We are looking for a Casual Assistant to support the effective day-to-day operation of the Library by assisting in one or more of the following areas

- Circulation and Stack Management

Shelving and maintaining the book collection, helping members use the Library and its facilities

We are seeking a highly organised and proactive Operations & Programmes Support Officer to play a vital role in the smooth running of our small charity strengthening London’s communities. This is a varied, hands-on role supporting both programme delivery and day-to-day operations. The Operations and Programme Support role will be instrumental in supporting our small team to continue to grow our services to support charitable organisations across London while consistently maintaining and improving the quality of our service.

Responsibilities:

Operations support

• Maintain and improve key systems and processes, including CRM data, mailing lists, and shared platforms like SharePoint
• Manage shared inboxes, internal communications, meetings, and day-to-day team coordination
• Provide wider operational support, including managing equipment and systems, basic troubleshooting, data protection, and staff coordination (e.g. meetings, holidays)

Programme and Communications support

• Working closely with the Events Manager, coordinate event delivery, including promotion, registrations, attendee communications, and on-the-day support for 10 online Lunch & Learn events, 2 in-person workshops and 2 community events a year.

Role Purpose

To ensure the organisation runs professionally and smoothly through maintaining its financial and accounting control functions in line with policies and requirements, and that financial information for internal and external use is available and accurate.

Role Overview

This role will be located at Salford Students’ Union. Working arrangements are hybrid. The majority of the day will be spent working on systems, and will also be a key point of contact for non-finance colleagues. The team are supported by a shared finance leadership structure operating across three Students’ Unions in Manchester. The key systems are Soldo (expenses), Approval Max (purchase orders), Square (EPOS) and Xero (accounting). The team are also working on a review of systems and may be making system changes in the coming months. There will be an opportunity in the coming months to gain experience of system and process development.

Main Responsibilities and Activities

• Accounts Payable/Receivable:
  • Processing invoices, matching purchase orders, reconciling central billing statements and following up on payments.
  • Ensuring credit notes have been authorised and properly coded (including VAT), following the process from purchase right through to payment.
  • Sales ledger and commercial services support, including raising sales invoices, debt chasing and reconciliation of the daily sales postings between the EPOS system and accounting software.
• Expenses: Managing and processing student group & employee expense claims.
• Payroll: Preparing monthly payroll information for submission to the external payroll provider, including collating casual staff time sheets and all starter and leaver information.
• Month end processes: ensuring all ledgers are closed in line with the month end timetable, contributing to month processes such as expenditure accruals.
• Balance sheet: Reconciling key control accounts including bank accounts, sales postings, credit cards, Soldo card transactions and supplier statements monthly.
• Treasury management: Bank liaison (including updating mandates, signatory details, etc), bank reconciliations, posting of bank receipts and payments.
• Audit: Responding to audit sampling transactional related requests for information.
• Systems: Ownership of key finance system processes and contributing to the development of new finance processes.
• Other finance duties: other finance duties commensurate with the level of the role.
• Liaison with managers and staff members regarding spend against budgets, and payroll enquiries.
• Liaison with finance team members regarding process improvements and new requirements.
• Working with the Student Opportunities team to ensure a high quality finance service is offered to student groups Develop and maintain relationships with colleagues throughout the Union, University and other external partners.

Person Specification

Knowledge and Experience

• Experience of working with finance and connected systems such as EPOS and expenses.
• Either AAT or qualified by experience in a transactional finance role.
• Previous experience of working in a transactional finance role supporting activities such as:

The Supporter Operations team at Alzheimer’s Research UK is a key point of contact in the charity for supporters and members of the public and ensures the highest standards in operational processes and compliance to ensure a first-class supporter experience.

As the Fundraising Operations Executive, you will primarily work as part of a small team to deliver essential fundraising operations activities ensuring excellent customer service, accurate records and reporting, and maintaining high levels of compliance. To ensure appropriate resourcing across the wider team and maintain SLAs, the role will also assist with enquiries and supporter stewardship activities as required.

This role is offered on a part-time basis 17.5 hours per week.

Key Responsibilities:

Donation processing

· Ensure accurate data entry within CRM Salesforce, related to all campaign types, to include: In memory, Fundraising, Sporting Events, Direct Marketing Campaigns and unsolicited gifts; ensure accurate coding of online fundraising pages.

· Comply with policies and guidelines to handle cheques, cash, and vouchers, liaising with Finance team where required.

· Ensure accurate administration related to Standing Order payments, direct debits instructions, ensuring amendments, cancellations and new instructions are correctly handled.

· Ensuring ‘in aid of’ and gift acceptance policies are adhered to.

Supporter administration & compliance

· Ensure formal guidelines and best practice are adhered to in relation to Direct Debits, Gift Aid, FR codes of Fundraising Practice, Gambling Commission, and the Data Protection Act.

· Undertake a range of administrative duties including management of internal email enquiries; incoming post management; mailing order materials related to funeral collections, fundraising merchandise, and general health information; scanning, printing and archiving of documents.

· Ensure financial compliance activities such as refunds, income reversals and recoding are correctly administered; ensuring Salesforce CRM is updated with supporter details with a high level of integrity; ensure Gift Aid administration compliance such as recording of declarations, correct storage and compliance checks are undertaken. 

Knowledge, skills and experience needed:

· Confidence working with computers – good knowledge of Word, Excel, Outlook and CRM databases.

· Experience of customer care or fundraising in the charity sector.

· Experience of handling queries and complaints in administrative role.

· Excellent written and spoken communication skills.

· Good level of skills in CRM/database management skills.

· Ability to work with a high level of accuracy and attention to detail.

· Good organisational skills and the ability to prioritise workload.

Our client is seeking an enthusiastic and compassionate individual to join their organisation as a Peer Mentor. As a Peer Mentor you will need to have living experience of mental health difficulties and have gained a level of insight into your mental health experience and be ready to talk about them openly. It is important that applicants have reached a period of stability and can manage their mental health and wellbeing, in order for them to be ready for this role. They are looking for someone who is ready to use their experience to support and inspire service users in their recovery journey. Peer Mentors will support service users on their emotional journey, and form therapeutic alliances to share ways of coping, understanding and nurturing hope and inspirations.

You will need to have excellent communication skills, with a good understanding of the individual recovery journey and the issues facing people suffering with mental health difficulties. They need a Peer Mentor who is able to share the values of our organisation and is passionate about their vision of “Better Mental Health for All” in Birmingham.

You will be joining their newest service- the Recovery House- a new flagship standard of support and care for those in mental health crisis. Recovery House offers short stay accommodation for people in crisis, for a maximum of 7 nights. This is a 24/7 service and is ran in partnership with the Birmingham and Solihull Mental Health Trust, Peer mentors will be part of a multi-disciplinary team made up of both Birmingham Mind and NHS staff.
