Overall purpose
To have overall responsibility for the successful planning and delivery of the ASL Summer Program. The selected candidate will be accountable for designing, budgeting, recruiting, promoting and supervising the day-to-day operations of the program, providing a safe, enjoyable, and age-appropriate experience for campers that is culturally aligned and similar to the day program at ASL. This leadership position is charged with the long-term objective of evolving and changing the program to improve offerings, and experiences and ensure sustainable financial performance.
Responsibilities
Program oversight
Work with school administration to set strategy and goals for the summer program, in alignment with the overall goals of the school
Develop and monitor budgets and KPIs
Design and create the program of offerings (before the portal opens in March)
Actively enhance and grow all aspects of the summer program
Create or enhance program policies and procedures
Conduct a post-summer debrief, incorporating surveys, performance data analysis and a report to management
People
Ensure appropriate staffing for all programs, including the recruitment and ongoing management of staff
Hire and schedule teachers, coaches, assistants, and counsellors with the assistance of the Canons Park Manager (s) and other team members.
Ensure counsellors are interviewed, trained and supported to work in the program.
Hire supporting staff when needed.
Support HR to ensure all summer program hires are correctly DBS checked and complete necessary training materials before starting work.
Planning / Operations
Conduct advance planning for all aspects of the program during the school year
Coordinate between various departments to ensure the summer program and facilities are adequately prepared
Work with the Transport Manager to ensure appropriate busing is arranged for offerings. Also, manage buses during the summer weeks..
Supervise the morning drop-off and collections during the summer weeks.
Support the Canons Park Manager and other program leads with any challenging parent communications or interactions during the summer weeks.
Support the coordinator(s) with any issues related to parent registrations or refunds.
Respond to messages from the summer email inbox from December.
Supervise the careful release of campers by counsellors, coaches and teachers to their parents at Waverley Park.
Manage any possible parent complaints, including but not limited to refunds, camp swapping etc
Manage and support any child safeguarding concerns that may arise during the summer.
Work with the Facilities Manager to organize room locations and spaces
Other
Update and test the employment pages and forms, the summer web pages, and the Veracross portal listings.
Manage and confirm the weekly payroll and submit it for processing.
Work with the Accounts department on payroll, purchasing (Soldo cards), budgeting and abiding by the ASL financial procedures.
Work with the Advancement department (ASL communications/website team) to set up / update the webpage and advertise the programs internally and externally through school announcements, emails and local magazines
Selection criteria
Essential qualifications/experience:
Experience working with children of the ages 5 to 14 years old
A positive and flexible attitude towards working in and leading a team
Excellent communication and interpersonal skills
A demonstrable awareness of and commitment to diversity and inclusion and to safeguarding in education
Comfort with using a variety of technology platforms
Previous experience managing/leading teams
A professional approach and experience with customer service
Desirable qualifications/experience:
Previous teaching or assistant teaching experience with children
Previous experience with hiring extracurricular teachers and assistants
Previous experience with designing and managing activities for children
Experience with managing budgets and meeting financial or performance targets

Responsibilities
Finance & Board Administration
Financial Oversight: Manage invoice creation, process team expenses, have a good understanding of our overall budget, and pull monthly budget reports from Sage for budget holders.
Reporting: Prepare core financial reports for the board (budget vs. actuals, projections, cash flow charts) and support fundraising financial queries.
Board Support: Coordinate quarterly board meetings, manage agendas/slides, take action notes (utilising AI tools), and track the risk and action logs.
Operations, HR & Governance
HR Support: Manage employee onboarding/offboarding, set up equipment, update personnel databases, and prep monthly payroll, working together with our People & Culture team.

Digital Champion: Act as the internal expert for HubSpot and Wrike, providing staff training and sharing tips on leveraging AI for productivity.
Data & Copy Editing: Maintain clean data entry in HubSpot (donations, donor tracking, reporting, supporting prospect research, following up on proposals), and serve as the team’s eagle-eyed proofreader for newsletters, reports, and proposals.
Centralised Knowledge Wiki: set up and maintain an internal knowledge Wiki (Confluence), maintain up-to date information, assure everyone on the team has access to information they need
Support to Co-directors and PV UK team:
Week-to-Week and Ad hoc support: preparing budget queries, business cases, liaising with the external provider for bookkeeping / accounting etc.

