Job Purpose
The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

Role Responsibilities:
Finance Support: 60%
Support the Assistant Finance Manager in updating the Purchase Ledger:
- Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
- Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
- Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
- Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
- Receive and check all statements from suppliers,
- Investigate and action any issues that arise with regards to creditors,
- Regular review and maintenance of the outstanding purchase order and goods received notes report,
Support the Assistant Finance Manager in updating the Sales ledger:
- Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
- Ensure that all requests for sales invoices are processed and sent to debtors promptly,
- Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received
Petty Cash:
- Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
- Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.
Other finance duties:
- Support Assistant Finance Manager in preparation of the pay runs;
- Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
- Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
- Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
- Support the Finance Team with any other queries that may arise.
HR Support:
Recruitment
- To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
- To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
- To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
- To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.
Inbox Management & Staff queries
- To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner

Systems & Compliance

Job Purpose
This role sits within our new Men’s Minds project, based in Hounslow. The aim of the service is to improve men’s mental health outcomes by developing a mental health network supported and directed by the voices of its members.
This will be achieved through three service strands: 1) Peer support network, 2) Psychoeducation workshops, addressing common needs of men’s mental health 3) Outreach support to raise awareness of men’s mental health and promote this service.
The Men’s Minds Project Coordinator will work closely with the members in shaping the service and ensuring voices of men in Hounslow are heard and acted upon. The post holder will coordinate and provide information-based sexual health outreach services, testing and brief HIV prevention interventions in commercial venues and at events across London. Interventions will predominantly target people who may be at higher risk of HIV and STI acquisition, particularly amongst higher prevalence communities such as Gay, Bisexual and Men who have Sex with Men (GBMSM), Black African and Trans communities. Programme
The post holder will be a member of the GMI Partnership team, based at METRO, working closely with their counterparts at other GMI partner agencies (Positive East and Spectra). The partnership is the main provider of the London HIV Prevention Programme, a sexual health and HIV testing outreach programme for GBMSM, across the capital. The post holder will be responsible for liaising directly with other contract partners and being a main point of contact for various outreach venue providers. About the role:
The SHP Somerset Cluster is based in the heart of the London’s theatre and shopping districts – the main hub is just off Drury Lane, with the other sites near Oxford Street and Tottenham Court Road. This work will be underpinned and supported through the development of a move on programme. This programme, developed and overseen by the MD Referral and Move on Coordinators in partnership with the Recovery and Opportunity Coordinators, will be not only look to develop confidence and ability to navigate social systems, but also be accredited through SHP’s AQA Registered Learning Centre.

This is a new role for the Circuit, replacing a volunteer. In designing the position, the Circuit has aimed for maximum flexibility to secure the best candidate for the role. Initially, the person will need physically to attend some meetings to familiarise themselves with the Circuit's operations and ensure a smooth hand-over. For the right person, though, there will be considerable flexibility about how the duties are fulfilled in the longer-term. It is specifically expected that the role will allow for flexible scheduling to accommodate other responsibilities, including caring.
The Richmond & Hounslow Circuit comprises seven churches in southwest London. As with all Methodist circuits, these churches function autonomously yet collaborate closely in their ministry and mission efforts. The Circuit oversees joint resources, including staff and property. Presently, it employs four full-time ordained ministers, one full-time lay pastor, and a part-time administrator. As a part of the Methodist Church, its mission is “to respond to the gospel of God’s love in Christ and to live out its discipleship in worship and mission”. As we have launched our ambitious 5-year strategic plan this post will play a key role at Greenwich Students’ Union in supporting students to stay and succeed at university.
GSU Advocacy and Policy Team is leading an award-winning outreach project that seeks to support students to stay and succeed at Greenwich. A team of part-time student staff call 1000’s of students each term, supporting them to navigate University life, services and GSU. This role will support the award-winning team to deliver proactive supportive calls to students.
In this post you will :
- To supervise the retention calling project staff
- To support with escalations for students experiencing difficulties
- To spot trends in student issues and assist with reporting
We’re looking for an enthusiastic candidate who has an interest in supporting our students to become their best.
You don’t have to come from a higher education background, but you should have an interest in supporting students to succeed.
This role sits within the Advocacy and Policy Team and focus on making 1-1 timely interventions to support students to succeed as well as identifying broader trends in student behaviour to inform our strategic approach to services and support.
Duties and Key Responsibilities
This post holder will be part of the Advocacy and Policy Team and will be expected to contribute to the department’s wider objectives and planning.
Delivery of Outreach
- Coordinate the team to deliver outbound phone calls and taking inbound calls in a call centre model, including opening and closing
- Ensure that the quality of personal outreach delivery is consistent and in line with the agreed scripts and conversation structures to support students
- Ensure the team provide excellent customer service to students, at all times seeking to support students’ needs appropriately, clarifying information and providing appropriate solutions
- Support other retention and wellbeing initiatives throughout the year
Supervision
- Support with training and development of student-staff team
- Support with the scheduling of shifts, monitoring of attendance and submitting of payroll
- Undertake 1-1’s with student staff, identifying additional support
Signposting & Monitoring
- Keep accurate records of all calls and student outreach in line with provided data tools
- Support callers to identify potential concerns from students and signpost students to the most relevant support pathway
- Closely monitor for any safety or safeguarding concerns from students, and support with escalations
- Support with the analysis of issues and regular reporting as directed
Personal Learning and Responsibility
- Undertake all training and development as required within the role
- Take responsibility for personal learning and development

Education/Training

About the role
As a Housing First Coach you will deliver high quality person-centred support, using psychologically and trauma informed approaches, in line with Housing First principles. You will establish open and trusting relationships with people who have had long histories of homelessness or in temporary/insecure accommodation, enabling them to access and sustain accommodation and enable them to exercise choice and control over their lives. The team is multi-disciplinary in our approach – coaches, peer support worker, clinical psychologist – which allows us to formulate innovative approaches. The team operates across London, providing numerous opportunities to build effective partnerships and contribute towards systems change.
Location: Office-base in Tower Hamlets, outreaching London-wide
About you
To be successful in this role you will be a self-starter, flexible and have experience of working collaboratively as part of a team and with internal and external partners. You may have a background in adult safeguarding, drug or alcohol recovery services, mental health or housing support and have significant experience of working within a multidiscipline setting with the ability to create strong professional relationships and creative solutions. You will have experience of working with people who have faced severe and multiple exclusion and who may have complex needs; with an understanding of the needs of people who have been homeless for long periods of time. You will be willing and able to provide practical assistance with moving into and maintaining a home – including direct help where necessary with tasks such as shopping, budgeting, cooking, and cleaning.
You will also have a knowledge of Housing First and Housing Led approaches and the ability to work within a psychologically informed approach.
