staff and have the energy to problem solve in a fast-paced environment on a daily basis.

New Horizon Youth Centre has been commissioned by the Mayor’s Office for Policing and Crime (MOPAC) as part of an Alliance with Safer London, St Giles Trust and the Anna Freud Centre to deliver on their Children and Young People’s Violence and Exploitation and Reduction support service. The commission will run from June 2024 for three years. As part of this, an additional service will be set up within the NHYC Youth Justice team specifically to deliver on the Alliance contract. The Services Manager will be the key operational lead for the Alliance, and oversee successful delivery of housing casework services to young people fleeing violence and exploitation who are referred in. You should have experience of working in services that support young people fleeing violence or who are impacted by the criminal justice system, and have a solid understanding of housing options for young people under 25. You should be exceptionally well organised and have excellent partnership management skills.
