You will need to have some experience in accounts payable/receivable; however, we will be more focused on your work ethic and what you can bring to the team. 

You will be required to support and assist in a wide range of day to day finance processes.

About You

• Experience of processing transactions on a financial system is essential.

• Processing supplier invoices
• Checking and setting up new supplier accounts

You will:

Manage all finance systems and processes including payroll, pensions, and insurance.

Work with and provide support to the Board of Trustees, CEO and the Senior Management Team as well as support the needs of the office across the organisation.

Duties:

• Financial Records Maintenance:

- Responsible for the update of the chart of accounts and reporting tools to maximise reporting functionality.

- Ensure accurate maintenance of financial records on SAGE for the charity.

•  Support the Senior Management Team and wider managers in the production of budgets.

•  Provide timely financial information to managers for effective budget management.

• Ensure monthly management accounts accurately track restricted and unrestricted income, expenditure, and reserves.

• Monthly Reporting and Budgeting:

- Produce monthly management accounts and reconciliations - (including the Balance Sheet and Cash Statement).

- Prepare quarterly forecasts and annual budgets (including cash flow).

- Assist in the formulation and implementation of financial policies, procedures and controls.

• Financial administration, banking and payments:

- Manage payroll administration, pension postings, and HMRC payments.

- Process monthly payment runs.

- Monitor and review aged debtors and creditors with the relevant colleagues.

- Work with the fundraising team to oversee Gift Aid claims.

- Manage VAT input and reporting if required.

- Maintain and manage schedules for depreciation, prepayments, accruals & deferred income – posting monthly and quarterly journals as required.

- Administer the Fixed Assets register.

• Year-End Reporting:

- Responsible for year-end reporting and processes.

- Manage the internal examination/audit process.

- Ensure timely preparation and submission of statutory accounts to the Independent Auditor, Companies House, and Charity Commission.

• Governance and strategic finance:

- Produce quarterly reports for the Board and other financial statements in liaison with the Chair, Treasurer and CEO.

- Support the team to create accurate budgets for new funding applications.

- Support the team to accurately cost our services and products for sale ensuring we build in appropriate margins to support growth.

- Work with the Board and Senior Management Team to build financial resilience, diverse income streams and savvy approaches to grow our income and impact.

About this role: 

Reporting to the Finance Manager, this role plays an important part in supporting our Finance Team in delivery of SIB’s new strategy and focus. 

Key responsibilities 

1. To ensure all bank mandate updates and KYC requests are dealt with efficiently and records accurately maintained. 
2. To be responsible for ensuring that, by month end, all bank reconciliations are completed for all entities, required for Management accountants to run loan and grant reports.
3. To reconcile and post interest for non-feed bank accounts when statements are received. 
4. To prepare the monthly Cash Analysis Report. 
5. To monitor credit control. 
6. To process monthly direct debit collections. 
7. To ensure the filing and archiving is up to date. 
8. To assist the Governance Team with minute taking at Committee meetings as and when required. 
9. To enter invoices into Receipt Bank/Xero, checking that coding and budget data is correct. 
10. To monitor and maintain shared finance mailboxes. 
11. To manage the electronic approval system – ApprovalMax. Matching Invoices to purchase orders and ensuring invoices are uploaded with correct authorisations. 
12. To handle any payment issues raised by internal/external team members for timely resolution. 
13. To prepare for and make weekly payments to SIB grantees, investees, employees and suppliers following laid down procedures. 
14. To set up payment templates for new payees within SIB’s agreed controls for suppliers, grantees, investees and team members. To support the Project Accountant and Head of Governance in maintaining and reviewing the supplier register to be complaint with ISO. 
15. To upload/import payments for approval when grants and loan disbursement requests are required. 
16. To be responsible for credit card and Pleo card book keeping and reconciliations. 
17. To generate sales invoices. 
18. To enter invoices into Receipt Bank/Xero, checking that coding and budget data is correct. 
19. To match Invoices to purchase orders and ensuring invoices are uploaded with correct authorisations. 
20. To be the bank administrator for all accounts in relation to systems admin. 
21. To work within the organisation's values, principles and processes to achieve operational excellence.

JOB PURPOSE

The Head of Finance will lead a small, established finance team and will need to drive a successful business partnership approach with teams across the organisation, achieving greater efficiency both in ways of working and in purchasing and in investigating how our systems and technology can best meet our operational needs. This role is pivotal in the charity, and a great opportunity for an exceptional finance professional to contribute to the continuous improvement of the charity, finance function and team. You will take day to day responsibility for financial accounting, the provision of management information and will actively manage financial planning and forecasting. A track record in successful business partnering is essential as we develop and refine our business model. Previous experience in a management information function, either within the not-for-profit sector or a similar sized commercial organisation, is needed. You will need to liaise closely with non-finance staff to ensure financial information is made meaningful and accessible and to support training to enable them to interpret the information provided and manage their budgets. Good communication skills and the ability to explain complex information to staff at varying levels are therefore essential as is the ability to provide leadership and motivate staff.

ROLE AND RESPONSIBILITIES

This is a diverse role across the full spectrum of the finance function, with the post holder responsible for the timely provision of management information as well as leading the Finance Team in delivering a full financial accounting and statutory reporting service to ensure UK for UNHCR is compliant with all financial regulation. Central to the role is the critical review and the effective communication of financial information and its implications to all levels of management while also delivering a high quality, customer focused finance partnering service to senior managers and SMT. 

Key accountabilities:

• Oversee the provision of clear, accurate, timely and user friendly (financial and non-financial) management information to Directors, senior managers and staff to support the decision-making process and to allow managers to proactively manage their budgets.
• Take full management responsibility for the Finance Manager and Finance and Administration Assistant, leading, motivating and developing them so that that they are clearly focused, competent, and work effectively and efficiently.
• Ensure compliance with relevant legislation and prepare statutory accounts, corporation tax, Gift Aid, VAT, Charity Commission and other statutory financial returns for the charity and its trading subsidiary as appropriate. 
• Manage the annual audit process, being the point of contact for external auditors on operational matters relating to the audit process and providing information and documentation supporting the annual report and accounts.
• Develop and maintain various business and financial planning processes in support of the strategic needs of the organisation. This includes:

1. Annual budgeting process.
2. Overseeing financial reforecasts at regular (currently quarterly) intervals.
3. Playing an active role in the broader business planning process.
4. Planning and managing cash flows to meet the short and long-term needs of the organisation, maximising interest receivable where opportunities allow. 

• Drive financial ownership, accountability and understanding across the organisation by ensuring budget owners have the knowledge, skills and tools to manage their budgets effectively. Ensure effective financial business partnering is underpinned by effective processes and guidance.
• Provide support to all teams and in particular the fundraising teams in the completion of funding applications and, following successful bids, ensuring appropriate processes are in place to monitor and report progress of Restricted Funding projects.
• Recommend an appropriate reporting process and format for restricted projects to enable their effective management by budget holders and for inclusion in management accounts reporting.
• Ensure the internal financial control environment is adequate to safeguard the Charity’s assets and is properly documented, and liaise as needed with external professional advisors, such as auditors and our bankers.
• Ensure premises and facilities are managed appropriately on a day-to-day basis, line managing the Finance and Administration Assistant, and taking the lead in matters relating to property leases.
• Develop own knowledge base and keep abreast of changes in the regulatory and financial environment, as well as new initiatives and best practice in the sector to ensure the charity’s policies and processes are fit for purpose and adapt as UK for UNHCR evolves. 
• Support the Senior Management Team in other work as may be required from time to time and, as time allows, engage in the broader work of the charity to ensure the post holder has a recognisable profile as the leader of a key team and has an understanding of the work we do.

PERSONAL ATTRIBUTES AND EXPERIENCE 

Knowledge: 

• A qualified accountant (ACA, ACCA, CIMA, CIPFA) with significant post qualification finance experience at a senior level.

Skills:

• Track record of success at a senior level within an organisation of comparable size and complexity, including hands on experience in delivering a bespoke finance service.
• Proven ability to communicate successfully with different stakeholders, both written and verbal, and including the ability to influence and negotiate.
• Ability to critically review, analyse and interpret complex financial and management information and present it clearly and appropriately to different audiences.
• Comfortable in dealing with detail as required given the constraints of working in a small team.
• Confident with a range of IT software, including hands on experience in managing, using and configuring accounting packages.
• Experience of software implementation, and ideally of accounting systems.
• Strong leadership skills including the ability to motivate and develop staff members.
• Knowledge of the legislative, tax and regulatory framework of companies, ideally in the not-for-profit sector.
• Track record in successful project management.
• Ability to identify, assess and manage risks and make recommendations based on objective criteria.
• Team player able to establish productive working relationships with both colleagues and externally.
• Strategic thinker who is pro-active in identifying opportunities for the organisation, and within the finance function for improvements in business process.

Experience: 

• Relevant post-qualification experience, to include managing a finance team. 
• Experience of developing and implementing financial procedures and controls. 
• Experience of commercial or charity accounting including the preparation of statutory accounts and preferably SORP compliance.
• Experience of preparing management accounts in a rigorous environment.
• Experience of managing the preparation of budgets and business plans.
• Experience of VAT accounting, preferably the partial exemption basis and corporation tax.

DOTWUK have a fun and friendly finance team in a small, but high-performing function and are looking for a collaborative, experienced and energetic leader for the role of Head of Finance.

We are looking for a qualified professional to support our Finance Manager in day-to-day financial activities. The postholder will need to show attention to detail in the transactional management of finances. You will need to have a proactive and flexible approach to supporting different teams with their finance requirements. This includes raising purchase orders, invoices, travel bookings, budget responsibility, and report analysis.

This role requires you to be AAT qualified. You will also need considerable experience using Sage 50, Microsoft 365 and adhering to financial controls.

This role is full time and permanent. We operate a hybrid working model. You will be required at our Loughborough office two days a week, subject to agreement with the Finance Manager.

Accountable for the accurate and timely processing of financial information in line with the Trust’s systems and keeping records in good order. The role provides quality information and compliant service to support strategic decision making and build a solid foundation for an evolving organisation.

Role responsibilities 

• Process payments and maintain purchase ledger - process expenses, invoices and other payments in XLedger for payment in a timely and accurate manner and reviews supplier statements and outstanding items regularly and efficiently.

• Compliance and internal controls - Ensure relevant authorisations are obtained, and safeguards and protocols are followed about data protection, internal financial controls, and ethical standards. 

• Act as the first point contact for purchasing queries - primary management of the shared finance email inbox; Acting as the first point of contact for external and internal questions. Ensures high levels of customer service and effective representation of the Finance Team and the Trust. 

• Organisation - Maintain paperwork in an orderly manner: current/prior year records to remain accessible yet secure, older items archived and destroyed when appropriate. Ensuring proper records are maintained in the financial system.

• Finance Team assistance - Support finance team colleagues in providing information to other parties as appropriate, e.g.: as budget holding colleagues, fundraising colleagues, or external auditors. 

Person Specification 

Technical skills and minimum knowledge: 

• Relevant bookkeeping qualification (e.g., AAT) or QBE 

• Experience in a similar role, ideally working with large transactional volumes. 

• Able to demonstrate a good understanding of the implications of accurate record keeping.

• Able to identify situations where any risk of non-compliance/adherence may arise 

• Adept at working with accounting systems and MS applications.

A bit about the role:
As a Finance Analyst – Capital Accounting, you will provide accounting support on all areas related to fixed assets and grants, report fixed assets numbers working both in the consolidation and the subsidiary accounts and support the audit process liaising with external auditors. You will be part of the team responsible for ensuring the accuracy and quality of Fixed Asset accounting records.

Some of the key results for the role include:

• To ensure that accurate and timely financial information are produced on a monthly basis.
• To undertake the month end and year end processes.
• Assist with the yearly budgeting and quarterly forecasting process.
• Facilitate the completion of audit queries for the relevant directorates.
• Preparation and posting of monthly journals.
• Prepare Balance sheet reconciliations.
• Prepare notes to the accounts.
• Produce informative and insightful reporting.
• Provide support for ad hoc queries and signposting stakeholders to relevant teams across finance.

A minimum of 1 to 2 days working in the Westminster Bridge Road office is required. This role is initially a 6 month fixed term contract.
