CONTEXT

The Women & Families Resource Centre (WFRC) is a registered charity based in

Wolverhampton which supports, empowers and advocates for women and children.

We aim to actively encourage women to be self-reliant, through empowering them to

identify their own needs, make their own choices and create their own solutions. We

offer a baby bank, a charity shop & various community support services to help

women facing crises or challenging situations.

Wolverhampton Baby Bank is a flagship project run by The Women & Families

Resource Centre, a registered charity supporting families with children aged 0-3.

Through donated essentials and community engagement, we provide much-needed

items such as:

• Essential supplies for babies and toddlers, including nappies, wipes, clothing, toys,

and bedding.

• Support services for new parents, including drop-in groups and befriending for

pregnant women and new mothers.

• Referrals and resources to connect families with additional community services.

Scope and Span

The Baby Bank Administrator provides structured administrative support to ensure efficient and organised service delivery.

The postholder will manage incoming enquiries, maintain digital records, support volunteer coordination logistics, and assist in stock documentation and reporting processes.This role requires strong organisation, attention to detail, and professionalism when communicating with vulnerable families and external partners.

• Commit to a minimum of 12 hours per week.

• Attend agreed shifts consistently and provide notice if unable to attend.

• Carry out agreed tasks responsibly, maintaining professionalism and confidentiality at all times.

• Treat service users, staff, and fellow volunteers with respect and compassion.

• Communicate openly about availability, concerns, or if feeling overwhelmed to prevent burnout and overcommitment.

• Follow agreed scheduling processes to ensure continuity and consistency in service delivery.

• Work collaboratively as part of the team and report any safeguarding concerns immediately.

Roles and Responsibilities

1. Client Communication & Frontline Support

• Answer incoming phone calls professionally and compassionately

• Respond to email enquiries in a timely and structured manner

• Manage appointment bookings and referral confirmations

• Provide clear information about Baby Bank services and eligibility

• Maintain confidentiality and safeguarding awareness in all communication

• Welcome visitors and support front desk coordination when required
   

2. Administrative & Digital Systems Support

• Maintain accurate digital records of referrals, appointments, and service users

• Update Charity Log database and internal tracking system

• Support data entry for stock distribution record

• Prepare basic reports for the Baby Bank Manager

• Ensure documentation is organised and up to date

• Assist with digital onboarding documentation for volunteers

3. Volunteer Coordination Support

• Support scheduling of volunteers in coordination with the Manager

• Maintain volunteer attendance record

• Assist in preparing volunteer documentation and review paperwork

• Communicate shift confirmations and reminder

4. Stock & Inventory Administration

• Log incoming donations into tracking systems

• Record distributed items against client records

• Support inventory data update

• Flag stock shortages to the Baby Bank Manager

5. Corporate Volunteer Day Support

• Assist with preparation of attendance sheets and documentation

• Prepare administrative packs for corporate volunteer sessions

• Record participation and basic impact data

6. Compliance & Record Management

• Ensure data protection compliance in all record keeping

• Maintain confidentiality of client and volunteer information

• Follow WFRC safeguarding, Health & Safety, and Equal Opportunities policies
   

7. General Responsibilities

• Take meeting minutes when required

• Provide administrative support across WFRC services when necessary

• Undertake additional reasonable duties as directed by the Baby Bank Manager

Qualifications

• Previous experience in administrative or office support roles preferred

• Experience in customer service or frontline communication

• Basic knowledge of Microsoft Office (Word, Excel, Outlook)

Will you share your counselling or psychotherapy skills as a child & young person's (CYP) counsellor or therapist to join an online counselling service for young patients with a pain condition (Complex Regional Pain Syndrome)? We’re supporting patients, relatives, partners and carers affected by a debilitating condition; Complex Regional Pain Syndrome (CRPS).

We're looking for qualified paediatric/child &/or young person counsellors, psychotherapists or psychologists ideally with some experience of working with chronic pain patients, who may want to volunteer their skills supporting our young service users and help develop a psychological support service. 

As a Volunteer Child and/or young person's Counsellor/Therapist you’ll be providing remote online counselling/therapy support services to young people aged 5 to 18 who are vulnerable, many of whom are isolated and in need of mental health services. You’ll be providing one-to-one counselling sessions online or by phone. With your recognised counselling qualifications and experience you will be an asset to our small charity and to our young services users. 

