Position Overview

This is an exciting opportunity for an early-career development professional to gain practical experience in operations and administration while supporting impactful community and conservation programmes in southeast Madagascar. Based in the coastal town of Fort Dauphin, the Junior Operations and Support Officer will play an important role in supporting the systems and processes that enable SEED Madagascar’s projects to run effectively.

SEED Madagascar is a UK registered charity dedicated to creating long-term, sustainable change in partnership with communities in the southeast of Madagascar. Our programmes integrate community health, water, sanitation and hygiene (WASH), education, rural livelihoods and environmental conservation initiatives, while contributing to international best practice through research and publications.

Working within a collaborative team of national and international staff, the Junior Operations and Support Officer will contribute to the day-to-day operations that underpin SEED’s work. This office-based role provides a wide range of responsibilities, offering valuable experience across administration, organisational systems and programme support. The role will also involve occasional interaction with SEED’s Conservation Research Team in the field, providing orientations and pastoral care to the volunteers on their programme.

The position sits at the heart of SEED’s operations and offers broad exposure to the practical realities of working within an international development organisation. The successful candidate will support organisational policies and procedures, assist with the recruitment of international staff and volunteers, coordinate onboarding processes for new team members, and contribute to the management and promotion of SEED’s short-term conservation volunteer programme.

This role is ideal for someone who is organised, proactive and motivated to support a diverse team. It offers an excellent opportunity for an early-career professional who is interested in building skills in operations, administration and organisational support within the international development sector, while contributing to programmes that support both communities and ecosystems in Madagascar.

Title: Junior Operations and Support Officer

Location: Fort Dauphin, Madagascar

Commitment: 12 months; Monday to Friday (35 hours a week)

Salary: Voluntary for 12 months, with stipend of 800,000 MGA per month towards accommodation and a contribution of £650 towards insurance

Duties and Responsibilities:

1. Provide pre-departure logistical support and advice with visas, hotels, flights, accommodation, medication etc to new international staff and short-term conservation volunteers

2. Lead on supporting international staff during their initial time with SEED including arrival, orientation, social inclusion, cultural understanding, housing and integration into the SEED team. 

3. Provide pastoral care, working with line managers to ensure that new and existing international staff and volunteers’ wellbeing is supported. 

4. Support the Conservation team in Sainte Luce on providing orientations and pastoral care of volunteers when required

5. Support the Communications team with advertising the volunteer programme and helping volunteers to increase their fundraising efforts

6. Support on the recruitment of international staff, including the advertisement of vacancies

7. Assist in the preparation of reports for internal and external audiences including Annual Reports and Malagasy Ministry reports

8. Work with the Director of Operations and Programmes, and the International Operations Manager in developing, updating and implementing organisational databases, systems, policies and procedures across the NGO

9. Oversee the training schedule for international staff and work alongside national and 

10. International staff to increase their skills and capacity, providing mentoring or training where appropriate

11. Support with the writing of minutes and note taking across the organisation

12. Ensure all of SEED’s policies and procedures are evident throughout the work of the department, including those for safeguarding, whistleblowing and anti-corruption, and undertake continual training to ensure these are always promoted

13. Assist with administration tasks and any other tasks required by the International Operations Manager or Director of Programmes and Operations in line with the tasks of the post

Required Skills & Experience/Person Specification 

• Hold an undergraduate degree in or relating to Development or be able to demonstrate a passion for this area

• Be able to work independently and be proactively

• Have good all round computing skills and experience in Microsoft Office 

• Have previous experience working to deadlines and have ability to successfully manage their time

• Communicate clearly and engagingly in written English across a range of media forms

• Communicate verbally to encompass the range of cultures you will be working with

• To have a good level of written English and be able to proofread documents to a high standard

• To have a curious mind and a patient, problem solving attitude

• Ideally have previous experience living, working or travelling in a developing country, though is not essential

• Be fluent in English. A working knowledge of French is desirable but not essential

• Be capable and comfortable adapting to life in a least developed country with sometimes basic living conditions

• Be comfortable with campsite conditions whilst supporting the team in the field for days at a time

• Be able to work and socialise within a small group of people and to be respectful and take personal responsibility for maintaining a good reputation for the NGO in the community

• Be able to adjust to life in another culture and a foreign language and be able to always work with cultural sensitivity

• Demonstrate the ability, social skills and confidence to give clear guidance and support to other members of the team in respect of the philosophy and procedures of SEED to protect both their safety and the reputation of the NGO.

What can I expect to be doing? 

As a flexible role, you have the choice to be involved in the following: 

• Face-to-face fundraising – organising or helping with our fundraising events, attending supermarket collections or local markets. 

• Distributing collection tins – popping collection tins into local shops and pubs and collecting them when they’re full. 

• Bringing new ideas! - We always love to come up with new ideas to raise funds for cats and we’d love to help bring yours to life. 

• Engaging with your local branches and Fundraising Hub and feeling like an integral part of the team!

The Widening Participation Officer tries to recruit, engage and support as many 16-18 year old volunteers as possible across all of our chapters, with particular focus on those that’d benefit the most from additional WP volunteers, often those
chapters doing the most events.

Due to the sizable scope of the role, the WP Subcommittee is there to help as needed. This is primarily through admin work. You should ensure that you have a suitable number of keen volunteers within the subcommittee that you can delegate tasks to, ensuring that they were well informed, supported and any tasks followed up. This is likely to involve plenty of messaging and occasional meetings.

