The HR Officer will provide expert support and advice to operational management in all areas of HR whilst consistently demonstrating HR best practice. The HR Officer will be the initial point of contact for all operational HR related matters.

About the role 

Your main duties will include: 

• Providing first level advice and guidance on HR Policies and procedures, employment law and employee relations issues with the guidance of the HR Services Manager as required
• Advising and supporting Business Support Managers with disciplinary, grievance, absence management, and performance improvement cases.
• Ensure the provision of appropriate, timely and accurate management information to support strategy development, management decision making and improve the effectiveness of HR Services as and when required.
• Review sickness absence and undertake relevant interventions, including referrals to Occupational Health and advice to Managers on phased return.

What you’ll be doing

A little more about your day as a People Advisor – Employee Relations:

• Managing a diverse employee relations caseload, including conduct, capability, grievance, attendance, probation and wellbeing matters.
• Coaching and advising managers, helping them understand risks, options and best practice so they can make confident, values-led decisions.
• Supporting and, where appropriate, leading complex or sensitive investigations in partnership with the People Manager.

Black Thrive Global (BTG) evolved from the work of the Black Thrive Lambeth Partnership, which was established in 2016. We exist to address the inequalities that negatively impact the mental health and wellbeing of Black people so that the thriving of Black communities is the norm.

Purpose of the role

The purpose of this role is to support our Head of Finance and Operations with our HR, operations and admin functions including managing systems to efficiently run the business and achieve strategic objectives agreed by Black Thrive Board of Directors. This includes being the first point of contact for HR and office queries, leading the recruitment process, managing onboarding and offboarding, preparing employment contracts (Full-time and/or part-time, zero hours and/or fixed terms contracts), supporting the Finance Officer with payroll, checking and following right-to-work in the UK, administrating DBS checks and creating new company policies together with management. The ideal candidate will be a sound HR generalist who has a good understanding of UK employment laws, organisational governance and  is comfortable working independently, have refined problem-solving skills, and thrive in a rapidly evolving environment.

Duties and responsibilities

1. The HR Manager assumes the primary responsibility for ensuring the organisations employment policies are fit for purpose and in line with any changes in employment legislation and for communicating the changes to the Directors and SLT where required.

2. Support the Head of Finance & Operations to manage HR and admin functions, including working with managers to prepare job descriptions, employment contracts, onboarding and offboarding.

3. Lead the recruitment process for new staff to source appropriate candidates for the organisation. This includes job advertising, shortlisting, interviewing, pre-employment checks and other pre-employment activities that are necessary.

4. Ensure the renewal of DBS checks for all staff is carried out on a periodic basis.

5. Process new joiners and leavers on the HR platforms and liaising with IT Support to ensure staff are set up or removed as needed.

6. Plan and coordinate induction for new employees.

7. Manage the employee performance reviews, and performance improvement plans in line with the organisations policies and any legislative requirements.

8. Work with the Head of Finance and Operations to implement and review the organisations reward principles and salary benchmarking exercise.

9. Support the Head of Finance and Operations to embed Black Thrive’s mission and values across the organisation, leading and driving the required culture change.

10. Review the existing policies and update or create new HR related policies in line with the current employment laws or governance requirements.

11. Develop, implement and review the employee development and training plan / strategy with the Head of Finance and Operations.

12. Develop and manage the annual training budget.

13. Ensure the provision of effective day-to-day office administration and support across the organisation.

14. Develop and implement sound strategies and initiatives to enhance the people management skills and capabilities across their teams.

15. Assist the Head of Finance and Operations in ensuring adherence to GDPR legislation liaising with external DPO service provider as required.

16. Responsible for ensuring staff issues around performance, disciplinary issues, needs for aids and adaptations and other wellbeing issues are dealt with in line with the organisations policies and procedures. Liaising with external HR providers where necessary.

17. Manage employee relations and resolving conflicts and disciplinary issues / grievances

18. Manage the relationship with BTG’s outsourced HR partners.

19. Ensure employee health and safety compliance and all associated documentation is maintained.

20. Ensure all employee information in Bright HR is updated daily and accurately to ensure that the payroll can be processed on the due date.

