Volunteering Administrator FTC

The Volunteer Management team is responsible for embedding an organisational approach to volunteer engagement which enables volunteers to feel inspired, valued, supported, and connected to the charity, where they are a vital part of our community.

The Volunteering Administrator plays a significant part in contributing to the success of the team to deliver key parts of the volunteer journey (recruiting, induction, training, supporting, and retaining volunteers). The role is key to volunteer experience, maintaining good practice, developing a culture of positive engagement and raising the profile of volunteering internally and externally.

The role will be known internally as Volunteer Executive.

This is a 24-month FTC.

Key Responsibilities:

Administration, customer service and delivery

· Act as the first port of contact for internal and external enquiries, coordinating the shared volunteer email inbox.

· Acting as a key point of contact for the import, maintenance and integrity of volunteering data.

· Publish volunteer recruitment adverts on relevant external platforms.

· Coordinate the administration of volunteer recruitment and selection processes (including paperwork, referencing, ID badges etc) to ensure a fair and consistent approach is followed.

· Share key information, briefings, and timely reminders with volunteers ahead of their scheduled involvement.

· Send thank you messages to volunteers after they have contributed.

· Update Salesforce after volunteer activities to ensure accurate tracking of participation and engagement.

· Process volunteer expense claims in line with organisational procedures.

Collaboration and communication

· Collaborate with colleagues to ensure volunteer applications are responded to within agreed timescales.

· Work with colleagues to ensure accuracy, validity and reliability of volunteer data. Ensuring that it reflects volunteer contribution and delivers reliable insights.

· Take a proactive approach to understand external events and initiatives taking place across the charity, providing support on the requirements for successful volunteer involvement.

· Contribute to the production and distribution of resources for volunteer-involving events, including, but not limited to recruitment, onboarding, and training materials.

· Support the upkeep of volunteering information on internal communication channels, ensuring all relevant policies, reference materials and documents are made available and kept up to date.

· Post updates in our Facebook group, and other volunteer engagement forums, to help build our volunteer community and promote good practice.

· Gather volunteer case studies and testimonials and share them internally to support organisational learning and storytelling.

· Liaise with volunteers when they end their involvement, ensuring they feel supported and appreciated.

· Monitor feedback survey responses and escalate significant insights or concerns to relevant colleagues to support continuous improvement.

· Promote a positive culture that values and embeds the work of volunteers both internally and externally.

Knowledge, skills and experience needed:

· Knowledge of IT packages such as MS Outlook, Word, Excel and PowerPoint.

· Experience of working in a customer-service or people-facing environment.

· Experience of processing and/or handling personal (sensitive) data.

· Experience of working with databases.

· Some understanding of the principles and good practice of successful volunteer involvement including recruitment, selection, induction, training, support, recognition, and retention.

· A professional and hardworking team player.

· Excellent I.T. skills.

· Developed organisational skills with a strong attention to detail.

· Excellent communication skills, including presentation skills.

· A conscientious approach to work and good time management skills.

· Ability to build and maintain effective relationships with volunteers and colleagues.

Ways of working:

As part of our Agile ways of working you will be required to work approximately 2 days a week from the office, which is subject to the requirements of the role and the business needs. Flexibility on where you work can be split between working from home and our office.

The Role

SMART CJS is looking to recruit a Trusts and Foundations Bid Writer. The successful candidate will also have some responsibility for corporate fundraising with businesses based in Bedford and beyond; this responsibility will be shared with our Community and Corporate Fundraiser.

The main responsibility, though, will be to generate income by writing bids to charitable trusts and foundations, and to statutory funders.

The role will include researching and identifying charity trusts and similar bodies which are able to make an award to SMART. It will also include keeping abreast of developments in fundraising in the charity sector as a whole, especially in the field of grant awarding and, to a lesser extent, of corporate giving.

There will be a probationary period for the role. As it generally takes six months for a grant to be awarded (though some arrive more quickly), the probationary period will need to be for a minimum of seven months, though its precise duration can be negotiated with the successful candidate.

Training will be given; the scope of the training will depend on the candidate’s previous experience.

This is an exciting opportunity to join SMART’s friendly and dedicated team. You’ll need to be able to manage your time effectively; the role is primarily self-directed. We envisage that you’ll be working primarily from our offices in Prebend Street, Bedford, though you'll be able to work from home for some of the time as well. Given the nature of our work, personal resilience is important; some of the stories we use when applying for funding can be emotionally challenging.

