About the role:

To provide proactive and high-quality administrative support within the Membership Services Team. The role focuses on delivering excellent customer service, building strong relationships, and offering clear guidance to RDA’s Member Groups, RDA Approved Centres, volunteers, participants, and the general public.

Specific Responsibilities

Member network and external communication with RDA National Office:

• Act as the first point of contact for incoming calls to the RDA National Office, dealing with enquiries professionally and escalating when required.
• Manage shared email inboxes, responding promptly to queries and working with relevant teams to ensure follow-up.
• Monitor enquiries to identify trends and share insights to improve service and communications.

Provision of support to the Membership Services Manager for Membership matters. This will include, but is not limited to:

• Provision of guidance and support via calls and email to groups on operational matters including governance and health and safety (including first aid and risk assessments), directing to appropriate resources and self-service options. Highlight gaps and issues to the wider team.
• Administrative project support for ongoing initiatives and live projects.
• Maintenance and updating of the Salesforce Customer Relationship Management (CRM) system to ensure data integrity, accuracy, and confidentiality.
• Updating content on our internal network site (MyRDA) to ensure it is accurate and up to date, ensuring groups are signposted to relevant resources.
• Provision of administrative support to the team and wider Operations function, including coordination of training events, courses, and webinars—ensuring delegates are well-informed and receive the necessary resources.
• Supporting annual business-as-usual activities such as mail-outs and assisting member groups with membership fee and insurance processes, as well as the RDA annual returns process.
• Assisting with administrative processes related to the wider team’s operations, including onboarding of new groups and RDA Approved Centres, group closures or incorporations, royal visits, and national RDA events.
• Manage the RDA Group Orders system, including processing and dispatching orders, stock replenishment, liaising with suppliers, and maintaining website listings.
• Support the handling of complaints and concerns in line with the RDA Complaints Policy & Procedure, escalating to relevant team members where appropriate.

Be proactive in communicating with RDA Groups and the wider network by:

• Listening and responding to concerns of groups
• Promoting and celebrating group achievements and milestones
• Clarifying the support provided by RDA National Office to groups
• Visiting groups to observe good practice, and sharing this across the network

We are looking for a Community Support Administrator to enhance our offer to people diagnosed with aplastic anaemia, and their friends and families . You’ll help our successful fundraising and support teams to do more.

Reporting to our Community Fundraising and Events Manager 

We are passionate about creating opportunities for our community to support us in ways that create joy in their own lives and help them feel empowered in the face of serious illness. Our fundraising activities are designed to help tackle the isolation and other difficulties that are faced by those living with a rare and serious condition. You’ll help us make sure that fundraising for The AAT is a life-affirming and joyful experience.

Our small team are fully remote across the country. You’ll be based on your own in our small office/post room in Birmingham with regular face-to-face meetings with your manager (who lives locally). You’ll keep in touch with the rest of the team via Microsoft Teams.

The first line of support 

As a small charity representing an ultra rare condition, the people we support and the people who support us through fundraising are often one and the same.

You’ll sit within the fundraising team, but your role spans the organisation, and you’ll also deliver essential administration support for our Support Team. 

The Aplastic Anaemia Trust is the only charity who publish information about aplastic anaemia for patients and families. You will post booklets to patients and to hospitals, heading to the post office twice a week to fulfil orders. You’ll also support our volunteer moderators to administer the Patient Support Facebook Group. 

This is a varied and interesting role which gives you the opportunity to see your impact first-hand as you’ll be interacting directly with people whose lives are affected by aplastic anaemia. You will support our community with understanding and empathy. 

As a Community Support Administrator, you will...  

• Manage our online shop, fulfilling orders promptly. Track inventory and re-order items that are running low 

• Send thank you messages and cards to supporters 

• Update our CRM and keep up to date and accurate data on our community 

• Create and schedule social media posts and event listings on our website.

Aplastic anaemia is a rare and life-threatening condition caused by the bone marrow not functioning properly. 

In people with aplastic anaemia, the bone marrow fails to produce enough of all three types of blood cells – red, white and platelets. 

Aplastic anaemia treatment is very similar to the treatment someone might have for leukaemia - but because it's so rare, families often don't have access to the same information and support. 

The Aplastic Anaemia Trust is the only charity in the UK dedicated to supporting people affected by aplastic anaemia and funding research into this rare form of bone marrow failure.

The National Youth Agency is looking for a new Assessment & Data Administrator to join our Academy Team.
 
Contract: Permanent
Hours: Part time – 18.5 hours per week
Salary: £25,000 per annum (pro rata £12,500)
Remote: This role is homebased with occasional travel for staff residentials and other events.

About the Role

The Assessment and Data Administrator role is responsible for assisting with online assessment systems to ensure that full compliance of awarding organisations requirements are adhered to. Additionally, this individual will be the first point of call within the team for candidate or customer queries around our operational processes. 
 
