OVERALL PURPOSE

We are seeking a motivated & experienced Volunteer Recruitment Administrator to join our charity. As a key member of our Human Resources team, you will be responsible for managing the end-to-end recruitment process, ensuring the acquisition of talented individuals passionate about our mission. Your expertise will contribute to building a dedicated and skilled workforce, enabling us to impact the community positively. This role offers a unique opportunity to utilise your HR recruitment skills for a meaningful cause while gaining valuable experience in the non-profit sector.

You will play a key role in working towards our mission to recruit outstanding individuals who will work with us to transform the lives of disadvantaged women and families living in Wolverhampton.

Key responsibilities for this Volunteer Recruitment Administrator are:

•  To act as a point of enquiry for information, advice and support for prospective volunteers.
•  To assist in screening, sourcing and shortlisting all CV’s for active vacancies.
•  Assist with the recruitment process, including job postings, screening applicants, and coordinating interviews.
•  Support the onboarding process for new hires, ensuring a smooth and welcoming experience.
• Help maintain and update employee records, ensuring all documentation is accurate and up-to-date.
•  To provide administrative support to the volunteer coordinator by updating job descriptions, coordinating & setting up interviews.
• To create and maintain documentation and records for recruitment.
•  To build positive relationships with relevant stakeholders in order to attract high quality applicants.
•  To explore innovative attraction methods to increase awareness of our volunteer programme amongst new audiences, particularly to those who are underrepresented on our programme.
•  To follow up volunteer interest and enquiries in a timely manner, encouraging application to an appropriate role.

Person Specification

What you will need as Volunteer Recruitment Administrator:

•  A good level of education, strong administration experience along with good IT literacy including Outlook, Word & Excel.
•  A background in recruitment would be a huge bonus!
•  The ability to prioritise your day, work at a fast pace and meet deadlines.
•  Great communication skills
•  We have some great technology to support you, so you will need to have a good understanding of systems and MS Office applications

Keytasks include:

· Lead on recruitment activity and selection decisions

· Carry out initial conversations and informal screening

· Coordinate onboarding and inductions

· Allocate tasks 

· Support volunteers day to day

· Build relationships and maintain engagement

· Deliver role-specific training

· Ensure volunteers complete required training

· Address minor issues and provide feedback

· Escalate concerns to HR where needed

· Maintain volunteer records (contact details, availability, hours if needed)

· Act as main point of contact for volunteers

· Conducting 1-1s with volunteers as well as offering informal support

· Raise safeguarding concerns as appropriate using internal processes and procedures

· Maintain confidentiality and follow charity policies and procedures

· Undertake relevant training

Key Objectives Include:

· Ensure that Mast Cell Action has a steady stream of volunteers enabling the charity to achieve its objective goals

· Represent Mast Cell Action professionally at all times, demonstrating strong communication skills, reliability, and adaptability whilst working remotely

Experience/skills required:

· Proven experience as a volunteer manager/coordinator or relevant HR experience

· Excellent verbal communication skills, with the ability to engage diverse audiences and adapt your communication style to different formats and audiences.

· Patience, empathy and compassion. Openness to support people from all backgrounds

· Reliability and trustworthiness

· Proficiency in CRMs and able to use our bespoke database to maintain accurate volunteer records

· Ability to work independently and collaboratively as part of a remote team, demonstrating reliability, flexibility, and professionalism at all times.

As Volunteer Coordinator, you will help ensure volunteers feel informed, valued and supported in their roles.

You will be the main point of contact for volunteers, matching them with suitable opportunities and ensuring a positive, inclusive experience.

This role is ideal for someone who enjoys working with people, is well organised, and is committed to creating a positive volunteering experience.

What you will be doing

You will coordinate daily volunteer activities, including:

• Promoting volunteer opportunities.
• Responding to volunteer enquiries.
• Supporting recruitment, onboarding and induction.
• Matching volunteers to suitable roles.
• Coordinating rotas, schedules, and activities.
• Maintaining up-to-date volunteer records.
• Promoting inclusive volunteering practices.
• Recognising and celebrating volunteers’ contributions.
• Supporting monitoring and feedback processes for volunteers.

Time commitment

We are looking for someone who can commit to 4–6 hours per week.

Volunteering times will be agreed based on your availability and organisational needs.

Location

This role is primarily in-person in Manchester, with some agreed tasks completed remotely where appropriate.

3. Learning & Development Coordinator

Help volunteers grow, thrive and feel confident. You’ll design and deliver training, create learning resources, and support volunteers to feel ready, capable and valued.

4. Volunteer Programme Assistant

The organisational superstar. You’ll support admin, coordination, communication and behind‑the‑scenes tasks that keep our volunteer programme running smoothly.

Time Commitment & Availability

These roles are operational volunteer roles, not trustee positions.

We keep things flexible and human.

• A few hours per week, fully flexible.

• Must be available at least 2 evenings per month (for recruitment events, inductions, training sessions and volunteer engagement activities).
