Fundraising Administrator Volunteer

Volunteer Role – 1 Day per week office based on a Tuesday

We are looking for a friendly, organised, and reliable volunteer to support our fundraising and administration activities one day per week on site. This is a great opportunity for someone who enjoys administration, working with data, and supporting charitable fundraising activity.

 Main Duties and Responsibilities

· Data entry and data cleaning of database records

• Processing donations and maintaining supporter records
• Using and updating details on database systems (specifically Raiser’s Edge – training will be provided)
• General office administration and administrative support
• Assisting with fundraising administration and supporter communications including phone calls
• Maintaining database records in line with data protection requirements 
• Supporting the wider team with ad hoc administrative tasks as required

Skills and Experience

We are looking for someone who is:

• Comfortable using Microsoft Office, particularly Excel and Word
• Confident using the internet and email systems (specifically Outlook – training will be provided)
• Organised, accurate and able to manage administrative tasks efficiently
• Comfortable working with databases and willing to learn new systems
• Friendly, professional, and confident communicating by telephone
• Reliable, trustworthy, and able to maintain confidentiality
• Previous administration or fundraising experience would be helpful but is not essential.

Eligibility

Applicants must be aged 18 or over and eligible to volunteer in the UK.

Position: Volunteer Database Administrator (Salesforce).

Location: Remote, with a minimum of 3-4 hours of overlap with UK working hours.

Estimated time: A minimum of 8 hours a month (Flexible schedule to suit your availability).

Expected duration: Ability to commit to a minimum of six months is preferred.

Purpose of these volunteer roles

We are seeking 2–3 enthusiastic volunteers to help us clear a backlog of membership applications, process new applications, and maintain, manage, and optimise our Salesforce platform. To meet our needs, we are recruiting for two distinct volunteering roles based on level of Salesforce expertise:

Role 1: Data Entry & administration – Perfect for individuals looking to gain hands-on database experience, or those who are passionate about data accuracy and enjoy structured, routine administrative tasks. You will focus on day-to-day data entry, updating member records, and maintaining high data accuracy.

Role 2: Salesforce optimisation & reports (experienced Salesforce specialist) – Designed for individuals with extensive Salesforce expertise. You will focus on building custom reports, creating dashboards, and optimising system workflows to improve efficiency.

Both roles are essential for ensuring our membership data is up-to-date and accurate, GNDR gets the most out of our Salesforce platform, and our global communications are impactful, targeted and relevant to our members.

What you will be doing

Data Entry & Administration:

• Process a backlog of existing membership applications and handle new member applications, ensuring details are accurately entered into Salesforce
• Assist in managing member groups, mailing lists, and automated workflows
• Monitor and maintain the data quality and integrity of member records
• Work with the Membership Engagement Coordinator and Regional Leads on membership administration and work plans
• Provide first-level support to internal users (e.g. fixing minor issues, updating records and correcting errors).

Salesforce Optimisation & Reports for Salesforce Experienced Volunteers:

• Work with the Membership Engagement Coordinator, Regional Leads, ED and consultant on optimising our use of the platform
• Create and customise reports and dashboards to track membership growth, event attendance, and member engagement
• Suggest and implement system and workflow improvements and optimise Salesforce use.

What we are looking for

• Communication skills: Ability to explain technical processes to non-technical team members
• Attention to detail: High level of accuracy with a commitment to data quality and integrity
• Technical expertise: Confidence working with Google Workspace, spreadsheets and databases
• Data security: Ensure compliance with data protection, confidentiality, and cyber security best practice
• Remote work set-up: Access to a reliable internet connection and to an up-to-date laptop or computer
• For Salesforce optimisation & reports: Prior extensive hands-on experience working with Salesforce. Salesforce certification is highly desirable.

The Admin Volunteer will support our home/service with general day-to-day, ad hoc, administrative tasks, such as:

We have supported over 100,000 families and are recognised nationally for our work.

ABOUT THIS ROLE

Behind every programme we run and every family we support, there is careful administration keeping everything in order. We are looking for a Volunteer Admin Coordinator to be that backbone — someone who takes ownership of the detail, keeps our systems running, and makes sure the rest of the team can focus on delivery.

This is an ideal role for someone who is highly organised, discreet, and takes real pride in getting things right.

