PURPOSE OF ROLE:

● Take responsibility for maintaining and updating all data records and new implementing systems when needed.

Grant Accountant
This is a specialist six-month contract role (with potential for extension), working three days per week, for an experienced grant accounting professional. The Grant Accountant will take ownership of preparing grant information for proposals and reports, maintaining robust grant compliance, as well as setting up Money Ready’s procurement structure for schools team. Once the procurement framework is established and operational, responsibility for day-to-day procurement will transfer to the Finance Assistant. The role bridges transactional grant and procurement processes and the organisation’s strategic finance function.
Grant Accounting and Proposals
- Prepare detailed financial information for grant proposals, including budget construction, cost modelling and narrative financial justification
- Prepare and submit accurate donor financial reports and grant claims in line with funder requirements and deadlines
- Maintain restricted and unrestricted fund schedules, tracking grant budgets versus actuals and reporting variances to the Head of Finance & Operations
- Ensure all grant expenditure is correctly coded in line with donor rules and Charity SORP requirements
- Maintain grant documentation and compliance evidence files to support audit readiness
- Work closely with the fundraising team, providing financial data and challenge on donor budgets within proposals
Procurement Structure Set-Up
- Design and implement Money Ready’s procurement framework, including policy, supplier due diligence, purchase order workflow, and contract register
- Onboard suppliers, establish due diligence records, and ensure procurement activity aligns with Money Ready’s values and financial controls
- Support tendering processes and contract renewals during the contract period
- Handover all procurement structures, processes, and documentation to the Finance Assistant once the framework is fully operational, ensuring a smooth transition
Finance & Month-End Support
Prepare month-end reconciliations for projects and funding
Experience
- Substantial experience preparing grant financial information for proposals and reports, including budget construction and funder-facing financial narrative
- Proven track record of grant compliance, donor reporting and managing restricted fund schedules within a charity or not-for-profit environment
- Experience designing or implementing a procurement framework, including supplier onboarding, purchase order processes and contract management
- Experience of month-end reconciliations, audit schedules, and supporting external audit
Qualifications
- Part-qualified accountant – ACCA, CIMA, ACA or equivalent
- AAT Level 4 (or equivalent experience) considered where substantial grant and procurement experience is demonstrated
Systems
- Experience of Sage Intacct is highly desirable; candidates with experience of other cloud-based finance systems will be considered
- Strong Excel skills; familiarity with Salesforce is an advantage.

What does this role do?
As Digital Advertising Officer, you will:

The Otakar Kraus Music Trust is looking for an enthusiastic and experienced Community & Local Business Fundraiser to help us grow support for our work across Richmond and surrounding areas. OKMT uses music therapy and inclusive music projects to improve the lives of over 500 children and adults each year, including people with disabilities, neurological conditions and dementia.
This is an exciting opportunity to shape a new role within a small, friendly charity. You will build relationships with local businesses, schools, clubs and community organisations; develop sponsorship and Charity of the Year opportunities; support fundraising events and individual fundraisers; and help inspire more people across our community to support OKMT. We are looking for a confident, warm and self-motivated relationship-builder with experience of fundraising, business development or a related field and a track record of generating income.
Key Responsibilities
Community Fundraising
- Build relationships with local schools, clubs and organisations to generate event participation and donations.
- Develop with the Director and Fundraising Manager a case for support and accompanying materials to pitch to potential community or local businesses.
- Organise events with community or business partners and support OKMT’s own fundraising events including our triennial Music Marathon, walks and seasonal appeals.
- Recruit, brief and steward individual fundraisers taking on challenges (runs, rides, marathons, swims, etc.) and community supporters running their own events on OKMT's behalf.
- Assist the Fundraising Manager in growing individual giving initiatives as necessary.
- Support the OKMT team to pitch for Richmond May Ball and other major appeals and lead the process if selected.
- Manage supporter journeys including thank-you communications and impact updates in conjunction with the team.
Local Business Fundraising
- Identify and approach local businesses across Richmond, Twickenham, Teddington, Hampton, Barnes and surrounding areas with tailored propositions for Charity of the Year, sponsorship endorsement and ongoing support.
- Account-manage business supporters through relationship building, regular updates, site visits, networking events and clear reporting on impact.
- Represent OKMT at local business networking events, Chamber of Commerce gatherings and Richmond Business Awards activity to raise the charity's profile.
- Explore opportunities for volunteering and develop a value exchange.
Shared / Cross-Cutting Responsibilities
- Quarterly income and activity targets will be agreed with the Director within the first four weeks, reviewed formally at 3, 6, 9 and 12 months, with results reported to the Board.
- Maintain accurate records of supporters, prospects and income, and ensure compliance with GDPR and Fundraising Regulator standards.
- Collaborate with the team to capture stories, case studies and consented imagery that bring our impact to life for donors.
- Contribute to OKMT’s social media, e-newsletter and website content where it supports fundraising.

