We’re looking for admin volunteers to help with our daily operations.  We have a variety of ways you can get involved:

• Responding to client requests and enquiries
• Fundrasing and partnership management
• Managing and updating company databases
• Keeping track of partnership enquiries
• Maintaining internal, volunteer, and client records
• Drafting and mailing client correspondence and newsletters
• Organising events, scheduling meetings, and making travel arrangements
• Providing administrative support to other departments or projects as needed
• Performing other duties as agreed in advance

We’ve designed our volunteering programme to be flexible and adaptive to you.  All volunteering is 100% remote and you’re supported fully by our team.  You control what you do and how many hours per week you want to volunteer.  Some roles may require an Enhanced DBS check. If your application is successful, we will ask for a donation towards the cost of your enhanced DBS check if it's required for your role. This cost is £22.60.

Do you have a laptop?

A laptop and a quiet space to volunteer is essential.

How much time can you give?

A minimum of 2 hours per week is required. We are flexible and like to work around you.

Training

We provide accredited training with 3 short courses needing to be completed prior starting your volunteer role.  After, you’ll have access to over 90 accredited courses should you want to study further.

Time expectation

This role is really flexible! You could choose to volunteer at one event for a couple of hours or attend multiple fundraising events.

We’ll keep you up to date with upcoming local events where volunteers are needed. You’ll then be able to choose which events you’d like to volunteer at and how many hours you’d like to give. However much time you can give, your contribution will help raise much needed funds to continue the work of Cats Protection.

1. Recruiting and selecting potential volunteers, acting as an ambassador for Plateful Café

2. Inducting volunteers into suitable roles based on their interests, experience and expectations and the charity's needs

3. Providing an initial point of contact with the charity and ensuring volunteers maintain a positive and confident approach

4. Supporting the volunteer team to ensure the provision of relevant experience, training and development opportunities as well as supervision and support

Key Responsibilities:

Exit Procedures & Offboarding

• Manage end-to-end exit processes for resignations, retirements, and contract conclusions, ensuring a respectful and consistent experience.
• Conduct exit interviews (virtually), document feedback, and share insights with the Talent Advisory team to identify trends and improve retention.
• Collaborate with Legal, IT, and managers to ensure the timely return of equipment and access revocation.

HR Records & Compliance

• Maintain accurate and up-to-date HR records (digital and physical), including contracts, right-to-work documents, and visa expiry dates.
• Prepare audit-ready documentation for internal and external compliance reviews (e.g., GDPR, ISO standards).
• Track and renew right-to-work checks, visas, and other legal requirements, flagging expiries proactively.

Administrative Support

• Assist the Talent Advisory team with administrative tasks, including drafting ER case correspondence, updating HRIS data, and generating reports.
• Manage HR system updates (e.g., employee status changes, promotions) and ensure data integrity across platforms.
• Coordinate team calendars, meetings, and training sessions to optimise workflows in a remote setting.

Data Protection & Security

• Serve as the first point of contact for data protection queries, ensuring compliance with GDPR and company policies.
• Train employees and managers on the secure handling of sensitive HR information in a remote work environment.
• Monitor access permissions to HR systems and escalate potential breaches to the Manager: Talent Advisory.

Qualifications

• Experience: 1+ years in HR administration, data management, or a similar role. Exposure to remote work environments is a plus.
• Skills:
• Exceptional attention to detail and organisational skills.
• Proficiency in HRIS platforms (e.g., BambooHR, Workday), Google Products, and virtual collaboration tools.
• Strong written communication skills for drafting policies, reports, and employee correspondence.

What will you be doing?

To support delivery of the E‑Save app, you’ll provide essential administrative support to our volunteer‑led, largely remote organisation. 

You’ll help keep the charity running smoothly by supporting the board and key personnel with communications, record‑keeping, document updates, online meeting organisation, task tracking and maintaining clear, well‑ordered systems.

What are we looking for?

We’re seeking a UK‑based volunteer with at least three years’ administrative experience, including confident use of Microsoft tools. 

You’ll be organised, detail‑focused and able to manage your own workload. 

You’ll support meetings, maintain online files, update documents, manage data and contact lists, and provide general admin support to the Board, Operations Director and volunteer HR team as needed.

What difference will you make?

Your work will provide the operational backbone needed for the organisation to grow and deliver its ambitious programme. 

By ensuring effective administration and communication, you’ll help enable drive the  focus on environmental impact—supporting the delivery of the E‑Save app and helping bring practical climate action into everyday homes across the UK.

The Widening Participation Officer tries to recruit, engage and support as many 16-18 year old volunteers as possible across all of our chapters, with particular focus on those that’d benefit the most from additional WP volunteers, often those
chapters doing the most events.

Due to the sizable scope of the role, the WP Subcommittee is there to help as needed. This is primarily through admin work. You should ensure that you have a suitable number of keen volunteers within the subcommittee that you can delegate tasks to, ensuring that they were well informed, supported and any tasks followed up. This is likely to involve plenty of messaging and occasional meetings.

A primary part of the role that you can delegate is to conceptualise and write the policy for managing 16-18 year old volunteers. This should have a focus on appropriate safeguarding and you can get input from the subcommittee and other Trustees/Officers but should include things like recruitment methods, required paperwork, risk assessments, management at events etc. These policies need to then be communicated effectively to committee and volunteers. 

There are several ways that WP volunteers should be recruited. Schools/6th Forms should be proactively reached out to and a long-term connection formed, ideally through a named person such as a head of year, head of medicine applications or career progression advisor. They can then pass the information on to their students using a range of methods ranging from email to sending a video to, if the local chapter is keen or a member of the subcommittee is nearby, an  in-person visit to an assembly or lunchtime/after-school training session.  

Efforts should be made to build relationships with National bodies that provide volunteering or work experience to 16-18 year olds such as In2MedSchool and Medic Mentor, working closely with them to advertise our volunteering to their
students. 

Once students are interested, they should be able to register as volunteers and attend an Introduction Training session. This can be a WP-specific session with particular focus on benefits and support for WP volunteers such as Duke of Edinburgh hours.

Once volunteers are involved, they should be supported through their time with us including email updates, check-ins, social media posts and training sessions around key times such as university applications.

Finally, of particular note, you should work with the Conference Officer to ensure that WP volunteers are supported in attending the Annual National Conference, in a safe way and have talks of interest to them.

· keeping financial records from fundraising events

· encouraging and promoting a professional image of Cats Protection 

· following policies and guidelines and ensuring licences and permits are obtained for events

Time expectation

Our fundraising team leaders usually spend three to four hours per week in this role, which is flexible and can be shared by more than one volunteer if needed.
