About the role  

Smart Works are looking to appoint a HR Advisor to join our People team at a time of significant growth for the organisation. Working closely with the existing team of two, the HR Advisor will play a crucial role in developing the centralisation of the function for all 11 centres across the UK.

The HR Advisor will manage the employee lifecycle staff processes and the trustee recruitment processes, supporting the Head of People in maintaining a professional and efficient function and contributing to the delivery of the People Teams plans and objectives.

An important part of the role is to build excellent working relationships with employees working across Smart Works. The successful candidate will also identify opportunities for process improvements and automation.

Smart Works is a national charity, with Smart Works centres across the UK. There will therefore be occasional travel and liaison with local centres across the UK and HQ in London, to support induction and training, as well as the day-to-day role.

Duties and responsibilities

• Manage the HR Inbox, advising managers and staff on terms and conditions of employment and legislation relevant to specific policies and procedures.

• Managing the recruitment inbox, provide guidance on staffing requirements.
• Lead user of the ATS system, oversee the recruitment process, posting job adverts, scheduling interviews, drafting letters and contracts.
• Support trustee recruitment, posting job adverts, liaising with trustees and co-ordinating responses via the recruitment inbox.
• Manage the onboarding and offboarding of employees and interns, including induction plans and process, coordinating probation reviews and exit interviews where appropriate.
• Day to day administration of Breathe HRIS, setting up of new profiles, calculating annual bank holidays, managing employee changes and document merge/uploads.
• Compile monthly payroll information.
• Provide advice to line managers and staff in relation to policies, tailoring communication to individual needs.
• Maintaining timeframes on HR projects and annual processes, such as appraisals.
• Compile monthly HR stats and reports as and when needed.
• Contribute to HR Projects as they arise.

Organisation Overview

CDS UK (the Clinic for Dissociative Studies) is a psychotherapy service, established 25 years ago to provide assessment and long-term specialist outpatient treatment to people with dissociative disorders. Its patients have often suffered the most extreme forms of abuse over a long period, and represent one of the most vulnerable and complex client groups. CDS UK is a Charitable Incorporated Organisation (CIO) and an Independent Provider to the NHS, and is subcontracted by NHS commissioning organisations nationally on a discretionary perpatient basis, where local mental health services are unable to provide appropriate treatment. CDS UK has a small core team of employees, mainly based around London, and a larger group of associate therapists, support workers and supervisors working throughout England and in Scotland. The organisation has seen steady growth in referrals over the past few years.

Job Summary

One of the key elements of the role will be to manage a caseload of referrals from receipt of referral through to submission of funding application and referral outcome. The postholder will be one of two people within CDS UK’s core team with responsibility for this. 

There will also be an allocations management function, involving matching new (and/or existing) patients with suitable clinical staff, usually from within CDS UK’s group of associates, but sometimes via the recruitment of new practitioners.

The role will include a range of other tasks key to the successful functioning and development of CDS UK. Amongst these are maintaining a log of, and costing where appropriate, allpotential service developments (from requests for training to submissions to funders), developing reporting from basic information systems, checking and sending of patient progress reports and monitoring of patient funding. They also include developing our outgoing communications – such as via our website – and helping to explore opportunities for developing our charitable arm.

As part of our small Business and Administrative Team, the role will encompass some ad hoc administrative tasks, and may require delegation of some tasks and/or some line management duties as required.

The post-holder will work on their own initiative and independently deal with issues of workload and problem-solving, becoming a specialist in their areas of work within an agreed period, supported with appropriate training if required. This will include responsibility for analysing, interpreting and comparing a range of complex material, proactively reporting on key metrics, and helping to develop systems and procedures to serve the aims of the organisation.

The role

This role will identify, develop and manage top food partners relationships and strengthen existing business relationships with companies in the food industry, generating value for the partner and to secure growing and sustainable volumes of surplus food for the FareShare Network.

