We are looking for an exceptional administrator to join our small and dynamic team. You will be joining an ambitious and successful team with exciting plans to impact more patients, research and increasing support our staff across the Trust. 

This is an exciting time to work for an official NHS charity. We've got ambitious plans to grow our income and impact over the next 12 months, including launching a new fundraising appeal to support victims of stroke and neurological injuries. You'll work collaboratively across the team to identify opportunities to reach new audiences, maximise awareness and leverage our existing supporter base to help us reach our goal. 

Main duties of the job

The post holder will be part of the Charity’s fundraising team providing administrative support to the whole team to enable all fundraising roles to focus on activity which is strategic, relational and proactive. With specific responsibility for the delivery of donation thank you letters, stewardship calls, event participation registration and some research, the role will work collaboratively with those responsible for all income streams.

The post holder will require a good knowledge of fundraising and networking skills with the ability to identify influential contacts both internally and externally.

Detailed job description and main responsibilities

General

• Deliver high quality administrative support to the fundraising team including personalised thank you letters and quality stewardship calls that deepen relationships, encourage regular giving, prompt event participation registration and research. 

• Act as the main contact person for the team for incoming queries from inside and outside NBT, including managing team centralised mailboxes and providing additional administrative support to all members of the team as and when required 

• Support the Community Fundraising Manager as required. 

• Support the Charity Director and Head of Fundraising to ensure that a donor centric approach is at the core of all activity and that high standards are developed and maintained throughout the Charity team.

• To provide the Director, Head of Fundraising and all team colleagues with detailed updates through regular team reports. 

• Ensure that all cash handling, banking, donor acknowledgement and receipts are kept in accordance with charity best practice. 

• Demonstrating a positive and proactive approach in supporting the team by planning, arranging relevant materials, setting up meetings and preparing, attending and following up from events. 

• Keep up to date on all new governance regulations issued by the Charity Commission, Fundraising Regulator and Information Commissioner’s Office. 

• Maintain and develop key relationships with stake holders such as fundraisers and donors. 

• Support the activity of the corporate and legacy fundraising programmes by funnelling through opportunities for wider relationship development to maximise total charity income. 

• Support and deliver the activity within the grateful patients’ programme. 

• Collate and send information and material as requested by fundraisers and supporters including fundraising packs, forms, t-shirts, banners and ensure accurate stock information is maintained. 

• Work collaboratively with data insight, and marketing and communications colleagues as well as wider NBT staff to develop in-depth knowledge of services/projects and gain access to quality information/data to strengthen proposals and to effectively report on impact. 

Other 

• Adhere at all times to the Charity’s policies and procedures. 

• Ensure the effective and efficient use of the Charity’s resources.

• Ensure that all duties are carried out to the highest professional standard. 

• Be aware of the responsibilities with regard to Head and Safety. 

• To liaise with staff involved in specific events and projects which will include volunteers and external agencies. 

• Ensure that all data is handled confidentially and is compliant with the Data Protection Act, especially with regard to records of donors and volunteers. 

• Will have to meet and work with members of the public at fundraising events. 

• Will have to work from other locations as and when necessary. 

• Will have to work some evenings and weekends as and when necessary (time off in lieu agreed). 

37.5 hours per week / permanent / working onsite on a seven-day rolling rota, including evenings, weekends and bank holidays on a four-on-four off shift pattern.

We are looking for a Housing Mobile Night Worker to provide floating support to our teams in high support 24-hour projects as well as medium support and transitional housing units to ensure that our properties are safe, secure, and welcoming through the night.

You will be based at Eastbourne Foyer and will support the static night worker there during the night as well as undertaking your mobile duties across Eastbourne, Hailsham, Bexhill and Hastings.

Working on site you will be responsible for ensuring the service is safe by keeping clear records of night time activity within the building. You will regularly complete building checks and monitor CCTV upkeeping health and safety regulations in accordance with YMCA DLG's policies and procedures.  You will work to prevent any anti-social behaviour from impacting our neighbours and other residents. You will work alongside other support staff to maximise the wellbeing of residents by completing one to one interventions with young people who may be experiencing mental health crisis and/or who may need medical assistance.

This is a mobile role, requiring all applicants to have a full valid, UK Driving Licence. You will also be lone working as part of the role, so you will need to be comfortable with decision making and following procedures.

Ideally you will have experience working with young people, those considered vulnerable or with multiple and complex needs along with being able to demonstrate a real passion for wanting to work with young people. You will have an understanding of the needs of single homeless clients aged 16-25 and the ability to engage, motivate and inspire, with a strong commitment to changing the life of others for the better. You will already have clear verbal and written communication skills, good IT and keyboard skills and the ability to self-motivate. You will be an effective communicator who is able to deliver robust, clear handovers and build strong relationships with other members of your team. In addition, you will have the ability to de-escalate volatile situations and manage challenging behaviour appropriately.

Our kitchen chef will prepare and cook meals for residents according to agreed menus. Oversees the service kitchen by managing any other members of the food preparation team, deciding what dishes to serve and adjusting orders to meet client's requests. Will assist in prep work and cleaning kitchen, but more often will be involved in cooking and serving dishes. There will be an expectation that the chef designs a menu based on client requirements in line with a set weekly budget. The chef will be expected to create calm, welcoming environment for a client group with complex needs.

Monday-Friday 3.30pm-7.30pm. 17.5 hours per week

* To be responsible for the day-to-day supervision for all staff working in the kitchen/dining room
* To prepare and cook meals for residents according to agreed menus

What you will be doing:

We're looking for someone to work with Primary and Secondary schools, directly with children and with teachers, to embed nature-based learning across the curriculum. You will be responsible for developing and delivering high-quality educational sessions, training teachers, and championing outdoor learning. 

Who we are looking for: 

• You have a personal connection to nature and believe that connecting others to nature plays a key role in addressing the climate and ecological emergencies.

• Experience of teaching or delivering education / training sessions. Ideally with a background in teaching, outdoor learning, or Forest School.

• You have a proven ability to provide effective teacher training and inspire staff across primary and secondary settings. You are confident building relationships with teachers and senior school leaders, mentoring them to embed outdoor learning.

• You have a strong commitment to safeguarding and inclusion - taking on Designated Safeguarding Lead for under 18s. 

• Ideally, you hold a current outdoor first aid qualification.

• A full driving licence and the confidence to drive different vehicles is essential for this role.

Role Purpose

The Role will be responsible for the entry and review of financial transactions from various sources including purchase invoices, payment cards and bank transactions. 

The organisation has grown from managing 8 entities three years ago to 22 at present. We have 41 accounts across 5 different banking institutions (in both USD and GBP) and multiple credit/debit cards. You will need to be adaptable with an open mindset and able to work with uncertainty and change.

We have recently implemented new accounting software (Iplicit) to better manage the multiple entities in our portfolio.  This role will act as a key part of the finance function now the new system is live.

Responsibilities

Initial Duties: 

• Processing urgent same day rent payments 

• Processing of purchase ledger transactions (including VAT entries) for 22 legal entities, in multi-currency, ensuring accurate re-allocation to other entities where appropriate

• Preparation of supplier payment runs for approval

• Completing bank statement imports and reconciliations

• Responding to internal and external queries regarding purchase transactions and payments 

• Other administration & support as required by our Central team (including People, Digital, Business Development & Impact) 

• Review and processing of employee expense transactions 

• Creating regular Inter-company recharge invoices for batches of transactions

Skills & Experience

Essential Skills & Experience 

• Practical experience in a similar role processing a range of financial entries 

• AAT Level 3 Certificate in Accounting or similar

• An understanding of the fundamentals of VAT

• Attention to detail and with ability to question existing processes

• Confident and financially literate, with clear communication and good organisation skills 

• Able to manage priorities and work effectively in a remote working setting 

Desirable Skills & Experience 

• Experience of working with multi-company/inter-company structures

About the Role

Our Recovery Lounges offer a safe, welcoming and non-judgmental environment outside of normal working hours for those who feel in mental distress or crisis. The role will involve assessing needs and offering one to one support to service users to enable them to begin the process of improving their mental health and wellbeing and to providing clarity on services and pathways available in the area. The role will be part of a larger Recovery Lounge team made up of Mental Health Recovery Workers, Peer Support Workers and volunteers.

