We are looking for a proactive and organised Administrative Support Officer to help keep MaidEnergy running smoothly. This is a varied, hands-on role covering day-to-day administration, communications, finance and governance support, and IT coordination. You will work closely with our Project Coordinators and Directors, and your contribution will be central to the organisation’s effectiveness. 

MaidEnergy is a community-owned renewable energy co-operative working across Maidenhead, Windsor, Egham, Staines, and the surrounding area. Founded in 2010, our mission is to cut carbon emissions and enable community ownership of locally generated renewable energy. 

Since our first solar installation in 2015, our 250+ members have invested over £900,000, funding seven solar PV installations and one ground source heat pump, saving 605 tonnes of CO2, and supplying 2,448 MWh of clean energy to local schools, leisure centres, and community hubs. 

We are a Community Benefit Society, which means we are democratically run with an asset lock to preserve our energy infrastructure for the benefit of the community. Profits are reinvested into new projects and community action. We are part of a growing national movement putting energy in the hands of communities. 

The role is largely self-directed. You will be trusted to manage your own time and priorities, with guidance from and coordination with the team as needed. 

For the right candidate, there is scope to grow beyond the core admin function. We are open to someone who wants to get involved in project-specific and strategic work, or to serve as an extra pair of eyes on work produced by the project coordinators. This is not a requirement of the role, but an opportunity we would welcome. 

Shop Manager

As a Shop Manager for Alder Hey Children’s Charity, you will deliver sales, Gift Aid and profit targets to generate income for our charity. You will empower and lead a diverse shop team, including volunteers, always demonstrating our Charity Values of:

The Shop Manager will be an integral part of the wider Charity team. 

Income Generation

• Accountable for the shop’s performance in relation to all sales targets and Gift Aid targets and KPI’s. Ensuring that the results are communicated to the shop team and that all staff and volunteers are aware of, understand and are working to meet/exceed the agreed targets and KPI’s.
• Actively drive stock generation through community engagement and donor relationships
• Ensure maximum stock availability through effective stock control and shop replenishment.
• Continually review the rotation, quality, and replenishment of stock in order to maximise sales.
• Achieve the optimum price point for all stock items and promotional merchandise for seasonal and window themes, following the principles of Alder Hey Children’s Charity price guidelines.
• Provide direction and support to shop staff to actively promote Gift Aid in order to maximise contributions from donations.
• Identify local market and business development opportunities for performance improvement.
• Explore ways to maximise sales via events, donation drives, pop-up shops etc.
• Support the team to maximise income via our online platforms.
• Make commercial decisions to drive profitability of the shop.
• Present and maintain the highest standards of shop merchandising and visual layout.
• Support van deliveries and collections, including arranging schedules and assisting on the van when required to meet operational needs and support the team.
• Prepare and complete all shop administration inclusive of cash handling and banking functions to the highest standard, accurately and on time, always adhering to Policies and Procedures.
• Plan and organise daily workload throughout the shop in a way that ensures efficiency.
• Maintain an appropriate income/expense budget e.g., petty cash in accordance with the set targets to maximise the profitability of the shop.
• Seek, utilise and analyse management information including EPOS data to manage shop performance, seizing opportunities for improvement.
• Work with the wider Charity team to promote and support fundraising activities and events.

Staffing and Volunteers

• Create an inclusive environment where staff, volunteers and customers are treated with dignity, respect and fairness
• Line management of Assistant Shop Manager and team of volunteers.
• Proactively recruit, manage and retain a diverse team of volunteers, utilise their skill sets and motivate them to deliver great customer service and perform tasks in-line with charity standards.
• Maximise the shop’s opening hours and ensure the shop is open and managed by the shop team in the managers absence.
• Accountable for planning the shop rota, including both shop staff and volunteers to ensure cover at all times.
• Ensures that the new staff members and volunteers are provided with the appropriate induction process and training for their role.
• Provide and support ongoing training and development.
• Train and develop shop staff and volunteers in customer service standards, operating standards and retailing skills.
• To work and treat staff and stakeholders in accordance with the Charity’s values
• Ensure all Security, Health and Safety policies and procedures are adhered to in order to provide a safe and secure shop environment for staff, volunteers, customers and charity assets.
• Provide regular and relevant training for staff and volunteers in Health and Safety, maintain legal compliance at all times.

This is an impactful role working in a supportive and collaborative environment. The Volunteer Manager is responsible for implementing a sustainable volunteer strategy, onboarding journey and programme across the charity. MAIN DUTIES & RESPONSIBILITIES

• Lead and inspire a positive culture of volunteering within the organisation.
• Implement the Charities Volunteer Strategy and continually develop the volunteer onboarding journey and programme.

As a busy office, the Systems & Administration Officer plays a central role in the smooth running of MindOut's operations. The postholder will coordinate a range of administrative functions, support the wider team with organisational activities and projects, maintain effective office systems, oversee client and volunteer databases, assist with recruitment processes, and prepare monitoring and performance reports. 

The role serves as a key point of contact for the organisation, responding to enquiries from service users, professionals, volunteers, partners and members of the public. The postholder will provide a professional, welcoming and efficient response across email, telephone and digital communication channels, ensuring enquiries are managed appropriately and directed to the relevant service or team. 

