The Role

What will I be doing?

You’ll be responsible for a range of activities, including:

• Maintaining and updating the full suite of personnel records for staff
• The timely and accurate generation and issue of employment contracts/amendment to terms and associated paperwork
• Overseeing the quality of data held within the HR system and other HR software and offer guidance to users of the systems and administrative support
• Preparing and accurately entering all monthly salary information on to the HR system
• Recruitment support for all Institute vacancies and managing the recruitment process
• Overseeing the probation and induction process for new starters and to conduct new starter induction sessions
• Developing new, and streamline existing administrative processes and procedures
• Generating system reports as and when required

About You...

The role is ideal for someone with good generalist HR experience and up to date knowledge and understanding of key HR legislation and HR systems.

We are looking for an organised and dependable individual who has a proven ability to work with within a small team, and who can communicate effectively with a wide range of people both in written and oral form.

Proven experience of accurate data entry and monthly payroll processes is essential along with previous experience of effectively following administrative processes.

How will I be working?

We work in a flexible, trust‑based way through our How We Work model. This gives individuals and teams the independence to choose how, when and where they work best, while recognising that some in‑person collaboration is important for impact especially from an operational standpoint.

You’ll be assigned a base office, which can also be your chosen place of work. Most of our roles offer hybrid working as standard, with occasional office visits to help us stay connected and support our inclusive way of working. As an organization we meet in person once a quarter at our Head Office in Kings Cross, London.

This role will be responsible for securing funding from charitable trusts and foundations, identifying new funders, preparing funding applications and managing the growth of a strategic portfolio of corporate partnerships. The Programmes You’ll Lead

Music Producer Club (MPC) – digital music-making for young people aged 12–18, delivered in schools, youth centres and online. Taught by ‘producer educators’ - working music producers we train to educate the next generation -, MPC builds creativity, skills and confidence while connecting participants with electronic music culture and the national curriculum.

Process – a development programme for women, non-binary and trans+ music makers. Structured across three strands for different abilities (Create, Define, Release), Process combines workshops, mentoring and masterclasses to build skills, confidence and community for underrepresented producers.

Out The Box (OTB) – hands-on analogue mixing workshops in leading London studios, giving emerging producers practical experience with desks, outboard gear and professional engineers while bridging digital and analogue production techniques.

Key Responsibilities

Programme Management

• Lead planning, scheduling and delivery of MPC, Process and Out The Box programmes and events.

• Manage a growing team of freelance staff who help deliver and coordinate our projects.

• Manage budgets and ensure all programmes are delivered within budget

• Build and maintain relationships with all programme stakeholders and partners, acting as the main point of contact.

We’re looking for a Facilities and Post Room Coordinator to support the day-to-day operation of Dogs Trust’s London office. You’ll manage incoming and outgoing mail, maintain supplies and equipment, and assist with facilities tasks to ensure a safe, welcoming, and well-functioning environment for staff and visitors.

What does this role do?

As a Facilities and Post Room Coordinator, you'll: 

• Coordinate facilities contracts, office supplies, and related purchase orders and invoices.
• Provide support to colleagues and visitors, including meeting room setup, AV assistance, and reception cover.
• Manage incoming and outgoing post and couriers, ensuring timely distribution and deliveries.
• Maintain communal areas, monitor stock, report building issues, and carry out First Aid and Fire Marshal duties.

Interviews for this role are provisionally scheduled for Tuesday 24th February, and will take place on Teams.

About the Project

The Open Kitchen is a community-led initiative tackling food poverty and social isolation across the UK. Our kitchens, based in Hounslow (London), Nottingham, and Manchester, provide free, hot, and nutritious meals to individuals and families affected by homelessness, low income, or displacement as refugees.

Operating seven days a week, the Open Kitchen offers more than just food it provides a safe, welcoming space where everyone is treated with dignity and respect.

Each kitchen also serves as a community support hub, distributing essential household items and sleeping bags to those in need.

Through this initiative, we aim not only to alleviate hunger but also to connect service users with pathways to stability, empowerment, and independence.

Key Responsibilities

As part of the Open Kitchen project team, the role will involve ensuring the smooth, safe, and impactful operation of Open Kitchen Manchester.

To lead the delivery of Muslim Hands’s free hot meal provision and structured cooking Facilities , ensuring that local communities can access nutritious hot meals in a safe, welcoming environment while also learning essential cooking skills to make everyday meals from food parcel ingredients. This role will directly contribute to reducing food insecurity, building confidence, and promoting independence among beneficiaries.

Responsibilities include:

• Oversee day-to-day activities within Open Kitchen Manchester, ensuring the consistent delivery of high-quality, nutritious meals.
• Plan, prepare, and cook hot meals for O.K’s free weekday lunch meals.
• Ensure all meals are healthy, nutritious, culturally appropriate, and prepared in line with food safety and hygiene regulations.

•  Cooking with and preserving large quantities of surplus food.

• Supervise and observe the cooking facility to ensuring compliance with hygiene, health, and safety regulations.
• Manage food inventory, kitchen supplies, and procurement processes to ensure sustainability and efficiency.
• Ensure all food standards are followed.

• Train, and supervise volunteers to ensure effective service delivery and adherence to health and safety standards.
• Design and deliver weekly cooking classes for small groups, teaching participants how to prepare affordable, nutritious meals using food parcel items.
• Taking responsibility for safeguarding, health and safety and all policies relating to hot meals operations .
• Work collaboratively with volunteers, supporting their development and ensuring they are engaged meaningfully in meal preparation and delivery.
• Participant in staff meetings where required.
•  Attend training and professional development sessions.
• •Any other ad-hoc tasks as require by your line-manager.