🔧 Key Responsibilities
Budget and Strategic Management
● Support organisational financial decision-making through financial analysis, management accounts, budget monitoring and variance reporting.
● Attend regular month-end finance meetings with the Treasurer and General Manager to review financial reporting.
● Develop and maintain templates for recording budgets, cashflow, freelance payment schedule and continuously improve financial systems and processes.
● Support department leads to plan, monitor, and manage budgets, and to meet reporting deadlines as set by the Artistic Director and Trustees.
● Assist the Artistic Director in managing budgets and associated cashflows where there is no other identified project lead.
● Aid the Treasurer in preparing financial reports to the Board by supplying figures/tables as required.
Financial Processing & Bookkeeping
● Record Transactions: Record all income, expenditure, invoices and expenses accurately in the cashbook, cashflow forecasts and accounting software.
● Bank Reconciliations: Complete monthly reconciliations for all bank accounts, PayPal, Stripe and GoCardless, investigating and resolving discrepancies.
● Ledger Management: Maintain accurate and up-to-date purchase, sales, and general ledgers.
● Payment Processing: Prepare and process approved supplier payments and staff/volunteer expense claims, ensuring appropriate authorisation and supporting documentation.
● Credit Control: Monitor outstanding invoices and payments, follow up overdue accounts and escalate persistent or significant debts as appropriate.
● Supplier Invoice Processing: Receive, check and process supplier invoices, ensuring they are correctly allocated to the relevant project, department or budget and appropriately authorised before payment.
Fund Accounting & Income Management
● Restricted Funds: Track and allocate restricted grant and donated funds, ensuring expenditure complies with funder terms and conditions.
● Gift Aid Claims: Maintain accurate Gift Aid records and ensure compliance with HMRC requirements. Reconcile GoCardless transactions with supporter databases (RABBLE Rousers) and prepare and submit quarterly Gift Aid claims.
● Theatre Tax relief (TTR): Coordinate with the organisation's accountant on eligible Theatre Tax Relief claims, working with project leads to maintain accurate production cost records and provide supporting financial information.
● Grant Reporting: Support project leads with providing financial evidence packs and spend validation reports back to external institutional funders.
Payroll, Pensions & Tax
● Payroll Processing: Work with the payroll provider to support monthly payroll processing, ensuring statutory deductions are accurate.
● Pensions: Oversee pension administration and employer contributions for eligible employees.
● PAYE Administration: Support the onboarding of new PAYE staff by ensuring required payroll, tax and pension information is collected and accurately recorded.
Reporting & Audit Support
● Management Accounts: Assist project leads in preparing termly variance reports for leadership.
● Reporting: Prepare quarterly finance report for Trustee meetings
● Budget Tracking: Monitor organizational cash flow and alert leadership to potential financial risks.
● Year End Accounts: Liaise with the accountant/independent examiner during the annual independent examination, prepare supporting schedules and documentation, maintain audit-ready financial records, and provide financial information required for the statutory annual report and accounts.
🎓 Person Specification: Skills & Qualifications
Essential Requirements
● Experience: Minimum of 3 years’ experience in hands-on bookkeeping, finance administration or management accounting.
● Qualifications: Part-qualified ACCA/CIMA, AAT Level 3 or 4 qualified, or equivalent will be considered.
● Software Skills: High proficiency using cloud accounting software like Xero, QuickBooks, or Sage.
● Spreadsheets: Advanced skills in Microsoft Excel, including VLOOKUPs, pivot tables,data analysis and reporting.