Qualifications
Exceptional administrative skills to manage everything from HR onboarding and wellbeing scheduling to high-level Board preparation and Director support.
A strong eye for detail to proofread and edit internal and external communications, ensuring different pieces of content meet grammar, tone, and branding standards.
Ability to maintain meticulous data integrity in our CRM for programme and fundraising activities.
Prepared to embrace being a ‘Digital Champion’, helping team members to learn and embrace platforms we use such as Wrike / Hubspot / Gemini.
Organised and able to hold us to strict legislative timelines or important annual dates (e.g., filing of accounts / updating Companies House records).
Good financial competency and confidence in liaising with People and Culture / accountants.

About you and the role
This is a pivotal role, at a pivotal moment for us. We are entering a critical growth phase, which includes rapidly expanding our own operations and managing significant external partnership. As Head of Finance & Systems, you will be accountable for ensuring we have the right systems and structures in place to grow at pace without detriment to good governance.
The purpose of this role is to lead on our finance strategy, and ensure all of our systems, reporting and processes are helping to drive forward the charity and deliver on our objectives at scale. You will work closely with the Chief Executive and Directors to ensure that financial planning is effective and supported by accurate data analysis. You will report directly to Trustees as required and ensure that the highest standards of transparency and probity are maintained.
You will be joining the team during a period of growth in the size and complexity of our delivery. We currently have 24 employees and anticipate growing significantly in the next twelve months. You will have a crucial role in shaping our systems and processes to ensure we can scale effectively, both our existing programmes and a new membership-based programme that is in development. We’re looking for an experienced finance professional with an interest in effectively using technology and systems to drive efficiency, without compromising on accuracy or compliance.
You will oversee all financial administration, ensuring this is carried out proficiently and in line with all legal and regulatory requirements, including ultimate responsibility for ensuring that all statutory filings are made accurately and on time. Your role will also encompass ensuring that we operate within legal & regulatory frameworks and stay up to date with changes in relevant legislation.

Key responsibilities:
Developing a comprehensive financial strategy that supports the delivery of the charity’s objectives and activities.
Have ultimate oversight of the external audit and production of the statutory accounts, supported in delivery of this by the book-keeper.
Produce the monthly management accounts and bespoke financial reports—including accurate forecasting, restricted fund tracking, and variance analysis—ensuring decision-makers have clear, actionable data.
Forecasting cash flow and managing the treasury position.

Support the Partnerships & Impact team and Programme Managers with financial inputs to funding proposals and ensure restricted funds are used in compliance with grant conditions.
Developing our systems strategy, including reviewing suitability of our current systems (Quickbooks for accountancy, Beacon CRM, PLEO for expenses management, Survey Monkey for data collection etc. ) and ensuring optimal use of systems, maximising automation, and using AI where appropriate.

Essential Skills & experience:
Charity Finance Experience: Practical, senior-level experience working within a UK non-profit finance function, including a strong working knowledge of the Charities SORP and accounting for restricted vs. unrestricted funds.
Hands-on Management Accounting:Proven experience independently producing monthly management accounts, cash flow forecasting, and variance analysis from scratch.
End-to-End Audit Management: Experience preparing year-end audit files, reconciling balance sheet control accounts, and acts as the primary point of contact for external auditors.
Accountancy Qualification: Full or partial qualification through an accredited body (ACCA, CIMA, ACA, CIPFA).
Tech Literacy & Data Reconciliation: Comfortable troubleshooting and navigating modern finance tech stacks (e.g., Xero, Pleo) and pulling financial data/reports from a CRM system (e.g., Beacon).
Vendor & Staff Management:Experience supervising junior staff (or office managers) and actively managing the performance, timelines, and accuracy of outsourced providers (e.g., bookkeeping and payroll).
Desirable skills & experience
Systems Implementation: Past experience project-managing a software migration or building native integrations/automations between a CRM system and accounting software.
Broader Operations/HR Exposure: Basic familiarity with HR administration, GDPR workflows, or managing organizational risk registers in a small team environment.

Role Summary:
The Programme Development Officer is responsible for ensuring that The Girls' Network develops high-quality, consistent, and impactful programmes for girls and young women across all regions. Working closely with the colleagues in the Programme team, volunteers, and education establishments, the post-holder will support the development and continuous improvement of our mentoring, workshop, and ambassador offer. They will ensure that programmes are grounded in best practice and aligned to organisational strategy.
