The Opportunity

An excellent opportunity has arisen for a reliable, conscientious and self-motivated individual to join the Inspire Management Information (MI) team as an MI Data Systems Manager.

Inspire provides a full MI service to the nine local authorities that make up the London East sub-region and we work in close partnership with wider London local authorities, career companies and other national partners to support the needs of young people through the intelligent use of management information. We have a reputation for providing insightful and informative data analysis to meet local and national requirements, always ensuring the highest standards of data integrity and security.

Key responsibilities of the MI Data Systems Manager include:

• Supporting the Deputy Director and Senior Systems Manager to develop, implement and manage the MI service.
• Monitoring of data integrity and quality within the database.
• Preparing the submission of mandatory management information to the Department for Education within set deadlines and to national standards.
• Supporting a MI helpline to users of the system.
• Interrogation of the database to conduct analysis and create reports.
• Developing and delivering training in the use of the database.
• Managing a team member.
• Taking lead responsibility for the production, analysis and presentation of MI reports.
• Maintaining a high level of understanding of all national requirements relating to the service.
• Contributing to effective teamwork and information sharing

Job Purpose

The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

To be successful in the role the post holder will:

• Have excellent organisation skills with the ability to structure processes and set up efficient systems to support Ada’s continued growth;

Role Responsibilities:

Finance Support: 60%

Support the Assistant Finance Manager in updating the Purchase Ledger:

• Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
• Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
• Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
• Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
• Receive and check all statements from suppliers,
• Investigate and action any issues that arise with regards to creditors,
• Regular review and maintenance of the outstanding purchase order and goods received notes report,

Support the Assistant Finance Manager in updating the Sales ledger:

• Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
• Ensure that all requests for sales invoices are processed and sent to debtors promptly,
• Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received

Petty Cash:

• Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
• Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.

Other finance duties:

• Support Assistant Finance Manager in preparation of the pay runs;
• Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
• Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
• Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
• Support the Finance Team with any other queries that may arise.

HR Support:

Recruitment

• To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
• To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
• To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
• To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.

Inbox Management & Staff queries

• To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner
• To work with the HR Manager to manage the HR inbox, responding to staff enquiries in a timely manner recognising that some correspondence will be highly confidential and/or sensitive in nature.

Systems & Compliance

• To be the main point of contact for all HR system queries and to action all first-level system transactions, escalating more complex transactions to the Head of People & Talent or the HR Manager.
• To send out reference requests for all shortlisted candidates, chasing responses and passing on to the relevant line manager
• To maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated (eg vacancies, DBS and other pre-employment checks, probationary periods, performance management, exit interviews.)
• To create and maintain electronic copies of  personnel files
• To support with the updating of the Single Central Record for all staff, volunteers, consultants, agency workers and governors
• Under the direction of the Head of People, issue relevant letters to staff in relation to Employee Relations (ER) matters ensuring that timelines are strictly followed, meetings arranged, notes/minutes taken and all paperwork, including checklists, is fully completed.
• To support the People team with all HR policies, processes and projects as required.

General Administration

• To provide accurate data for Education and Skills Funding Agency (ESFA) in monthly data returns,
• Liaising with CIVICA support team to seek advice on better use of MIS (REMS),
• Acquire data from primary and secondary sources and update database system REMS,
• Keeping up to date with the latest ESFA funding rules and regulations.

Additional duties:

• Undertake confidential shredding and filling,
• Coordination Support for the Finance or People/HR elements of staff on-site events

• Previous Officer/Administrator experience and used to working with limited supervision ideally in a Human Resources field.

The Role

In April 2021 the Domestic Abuse Act received Royal Assent. The Act introduces a new civil Domestic Abuse Protection Notice (DAPN) to provide immediate protection following a domestic abuse incident, and a new civil Domestic Abuse Protection Order (DAPO) to provide flexible, longer-term protection for victims. DAPOs can impose both prohibitions and positive requirements on perpetrators. We were commissioned by the Home Office to design a triage model that will assess individuals for the suitability of these interventions; this triage model will be rolled out in the pilot sites which are going live in May 2024 and will be tested and evaluated in order to prepare for national roll out in 2026.The Programme Manager will oversee the roll out and delivery of the DAPO pilot Triage Model.

Digital Champions are volunteers who inspire and motivate others to get online, while encouraging and supporting them to develop their digital skills and confidence. As the project continues to evolve, there will be an increased focus on Digital Champions placed in local health care settings across the borough. Digital Champions will operate at local community venues including Community Pharmacies, Phlebotomy clinics, and at community events, with a strong focus on NHS App promotion to Bexley residents. This is an opportunity to be at the centre of an exciting, innovative partnership project, working closely with the statutory and voluntary sector partners in taking the scheme into a new phase of development. Key Duties:

• To be the first point of contact for the existing network of Digital Champions in the borough, and support organisations to recruit, onboard and manage new Digital Champions.
• To directly manage a pool of Digital Champions under BVSC and lead on recruitment, onboarding, and training.
• To organise regular online and face-to-face meetings for Digital Champions.
• To develop and implement a communications plan that raises awareness of the Digital Champions Network in Bexley and of the challenges and opportunities digital inclusion presents.

Age UK has an exciting opportunity for a Network Learning and Development Manager to join our Learning & Development and Culture Team! This role will report into the Head of Organisation, Culture and People Development, with direct links to our Network Support division.

In this role, we're looking for someone who is skilled at working with a diversity of stakeholders to identify their training and development needs and capable of using this insight to oversee the development, design, management and delivery of learning content on digital platforms..
You'll also be great at building relationships, which is key to this role!

As Network Learning and Development Manager, you will lead on the delivery of Learning and Development for our network of local Age UKs and national partners so that they can deliver high quality services to older people in their localities. Experience of designing high-quality, engaging, interactive and learner-centred online learning content is an essential requirement for this post.

We're looking for someone who can manage a variety of L&D projects and their delivery against set timelines, planning how the training will be delivered creatively, whilst engaging with stakeholders and supporting the 130+ local Age UKs and local Age Cymru partners in England and Wales, as well as Age UK nationally and our national partners in Scotland, Wales and Northern Ireland.

A strong team-player by nature, you'll work with other colleagues across the Network Support Division and the wider Age UK Group to communicate the vision for Network learning, with the goal to deliver strategic departmental objectives.

The role

We are looking for an enthusiastic and collaborative and versatile finance business partner to join us at this time of growth. Business partnering:

• Provide a high-quality financial support to the nominated internal stakeholders. These may vary and will include some of the following: Food, Supply Chain & Logistics teams, Network Partner support, Operational centres (warehouses) and Support functions.

 Main Purpose and Scope of the Role

 This programme is part of a consortium bid via the NCS Community Grant scheme and will run from September 2023 until the end of March 2025. NCS is a government-funded initiative that brings together schools, community organisations, businesses and individuals to build a stronger and more cohesive society.

This role will work independently to deliver the Grow Your Ambition programme for young people aged 16/17 years across Buckinghamshire and Milton Keynes. The programme will be delivered in partnership with local schools, during term time, and includes three experiences; Grow Your Life Skills, Grow Your Employability and Grow Your Community. This role is a fixed term contract until the end of March 2025.

Each young person engaged in the programme must participate in all three experiences, totalling 48 hours. Key phases of each experience include preparation, session and curriculum planning, liaising with schools and external partners and actual programme delivery.

Grow your Life Skills

· A two day, one night, residential experience at our outdoor education centre, Caldecotte Xperience in Milton Keynes.

· Two outdoor adventurous activities on site that focus on teambuilding, communication and problem solving.

Grow Your Employability

• Build strong relationships through a stewardship programme to engage with partners in a variety of ways on a regular basis

New Business

• Work closely with the Development Team to identify new business opportunities (including charity of the year partnerships) and to develop new relationships with stakeholders across Sussex and Surrey

• To research and approach companies to maximise fundraising opportunities,Develop and promote sponsorship opportunities and corporate partnership offerings

• Create engaging proposition presentations to approach new businesses engaging with them and s other such stakeholders regularly, hosting visits and attending meetings where necessary

Reporting and Monitoring

• Provide regular reporting for trustees and the Development Team

• To monitor and evaluate all aspects of the partnership, reporting on income and engagement. 

• Regular indepth bespoke reporting for our funding partner

• Work with the Head of Development on creating forecasts and budgets

• Ensuring records are maintained through our CRM system, Donorfy

• Adhere to data protection regulation and have an understanding of the Fundraising Regulator guidelines

Qualifications and/or Experience- Essential Criteria

• A level education or equivalent

• Experience of Managing accounts or customers

• Experience of working in sales

• Experience of successfully building long term, mutually beneficial relationships with a variety of organisations.

• Experience of managing dignitaries or high-value individuals

• Experience of working in  a fundraising or partnerships role

Circumstances:Essential Criteria

• Willing and available to work outside normal working hours occasionally if required

• Be flexible about your working arrangements as the role will involve travel around the region.

• Have a valid driver’s licence for the UK, access to your own car and undertake extensive travel across your region