We are looking for a positive, self-starter with strong organisational skills, who is confident with managing multiple tasks, and priorities and is able to provide an efficient support. The ideal candidate will be able to work well in a team and also work of their own initiative, confidently communicate with stakeholders at varying levels of seniority and display judgement, integrity and trustworthiness as you will be privy to learner information.
 
To be considered for this role, the successful candidate must have previous experience of working with IT and online learning platforms and be confident in managing the breadth of tasks within this function.

• Registration of learners across awarding organisation(s) for all courses.
• Maintenance of learner records with the awarding organisation(s).
• Supporting lead IQA in preparation for external quality assurance visits.

We are seeking a new Finance and Administration Officer following the upcoming retirement of a long-serving team member. A key member of the SLA central office team, the Finance and Administration Officer plays a vital role in ensuring smooth financial operations and providing essential administrative support for our membership. In addition to administration support, this role is responsible for maintaining accurate financial records, book-keeping and effective day-to-day financial operations, producing financial reports using XERO and our CRM.

You will be experienced in financial and administration operations of a charity or similar , with an AAT qualification or matching worked experience. Familiarity with XERO will be an advantage. You will be able to bring understanding of cashflow and financial analysis of figure, working with accountants as required.

You will also have excellent customer service skills and be able to work effectively with all stakeholders from our members, to funders to suppliers. You will be determined and have an excellent eye for financial and administrative detail. Your duties will include general administration and:

Financial operations and record-keeping

• Manage day-to-day financial transactions and maintain accurate records of all SLA accounts and petty cash; book-keeping
• Process and record all incoming payments, including foreign cheques (into bank account)
• Monitor cashflow and expenditure, keeping track of spending
• Pay invoices upon approval and ensure timely monthly payments (e.g. pensions, HMRC)
• Handle creditor and supplier communications and resolve related issues
• Monitor and follow up on overdue payments with a focus on membership payments

Invoicing and income tracking

• Issue and track membership and subscriber invoices and reminders
• Keep office team informed of payment statuses
• Prepare sales, cost, and profit reports for SLA publications
• Conduct annual publications stock take

Payroll and reporting

• Liaise with the accountant on salary payments; process salary BACS payments
• Support year-end financial reporting by providing necessary documentation to accountants
• Produce regular financial reports and analysis as required
• Supporting preparation of budgets, working with accountants as required

 Event financial administration

• Manage financial aspects of SLA events, particularly the annual conference (e.g., exhibitors, sponsors, and delegates)
• Process and record staff/trustee expense claims
• Support with bookings accommodation and travel for Board meetings

To be successful in this role you should demonstrate:

• Strong experience in financial and office administration
• Knowledge of accounting principles

Role Purpose: The Grant Operations Officer plays a pivotal role in ensuring the smooth operation of the charity's grant giving functions.

Key responsibilities:

• Build strong, transparent, appropriate relationships with British Gas and Centrica, and act as a liaison on a day-to-day basis with project teams.

Direct grant scheme: Debt Write Off & Financial Assistance Payments, White Goods & Money Advice - administration & monitoring:

• Support the Head of Services with the debt write off and all programmes including working with Third party contractors as appropriate.

• Work with the Head of Services to build strong relationships with Third Party administrator(s).

• Work closely with British Gas & other third-party contractors to understand their operational process for vulnerable customers, applications and referrals as well as any dependencies.

• Support BGET’s understanding of money and advice sector across England, Scotland and Wales, including sharing policy knowledge and sector developments within the 3 nations.
• Contribute to new initiatives with British Gas and grant giving programmes.

· Support the effective management of the Trust’s grant programmes across England, Scotland and Wales, including:

• Build & manage positive relationships with the grant assessment team and British Gas internal teams. 

• Providing appropriate support to ensure the direct grant programme runs efficiently and effectively, with grant funding distributed to budget and schedule.

• Undertaking both face to face and virtual monitoring visits of the helpline and application portal and assessment teams – including ongoing KPI and impact evaluation process, creating comprehensive follow-up reports including end of grant reports.

Reporting & Contract Management:

• Ensure all data collection aligned to current Data Protection regulations and use and storage of data is in line with the Trust’s own policies and provide reassurance to the Head of Services.

• Ensure accurate data is in place for year-end reporting, quarterly and including assisting Head of Services with quarterly and End of Year Board reporting.

 Reporting & Contract Management: 

• Identify risks to delivery and work with the grant administrator to help resolve any challenges with delivery that impact on the grant obligations.

• To work with internal and external monitoring and evaluation specialists, to gain impact and understanding of the effect of our funding schemes.

Knowledge Sharing

• Identify and develop opportunities to work collaboratively and share learning.

• Ensure case studies and other content is collated from grant recipients to share through our channels.

Please note the employee will be required to undertake any reasonable work or task requested by the Trust, this will include occasional travel, potentially overnight, in England, Scotland and Wales.