21. Enhance the development and use of Bright HR across the organisation.

22. Produce and deliver presentations, reports and other material relevant to the role.

23. Supporting staff wellbeing, including promoting the Employee Assistance Program, conducting check-ins as needed, facilitating return-to-work meetings, and tracking staff absences such as sickness, time off in lieu (TOIL), and holidays.

The Head of HR at the Donmar Warehouse will partner with stakeholders across the organisation to support an excellent standard of staff management, welfare and engagement. The Head of People & Governance will provide leadership to the CEO Office team and serve as a key advisor to the CEO and Senior Leadership Team (SLT). This role will be responsible for the three specialist areas which form the CEO Office: People Services, Governance and Executive Support. 

This role is responsible for delivering the People Services function for the organisation, including the development and implementation of People Services strategies, plans, policies and processes. You will lead the People Services team in delivering high quality support and advisory services.

This post requires the individual to understand, anticipate and react to the organisation’s changing needs, to think critically, make decisions, and offer solutions to problems with expert professionalism, sensitivity, and confidentiality. To implement Butterfly Conservation’s (BC) objectives through leadership of the CEO Office team, setting and managing budgets, targets and workplans while inspiring and enabling staff to achieve their best.

Specific Tasks:

1. Delivering the People Services function      
2. Responsible for delivering a high-performing People Services function ensuring all interactions adhere to BC’s inclusion and organisational values. To lead, manage and be accountable for the function, including:

• Aligning workload with BC’s Strategy and annual business plans.
• Advising, coaching, and enabling the People Services team to deliver effectively and create an engaging, supportive, and empowering environment. 
• Ensure monthly workforce reporting systems are in place and actions followed up where required.  
• Lead on Employee Health and Wellbeing initiatives, promoting a culture of engagement and self-responsibility.
• Implement, monitor and evaluate performance management systems and processes.

• Oversee and manage ‘Charity Learn’ BC’s online learning management system, to include setting up annual statutory training for all staff and creating bookable in-house training sessions as required.

1. Governance, Risk and Management Information & Reporting

      Accountable for the smooth running of BC’s core governance activities and trustee meetings, including:

• Overseeing the risk and audit process for the CEO Office, bridging as needed between the Finance Directorate and the CEO Office Directorate.
• Ensuring all core legal requirements are met and that the trustees comply with their duties in accordance with the Articles of Association.
• Ensuring relevant statutory returns are submitted to Charity Commission and Companies House.

1. Executive Support

      Ensure the support function to the CEO and SLT is delivered efficiently and effectively, including direct line management of the Executive Assistant to the CEO and SLT PA’s.

1. Management and Development of Team members

      Responsible for managing a team of five direct reports and undertaking all People Manager duties, including:

• Setting objectives, workload planning, holding 121 meetings and regular reviews.
• Conducting Performance Development Reviews and giving timely direction and feedback.
• Building engagement within the team and creating an environment of trust and wellbeing.
• Coaching and developing team members to ensure professional and personal growth and career development and supporting any training needs. 
• Role modelling people management in line with BC’s values and competency framework, setting a good example from the CEO Office. 

1. Strategy, Planning and Budgeting

      Working with the CEO and SLT on the annual and long-term business cycles, including:

• Supporting with the creation of BC’s Strategy as required.
• Creating annual Directorate work plans to deliver actions and outcomes in line with BC’s strategic priorities ensuring  teams within your responsibility have clarity and direction.
• Working with Finance to ensure that the function has adequate budget to match the work plans and supporting with budget refresh and reforecasting.
• Supporting the Directorate with workforce planning and resource management as required.
• Responsible for the CEO Office budget.

1. Relationship building, partnering and culture development,

     Operating as a strong ambassador for BC and the CEO by:

• Cultivating and nurturing excellent working relationships both internally with all colleagues and trustees, and externally with branches, volunteers, partners, suppliers, funders, and sector networks.
