We are looking for an experienced Administration Manager to join the operational leadership team to oversee and manage the administrative department and aspects ensuring consistent, efficient and high-quality service and support across membership, registration and accreditation.
Although a leader of the administration team, you will work collaboratively and pro-actively with other members of the Operational Leadership and other departments to Contribute to a culture of continuous business improvement, while championing the values of BABCP.
The role will ensure that all processes align and where necessary meet external standards and best practice.
What you’ll be doing
· Provide operational and transactional direction and oversight to all administrative functions linked to the provision of Membership, Registration and Accreditation Teams.
· Line manage Administrative Leads providing leadership, professional development, performance management and operational work
· Develop, implement and monitor Key Performance Indicators and service standards for Membership, Registration and Accreditation
· Gather feedback and collaborate cross-departmentally with teams such as IT, Communications and Finances to optimise system functionality and support the end-to end membership journey.
· Develop, review and maintain administrative policies and procedures to ensure they remain up to date and fit for purpose for the system, staff and members.
· Manage complaints about customer service and aspects related to the administration of Membership, Accreditation and Registration, in consultation where appropriate with the Senior Staff Lead.
· Oversee and contribute to the maintenance of accurate records in CRM; carry out audits/ spot checks on CRM records to ensure quality and consistency of data and manage outcomes and recommendations.
· Oversee all ‘membership’ related provision including but not limited to onboarding, renewals, payments, declarations, and lapsing and where necessary the smooth administration of the PSA Accredited CBT Register, Accreditation and Registration including applications, awards, re-accreditation and audit
· Report and/ or recommend service process improvements initiatives to the Head of Membership Servies where effectiveness of service delivery is seen
· Ensure staff training and development is in place to ensure staff are meeting service standards and legislation requirements.
· Provide operational and data reports for senior management, track progress against KPIs
· Communicate and co-ordinate service development to ensure members have access to and information about their membership, registration, accreditation
· Oversee the management of member contact channels for the Administration of Membership, Accreditation and Registration including email, phone and any other services available for members to contact and receive from BABCP.
· Oversee the coordination of support for the Senior Leadership Team in organising meetings, making notes, carrying out research tasks.
What we’re looking for
· At least A Level qualifications or equivalent professional experience in related field (Business administration, management)
· Proven experience of managing administrative services within healthcare, public, or membership sectors
· Proven experience of supervising / line managing staff and teams
· Experience of developing, implementing and monitoring service standards and or key performance indicators
· Experience of using CRM systems to manage member/customer data, reporting and service delivery oversight.
· Experience of managing customer service issues or complaints and resolving them sensitively and effectively.

Product Lead – HOSTHub

Role Purpose
The Product Lead – HOSTHub is responsible for identifying, prioritising, and resolving day-to-day product challenges across HOST’s digital platform.
HOSTHub serves as the operational backbone of the organisation, enabling delivery across finance, legal, partnerships, and hosted partner services. In this role, the Product Lead ensures the platform functions effectively in practice—by understanding user needs, surfacing issues early, and driving the design, prioritisation, and rapid delivery of solutions.
While contributing to the longer-term product vision in collaboration with the leadership team and development partners, the primary focus remains on operational product delivery. This includes managing fortnightly sprint cycles, maintaining a dynamic and prioritised backlog, and ensuring continuous alignment between user requirements, internal processes, and platform capabilities.
The role requires a highly hands-on individual who thrives at the intersection of users, internal teams, and developers, with the ability to translate real-world challenges into clear, actionable product decisions.
Core Responsibilities
1. Product Problem Identification and Prioritisation
Lead the ongoing identification of friction points, inefficiencies, and system gaps across HOSTHub use cases, including those impacting hosted partners, funders, and internal staff workflows.
Maintain a dynamic, prioritised backlog of product issues and enhancements, informed by user insight and operational impact.
Work closely with delivery teams across finance, legal, partnerships, and community support to understand how the platform performs in practice and where it falls short of user needs.
Translate operational challenges into clear, well-defined product requirements that are actionable for development teams.
Ensure prioritisation is driven by delivery urgency, risk exposure, and opportunities for efficiency, rather than abstract feature development.
2. Sprint Management and Delivery Execution
Own the end-to-end delivery of the product, managing fortnightly sprint cycles.
Set sprint priorities, create and refine tickets, and ensure all development work is well-scoped, logically sequenced, and ready for delivery.
Collaborate directly with development contractors to run sprint planning, stand-ups (where applicable), and sprint reviews.
Validate completed work against real user workflows before release to ensure quality and usability.
Maintain clear visibility of progress, risks, and dependencies, escalating blockers and trade-offs to the Operations Director as needed.
Provide bi-weekly sprint reports outlining delivered outcomes, outstanding issues, and upcoming priorities.
3. User Engagement and Feedback Loops
Establish continuous feedback loops with both internal users (staff teams) and external stakeholders (hosted partners and funders).
Conduct structured user conversations to understand how systems are used in practice, not just how they were designed to be used.
Validate proposed solutions with users prior to development where appropriate, ensuring alignment with real needs.
Ensure user insights consistently inform backlog prioritisation and shape sprint scope.
Maintain a clear view of user satisfaction grounded in qualitative feedback, not just survey-based metrics.
4. Cross-Team Operational Alignment
Act as the central point of coordination across product, delivery teams, and external developers.
Ensure HOSTHub effectively supports real operational workflows across key service areas, including Project Hosting, Hosted Grantmaking, and Capacity Building.
Partner closely with Finance, Legal, and Partnerships teams to align system functionality with compliance, contractual, and reporting requirements.
Identify and resolve misalignments between team processes and platform functionality, either by adapting the system or clarifying and standardising ways of working.
5. Development Oversight
Manage the day-to-day relationship with the development team, ensuring requirements are clear and issues are addressed promptly.
Ensure all development outputs are practical, functional, and aligned with real operational needs.
Avoid over-specification and unnecessary complexity, prioritising simple, implementable solutions.
Track defects, rework, and technical debt, incorporating them into sprint priorities where they have a meaningful operational impact.
6. Data, Workflow, and System Effectiveness
Ensure HOSTHub captures and delivers data that is accurate, actionable, and aligned with reporting requirements.
Identify and implement opportunities to automate key workflows, reducing manual effort across teams.
Partner with internal stakeholders to ensure system logic supports compliance and audit requirements in day-to-day operations.
Maintain clear, practical documentation of key workflows and system behaviours to support effective operational use.

Work closely with the Legal Lead and Operations Director to ensure product decisions do not introduce unmanaged risk.
Prioritise data protection, security, and system reliability as core product considerations.

Take clear ownership of system incidents or failures, coordinating response and ensuring timely resolution and follow-through.

Location: Home-based in London with regular Project visits within London and the South East

As Volunteer and Community Support Officer you will support the London & South East Area Manager and Regional Managers with volunteer recruitment, documentation of training (such as DBS, references, Food Safety Level 2, First Aid), giving our volunteers a fantastic experience, guest outreach and giving extra support to our London & South East projects as and when required to aid development within the region.
As well as projects across London, our projects include projects across the South Coast and South East and this role will require regular visits across the area.

They will join a friendly and supportive team of seven colleagues who, together, are responsible for the delivery of CLAPA’s adult, family, children and young people and involvement services. The post holder will develop and deliver services for eight- to seventeen-year-olds, which will enable the young cleft community to connect, share experiences and access guidance and emotional support. Shaping what support looks like, creating positive impact and strengthening reach, this new role for CLAPA will make a real difference to the lives of children and young people born with a cleft.