Our fundraising comes from regular gifts, donations from the community (individuals and groups), and corporate bodies (businesses). The majority of our fundraising income comes from grants. There will be a realistic target for the amount you need to raise; this will reflect the performance for grant applications in the charity sector as a whole and it will not be unrealistic. Fundraising is not an exact science; the assessment of performance against the targets will be fair and reasonable. The final responsibility for SMART’s fundraising rests with the trustees; they appreciate and understand the complexity of the issues involved.

Main Purpose of the Role

You will work closely with the CEO, the Chair of Trustees, the Head of Business and the fundraising team. The post involves gathering information, writing the bids, tracking the progress of submissions, and reporting back to grant awarders on how their money has been spent, if they require this.

There will also be a responsibility for corporate fundraising. This will involve building relationships with businesses in and beyond the Bedford area. The responsibility for this will be shared with our Community and Corporate Fundraiser.

Key Responsibilities

Fundraising and Bid Writing

• Research and identify suitable grant and funding opportunities from charitable trusts, foundations, and statutory bodies.
• Write and submit high-quality funding applications and proposals in line with SMART’s strategic priorities.
• Work collaboratively with service leads and front line teams to gather accurate, up-to-date data and service information for applications.
• Tailor the applications to the funder’s criteria, using storytelling effectively.
• Manage a pipeline of applications and submissions, ensuring deadlines are met and income targets are tracked.
• Maintain and build relationships with key funders, providing timely reports and updates on grant-funded work.
• Work to realistic targets and be able to provide feedback on these.
• Organisational Development and Support
• Contribute to the strategic development of SMART’s income generation plans.
• Support development of strong internal bid and grant management systems.
• Monitor success rates and provide monthly reporting on funding performance to the Head of Business and to the Chair of Trustees.

Other Responsibilities

• Participate in SMART’s performance management and appraisal process.

Person Specification

Whether you’re already an experienced bid-writer, or whether you think this is something that you could learn to do effectively, we’d like to hear from you. You need to have excellent skills in written English and be able to write in prose that’s clear and readily understandable to the general reader. The criteria for each grant awarder are different; you need to be able to match your bid to what they would like to fund (homelessness, mental health, relief of poverty, women’s issues and so on). You need, then, to tell SMART’s story in a way which appeals to each funder.

You need to have excellent inter-personal skills and be able to work as part of a team. While there is a strong element of self-direction in the role, you need to be able to work closely with senior management and also with the trustees; the trustees have the final responsibility for fundraising in the charity.

You will need, too, to have a commitment to equality, diversity and inclusion, and to have a genuine interest in homelessness and the work of the charity, and a commitment to improving our clients’ lives and wellbeing.

You will lead and develop a high performing finance function, oversee annual budgeting and long‑term financial planning, and ensure high‑quality financial insight is available to the CEO, SLT and Board. We’re looking for a Direct Marketing Executive to join the Individual Giving team at Prostate Cancer UK. We’re an ambitious charity with a bold mission and a fantastic culture. This role focuses on acquiring new cash and regular givers across a range of channels including digital, telephone and direct mail, helping fund research that will save and improve lives. 

In this role you’ll help drive forward our ambitious five-year fundraising strategy as we continue to grow income year on year to have the biggest impact for men. You will lead on our value exchange programme, working closely with the digital team and our telephone partner to continually optimise results. This is a great opportunity to gain experience across a multi-channel campaign. You will also work on wider telephone conversion campaigns and direct mail as well as other test channels with the aim of recruiting new regular and cash supporters as well as re-engaging those who have lapsed. You’ll also help develop and test welcome journeys to engage supporters with our work and make them feel valued. You’ll look for ways to test and innovate to drive the best results. You’ll collaborate with colleagues from across the organisation to drive the best creative, messaging, targeting and data insights. 

What we want from you 

Experience or knowledge of managing direct marketing campaigns across a range of channels, ideally digital, telephone or direct mail, and preferably gained from a fundraising environment.

You’ll possess first class communication and project management skills; a strong team ethic and you will be at ease working with key internal and external stakeholders at all levels. You’ll be a self-starter, with a curious nature and a keen eye for detail.Knowledge of data protection and sector compliance would also be beneficial.

These tasks and responsibilities will support NRC UK in the implementation of our strategy and action plans on private fundraising and external engagement and will also provide support to the Director in delegated areas on a full range of activities in the UK including advocacy, institutional funding, strategic partnerships, compliance and office management.

Please note this role is offered at 80% of FTE (4 days per week).