Job Purpose

To support individuals to deescalate mental health crisis and improve mental health and wellbeing of patients in hospital. Promote Mind BLMK services through focussed 1:1s and structured crisis interventions.

Overview

This role offers the opportunity to plan, create & deliver a variety of communications, leading on design and digital deliverables across internal & external channels for Glass Door Homeless Charity.  

The Digital Communication Officer works in the Communications team, reporting to the Head of Communications & Fundraising and manage Glass Door design, web & socials.  

Through this role, we will deliver a robust plan of impactful and on-brand content, raising the profile of our work and ensuring we are known amongst existing and new audiences in London 

Job Spec 

Editorial & Design 

• Ability to produce fresh, emotive and informative content across print & digital platforms - including profiles of guests, news stories, blogs and speeches

• Lead on design and delivery across the organisation – digital & print: including posters, informative leaflets, presentations, graphics and images for social media, newsletters and website as needed 

• Work collaboratively across the organisation to solicit content from other members of staff, including caseworkers, operations and fundraising colleagues to support Communications’ strategic aims 

• Support the design of campaigns, appeals & events - working alongside the Head of Comms & Fundraising, and key members of the fundraising team to bring alive the vision of the campaign. 

• Co-lead on our work with content producers (photographers, videographers, designers, etc), ensuring content meets Glass Door’s standards and is signed off by appropriate staff members

• Maintain Sharepoint for digital content – including photos, social images, video and written content 

• Provide quality-control support (eg proof-reading and editing) on all materials outside of the Comms team and externally, ensuring all content, imagery and branding are consistent with house style and on brand 

• Create & deliver video content to support the digital strategy and on an ad-hoc basis 

Digital

• Manage and maintain all social media accounts in-line with Glass Door's social media guidelines, focusing on building awareness, driving traffic and increasing engagement

• Manage and update Glass Door's website in-line with the digital strategy and content planner 

• Co-develop & oversee a digital content calendar 

• Co-manage delivery of multiple/congruent campaigns, appeals and events to engage existing and attract new supporters, often working alongside key members of other teams including fundraising, operations and advocacy teams. 

• Support with digital marketing, working closely and collaboratively with the Marketing Officer, Head of Comms & Fundraising Team to plan, track and successfully deliver paid and organic digital journeys. 

• Monitor social media and advise key staff on any issues arising that could jeopardise the reputation of the charity, ensuring all Crisis Comms is managed in line with Crisis Comms Policy 

• Support the development and delivery of bi-monthly internal e-newsletters.

Monitor impact 

• Work closely and collaboratively with the Marketing Officer to ensure all conversions of paid promotion are tracked effectively and efficiently 

• Support the monitoring and tracking of website usage 

• Support the evaluation of social media and online reach, create monthly reports, and assist with evaluating the effectiveness of campaigns and appeals 

• Support the monitoring and tracking Google ads and analytics 

• Support the vision and production of a new website, ensuring it is on brand and meets our content and communication needs 

• Monitor, assess and report to relevant teams of our content performance to ensure our channels are hives of activity and relevant to our audiences. 

• Monitor and follow trends within digital and innovation to improve the organisation’s digital presence and activities 

Strategy 

• Co-lead on the planning and delivery of the Glass Door Communications Strategy – specifically on the digital and content plans 

• Support the delivery of Fundraising key deliverables – specifically on the digital content, stories and campaign key deliverables 

• Co-manage the Comms Team’s and cross org deliverables via project management platform monday(dot)com 

Events 

• Support co-ordination of events, by designing and delivering print and digital materials, online support to fundraisers, and representing the charity as needed in-person and online. 

Other

• Attend and participate in relevant team meetings, and other ad hoc meetings when necessary. 

• Undertake other ad hoc tasks as directed, such as assistance on Glass Door events and occasional administrative support to the CEO.