KEY RESPONSIBILITIES

Day-to-Day Administration

• Manage correspondence, scheduling, and general administrative tasks across the organisation

Communications & Coordination

• Act as the first point of contact for internal queries — directing people quickly and clearly

• Maintain shared systems and tools so information is easy to find and act on

• Support communication between teams, leadership, and external partners

Governance & Compliance Support

• Help prepare materials for Trustee and leadership meetings

• Support safeguarding admin — DBS checks, consent forms, and record keeping

• Flag gaps in processes and help develop simple, workable solutions

We’ll keep you up to date with upcoming local events where volunteers are needed. You’ll then be able to choose which events you’d like to volunteer at and how many hours you’d like to give. However much time you can give, your contribution will help raise much needed funds to continue the work of Cats Protection.

The Legal Protection Team deal with client referrals, the provision of medico-legal reports, legal casework, and supporting clients to obtain high quality legal advice in their asylum claims and human trafficking matters. Under the supervision of the Director of Legal (delegated to other team members as appropriate), you will be assisting the team with legal casework tasks (the main ones of which are set out below), with the opportunity also to accompany clients to appeal hearings or asylum interviews. 

Key responsibilities  

• Making phone calls to people (solicitors, health professionals, other NGOs) seeking out assistance to obtain further information about cases;

• Liaising with legal representatives and other organisations and bodies;

• Drafting legal summaries and preparing files for transfer to a new legal representative;

• Preparing legal chronologies and other legal casework; 

• Liaising with clients about legal protection casework queries;

• Onward referring to alternative local services and organisations where HBF cannot assist;

• Various administrative duties as required, such as taking minutes in meetings with clients and recording interactions in our internal database; 

• Accompanying vulnerable clients to Home Office interviews and Tribunal hearings as appropriate. 

Skills, knowledge and experience needed 

• Understanding of, and commitment to, the objectives of the Helen Bamber Foundation; 

• A demonstrable empathy for our vulnerable clients, including asylum seekers, refugees and survivors of torture and trafficking; 

• Punctual, reliable and self-motivated with a positive, ’can-do’ attitude; 

• Excellent attention to detail and accuracy; 

• Excellent communication and interpersonal skills; 

• Good telephone manner and ability to be sensitive to vulnerable people; 

• Excellent IT skills including the use of databases, excel, email, word processing; 

• Awareness of confidentiality/data protection; 

• Experience of data entry and maintaining databases is desirable; 

• Basic knowledge of the UK asylum and NRM process is desirable.

• Develop a good understanding of the UK’s asylum system and the system for identifying and ensuring the appropriate support for victims of trafficking, the issues that arise in complex legal cases and the possible avenues for redress; 

• Gain an insight into the breadth and complexity of needs of those who have experienced extreme trauma and are claiming asylum in the UK;

• Be given an introduction to the landscape of statutory and NGO support services available to those individuals, and the difficulties faced in accessing them; 

• Front-line experience, liaising directly with a wide range of external organisations within the sector including solicitors, mental health professionals and specialist NGOs;

• The opportunity to work directly with clients both in the office and on occasion, at the Home Office, Tribunal or external meetings; 

• The opportunity to work closely with and learn from a team of multidisciplinary experts.

Volunteering is and always will be at the heart of Cats Protection. It is joyful and inclusive. As a charity, working in partnership, together we transform the lives of cats, people and communities.

The difference you will make to cats and people

As a charity we are able to help thousands of cats each year thanks to the generous donations we receive from members of the public. Our fundraising volunteers use their passion for cats and people to raise the vital funds needed to help more cats and kittens in need. As a fundraising volunteer we want to support you to fundraise in whatever way suits you best, whether that’s organising a fundraising event, fundraising online, promoting fundraising activities on social media, completing administration or supporting the development of new fundraising ideas! Whatever your skill set, this could be the role for you! 

You can expect us to

• Make you feel welcome, included and respected in line with our values and behaviours
• Support you in having a positive and impactful experience at Cats Protection
• Cover agreed out-of-pocket expenses in line with our Expenses Policy
• Provide you with access to learning, development and engagement opportunities

What we need from you

This is a really flexible role, you can choose what you’d like to get involved with, for example: 

• face-to-face fundraising. Organising or helping with fundraising events, running supermarket collections and fundraising stands, monitoring collection tins 
• online fundraising. Setting up online appeals and writing impactful cat case studies that maximise donations