Responsibilities

1. Support the Private Sector Partnerships Specialist Adviser (50%) and the UK Director (50%) to deliver on key tasks required in order to meet NRC UK’s private fundraising and broader objectives. 

2. Provide administrative support to the Specialist Adviser on tasks necessary to meet fundraising targets, including communications and relationship management, prospect research, due diligence, meeting and event organisation. 

3. Provide administrative support to the UK Director including communications, organising and attending both external and internal meetings and events, taking notes and minutes, research and analysis, document preparation and coordinating input into internal reports including the annual report. 

4. Provide additional ad-hoc administrative support to the NRC UK team as required. 

5. The Officer will be required to execute existing workplans and meet objectives and deadlines with oversight and support from Adviser and Director. 

Qualifications

• 3 years of progressive professional experience (preferably within the UK Third Sector) in business development, advocacy, fundraising and/or general administrative duties 
• Bachelor’s degree in Social Science, Politics, Law, Communications, International Relations or a relevant field.  Equivalent experience will be accepted instead of qualifications. 
• Demonstrable experience in prospect research and ability to identify partnership opportunities based on criteria provided by NRC 
• Demonstrable interest in humanitarian issues, with clear understanding of ethical and principled humanitarian approaches. 
• Fluency in English, both written and verbal

Our Facilities team works hard to ensure that every guest visiting Woodrow has a safe and memorable visit. You will be working alongside the wider team to maintain all buildings, including our Grade II listed Manor House and Leisure Centre, and the outside grounds and activity areas, to ensure the site is welcoming, tidy and safe for all. You will assist the Facilities Manager in ensuring we remain compliant with relevant Health & Safety legislation; and will be involved in various duties that contribute to the wider success of the Centre and London Youth. 

What you will be doing 

The Facilities Assistant provides logistical and maintenance support for the Woodrow estate and holds the following core responsibilities. This is not intended as an exhaustive list, and the job may change over time to reflect the changing needs of our centre, as well as the personal development needs of the post holder. 

Grounds upkeep: 

• General upkeep of the 26-acre estate grounds e.g. pruning, mowing, planting, tidying gardens. 
• Keeping grounds, paths and hard surfaces safe and free of ice, snow, leaves, weeds, etc. 
• Maintaining the 3G astro pitch, cycle circuit and outdoor activity areas.

Building maintenance: 

• Undertake day-to-day minor repairs, e.g. patching, painting, leaky taps, hinges, caulking, etc. 
• Undertake cyclical / seasonal jobs e.g. clearing gutters, drains, drain gratings, etc. 
• Support with biomass boiler maintenance and receive woodchip deliveries. 
• Support with basic utilities issues as they arise, e.g. heating, plumbing, electrical, etc. 

Health and safety: 

• Undertake routine safety/compliance checks of all facilities including, among other things, legionella temperature aduits, emergency equipment inspections and tests, etc. 
• Support the FM with risk assessments and work procedures relevant to the role. 
• Maintain accurate records of all work carried out using systems in place for auditing. 

General duties: 

• Basic joinery, carpentry and build projects done in house, under direction of the FM. 
• Supervise outside contractors to ensure all jobs are carried out to agreed standards. 
• Supervise corporate volunteer groups who support us with gardening or build projects. 
• Support with setup and occasional on-the-day attendance at various events. 
• Undertake other duties as reasonably requested by London Youth's management that ensure the ongoing success of the charity and delivery of excellent customer experiences. 

What you bring to the role 

Experience, Knowledge & Skills 

We do not expect candidates to have expertise in all areas, but at a minimum experience of minor buildings repairs and maintenance and groundskeeping work is essential to this role. Training will be provided to address some gaps where necessary and relevant. 

• Experience with grounds maintenance including tree and lawn care, gardening, etc. 
• Experience of maintenance in heating, plumbing, electrical systems. 
• Demonstrable good practical DIY skills, including decorating, joinery, carpentry, repairs, etc. 
• Experience using power and maintenance tools, including small tractor with mower, jigsaws, strimmers, etc. 
• Demonstrable understanding of Health & Safety regulations relevant to this type of role; the importance of compliance, evidencing and contributing to this.

Leeds Survivor Led Crisis Service (LSLCS) exists to provide compassionate, person-centred, trauma-informed crisis support to people across Leeds and West Yorkshire.  Founded in 1999 by individuals with lived experience of mental health crisis, the organisation has grown to deliver a range of services for adults, children and young people while remaining rooted in survivor leadership and empowerment. LSLCS has a long history of innovation and excellence; receiving multiple national awards.

About you 

To be successful, it is important that you have:
