We are looking for a Head of Resources to join our team.

Emmaus Bristol is a local charity, working to help people out of homelessness. The work we do here changes lives.

This is a new role for Emmaus Bristol. Through our five-year-planning process we identified a new staffing
structure that will allow our charity to thrive and to grow. The Head of Resources is needed so that the core organisation runs smoothly, and policies, processes and systems allow the team to do their jobs efficiently and effectively. This will be crucial as we develop new streams of work, and help more people out of homelessness or into work.

The Head of Resources therefore, will have a key role to play in making Emmaus Bristol an effective charity.

This is a senior leadership role, but as we are a small charity, all roles are somewhat hands-on. You’ll need to be as confident discussing our reserves policy with trustees, as you would be resolving a cash discrepancy with a retail team member, and just as good at strategy as you are at detail.

Type of role: Full time, permanent

Annual Salary:£28,000 to £31,000 (depending on location and relevant experience)

Holidays:25 days per year and  up to 5 discretionary  efficiency days

Job Purpose

The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

To be successful in the role the post holder will:

• Have excellent organisation skills with the ability to structure processes and set up efficient systems to support Ada’s continued growth;
• Be consistent and accurate and have a keen eye for detail;
• Have experience in and be committed to following careful procedures to protect the sensitive personal data involved in this role;

Role Responsibilities:

Finance Support: 60%

Support the Assistant Finance Manager in updating the Purchase Ledger:

• Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
• Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
• Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
• Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
• Receive and check all statements from suppliers,
• Investigate and action any issues that arise with regards to creditors,
• Regular review and maintenance of the outstanding purchase order and goods received notes report,

Support the Assistant Finance Manager in updating the Sales ledger:

• Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
• Ensure that all requests for sales invoices are processed and sent to debtors promptly,
• Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received

Petty Cash:

• Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
• Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.

Other finance duties:

• Support Assistant Finance Manager in preparation of the pay runs;
• Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
• Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
• Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
• Support the Finance Team with any other queries that may arise.

HR Support:

Recruitment

• To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
• To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
• To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
• To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.

Inbox Management & Staff queries

• To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner
• To work with the HR Manager to manage the HR inbox, responding to staff enquiries in a timely manner recognising that some correspondence will be highly confidential and/or sensitive in nature.

Systems & Compliance

• To be the main point of contact for all HR system queries and to action all first-level system transactions, escalating more complex transactions to the Head of People & Talent or the HR Manager.
• To send out reference requests for all shortlisted candidates, chasing responses and passing on to the relevant line manager
• To maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated (eg vacancies, DBS and other pre-employment checks, probationary periods, performance management, exit interviews.)
• To create and maintain electronic copies of  personnel files
• To support with the updating of the Single Central Record for all staff, volunteers, consultants, agency workers and governors
• Under the direction of the Head of People, issue relevant letters to staff in relation to Employee Relations (ER) matters ensuring that timelines are strictly followed, meetings arranged, notes/minutes taken and all paperwork, including checklists, is fully completed.
• To support the People team with all HR policies, processes and projects as required.

General Administration

• To provide accurate data for Education and Skills Funding Agency (ESFA) in monthly data returns,
• Liaising with CIVICA support team to seek advice on better use of MIS (REMS),
• Acquire data from primary and secondary sources and update database system REMS,
• Keeping up to date with the latest ESFA funding rules and regulations.

Additional duties:

• Undertake confidential shredding and filling,
• Coordination Support for the Finance or People/HR elements of staff on-site events

Person Specification

• Previous Officer/Administrator experience and used to working with limited supervision ideally in a Human Resources field.
• Ability to undertake administrative tasks and development of effective office systems and procedures
• Ability to use information technology for,word processing, spreadsheets and databases and excellent typing skills
• Ability to pick up new applications and software quickly
• Ability to work under pressure in a constantly changing and demanding environment

Join our team in shaping the future of internal communications and engagement! 

You’ll play a key role in supporting and delivering internal communications and driving engagement across the charity. This will include planning, writing and publishing communications that will inform, engage and inspire our colleagues across all areas of our work.

Using your skills in communications, organisation, and planning, you’ll work with the Internal Communications & Engagement team and colleagues across the charity to provide internal audiences with what they need to be able to be informed and updated. The Senior Philanthropy Manager will line manage the Philanthropy Officer, supporting their development and fostering an overall culture of collaboration and high performance. We are looking for an expert who can bring their enthusiasm and knowledge of autistic learners with complex needs to join our team as our resident complex needs expert. You will work with a group of learners who have a combination of conditions and differences that make learning more challenging in all areas of life. It may be ADHD, Down’s syndrome, OCD or a genetic difference, but all our learners have the opportunity to make their life into what they want it to be. Your role will be to enable this and remove the barriers. Do you want to be an enabler of independence, work skills and functional skills?

This role reports to the Aspirations Manager, and you will be responsible for the necessary work for your small group of learners. None of our groups are above 7 learners, all groups have support workers, and some have 1:1 support. There will be a team with you leading and working to celebrate the achievements and find solutions to the barriers our learners face.

· Works as Deputy Designated Safeguard Lead (DDSL) for the complex needs group and stand in DDSL for Aspirations service when the Aspirations manager is absent

• Builds professional relationships with other agencies, provisions and professionals
• Builds good relationships with learners’ families/carers to make sure that they are involved (as appropriate) in developing learners’ skills and abilities

Person specification:

You will have:

· Experience teaching autistic learners and a good understanding of the complexities that come from having more than one diagnosis

• Experience of working with people with learning disabilities
• Experience of working with those who may display challenging behaviours
• Experience of leading support staff

· Understanding of Education Health Care Plans

· Understanding of safeguarding duty

· Qualification for teaching (adults or QTS)

The Governance and Compliance Lead will be a key member of the organisation's senior management team, responsible for providing strategic advice and support to the Trust Board and the Chief Executive on governance matters, legal compliance, and risk management. This role will involve leading the development, implementation, and monitoring of organisation-wide policies, systems, and processes, including those related to human resources. The Governance and Compliance Lead will also support the Chief Executive with risk management policy and reporting.

About the Youth Endowment Fund

The Youth Endowment Fund (YEF) is a charity with a £200m endowment and a mission that matters. We exist to prevent children becoming involved in violence. We do this by funding great initiatives, leading cutting-edge research and working for change - scaling up and spreading the practices that make a difference. 

The Chief Operating Officer (COO) has a critical role in ensuring we succeed in this work. You have a key leadership role in overseeing the overall health of the Fund in partnership with the Executive Director. The role oversees our finances, people management and – for the right candidate –much of our grant-making and project management.

• Ensuring the team maintains effective monitoring processes: Working with your team, you will develop the necessary skills, processes and decision-making processes to identify when things aren’t going to plan and respond accordingly.

• Build strong relationships with your external partners: You and your team will build strong, trusting relationships with the projects the YEF funds and the evaluators that we work with. Your team will be known for being attentive yet assertive and measured and efficient in the reporting information we expect. You will become well connected in the sectors that we are working in.

Key Responsibilities:

• To visit services and complete installations, repair, maintenance, reviews and collection of Technology Enabled Care (TEC) equipment, with new and existing service users throughout Norwood’s services in North London, Redbridge and Berkshire.
• Troubleshoot problems with equipment installations and resolve these faults both remotely and in person.
• To be responsible for stock and undertake auditing of the stock and maintain current databases according to Company requirements including updating and maintaining asset registers
• Support the IT manager in providing a high level of service coordination to ensure that new projects are delivered effectively. 
• To take part in training sessions and attend meetings as required.
• To manage and maintain records, including central records, stock control and budgetary records.
• Train staff in the use of all systems available and provide ongoing support to ensure effective use of the systems in place.
• To support and promote digital inclusion, independence and empowerment for people using telecare or telehealth equipment 
• Produce resources to support progress for users of AT.

Summary of the role:

About the Role:
