Role Overview

As a Talent Administrator, you will be the backbone of the Talent Advisory team, ensuring smooth HR processes, meticulous record-keeping, and compliance with legal and organisational standards. Your work will focus on exit procedures, HR documentation, administrative support, and data protection, enabling the team to operate efficiently while advancing QuilomboUK’s mission. This role is perfect for an organised, detail-oriented professional who thrives in a remote environment and believes in the power of equitable systems.

Key Responsibilities:

Exit Procedures & Offboarding

• Manage end-to-end exit processes for resignations, retirements, and contract conclusions, ensuring a respectful and consistent experience.
• Conduct exit interviews (virtually), document feedback, and share insights with the Talent Advisory team to identify trends and improve retention.
• Collaborate with Legal, IT, and managers to ensure the timely return of equipment and access revocation.

HR Records & Compliance

• Maintain accurate and up-to-date HR records (digital and physical), including contracts, right-to-work documents, and visa expiry dates.
• Prepare audit-ready documentation for internal and external compliance reviews (e.g., GDPR, ISO standards).
• Track and renew right-to-work checks, visas, and other legal requirements, flagging expiries proactively.

Administrative Support

• Assist the Talent Advisory team with administrative tasks, including drafting ER case correspondence, updating HRIS data, and generating reports.
• Manage HR system updates (e.g., employee status changes, promotions) and ensure data integrity across platforms.
• Coordinate team calendars, meetings, and training sessions to optimise workflows in a remote setting.

Data Protection & Security

• Serve as the first point of contact for data protection queries, ensuring compliance with GDPR and company policies.
• Train employees and managers on the secure handling of sensitive HR information in a remote work environment.
• Monitor access permissions to HR systems and escalate potential breaches to the Manager: Talent Advisory.

Qualifications

• Experience: 1+ years in HR administration, data management, or a similar role. Exposure to remote work environments is a plus.
• Skills:
• Exceptional attention to detail and organisational skills.
• Proficiency in HRIS platforms (e.g., BambooHR, Workday), Google Products, and virtual collaboration tools.
• Strong written communication skills for drafting policies, reports, and employee correspondence.
• Knowledge:
• Understanding of GDPR, UK right-to-work requirements, and fundamental employment law.
• Familiarity with D&I principles and their application to HR processes.

We are seeking several volunteers fior administrative support committed Trustees across this dynamic Trust's activities in creating historical town maps and atlases.  Roles include managing online meetings, contributing to operations including sales, events, marketing, basic book keeping and all other ways of being useful to the growing needs of the Trust.

We are on an ambitious path to increase the rate of publication, develop a strong educational outreach platform, and embed our maps in the communities of the towns we publish. Trustees are mainly senior academics and others committed to education and urban history and all have a passion for cartography. We currently have no employees

This is done through our Community Champions programme, which is an initiative made up of organisations and local volunteers who promote positive wellbeing messaging and share healthcare information.

Who are we looking for?

We are looking for committed volunteers who are interested in public health and meeting people in the community. As a Community Champion, you’ll be conducting community outreach, making new connections and supporting us with Community Health projects.

This is a meaningful opportunity to reduce health and social inequalities in the borough of Hillingdon, while gaining practical experience and benefiting from free training.

Key Responsibilities

• Engage with the public as part of community outreach efforts, including attending our roadshow events and speaking with residents about health programs and activities. This role will take place at different locations and venues across the London Borough of Hillingdon.
• Support the community by providing information on health services, resources and support networks.
• Complete a monthly log detailing any health outreach undertaken.
• Assist in survey data collection.

Skills and attributes required:

• Strong desire to make a difference in the London Borough of Hillingdon and improve the local community’s health.
• Confidence in speaking with the public and engaging with diverse communities.
• Respectful of confidentiality and procedures.
• Empathetic and understanding of others’ cultures, beliefs and backgrounds.

Desirable:

• Ability to speak a community language [e.g. Somali, Punjabi, Polish, Arabic, Urdu, Bengali, Mandarin, Spanish] would be beneficial.
• Previous experience in community health or outreach would be beneficial.

Commitment required:

• Full induction and Mandatory online courses, as well as Blood pressure checks training before starting your volunteering.
• Attend relevant training when offered.
• We ask for a commitment of 6 months due to free training and individual support/development offered to our volunteers.
• This is a flexible role, and you can select which outreach events or projects to join based on your commitments. We accept however much time you can spare.

Reporting to: Health and Wellbeing Programme Officer

Documents Required:

• In your application form, you will be asked for 2 references who have known you for at least a year. They can be from a professional, a friend, a support worker etc.
• A basic DBS check is required for public-facing roles.

Volunteers support every aspect of our work, including but not exclusively: governance, administration, fundraising, marketing, and project delivery. We recognize that without our teams of volunteers we would not be able to support our service users in the way we do. In your role as Volunteer Co-ordinator you will be the 'champion' and first point of contact for volunteers within the organisation, ensuring all volunteers are encouraged and celebrated. You will be responsible for helping to maintain and improve volunteer recruitment and retention and for recruiting, inducting and supporting volunteers to deliver a range of appropriate services for clients, in line with Plateful Cafe's Business Plan. The key features of the role will be: 

1. Recruiting and selecting potential volunteers, acting as an ambassador for Plateful Café

2. Inducting volunteers into suitable roles based on their interests, experience and expectations and the charity's needs

3. Providing an initial point of contact with the charity and ensuring volunteers maintain a positive and confident approach

4. Supporting the volunteer team to ensure the provision of relevant experience, training and development opportunities as well as supervision and support

5. Maintaining an up-to-date database in order to monitor volunteer progress and to record and celebrate their contributions

6 Contributing to newsletter and reports in order to maintain and develop the profile of Plateful Café

7. Good understanding of safeguarding to keep both employees and volunteers safe and protected. 

8. Good management skills and the ability to organise on behalf of others.

9. Help new volunteers when they are stuck with certain tasks

10. You will need to effectively strategise a plan for other volunteers, make volunteer rotas and stay on top of volunteering admin and prioritise important tasks.

Requirements, we are looking for someone who;

· Is committed to the aims and objectives of the Plateful Café

· Has experience of working with volunteers, preferably in a charity 

· Has an understanding of the needs of refugees and how to involve them in the or-ganisation

Desirable, but not essential:

· Has experience of team working

· Is a good communicator, preferably a speaker of a community language

What we need from you

This is a highly flexible role, and you can choose how you’d like to get involved. Opportunities include:

• Face-to-face fundraising – organising or helping at fundraising events, running supermarket collections and fundraising stands, and monitoring collection tins
• Online fundraising – setting up online appeals and writing engaging cat case studies to maximise donations
• Marketing and promotion – spreading the word about fundraising activities via social media and local press
• Administration – processing donations, sorting and recording donated goods, and completing Gift Aid paperwork
• Championing our work – helping to develop new fundraising ideas and increasing community engagement
• Photography – capturing images of cats in care, cats we’re helping, fundraising events, and all things Cats Protection

Time commitment

This role is flexible and designed to fit around your other commitments. You’ll be part of a friendly team raising vital funds — and having fun along the way.