For designated top food partners, you will be their day to day point of contact with regular face to face contact at all levels. You will undertake structured, strategic account management, leading and coordinating FareShare’s engagement across our organisation. This will mean agreeing and executing a bespoke joint business plan with each account to get more food, money and strategic support. You will also feedback on ways that we can better support our accounts and improve our services to them.

You will work directly and be on-site with top food partners to help identify and overcome the barriers which exist to giving surplus food to people in need as well as increasing money and strategic resource.

You will also be required to work closely with FareShare colleagues within FareShare and across the UK in our partner organisations in order to identify and understand opportunities for creating mutual and shared value.

Main areas of responsibility

Partnership Management

• Contribute to the development of consistent, structured Joint Business plans with designated accounts that take into account food, funding and other strategic initiatives to drive growth in food, money and other strategic resources.
• Work on behalf of the account to develop and embed services relevant to the account and
• agreed through the joint business plan – e.g. employability or store level redistribution.
• Execute joint business plans and report internally and externally on progress.
• Research and understand your accounts, including key ESG initiatives, waste streams, key personnel within the organisation that will help drive its success and engage the relevant internal departments through both desked based research and face to face contact.
• Proactively drive account forwards and progress these relationships with regular on-site visits and linking FareShare exec with key contacts.
• Keep up to date with industry and charity insights and ensure this is reflected back strategically across ways of working and account management

Project and Initiative Management

• Be responsible for managing and communicating key projects and initiatives to increase food volumes and strategic value, securing support from a range of stakeholders within food partners and across the FareShare network.
• Work closely with Supply Chain and Logistics, Operations and Network Development teams with the aim of optimising food out to our network
• Develop and lead FareShare cross-departmental strategic activity to enable us to derive maximum value from key food partners including liaising with fundraising, marketing and volunteering teams

Job Purpose - Facilities Manager - Projects 

The role holder will report directly to the Head of Estates whilst working closely with the Facilities Manager and the wider team, as well as operational colleagues.

The role holder will be responsible for the delivery of specific ad hoc estates projects, whilst also providing support to the wider Estates team in the delivery of business-as-usual activity to ensure the development of an estate that delivers outstanding outcomes for the people we support, ensuring the portfolio is managed safely, cost effectively and in accordance with statutory and regulatory requirements.

This role requires an individual with strong project management capability within an estate’s environment, with a demonstrable track record of delivery of projects on time, to Budget and to the requisite level of quality.

Reporting directly to the Head of Estates, the role holder will: 

• Lead the estates input in the expansion of the existing property footprint.
• Onboard new additions to the estate’s property portfolio efficiently and effectively.
• Work collaboratively with operational colleagues ensuring “best outcomes” are delivered for the people we support in the development and maintenance of the estate.
• Support the wider estates team in the delivery of business-as-usual activities.
• Be visible and on site to ensure the smooth running of projects and the timely resolution of issues. 

Dimensions

Whilst the role currently has no direct reports assigned, the level of project activity and the consequential resource requirements will determine any additional staffing needs. The nature of individual projects will determine this although it is anticipated that project spend will be circa £0.5m+ per annum.

Principal Accountabilities

Estates and Facilities Management 

• Responsibility: Act as the senior estates and facilities professional on project work assigned. 

• Project Plans: Ensure there is a clear and documented estates plan for each project assigned and lead the implementation of these plans to ensure best possible outcomes for the people we support. In the planning and delivery of projects, the role holder must ensure that due consideration is given to operational requirements. 

• Project Performance: Ensure a robust contract performance management framework is in place for each project. 

• Regulatory: Ensure all project work is undertaken in accordance with applicable regulatory and statutory requirements. 

• Resource Management: Manage and co-ordinate both AFG staff and external contractors in the delivery of projects. Where required mitigating actions/plans may need to be taken to ensure that projects are delivered to requirements. 

• Onboarding: With support from the Head of Estates, lead the estates input re. property acquisition (both support with the identification of appropriate property and subsequent due diligence). 

• Expansion: With support from the Head of Estates, lead the estates input re. the expansion of existing estates footprint. 