A primary part of the role that you can delegate is to conceptualise and write the policy for managing 16-18 year old volunteers. This should have a focus on appropriate safeguarding and you can get input from the subcommittee and other Trustees/Officers but should include things like recruitment methods, required paperwork, risk assessments, management at events etc. These policies need to then be communicated effectively to committee and volunteers. 

There are several ways that WP volunteers should be recruited. Schools/6th Forms should be proactively reached out to and a long-term connection formed, ideally through a named person such as a head of year, head of medicine applications or career progression advisor. They can then pass the information on to their students using a range of methods ranging from email to sending a video to, if the local chapter is keen or a member of the subcommittee is nearby, an  in-person visit to an assembly or lunchtime/after-school training session.  

Efforts should be made to build relationships with National bodies that provide volunteering or work experience to 16-18 year olds such as In2MedSchool and Medic Mentor, working closely with them to advertise our volunteering to their
students. 

Once students are interested, they should be able to register as volunteers and attend an Introduction Training session. This can be a WP-specific session with particular focus on benefits and support for WP volunteers such as Duke of Edinburgh hours.

Once volunteers are involved, they should be supported through their time with us including email updates, check-ins, social media posts and training sessions around key times such as university applications.

Finally, of particular note, you should work with the Conference Officer to ensure that WP volunteers are supported in attending the Annual National Conference, in a safe way and have talks of interest to them.
 

Cheer Squad Volunteer - London Marathon Sunday 26th April & London Landmarks Half Marathon Sunday 12th April. 

Our vision for volunteering

Volunteering is and always will be at the heart of Cats Protection. It is joyful and inclusive. As a charity, working in partnership, together we transform the lives of cats, people and communities.

The difference you will make to cats and people

 As a charity, we are only able to help thousands of cats and kittens each year thanks to the donations we receive from generous members of the public. Fundraising events are a great source of income for the charity. As a Cheer Squad Volunteer, you will support Cats Protection’s event participants make it through their challenge by cheering them on at selected cheering points along event routes. You will also be instrumental in raising awareness and representing the charity.

What can you expect to be doing?

• Cheer on our event participants who are taking part to raise funds for Cats Protection.
• Waving hand flags
• Using inflatable ‘bangers’ to make noise
• Shake maraca’s
• High ‘paw’ participants
• Represent Cats Protection by wearing one of our branded high-vis vests (supplied).
• Set up cheer spots including attaching banners, putting together sail flags and blowing up balloons.
• Provide a smile, enthusiasm and motivation

Locations

This role is based at various mass participation events across the UK where we set up Cats Protection cheer points.

Exact locations will be given after you have signed up however below are our current cheer points: 

1. London Marathon
2. London Landmarks Half Marathon

Support, guidance and keeping you safe

At Cats Protection we believe our volunteers should be happy and confident in their roles. We provide support and guidance from our National Cat Centre and through our regional and local volunteer groups and teams. We offer engaging online and face-to-face training, expenses and have policies and processes to help volunteers get the most out of their time with us.

Fundraising team leader volunteer

The difference you will make to cats and people

As a charity we are able to help thousands of cats each year thanks to the generous donations we receive from members of the public. Our fundraising team leaders have the exciting and varied role of inspiring our fundraising volunteers to plan and deliver local fundraising events. Using their passion and imagination, they oversee a small team of fundraising volunteers who come together to raise the vital funds needed to cover costs such as veterinary bills and food. Our fundraising team leaders support their team of volunteers in all aspects of their roles, making sure our volunteers are happy, confident and supported.

You can expect us to

• cover agreed out-of-pocket expenses in line with our Expenses Policy
• provide you with access to learning, development and engagement opportunities

What we need from you

You’ll be:

· supporting and encouraging a team of fundraising volunteers

· planning fundraising events and activities with your team

· allocating tasks before and during fundraising events

· keeping financial records from fundraising events

· encouraging and promoting a professional image of Cats Protection 

· following policies and guidelines and ensuring licences and permits are obtained for events

Time expectation

Our fundraising team leaders usually spend three to four hours per week in this role, which is flexible and can be shared by more than one volunteer if needed.

Fundraising events helper

The difference you will make to cats and people

As a charity we can continue to help cats and kittens in need thanks to the donations we receive at fundraising events from generous members of the public. Our fundraising event helpers have the exciting and varied role of helping at local fundraising events - such as cakes sales, barn dances, quiz nights – and everything in between!

You can expect us to

• make you feel welcome, included and respected in line with our values and behaviours
• support you in having a positive and impactful experience at Cats Protection
• cover agreed out-of-pocket expenses in line with our Expenses Policy
• provide you with access to learning, development and engagement opportunities

What we need from you

You’ll be:

· help set up and/or man stalls at events

· help on collection days like supermarket collections events or street collections

· help at fundraising events such as quiz nights, cake sales and dances

· promoting a professional image of Cats Protection at events

Time expectation

This role is really flexible! You could choose to volunteer at one event for a couple of hours or attend multiple fundraising events.

We’ll keep you up to date with upcoming local events where volunteers are needed. You’ll then be able to choose which events you’d like to volunteer at and how many hours you’d like to give. However much time you can give, your contribution will help raise much needed funds to continue the work of Cats Protection.
