CONTEXT
The Women & Families Resource Centre (WFRC) is a registered charity based in
Wolverhampton which supports, empowers and advocates for women and children.
We aim to actively encourage women to be self-reliant, through empowering them to
identify their own needs, make their own choices and create their own solutions. We
offer a baby bank, a charity shop & various community support services to help
women facing crises or challenging situations.
Wolverhampton Baby Bank is a flagship project run by The Women & Families
Resource Centre, a registered charity supporting families with children aged 0-3.
Through donated essentials and community engagement, we provide much-needed
items such as:
• Essential supplies for babies and toddlers, including nappies, wipes, clothing, toys,
and bedding.
• Support services for new parents, including drop-in groups and befriending for
pregnant women and new mothers.
• Referrals and resources to connect families with additional community services.
Scope and Span
The Baby Bank Administrator provides structured administrative support to ensure efficient and organised service delivery.
The postholder will manage incoming enquiries, maintain digital records, support volunteer coordination logistics, and assist in stock documentation and reporting processes.This role requires strong organisation, attention to detail, and professionalism when communicating with vulnerable families and external partners.

Roles and Responsibilities
1. Client Communication & Frontline Support

Answer incoming phone calls professionally and compassionately

Respond to email enquiries in a timely and structured manner

Manage appointment bookings and referral confirmations

Provide clear information about Baby Bank services and eligibility

Maintain confidentiality and safeguarding awareness in all communication

Welcome visitors and support front desk coordination when required
2. Administrative & Digital Systems Support

Maintain accurate digital records of referrals, appointments, and service users

Update Charity Log database and internal tracking system

Support data entry for stock distribution record

Prepare basic reports for the Baby Bank Manager

Ensure documentation is organised and up to date

Assist with digital onboarding documentation for volunteers
3. Volunteer Coordination Support

Support scheduling of volunteers in coordination with the Manager

Maintain volunteer attendance record

4. Stock & Inventory Administration

Qualifications

VOLUNTEER CASE OFFICER
Across the UK, our 60+ local branches work with disabled people to help them live the lives they choose. Our network of skilled volunteers respond to thousands of requests each year to design and make customised equipment free of charge.
Our Case Officers are a vital part of our local branch activities. They use their organisational and IT skills, sometimes along with a knowledge of engineering, to make sure their branch is best able to support people.
What the role involves
This is a varied role that each branch tends to do a bit differently, but it will involve:
• Processing and allocating cases which have come to the branch
• You may have engineering experience or be a skilled craftsperson, but this is not essential
• Using our online referral portal to manage and update case notes
• Attending regular meetings of the local branch
We can support you to develop the skills you need for this role, and there’s an induction that covers all the areas above. You’ll also have chance to discuss your role and any additional needs with us.
What you’ll need for this role
• Warm, approachable and confident to call referrers/clients to initiate discussions
• Comfortable working with people, listening to them and understanding their needs
• Able to apply our risk management system
• Able to keep people’s personal details safe

We’ve designed our volunteering programme to be flexible and adaptive to you. All volunteering is 100% remote and you’re supported fully by our team. You control what you do and how many hours per week you want to volunteer. Some roles may require an Enhanced DBS check. If your application is successful, we will ask for a donation towards the cost of your enhanced DBS check if it's required for your role. This cost is £22.60.

Volunteers support every aspect of our work, including but not exclusively: governance, administration, fundraising, marketing, and project delivery. In your role as Volunteer Co-ordinator you will be the 'champion' and first point of contact for volunteers within the organisation, ensuring all volunteers are encouraged and celebrated. 1. Recruiting and selecting potential volunteers, acting as an ambassador for Plateful Café
2. Inducting volunteers into suitable roles based on their interests, experience and expectations and the charity's needs
3. Providing an initial point of contact with the charity and ensuring volunteers maintain a positive and confident approach
4. Supporting the volunteer team to ensure the provision of relevant experience, training and development opportunities as well as supervision and support
5. Maintaining an up-to-date database in order to monitor volunteer progress and to record and celebrate their contributions
6 Contributing to newsletter and reports in order to maintain and develop the profile of Plateful Café
7. Good understanding of safeguarding to keep both employees and volunteers safe and protected.
8. Good management skills and the ability to organise on behalf of others.
9. Help new volunteers when they are stuck with certain tasks
10. You will need to effectively strategise a plan for other volunteers, make volunteer rotas and stay on top of volunteering admin and prioritise important tasks.
Requirements, we are looking for someone who;
· Is committed to the aims and objectives of the Plateful Café
· Has experience of working with volunteers, preferably in a charity
· Has an understanding of the needs of refugees and how to involve them in the or-ganisation
Desirable, but not essential:
· Has experience of team working
· Is a good communicator, preferably a speaker of a community language
· Has good interpersonal skills

The Role
We are seeking a proactive, organised, and supportive Volunteer Campaign Support Coordinator to oversee and assist with live prize draw campaigns on the platform.
This role focuses on ensuring creators feel supported throughout their campaign, that key communications are delivered on time, and that each live draw runs as smoothly and successfully as possible.
Key Responsibilities

Monitor and support all live prize draw campaigns on the platform

Liaise with creators throughout the live campaign period to provide encouragement, guidance, and practical support

Schedule, diarise, and send campaign communications using approved templates
