A little bit about the role

Contract: Full time, fixed term
Salary: £87,632.09 (incl London Office Allowance) plus competitive pension

The Culture and Operations Director (COD) ensures Frontline is a high-performing, well-governed charity with a strong culture of freedom and responsibility - a place people can do their best work to achieve Frontline’s mission.

They have strategic responsibility for charity-wide planning to ensure Frontline’s operational functions, effectively support teams to navigate challenges whilst maximising new opportunities. The successful candidate will join Frontline at a pivotal moment and play a key role in driving the next exciting step of our growth.

The COD will ensure high-quality operational support is available to all teams. Working closely with Frontline’s Leadership Group (Heads and Directors), to make sure that the appropriate and timely information, tools and guidance (e.g. HR, IT and finance) are available to managers and teams as needed. This includes working alongside other members of SLT, to:

• Confidently support Frontline through a period of growth and structural change
• Embody the culture of freedom and responsibility, leading by example, and implementing strategies which improve efficiency and quality
• Maintain Executive oversight of Frontline’s finances, working  with Head of Finance and Finance Audit and Risk Committee (FARC) Chair to ensure budgeting and financial decision-making is robust and strategic, to support the ongoing stability of the charity
• Maintain clear communication across teams, ensuring a connected and informed workforce who collaborate effectively. Oversee the success of key events such as annual all-staff away days, monthly gatherings and leadership stocktakes
• Develop strong relationships with key stakeholders including Frontline trustees, partner organisations and the Department for Education (DfE)
• Effectively lead teams to maintain Frontline's strong track-record of meeting legal/regulatory requirements, to minimise risk to the charity

Key Responsibilities

The COD will lead teams delivering on operational priorities in line with freedom and responsibility, to ensure we remain high performing:

Change management:

• Lead the coordination and project-management of an organisation-wide restructure, ensuing the charity is well-positioned to deliver on contractual obligations whilst diversifying to further amplify our impact and that teams are kept well-informed and feed into structural changes
• Support Frontline teams to work  collaboratively and deliver plans to broaden the scope of Frontline's work, extending activity beyond current areas of focus whilst maintaining a strong, shard commitment to Freedom and Responsibility.
• Develop and adhere to tracking and monitoring systems ensuring annual priorities remain on track to achieve Frontline's mission and long-term strategy.

People and Culture:

• Manage the Head of People to identify new and creative ways to further strengthen and embed our culture and grow personal accountability
• Support the Head of People to ensure excellent HR administration, support and use of data (e.g. staff turnover, sickness levels and performance reporting) to inform future planning and decision-making
• Ensure the team design and deliver high-quality staff induction and training which support staff to thrive (e.g. personal leadership, managing effectively and radical candour)
• Maintain awareness of trends and developing technologies to support efficiencies, e.g approaches to recruitment and support to managers.

Finance and Governance:

• Manage Head of Finance and Compliance to ensure sound budget management (£25m annually), financial controls and clear reporting mechanisms are in place
• Work with the Finance team to ensure FARC and the board have the necessary information and confidence in the financial leadership of Frontline.

Charity Quality and Efficiency:

• Manage and support IT and System leads across Frontline, ensuring they have the resources and compliance mechanisms to ensure robust systems are in place.
• Support Contract Governance teams to negotiate and implement significant government contracts, ensuring outcomes are achievable and effective governance and commercially sound contracts are in place.

• Monitoring data quality and improving how supporter information is recorded

About you

You may already be working as a Database Officer, CRM Officer or charity data specialist and be ready to take the next step in your career.

Accountabilities

This is a genuine opportunity to contribute first-hand to the strategic running of a national charity, with close visibility of how the organisation is led and governed. You will be trusted with sensitive information, exposed to strategic decision-making, and given the chance to shape how the CEO's office and the wider senior leadership team (SLT) operate day to day.

Beyond the traditional diary, travel and correspondence duties, you will play an active part in the mechanics of governance and decision-making- supporting board meetings, tracking actions to completion, and ensuring that what lands on the CEO's desk is accurate, well-presented and ready to act on. You will also work closely with the newly appointed Project Management Office (PMO) Lead, helping ensure that updates on risks, issues and KPI tracking reach the CEO promptly and in a digestible form, so that the CEO's time and attention are focused where they are needed most. It is an ideal role for an experienced EA or Personal Assistant who wants more ownership, more variety, and closer involvement in the strategic life of an organisation than a traditional support role typically offers.

This role offers direct exposure to the strategic and governance rhythm of the organisation- from board papers to senior stakeholder meetings- for someone who wants their EA experience to build towards broader organisational and governance expertise.

Key Duties / Responsibilities

Supporting the CEO:

• Proactively manage the CEO's diary, resolving clashes and prioritising competing demands on their time in line with organisational priorities.
• Act as a first point of contact for the CEO, screening and triaging correspondence, calls and requests, and responding or redirecting where appropriate.
• Build strong working relationships with the CEO's key internal and external contacts, acting as a trusted and professional representative of their office.