Depending on your qualifications, skills and experience, volunteer child counsellors / therapists provide person centred counselling (general talking counselling), integrative, pluralistic including or Cognitive Behavioural Therapy (CBT), ACT and EMDR for young CRPS patients.

We are needing to expand this service to support our young clients as it has rapidly received a high number of referrals. People can be referred both by health or legal professionals as well as having parents/guardians referring them to the service.

In this role you’ll be able to develop your paediatric counselling skills, organisation, communication and team working skills. If you have experience in younger children please do get in touch.

Most importantly, you’ll provide essential services that ensure no one has to face CRPS alone. Be the hope for CRPS.

What the role involves

This role may vary depending on needs, but is likely to include:

• Undertake child client general assessments, followed by therapy (via Zoom or phone) to our clients, offering up to 20 one hour (or 45 mins age dependant) sessions for each client plus 4 assessments

• Providing one-to-one therapy sessions to young patients aged 5-18 (we will consider therapists who can only support primary or secondary school age)

• Update our database with the client’s basic information and session attendance

• Maintain succinct, relevant session notes and store these securely

• Attending and participating in meetings
• Project monitoring, creating, reporting and outcomes evaluation procedures

• Attend CPD training to ensure your knowledge stays current

• Participating in regular meetings with the Clinical Lead
• Maintaining client confidentiality, upholding data protection and equal opportunities principle

• Attend monthly internal group Supervision to ensure safe working practices

We can support you to develop the skills you need for this role, including an induction. You will have a chance to discuss your role and any additional needs with us.

What you need for this role

Essential

• Be a member of one of the recognised organisations (see below)
• Level 4 Diploma level qualifications as a minimum, Degree or Masters in Paediatric Counselling, Counselling/Clinical Psychology, Psychotherapy, Play Therapy, Dance & Movement Psychotherapy or Art Therapy 
• Minimum of 100 hours supervised
• Proof of professional indemnity insurance annually - we may consider paying this as an expense but a commitment to the charity is required
• A valid DBS certificate (enhanced version), which is less than three years old and renewed every three years (the charity can provide where necessary)
• Able to keep people’s personal data safe

• Willing and able to provide counselling via Zoom from a private location with a stable WiFi connection

• Able to support a minimum of 3 child or young clients a week, being three hours of your time for counselling sessions plus time for administration. We ideally hope you to offer the charity a commitment of six months.

Making a difference

What impact will the opportunity have?

You will join the charity during a critical and challenging period as the service is rapidly expanding and your expert knowledge and experience will be invaluable to our success. You will have a key role in not only developing a counselling service for younger clients but also ensure we provide counselling services and mental health support to our young child CRPS patients who are in need of our support and inclusion on a regular basis. With your help we will expand our support and mental health services to ensure our service users receive mental health support that they may not have been offered.

The Nehemiah Project is a small charity that supports men with experience of addiction to break the cycle of addiction and crime. We do this through supported living, programmes, key worker support, rebuilding family connections and providing move-on support to aid transition to independent living. We currently operate from houses in Streatham and Croydon.

We are a Christian-based charity open to men of all faiths and none. We have a partnership with the British Association of the Order of Malta who provide expertise, funding and volunteer support.

Our trustees play a vital role in making sure that The Nehemiah Project (TNP) achieves its core purpose of breaking the cycle of addiction and reoffending. They oversee the overall management and administration of the charity. They also ensure that TNP has a clear strategy and that our work and goals are in line with our vision. Just as importantly, they support and challenge the executive team to enable TNP to grow and thrive.

As well as fulfilling the duties of a Trustee, the Treasurer maintains an overview of the Nehemiah Project' s financial affairs. The Treasurer ensures that effective and appropriate financial measures, controls and procedures are put in place and reports to the Board at regular intervals about the financial health of the organisation. The Nehemiah Project is a registered charity and a company limited by guarantee.

