About WFSA and our cause

Surgery and anaesthesia have a fundamental and growing impact on global health outcomes. Surgical intervention could address over 30% of the global burden of disease, and yet the poorest 33% of people receive just 3.5% of all surgery. Post-operative mortality rates 1,000 times higher than in some high-income countries can be found in parts of the world where surgery and anaesthesia have been neglected, and in some countries as many as 90% of anaesthetic departments do not have the equipment to provide a safe anaesthetic for a child. 

With 146 member societies made up of anaesthesiologists in over 150 countries, WFSA is uniquely placed to influence these inequalities and to help ensure universal access to safe surgery and safe anaesthesia. 

The role

This sits within the Communications, Advocacy and Digital Learning Team and reports to the Digital Learning Manager. You will work closely with all members of our staff team (the Secretariat), as well as many of our committees and key stakeholders. Relationships with member societies and our WFSA Board and Council will also be important; an ability to interact across a range of stakeholders is essential. This is an entry level role which offers huge scope for development and learning across a broad remit.

The role is offered either on a hybrid working basis with access to WFSA’s central London office or fully remote. Note, the majority of working hours would need to overlap with those of the United Kingdom.

Purpose of role 

To provide administrative, operational and technical support across WFSA’s digital learning portfolio. Particular focus is given to online publications and the Anaesthesia Online Learning Community (AOLC), which encompasses our webinars, online courses and other educational resources. 

You will handle day-to-day admin, user support, reporting and content updates, ensuring smooth delivery of our educational activities and freeing capacity for senior staff to lead strategic development.

You will be part of a small, supportive team working with global volunteers, committees and partner organisations, helping us deliver high-quality, accessible online learning at scale. This is an excellent opportunity for someone with an interest in global health to develop skills in online education, digital content management, webinar operations and LMS administration. 

Key tasks and responsibilities 

1. AOLC support

• Support the Digital Learning Manager in delivering the Anaesthesia Online Learning Community (AOLC) project action plan and coordinating with volunteer faculty when needed. 

• Provide administrative support for the e-learning platform, including uploading content, enrolling users, checking enrolment reports, and routine maintenance tasks. 

• Respond to routine user queries (e.g., certificates, access to recordings, account/password issues). 

• Upload new educational resources to the Virtual Library (WordPress). 

 2. Webinar administration & delivery

• Manage speaker admin: collecting bios and photos, sending consent forms and reminders, requesting Power Point slides, and gathering essential details. 

• Prepare webinar materials such as introduction slides, panelist briefing documents, and certificates. 

• Provide support for running webinars (e.g., managing waiting rooms, chat/Q&A, recordings), compile webinar analytics, and produce standardised reports. 

• Update the webinar calendar and the webinar section of the WFSA website (WordPress). 

3. Publications support (ATOTW & UIA)

• Assist the Managing Editor with administrative tasks for Anaesthesia Tutorial Of The Week (ATOTW) and Update in Anaesthesia (UIA). 

• Liaise with partner organisations and volunteer translators, track translation progress and upload translated content to WordPress.

4. Other duties

• Provide updates for donor reports and project summaries as requested. 

• Support internal meetings: scheduling, agendas, minutes. 

• Help draft or schedule educational email campaigns in Mailchimp.

We are looking for a highly organised, digitally confident person to help us run a new online resource hub for schools and kitchen teams. The national school food hub will give school chefs and staff across the country access to resources, online training and support to build a positive food culture.

 About you and the role

This role will initially support the set up and roll-out of the national school food resource hub, in collaboration with internal and external partners. With the hub still in its design phase, you will be joining at a crucial time, to ensure it is ready to launch in the Spring. Our ultimate goal is that every school in the country has access to, and is using the resource hub to support their crucial role in shaping kids’ eating habits for life.

Working closely with the Membership Programme Manager and Content and Resource Officer, your role will be to manage the day to day administration of the resource hub, ensuring it is continually updated with new content, resources & recipes and live event details.

You will support the creation and maintenance of the e-learning modules, and with a national forum for school chefs embedded on the site, you will also be responsible for monitoring and moderating user generated content. 

Your role will also include maintaining and updating the platform's CRM, ensuring member information is accurate and up to date, supporting the administration process for new members, and responding to member queries relating to the site or their access. 

You will also support the team & partners by providing data to support the development of the platform and for the monitoring & evaluation team to demonstrate the impact of our work. 

Other elements to the role will include sending mailers & newsletters through the platform and supporting our Procurement Manager with analysis of procurement data.

The Role

The Finance & Operations Coordinator is a central position in a small, purpose-driven team. The role provides direct support to the Managing Director and works closely with the Finance Committee to ensure that the charity’s financial and operational systems are well managed, compliant and effective.

This is a broad and hands-on role that involves managing day-to-day UK operations, supporting financial oversight, ensuring smooth coordination with our in-country partners, and keeping our administrative framework in excellent order.

You will be responsible for maintaining clear systems, meeting key reporting deadlines, and ensuring that the organisation runs efficiently behind the scenes. The role suits someone who is proactive, reliable, and comfortable managing a wide variety of tasks with independence and initiative.

Key Responsibilities

Finance and Reporting

• Maintain accurate financial records in Xero, reconciling transactions and processing payments for invoices, payroll and expenses.

• Allocate receipts and donations to the correct funds and ensure supporting documentation is filed systematically.

• Prepare and submit Gift Aid claims to HMRC.

• Collate quarterly financial and narrative reports from Moroccan partner NGOs and follow up on missing information.

• Support the Managing Director and Finance Committee with budget preparation, analysis and audit documentation.

• Ensure that annual accounts and financial reports are submitted in line with Charity Commission requirements.

Operations and Administration

• Oversee and improve shared filing systems (Teams/SharePoint), ensuring that all administrative and financial records are accurate, up to date and easy to access.

• Manage the main email inbox, responding to or redirecting correspondence promptly and professionally.

• Coordinate logistics for meetings, events, and annual project visits in Morocco.

• Support the Managing Director with scheduling, documentation, and general administrative follow-up.

• Monitor compliance tasks, ensuring that all Charity Commission and internal governance requirements are up to date and properly documented.

Donor and Partner Relations

• Act as a first point of contact for donors, supporter schools, hotels and individuals.

• Process and acknowledge donations, issue receipts and maintain accurate donor records.

• Proactively follow up with existing and potential supporters, helping to build and maintain relationships.

• Liaise with Moroccan partners to ensure that project and financial reporting are on track and shared on time.

Governance and Oversight

• Support the Finance Committee and Managing Director with preparation for trustee and committee meetings, including gathering reports and ensuring actions are followed up.

• Assist with external audits and reviews, coordinating with UK auditors and Moroccan partners as needed.

• Maintain oversight of risk management, safeguarding and health and safety documentation, ensuring relevant information is filed and accessible.

• Experience with Xero or similar accounting software, and confidence handling day-to-day bookkeeping.

• Excellent organisational skills and attention to detail.

• Proficient in Microsoft Office (especially Excel and Word) and comfortable using Teams/SharePoint.

We are seeking a Community Engagement Officer to provide vital administrative support to our policy & campaigns function and across the organisation, facilitating strong engagement with our community of dementia carers. The successful candidate will act as the first point of contact for enquiries around our carer engagement projects, and will assist with the coordination and administration of policy and campaign activities.  You'll be joining us at an exciting time as we build on our successes and continue to grow our reach and impact to make a difference for dementia carers.

We support, advocate and campaign for dementia carers so that no-one feels isolated, invisible or alone.

Key responsibilities of the role

• Be the first point of contact for enquiries, managing incoming phone calls and generic inboxes for policy and campaigns, ensuring that enquiries are escalated efficiently and calls transferred to appropriate DCC team members.
• Record carer details and interactions on the database.
• Support the recruitment and ongoing management of the dementia carer community, including working across DCC teams to facilitate the promotion and ongoing coordination of a range of engagement opportunities.
• Assist in the planning, coordination, and delivery of campaigns and community engagement activities.
• Support communication with and management of the Carers’ Advisory Panel, including scheduling meetings, maintaining attendance records, and facilitating communication among members.
• Provide support for carer engagement, as required, to other teams in DCC.

What the job involves

Prostate cancer is the most common cancer in men and it’s harming too many lives. At Prostate Cancer UK, one of our top priorities is funding research that leads to real change. It’s vital we do our best to make sure this research makes a meaningful difference to men’s lives, and that’s where you come in. 

We’re looking for an enthusiastic and proactive Senior Research Officer to help us deliver our funding schemes and patient and public involvement work.  This role sits in the Research Funding Team and will provide us with support across our grant funding schemes, ensuring we are following best practise in research funding. 

You’ll take responsibility for a small portfolio of active research grants, providing support and guidance to the researchers leading them. You’ll be a main point of contact for grant applicants, supporting them as they apply to us and will be responsible for running peer review. Using your understanding of research funding and administration, you’ll help make sure our funding schemes run smoothly and to time. You’ll work with colleagues to support patient and public involvement in research both in our review process and through our Patient Representative Network who help researchers make sure their work is focussed on the needs of men with prostate cancer.

What we want from you

We’re looking for a Senior Research Officer who is passionate about research and has a desire to develop knowledge of prostate cancer. You’ll hold a biomedical degree (or a degree in a related science subject), or with equivalent experience gained in research funding, administration or the wider research sector.

You’ll already have a good grasp of how grant funding works with demonstrable experience of research administration and peer review. Confidence in interpreting complex scientific information is important, as you’ll be using this knowledge to find the right people to peer review the grant applications that are submitted to our schemes.  You’ll have experience of supporting scientific meetings, preferably research funding committees, and understand the importance of capturing accurate minutes to provide constructive feedback to applicants.

You're also an accurate record keeper with a keen eye for detail and excellent time management skills. You're assured and clear in your communication, both written and verbal, and you're able to respond to a wide range of inquiries from researchers while always adhering to data protection and confidentiality best practices.  Experience of using Symplectic’s Grant Tracker or other grant management systems would be an advantage but is not essential.