Diary, Travel & Logistics:

• Coordinate complex diaries across multiple stakeholders, both internal and external, including scheduling and rearranging meetings at short notice.
• Book and manage travel, accommodation and venues, including researching options, managing costs, and having contingency plans in place.
• Prepare itineraries and briefing packs ahead of trips, meetings and events, ensuring the CEO is fully prepared.
• Process expenses and invoices relating to the CEO's activity in line with company policy.

Meetings, Minutes & Action Tracking:

• Attend meetings chaired by or involving the CEO to take accurate, concise minutes and notes, distinguishing decisions from discussion.
• Maintain a live action log across meetings, proactively chasing owners and reporting progress back to the CEO so nothing is missed.
• Organise logistics for meetings and away days, including rooms, catering, materials and technology.
• Work closely with the Project Management Office (PMO) Lead to ensure that risk, issue and KPI updates are routed to the CEO promptly and in a clear, digestible format, helping the CEO focus attention where it is most needed.
• Liaise with the PMO Lead on scheduling and papers for any meetings that bring project or programme updates to the CEO, ensuring consistency with the wider action and decision tracking maintained for the CEO's office.

Board & Governance Support:

• Support the coordination of board and committee meetings, including scheduling, collating and distributing papers to agreed deadlines.
• Take and produce minutes for board and committee meetings, working closely with the CEO (and Chair/Company Secretary, where applicable) on accuracy and follow-up.
• Maintain a board actions and decisions tracker, and support the CEO in preparing for board cycles.
• Maintain confidentiality and good document control over board papers, minutes and related governance records.

Document & Presentation Production:

• Produce first drafts of documents, reports, briefings and PowerPoint presentations for the CEO to review, amend and finalise.
• Format and polish documents and slide decks to a professional, consistent, on-brand standard.
• Review documents and correspondence prepared by others before they reach the CEO, checking for accuracy, clarity, tone and fitness for purpose, and flagging any concerns.

Support to the Senior Leadership Team:

• Provide reasonable and proportionate admin support to other members of the SLT, prioritised in agreement with the CEO.
• Minute meetings with senior internal and external stakeholders on behalf of SLT members, as required.
• Assist with occasional diary, travel or document support for the SLT where this does not conflict with the needs of the CEO.

Office & General:

• Maintain efficient filing, contact and information systems for the CEO's office.
• Handle sensitive and confidential information with discretion and sound judgement at all times.
• Undertake other duties reasonably commensurate with the role, as required by the CEO.

Skills / Experience / Knowledge:

Essential:

• Significant experience as an EA, PA or senior administrator supporting a CEO, director or other senior executive.
• Experience taking minutes and tracking actions for senior-level or board/committee meetings.

The Finance Assistant (Apprentice) is responsible for providing general financial support to the organisation through the completion of a variety of financial tasks with the support and guidance of the Finance Manager, whilst undertaking learning and development leading to an AAT Diploma in Accounting (Level 2 or Level 3, depending on current qualifications and experience).

Future Dreams is a pioneering UK charity providing psychological, practical, and emotional support to people diagnosed with breast cancer. We also champion early detection through breast health masterclasses and fund vital research into secondary breast cancer.

Based at Future Dreams House in King’s Cross — our welcoming breast cancer support centre — we deliver a vibrant programme of in-person and online services, community activities, and one-to-one support with specialist nurses, counsellors, and therapists. Everything we do is driven by one clear belief: nobody should face breast cancer alone, or without hope.

We are now looking for a Finance Assistant to join our growing team and play a key role in strengthening our in-house finance function.

About the role

This is a fantastic opportunity for an organised, detail-driven finance professional who wants to develop their career within a purpose-led charity.

Working closely with the Head of Finance, you will support the smooth day-to-day running of our finance operations, ensuring transactions are processed accurately and on time, records are well maintained, and financial controls are consistently applied. You’ll contribute to reliable reporting, support audit and compliance activity, and help build efficient processes that enable the charity to operate effectively.

You will also work collaboratively with colleagues across the organisation and liaise with suppliers and external stakeholders, becoming a trusted part of a friendly, supportive team that values accuracy, integrity, and continuous improvement.

About you

You will be an organised, accurate and conscientious finance professional who takes pride in getting the detail right and following processes through to completion.

You will have:

• At least two years’ relevant experience in a finance or accounting role.
• An AAT Level 3 qualification, or equivalent.
• Practical experience of processing supplier invoices, expenses and other financial transactions accurately.
• Experience of bank and/or supplier account reconciliations and investigating discrepancies.
• Good working knowledge of Xero or a similar accounting system.
• Strong Excel skills and confidence working with financial data and spreadsheets.
• Excellent attention to detail and a high degree of accuracy.
• The ability to organise your workload, manage competing priorities and meet financial deadlines.
• A practical, solutions-focused approach, with the confidence to investigate queries and escalate issues where appropriate.
• Strong written and verbal communication skills and the ability to liaise professionally with colleagues, suppliers and other stakeholders.
• The ability to work independently while contributing positively to a small, collaborative team.
• Integrity and discretion when handling confidential financial and personal information.

Experience of month-end processes, charity finance and/or working within a not-for-profit organisation would be advantageous.

AAT Level 4, or progression towards a professional accounting qualification, would also be desirable.

· £24,000 - £28,000 pro rota, per annum (FTE £30,000 - £35,000 pa)
