MAIN RESPONSIBILITIES

•Serve as the organisations designated DPO as per UK GDPR requirements.

Experience & Certifications/Qualifications:
•Strong understanding of UK GDPR, Data Protection Act 2018, and other relevant legislation.
•Hands-on experience responding to Subject Access Requests (SARs), managing data breaches, and liaising with regulators (ICO)
•At least 3 years of experience in a data protection or compliance role, preferably within the charity, NGO, or healthcare sectors.
•Experience handling sensitive personal data, including health and biometric data.
•Ability to interpret complex legal requirements and translate them into practical guidance.
•Strong communication skills and cultural sensitivity, especially in cross-cultural and humanitarian contexts.
•Demonstrated ability to manage competing priorities and work collaboratively across teams.

Preferred Skills and Competencies:

•Data Protection Officer certification (e.g., CIPP/E, BCS,GDPR Practitioner or equivalent).

About the team 

The Data Operations Team sits within the wider Supporter Experience and Operations team, within the Mass Engagement Department at WaterAid. The team is responsible for enabling a high-quality supporter experience through best in class data operations, ensuring tasks are effectively managed across the team. This role leads on all aspects of data imports, Direct Debit processing and Gift Aid claims, enabling WaterAid UK to maximise its fundraising potential, ensuring compliance with financial and data regulations and maintaining high data quality standards.

About the role 

As our Data Operations Manager, you will ensure the accuracy and efficient management of data imports and core income processes such as the Direct Debit and Gift Aid claims. You will work closely with key stakeholders in Performance and Insight, Finance and Mass Engagement to drive sustainable change.

In this role, you will: 

• Manage the day-to-day data operations (including data imports, Direct Debit submissions, submitting Gift Aid claims to HMRC)
• Line Manage two Data Operations Officers, providing support, coaching and mentoring 
• Manage the workload and responsibilities of the Data Operations Team, ensuring that tasks are carried out on schedule and within agreed SLAs 
• Identify opportunities to improve efficiency and accuracy through automation or system enhancements 
• Build strong operational relationships with key stakeholders in the Data Engineering and CRM teams, as well as with WaterAid’s third party agencies, to identify areas for improvements and rapid problem fixing, particularly in relation to managing data rejects 
• Champion WaterAid’s commitment to equity, inclusion and safeguarding. 

Requirements

To be successful, you will need: 

• Excellent problem solving and communication skills 
• Strong experience of using relational database packages and working with large and complex data sets 
• Experience of leading, managing and motivating others and driving change 
• Experience of measuring and reporting on team performance against Key Performance Indicators (KPIs) 
• Experience of using SQL 
• Knowledge of BACS, Direct Debit and Gift Aid HMRC regulations 

Although not essential, we’d prefer you to have: 

• Good working knowledge of the architecture and functionality of Microsoft Dynamics 365 
• Demonstrable experience in Direct Debit and Gift Aid processing 
• Experience using Azure DevOps

What the job involves

Join our Customer Engagement and Experience team as our Data Imports Manager, where every day you’ll be helping to make sure our supporters’ donations and personal details are handled with care and accuracy.

You’ll manage the Data Import Team, who process around £30 million in donations each year and safely manage details for about 180,000 new supporters. It’s a role right at the heart of our operations, keeping our systems running smoothly and ensuring supporter data is looked after properly.

Day to day, you’ll manage the flow of financial and personal data into our CRM, whether it’s from third-party suppliers or our website. You’ll own the use of our automation tools to ensure data imports are efficient and accurate.

You’ll support your team, respond to data queries, and as the product owner of our bespoke ETL tool work closely with developers, designers and data teams to deliver high quality solutions. There’s plenty of scope to spot ways to improve how we work, reducing manual processes and making things quicker and smarter without compromising quality.

Alongside this, you’ll produce regular reports to keep things on track, such as weekly/monthly reconciliation reports for Finance, and oversee tasks such as creating our Gift Aid claim. You’ll also play a key part in developing and monitoring KPIs, making sure we’re hitting our goals and delivering a reliable, accurate service.

What we want from you

We’re looking for candidates who have an expert knowledge of database systems and be able to channel this knowledge into meeting the business needs of the charity.

You’ll be a natural collaborator, able to build strong relationships and comfortable working with people at all levels across the charity. You’ll be comfortable managing multiple priorities and relationships, keeping a high volume of tasks moving smoothly and within set timeframes. Time management is key in this role, as you’ll understand how data processes directly affect income and supporter experience.

With a practical, agile mindset, you’ll be a problem solver who can look at systems and processes with fresh eyes and quickly spot opportunities to make them more efficient and effective. Process-driven and detail-focused, you’ll take a proactive approach to improving the way we work, without losing sight of the bigger picture.

Excellent communication skills are essential, you’ll be confident having open, honest conversations to protect the integrity of our data, and able to influence decisions when it counts.

You’ll have experience managing and coaching a team, supporting people to achieve great results while developing their skills and confidence.

Ideally, you’ll also have a good understanding of charity law relating to fundraising, Gift Aid, data and information management, along with experience of customer relationship databases, particularly Raiser's Edge.

This is a brand-new role with the exciting opportunity to help shape and grow Save the Rhino International’s fundraising from high-net-worth individuals, charitable family trusts and foundations, and corporate partners who share our passion for conservation. As Senior Philanthropy and Partnership Manager, you will lead on building and managing relationships with both new and existing supporters, helping to secure significant funding to support our long-term goals.

Essential skills and experience

• Proven ability to design and implement fundraising strategies for high value donors, including developing cultivation, solicitation and stewardship plans
• Minimum 3 years’ fundraising experience with high net-worth individuals, family trusts and foundations and proven track record of securing and managing significant five and six figure donations
• Experience in developing stewardship and recognition strategies that deepen engagement and foster long-term support
• Knowledge of key sector regulations and guidance, including from the Charity Commission, Fundraising Regulator, and Chartered Institute of Fundraising, with a strong understanding of GDPR and data protection
• Experience using CRM systems and fundraising databases, with an understanding of how to apply data mining and segmentation strategies to support donor engagement and income generation
• Experience of developing high-quality funding proposals and narrative and financial reports
• Very strong interpersonal skills and emotional intelligence with the ability to build and maintain collaborative relationships across geographies and cultures

Our Data Operations Managers sit within Product and Systems Management team.

Our Data Operations Managers have a key role in ensuring our end to end processes are working through our central CRM system. These processes include the processing of our income through the system such as Gift Aid, regular giving and special events, Direct Debits.

This role also ensures our end to end data flows are fit for purpose and that data within it are clean, accessible and available.

This role is responsible for:

• Custodian of our CRM data and responsible for major data import/export into the system including data validation, de-duplication, cleansing and fixing of data throughout the multiple data systems.
• Responsible for the curation and management of import and export routines of key fundraising data using appropriate tools.
• Responsible for forming and managing how the functions work within the Organisation to build key relationships with key data users to ensure data is correctly ingested
• Responsible for defining and setting standards and principles of data use in the system and fully enforcing these principles across the Organisation and to suppliers.
• Maintenance of legacy systems and processes where necessary

For this role we’re looking for:

• SQL (SSIS, SSRS) knowledge
• Knowledge of Dynamics CRM 365 and associated technology
• Working knowledge of KingswaySoft
• Knowledge of deduplication techniques
• Proven data management skills and experience

The Role

Reporting to the Head of Data Services, the Data Officer will meet data needs relating to the management and delivery of supporter and engagement products.