• Business Cases: Prepare business cases, feasibility studies for consideration by the Head of Estates and onwards by the Executive/Director team. 

• Business as Usual Estates Activity: The role holder will be required to work alongside the Estates Manager and the wider estates team in the delivery of business-as-usual estates activity (including site visits, contract monitoring meetings, supervision of reactive repairs etc.), where project requirements mean the role holder has capacity to undertake this work. 

Financial Management

• Financial Performance: Manage project related budgets, ensuring projects are delivered to Budget, to the requisite quality and to time. 

• Procurement: Work closely with the Procurement team to source potential suppliers for services and ensure those services are sourced on a “Value for money” (VFM) basis, and in accordance with the terms of the Scheme of Reservation and Delegation. 

• Tenders: Working closely with the Procurement function of the Charity, take the estates lead in tender activity where assigned, ensuring that activity is undertaken in accordance with the Scheme of Reservation and Delegation. 

• Cost Reduction/Service Improvement: Lead in ensuring we are continually striving to reduce cost/improve service provision. 

• Commercial Acumen: Commercially savvy to drive continuous improvement opportunities (both financial and operational).

About the role
This is a new role for Clatterbridge Cancer Charity as we look to expand our successful Individual Giving & Lottery programmes.

The post holder will deliver quality fundraising campaigns, including Cash Appeals, Regular Giving and Lottery that will grow income, supporter base and lifetime value. Citizens Advice Richmond (CAR) is a thriving advice organisation that is part of the national Citizens Advice network. We provide information, advice and casework support to around 5,000 people a year. Our services are delivered by a team of around 17 paid staff and 75 volunteers. Job Purpose: As the Shop Manager for the CPS shop in Maida Hill, you will play a pivotal role in fostering a positive and inclusive environment while managing the day-to-day operations of the shop. Your primary responsibility will be to ensure the smooth functioning of the shop during trading hours, overseeing volunteer coverage across all seven days of the week.

The District Administrator is the first port of call in the District office and acts as an essential point of contact for all 19 Circuits and their Churches within the District.

Katherine Low Settlement has worked with older people since its conception in 1924.They are a core part of the community that we continue to work with. We provide, often in partnership, a range of projects and activities for older people including health and wellbeing; creative arts; intergenerational work; connecting people and trips/outings. Our services include an Older People's Lunch Club, Contact Club, T’ai Chi for Elders, exercise and social sessions, and support online.

We work with older people to:

• Encourage active and independent living

• Reduce isolation and loneliness

• Improve well-being and prevent ill-health

Key Objectives for the Elders Core Service Manager Role:

1. Team Leadership: Lead a team of dedicated part-time paid staff and volunteers, including a cook, support worker, minibus driver, and sessional workers.
2. Day-to-Day Management: Manage the day-to-day operations of the Elders Core Service, including the lunch club, transport, social sessions, and overseeing the one-to-one work of the core team.
3. Collaboration: Work collaboratively with the wider team to provide a hands-on program that builds on older people's strengths and potential.
4. Monitoring and Evaluation: Support the monitoring and evaluation of the project in collaboration with the Head of Programme.
5. Budget Management: Ensure the program operates within budget constraints.

Main Duties & Responsibilities:

1. Delivery

• Recruitment and Line Management: Recruit and manage the Outreach and Support Workers, Lunch Club Cook, and relevant social activities workers and volunteers.
• Performance Management: Use performance management and quality systems to monitor and evaluate the project's work and processes.

3. Relationships, Communication, and Networks

• Member Engagement: Build and sustain strong relationships with elder members.
• Communication: Oversee communication for the Core Programme, including newsletters, activities calendar, annual reports, and social media platforms.
• Meetings: Attend meetings on behalf of the Core Programme as required.

4. Finance

• Budget Management: Manage project areas to budget and maintain financial records as agreed with the Head of Programme.

5. Other Duties

• Professional Development: Participate in regular management supervision and annual appraisal. Identify job-related development and training needs.

