Job description

This is an exciting time to join Age UK East London as we are preparing for significant growth over the next few years. We are looking for a dynamic individual with a minimum of five years’ experience in facilities management and contract support.  The ideal person should be positive and be able to think quickly, to problem solve and be able to demonstrate both excellent administrative and people skills. This role will suit someone who would like to use their talent and skills to support the benefit of older people and have real impact on their communities across East London. As a member of the senior management team you will play a vital role in the development of the organisation as well as representing Age UK East London and maintaining good relationships with many internal and external stakeholders.

Job purpose

  • To manage our existing leases and sub leases
  • To supervise and coordinate the move into an additional building and to manage the subletting of space to other voluntary sector organisations
  • To ensure our facilities are maintained to a good standard so that they can be used for the maximum benefit of the community.
  • To manage the supportive infrastructure, including IT and telephony
  • To provide administrative, contractual and operational support across our services and fundraising Directorates. 
  • Provide project management to support to the Directors as required.

Key tasks

  • Manage all the facilities’ contracts to provide business support for the organisation.
  • Ensure efficiency and value for money in all business support services.
  • Review all business support services on a timely basis and ensure it supports the need of the organisations.
  • Supporting the organisation with administration of service contracts and maintain a good relationship with partners and contractors.
  • Manage the subletting of our new building (the Mary Lloyd Centre), be the main point of contact, resolve operational issues and maintain a good relationship across partnership occupants.
  • Manage the current IT and Telecom contractors to support the organisation.
  • Develop and facilitate IT and telecom services to new projects.
  • Manage new projects to deliver new services across the borough where appropriate.
  • Drive continuous improvement initiatives across contracts.
  • Reviewing and maintaining lease agreements and manage sub lettings.
  • Ensure health and safety systems policies are in place.
  • Complete corporate health and safety risk assessments.
  • Manage our offices and other buildings to a good standard.
  • Maintain accurate contract databases and business continuity plan.
  • Shadow directors in project management and reporting if required.
  • Ensure services, buildings and vehicles are fully insured.
  • Maintain good relationship across many stake holders. 
  • Carry out any other management duties commensurate with the designated role level.