Treasurer Role

• Overseeing the presentation of budgets, internal management accounts and annual financial statements to the Board of Trustees.
• Ensuring that proper accounting records are kept, and that appropriate accounting procedures and controls are in place.
• Ensuring that robust and comprehensive financial policies are in place and being implemented, and supporting the development of policies covering financial reserves, and cost management.
• Monitoring and advising on the financial viability of the charity.
• Overseeing financial controls and adherence to systems, regularly liaising with Chief Executive
• Advising on the financial implications of the charity’s strategic plan, including overseeing the charity’s financial risk-management process Ensuring investments and assets are maximised.
• Lead on the appointment of and liaison with external auditors.
• Oversee the development and implementation of systems for appraising, mitigating and reporting corporate risk.
• Ensuring that the accounts are prepared and disclosed in the form required by relevant statutory bodies, for example, the Charity Commission and/or the Registrar of Companies.
• Keeping the board informed about its financial duties and responsibilities and liaising with the Chief Executive to develop the financial understanding of the Board of Trustees.

What we are looking for?

• A finance professional. A knowledge of charity finance is an advantage. Otherwise an enthusiasm to learn, drawing from sound commercial experience and an understanding of SMEs.
• A strategic thinker with an ability to balance risk and opportunity.
• Clear communicator with the ability to bring the financial information alive to non-finance specialists. Willing to play an active role in areas such as forecasting, setting budgets, liaising with auditors
• We are looking for people willing to bring energy, enthusiasm and commitment to the role, and who will broaden the diversity of thinking on our board.

In addition to the above, the Treasurer will also have the responsibilities and qualities of all trustees. Board members have a collective responsibility. This means that trustees always act as a group and not as individuals.

Responsibilities of all trustees

• Support and provide advice on TNP' s purpose, vision, goals and activities.
• Approve operational strategies and policies, and monitor and evaluate their implementation.
• Oversee TNP' s financial plans and budgets and monitor and evaluate progress.
• Ensure the effective and efficient administration of the organisation.
• Ensure that key risks are being identified, monitored and controlled effectively.
• Review and approve TNP’s financial statements.
• Provide support and challenge to TNP’s CEO in the exercise of their delegated authority and affairs. Keep abreast of changes in TNP’s operating environment.
• Contribute to regular reviews of TNP' s own governance. Attend Board meetings, adequately prepared to contribute to discussions.
• Use independent judgment, acting legally and in good faith to promote and protect TNP’s interests, to the exclusion of their own personal and/or any third party interests.
• Contribute to the broader promotion of TNP’s objects, aims and reputation by applying your skills, expertise, knowledge and contacts.

Trustee Role Overview

Term: 4 years, renewable up to 7 years, with possible extension in exceptional cases under the Memorandum and Articles.

Remuneration: Voluntary role; reasonable expenses reimbursed.

Meetings: Attend four Board meetings a year (in person in Putney, with remote option).

Strategy Days: Up to one per year.

Events: Four annual celebration events at our houses; Trustees are encouraged to attend where possible

Committee Membership

Trustees may join one of three sub-groups — HR, Finance, or Fundraising — which meet remotely four times a year, with occasional ad hoc support to working groups or the executive team. 

Financial Commitment No donation is required, though regular modest giving is encouraged.

As Company Secretary, you will:

• Liaise with and support the chair and other trustees in organising meetings and taking minutes.
• Ensure the trustees are aware of their legal and regulatory responsibilities.
• Maintain the register of members, trustees, directors, and secretaries.
• Prepare and file annual returns and other statutory documents with Companies House and the charity regulator.
• Help us maintain compliance with charity regulations and governance standards.

About Maidstone Homeless Care:

Maidstone Homeless Care is a well-established charity supporting homeless and vulnerable people in the Maidstone area . We run an active day centre, busy food bank and a small residential unit supporting homeless people. 

We have one formal evening meeting each month . The role of trustee is a voluntary role and consistent support is available from the trustee group as well as appropriate training.

A bit about this role

As a charity we can continue to help cats and kittens in need thanks to the donations we receive at fundraising events from generous members of the public. Our fundraising event helpers have the exciting and varied role of helping at local fundraising events - such as cakes sales, barn dances, quiz nights – and everything in between!

You can expect us to

• make you feel welcome, included and respected in line with our values and behaviours
• support you in having a positive and impactful experience at Cats Protection
• cover agreed out-of-pocket expenses in line with our Expenses Policy
• provide you with access to learning, development and engagement opportunities

What we need from you

• help set up and/or man stalls at events
• help on collection days like supermarket collections events or street collections
• help at fundraising events such as quiz nights, cake sales and dances
• promoting a professional image of Cats Protection at events

Time expectation
