Charity administrator volunteer roles

Watford and Three Rivers Refugee Partnership operates in the borough of Watford and Three Rivers district, providing support to refugees and others without status in the UK. The partnership has a full-time caseworker and two part-time support staff in addition to around 80 volunteers. It currently serves around 350 families and individuals.

The charity provides:

· A weekly drop-in session – currently Tuesdays 11:00-13:30 – for existing and new clients to see us

· Casework supporting applications for leave to remain and related issues

· A weekly social hub – concurrent with the drop-in – for any client to join us for company and activities

· Education for our clients, mainly in the English language but including help with literacy and numeracy.

The operations manager will be responsible for the day-to-day management of the charity, reporting to the committee and trustees, ensuring the organisation runs efficiently and resources are used effectively to achieve its mission.  They will provide a line management and mentoring role for the case worker and office administrator. The successful candidate would have had managerial experience, possibly in the charity, education, healthcare or related sectors. The role is a part time one – expected to average 2 days per week, and likely to suit someone retired from employment.

Specific roles for the operations manager are:

· Support of communication within the charity

· Supervision of the weekly (currently Tuesday, 11:00am-1:30pm) welcome desk, drop-in, social hub and casework operation

· Line management of our full-time caseworker and part-time office manager

· Support of elements of casework by allocating other volunteers, logistics etc.

· Making day-to-day decisions within agreed scope, for management of the charity

· Report to the committee (including trustees) at its regular meetings with status of cases and requests for decisions

· Advising the committee in developing the charity, helping work on core mission, vision and strategy.

· Working with our fundraisers to provide required information and guidance where needed.

The successful candidate would have experience in:

· Proven organisational and multitasking skills

· Knowledge and experience of regulatory requirements to ensure compliance (e.g. GDPR etc)

· Ability to build and maintain relationships with internal and external stakeholders

· Management of staff and volunteers

· Working with a volunteer committee and trustees

· Development of a business, charity or equivalent organisation

Skills Development Training (SDT) is a London-based organisation dedicated to empowering young people through creative, educational, and wellbeing-focused programmes. We are looking for a proactive and passionate Volunteer Project & Outreach Assistant to work closely with our Director and support the growth and delivery of our community initiatives.

Chair of Trustees at Watford and Three Rivers Refugee Partnership (WTRRP)

Job summary: 

We're looking for a Chair of Trustees to help shape the strategic vision of WTRRP as we move forward into our 25th year as a charity. This would be someone to support us with our strategy in line with our mission and our values. In this role, you will lead the Committee and other Trustees co-chairs of the charity, share responsibility for the agenda and actions of Trustee meetings and AGM, improving good governance and acting as a senior ambassador of the organisation. We are looking for someone with enthusiasm, availability and leadership skills to work collaboratively with our small staff and our volunteers.

WTRRP exists to support asylum seekers and refugees in Watford and Three Rivers who do not yet have settled status in the UK or may have specific needs relating to their application process or welfare. The main services of the charity are a drop-in session and social hub every Tuesday (at St Mary’s Church in central Watford), ESOL classes, providing advice and financial support to its clients and assisting them to integrate into the local community.

The Partnership has grown dramatically over the past 5 years, which is why we are looking for a Chair to join us. WTRRP is run by a committee that meets typically every 1-2 months and it also provides supervision to our 3 staff members and support to our 70 volunteers.

We would welcome applicants with any of the following experience:

• Governance and previous Committee experience
• Business development and charitable fundraising
• Human resources and people management
• Lived experience of being a Refugee or Migrant
• Financial background

Principal responsibilities:

1. Be part of the Committee, supporting the organisation as it grows and develops.
2. Have availability to regularly attend the Tuesday hub/drop-in at St. Marys church from 11- 2pm to support the team.
3. Oversee the administration and coordination of sub-committees.
4. Serve as line manager to our Operations Manager, helping to conduct planned supervision and appraisals.
5. Represent the Partnership as required to the public or external parties such as funders and Community groups.

We're looking for a finance bookkeeper volunteer who can support the financial administration of the charity using our finance software,  Xero. We The volunteer will support the Chair to undertake regular financial tasks such as budgeting, reporting, and audits while ensuring financial transparency. 
 

Key Tasks and Objectives

• Support the financial management of the Charity using Xero
• Data Entry: Recording financial transactions such as donations, invoices and expenses into our finance software, Xero.
• Weekly Reconciling income into Xero from GoCardless, Stripe, PayPal and other third-party agencies that facilitate donations being made to the charity.
• Maintain financial and accounting records, ensuring accuracy and consistency
• Assist with preparing payroll and/or pension information for submission to an external payroll provider (when required)
• Assist with the preparation of the accounts, quarterly and annual accounts for accountant annually as well as supporting funder financial reports
• Track the financial situation of projects
• Ensure that all necessary financial information is recorded accurately
• Assist with financial forecasting and budgeting
• Document Management: Organising and filing receipts, invoices, and other financial documents (digitally).
• Assist the Chair, volunteers or members of staff in understanding and using the accounting software
• Any other tasks that may be required from time to time or during the final accounts period, as appropriate.
• Assist with general administration relating to finances

Key Skills or Qualifications

Essential:

• Knowledge and experience of using Xero accounting software, including tracking project spending, managing volunteers’ expenses and department spending, uploading invoices, reconciliation, etc.
• Understanding of tracking financial data and information
• Experience of working in a bookkeeping role
• Accurate and up-to-date knowledge and experience of charity finance, SORP and other relevant frameworks
• The ability to quickly understand the needs of and challenges faced by our small charity organisation
• Strong numeracy and financial management skills
• Strong organisational skills
• Comfortable working remotely
• Ability to maintain strict confidentiality
• Ability to quickly understand the needs of our team, organisation and users of our services (we are not expecting you to have an awareness of the condition we support)
• Good initiative and ability to work with little direct supervision, but will ask for help when needed
• Ability to work flexibly on your own and as part of a team with enthusiasm and commitment

Desirable:

• Knowledge of charity accounting including restricted and unrestricted funding 
• Understanding of financial management within a charity
• Verbal communication skills
• Competent with communication tools

You would have a key role in ensuring good financial administration, which is crucial to the continued work of Burning Nights CRPS Support. This is a fantastic opportunity for you to make a real difference to a small charity. You will be involved in ensuring we manage our financial inputs and outgoings in order to maintain the services and support we provide, allowing us to be a sustainable charity and fulfil our aims.

The difference you will make to cats and people

As a charity we are able to help thousands of cats each year thanks to the generous donations we receive from members of the public. Our fundraising volunteers use their passion for cats and people to raise the vital funds needed to help more cats and kittens in need. As a fundraising volunteer we want to support you to fundraise in whatever way suits you best, whether that’s organising a fundraising event, fundraising online, promoting fundraising activities on social media, completing administration or supporting the development of new fundraising ideas! Whatever your skill set, this could be the role for you!

What we need from you

This is a really flexible role, you can choose what you’d like to get involved with, for example: 

• face-to-face fundraising. Organising or helping with fundraising events, running supermarket collections and fundraising stands, monitoring collection tins 

• online fundraising. Setting up online appeals and writing impactful cat case studies that maximise donations

• marketing. Spreading the word about our fundraising activities, for example on social media and with the local press  

• completing administration. Processing donations, sorting and recording donated goods, completing Gift Aid paperwork

● championing our work. Getting involved with developing new fundraising ideas and increasing community engagement

● photography. Capturing images of cats in care, cats we are helping, events and all things Cats Protection

Time expectation

This is a flexible role that can fit around your other commitments to suit you. You’ll be part of a team raising vital funds while having fun in the process!
