Annually, the organisation sends more than 20,000 tools to support livelihood creation. This is a part time, on-site, PAID hybrid role in Ipswich for an Executive Assistant. The Executive Assistant will provide administrative support to the trustees and CEO by managing the busy annual calendar and schedules, preparing reports, handling confidential documentation and coordinating meetings. The role includes managing travel and expenses. This will be a month-by-month paid contracted position.

Experience:

• Executive Administrative Assistance, including managing calendars and travel arrangements.
• Experience handling Expense Reports and related financial tasks with accuracy and attention to detail.
• Strong skills in Executive Support and Administrative Assistance for managing organisational operations and documentation.
• Excellent Communication skills, both written and verbal, to interact effectively with diverse teams and external stakeholders.
• Strong organisational skills with the ability to prioritize tasks and meet deadlines efficiently.
• Working knowledge of office software like Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Ability to handle sensitive information with discretion and uphold confidentiality.
• Empathy with a Christian charity with an international mission and outlook.
• Prior experience in the non-profit or charity sector is a plus but not essential.

Job description

We are looking for Volunteer Charity Retail Assistants to assist in the running of WFRC’s retail shop to maximise sales of new and used goods that help us to generate vital funds to support the vital services that we provide for women and families. You will be providing invaluable help in the operation of our charity shop.

Principal Responsibilities:

• To serve customers and record purchases on the cash register
• To work with staff and other volunteers to sort, steam, hang, ticket and size donated clothing for sale in the shop.
• To help keep the shop clean.
• To assist with shop displays.
• Provide information leaflets and signpost any enquiries for WFRC services
• Comply with WFRC relevant Policies and Procedures
• Wear personal identity badge whilst volunteering
• Represent the professional standards of the charity

Key Responsibilities:

Executive Support: Manage the CEO’s  schedule and mailbox, ensuring communications are handled with total confidentiality and professional flair.

Stakeholder Liaison: Act as a primary point of contact for external partners, including local councils, cultural institutions, grant makers, and businesses, directly working with CRM/Community engagement colleagues to keep track of our relationships.

Strategic Documentation: Represent WIILMA at high-level meetings, documenting minutes and tracking actionable outcomes to ensure organisational momentum.

Logistics & Events: Help coordinate volunteer and equipment logistics for our vibrant community events and workshops.

Leadership & Management: Based on your level of experience as an executive assistant, you may have the opportunity to help recruit, train, and mentor other executive assistants within the CEO’s office.

About the Role:

CARAS is looking for volunteer Football Assistants to support our Football sessions on Mondays, 5.30-7pm in Balham.

Football coaching sessions are led by Fulham FC Kicks programme weekly, supported by CARAS volunteers to offer welcome to young people.

Volunteer tasks and responsibilities

· Welcoming young people to the session;

· Helping young people to register for sessions;

· Join in and be role model for young refugees and asylum seekers;

· Assisting participants to recognise and celebrate their achievements;

· Following FULHAM FC safeguarding policy and CARAS’ confidentiality, safeguarding, health & safety, equal opportunities, data management, online communications and all other policies as relevant.

Requirements:

Essential

· To be 18 years or older;

· To be non-judgemental and able to engage with people from diverse cultural backgrounds;

· To be reliable and punctual;

· Excellent communication skills, especially with people with varying levels of English;

· The ability to volunteer on Monday evenings for a minimum of four months;

· Currently resident in the UK;

- A love of football, and wanting to encourage others to play.

· Able to provide five years’ worth of addresses, and willing to undergo an enhanced DBS check (residency is not necessary if you are a Caras community member who is more recently arrived in the UK);

· Able to attend compulsory volunteer induction training (online) general and safeguarding prior to start of role

Desirable

· Knowledge of community languages, such as (including Arabic, Tigrinya, Amharic, Pashto, Dari, Farsi, Kurdish, Somali and Spanish).