As many people contacting MindOut may be experiencing mental health challenges, emotional distress, discrimination, isolation, crisis or suicidal thoughts, the postholder must be able to respond with empathy, professionalism and sound judgement. The role requires resilience, emotional intelligence and the ability to work within MindOut's safeguarding, risk management and confidentiality procedures while maintaining appropriate professional boundaries.

Role description 

You will have the skills, experience, sensitivity and personal confidence to support all the activities of the charity but will have specific responsibility for: 

Main Tasks 
 

1. All organisational administrative tasks to include word processing, data entry, office procurement and responding to enquiries and requests via phone, email or in person
2. Composing and producing letters, documents, reports and presentations in a range of formats as requested 
3. Collating and maintaining statistical information using databases and spreadsheets
4. Monitor and maintain the quality, accuracy and security of organisational data, ensuring compliance with GDPR and MindOut policies. 
5. Updating MindOut’s website and social media and assisting with producing newsletters 
6. Developing and maintaining office systems, organise and store paperwork, documents and computer-based information.Maintaining and developing filing systems and operational procedures for the secure retention and retrieval of information 
7. Act as a systems champion for the organisation, supporting colleagues with the effective use of databases, Microsoft 365, Lamplight, Volunteero and other organisational systems. 
8. Identify opportunities to improve systems, administrative processes and ways of working that enhance efficiency, compliance and service delivery. 
9. Being responsible for all administration tasks relating to the recruitment, training and induction of staff and volunteers 
10. Undertaking administration tasks relating to finances/accounts such as petty cash reconciliation 
11. Carrying out background research and present findings in subjects which are relevant to the work of MindOut 
12. Organising and attend meetings, events and conferences where appropriate including booking rooms, arranging catering, preparing and circulating papers and taking minutes

One role focuses on maintaining and supporting our successful, established service in West Yorkshire. 

The second offers a unique opportunity to play a key part in the growth and development of our vital service as we expand into the East Riding. 

As our ideal candidate you will be happy to travel in and around Yorkshire, and be able to travel regularly to meet with the team and to conduct home visits across the region. You will also need to be able to attend our Leeds Warehouse, or other areas when required.

You will be someone who has good experience of the broad range of day-to-day case management, working with external partners, volunteer support, and administrative activities that working in a dynamic charity brings, and someone who enjoys the busyness and variety of this.

Alongside your family support and engagement-related skills and experience, we’ll be looking to see that you have a genuine care for our mission and, as such, are self-motivated to do a great job and be a values-led member of our team.

Ideally, you’ll have experience of working with vulnerable families and managing volunteers in the charity sector, due to some of the specialties that come with this, such as safeguarding and partnership working. As we continue to grow our service across the North West, we are looking to recruit a Family Engagement Officer to join our newly established North West team. This role offers a unique opportunity to play a key part in the growth and development of our vital service, particularly in the Merseyside area. The role is currently being offered at 21 hours per week (0.6 FTE) but has the potential to increase to full time with further development.

As our ideal candidate you will be based in the Merseyside area or within commuting distance, but be happy to travel in and around the wider North West area. We are looking for a Marketing Support Administrator to report to and support the Service Coordinator in the daily running of the charity which runs on a part-time basis. This is an exciting time for the charity as long-term funding has been secured.

Levenshulme Good Neighbours, (LGN) is a local charitable incorporated organization (reg 1163827) offering befriending services to socially isolated and lonely over 55-year-olds members of the Levenshulme local community. We do this by providing local volunteers to match locals struggling from a lack of social companions. We also host Sunday Luncheons and Slow-Moving Exercise classes. 

The Marketing and Support Administrator will be tasked with creating newsletters, data entry, management of client files, dealing with invoices, receipts, social media campaigns, attending promotional and communal events, creating board meeting agendas and other vital tasks to keep the charity running smoothly. We are hoping someone with an optimal outlook and positive attitude can join our team. This role would require someone with a passion for the cause; tackling social isolation and loneliness experienced by older people.

You will be governed by a friendly and diverse team of locals who share the same passion, come from diverse backgrounds and offer a lot of skills and insights into the field.

Key Responsibilities

• Support the creation and management of marketing materials using Microsoft PowerPoint and Excel
• Create regular social media posts about LGN activities, events, volunteers, and community impact
• Write short stories or case studies about members, volunteers, and the difference LGN is making
• Help promote events, activities, and volunteer opportunities locally and online
• Create simple posters, flyers, and social media graphics using Canva or similar tools
• Update information on the LGN site and social media pages

The Volunteer Coordinator (Nag’s Head Farm) will lead the recruitment, administration and support of volunteers for Camp Jojo’s Cumbria camps. As the main point of contact throughout the volunteer journey, they will manage applications, maintain databases, coordinate communications and ensure volunteers are successfully placed at camp.

Working closely with the Operations Manager and supported by the experienced team at Ivy Farm, Essex, the role also includes providing administrative support and attending volunteer-related meetings. This is a varied and rewarding role requiring strong organisational, communication and time-management skills.

Approximately 80% of the role can be carried out remotely; however, the successful candidate will be required to attend each camp at Nag’s Head Farm, Appleby-in-Westmorland, Cumbria. The position is seasonal, with increased hours during spring and summer and attendance required during school holiday camp periods.