About the role  

Smart Works are looking to appoint an exceptional Finance Manager to join our finance team at a time of significant growth for the organisation. Working closely with the existing finance team of four, the Finance Manager will play a crucial role in safeguarding the financial health of Smart Works Charity and its network of eleven centres across the UK. 

The Finance Manager will ensure financial systems and processes are followed, financial tasks are completed before deadlines and key stakeholders receive the financial information they need to make sound decisions. 

An important part of the role is to build excellent working relationships with non-financial employees working across Smart Works, so that information needed by the finance team is obtained in a timely fashion. The successful candidate will also identify opportunities for process improvements and automation.

Where relevant, the charity will support the successful candidate in their continued study, CPD and qualification - and the Director of Finance will mentor the Finance Manager in their role.

Smart Works is a national charity, with Smart Works centres across the UK. There will therefore be occasional travel and liaison with local centres across the UK and HQ in London, to support induction and training, as well as the day-to-day role. 

Duties and responsibilities

• Comply with all financial systems and control processes for Smart Works.
• Support the Director in completing submissions, filings and returns completed in a timely manner. This includes supporting the successful completion of the annual audit and production of statutory accounts.
• Produce monthly income and expenditure reports, balance sheets, management accounts and the production of financial board papers for Smart Works Charity and each local centre.
• Supporting the Director in ensuring all members of staff are paid correctly and on-time.
• Deliver improvements to financial systems to drive efficiencies across the finance function.

Personal Specification 

Essential Criteria

• ACA, ACCA, CIMA, CIPFA part qualified (or equivalent, e.g. AAT qualified).
• A strong accounting background, with significant experience working within a finance function. 
• Good written and oral communication skills.
• Proven ability to produce quality accounts and accurate financial work under pressure and to tight deadlines.
• Proficient in the use of Microsoft Office applications, particularly Excel.
• Good analytical skills and professional sceptical mindset.

We are looking for someone who shares our values and is passionate about improving life for both people and nature in Sussex, especially in disadvantaged communities.

Working closely with a committed and extensive team of volunteers and paid staff, and with the support of an established and engaged board of Trustees, you will be steering the work on our vision and leading the team to deliver it.

As the leader of a relatively small charity, you will be engaged with many operational aspects of the organisation.

Taking on the stewardship of the new plot of land will be one of the priorities in the first year.

You will be managing our annual income of around £200K, our part-time managers (admin; orchard planting, scrumping, courses and sites) plus a team of 25 workers and key volunteers engaged in ongoing roles.

Hours can be worked flexibly, though you will need to attend in-person meetings, events and site visits, including some weekends and evenings. We have a kitchen and barn at Stanmer Park, but not an office. All desk work and online meetings will need to be done remotely using your own equipment.

Key responsibilities:

· Figurehead and ambassador for the organisation. Willing to be available for interviews and talks.

· Decision maker. Brighton Permaculture Trust has always been a collaborative organisation. There will be times when quick or difficult decisions are needed.

· Setting budgets and monitoring finances. Draft budgets for our financial year July 2024 to June 2025 are in place.

· Writing/assisting with funding bids. 

· Formal reporting to the Trustees quarterly, plus monthly opportunities to meet with the Trustees for support, collaboration and feedback.

· Leading monthly meetings with the operational managers. Operational managers cover each key area: Scrumped in Sussex, Community Orchards, Brighton Permaculture Trust Sites, Courses & Events and Admin/Compliance.

· One-to-one meetings with operational managers, key contractors and volunteers as required. These can be online or on-site.

· Supporting the wider team to agree on SMART targets for each project and deliver on our strategic goals.

· Attending Brighton Permaculture Trust Apple Days events (3 per year).

· Being the main point of contact for key relationships, including major donors, funders, partner organisations and Brighton & Hove City Council.

· Presenting our year’s achievements to the members at our AGM.

· Line management of 3-5 operational managers as these roles move to long-term contracts

· Representing the Trust at assorted, infrequent external meetings and events would be desirable and require some flexibility in days/times worked.
