About the Role
We are looking for an exceptional Executive Assistant and Business Coordinator to provide high-level administrative, organisational and governance support to the Director of Membership, Media and Development (MMD) and the wider directorate.
This is a varied and impactful role at the heart of a busy, member‑focused organisation. You will work closely with senior leaders, board members, committees, and cross‑functional teams to support the delivery of key strategic objectives.
Key responsibilities include, but are not limited to:
- Serving as Secretary for the MMD Board; including the relevant Committees and Working Groups; primarily the Nominations Committee, Heritage and Archives Committee, Events and Professional Development Committee and other committees and short life working parties as directed and agreed by the Director
- Managing the Director’s correspondence, diary and appointments, and providing administrative support, such as drafting documents and presentations
- Acting as the main administrative contact (both internally and externally) for the directorate, dealing diplomatically with all enquiries and liaising with other members of the College to ensure good communications
- End to end management of the process for College Awards, from nominations to presentations
- Supporting heritage and archives projects, including ensuring the relevant pages on the College website are kept up to date
- Supporting the directorate’s contribution to the College’s Annual General Meeting (AGM), working with the Governance Team
About You
You will bring proven experience as an Executive Assistant or Business Coordinator, with strong capability in supporting senior leaders and committees. You will have excellent organisational and communication skills, the ability to manage competing priorities under pressure, and a high level of attention to detail with strong written skills.
You will be confident working both independently and collaboratively, with experience drafting formal correspondence and minutes. An understanding of GDPR, confidentiality and EDI principles is essential, along with strong MS Office skills across Word, Excel, PowerPoint and SharePoint. Experience within a membership body or medical education environment is desirable, and you will be educated to degree level or have equivalent relevant experience.

The Role
We are seeking a proactive and organised individual to join our team as Administration Manager. As Manager of a small team of administration assistants, you will play a crucial role in coordinating administrative support across our Perth and Aberdeen offices, ensuring the smooth running of the organisation by providing support across several of the charity’s functions including fundraising, finance, marketing and operations.
The ideal candidate will have proven experience in a similar office or administration management role, ideally within the charity sector. They will be proactive in building positive relationships across the charity and will be confident managing projects, budgets and external suppliers. They will have experience of using CRM systems in a fundraising context, be solutions-focused and have a strong commitment to our mission.
This role will be based from our headquarters at Perth Airport, and occasional travel to our Aberdeen base will be required. SCAA supports flexible and hybrid working arrangements—our current approach typically includes two office days per week for those working on a hybrid basis. The usual hours and days of work will be Monday to Friday, 9am—5pm.

Brief role description
The People and Systems Administrator provides comprehensive administrative support to the People Team, with responsibility for recruitment and onboarding of new employees, maintaining accurate employee records, coordinating benefits, and acting as the first point of contact for employee queries. The role
As Legal Administrator, you will be responsible for supporting Foxglove’s lawyers and the external law firms with whom we partner, providing comprehensive secretarial and administrative support across all strands of our work including complex and high profile human rights and environmental cases.
The role will suit someone who has provided administrative support for a legal team before but that previous experience is not crucial. Being detail oriented, energetic and socially driven is more important to us.

As a Youth Development Lead – Enterprise, your mission is to be the driving force behind young entrepreneurs' success stories. The Enterprise programme’s aim is to support young people interested in self-employment to explore and test their ideas, write business plans and start their own businesses or achieve alternative outcomes in education, training, volunteering or work.
You'll be the guiding light for a caseload of young people, helping them successfully launch their business ideas and work towards those vital business start targets. We also won’t have you sitting still as travel will be required, exploring your local area to assist in the programme delivery of our Exploring Enterprise course as needed. The delivery can be a mix of online, in-centre or out in the community.
Crafting robust and viable business plans will be your forte. Cash flow forecasts, personal survival budgets, and sector-specific insights are all part of your toolkit. Skillset & Knowledge:

This role may occasionally be required to deploy as part of a ShelterBox project delivery team, working alongside our programme partners. These deployments are unlikely to exceed 2 weeks in duration.
ROLE PURPOSE:
To support programme-level financial accounting, grant stewardship, reporting and oversight-ensuring accurate reconciliations, cost recovery, budgeting, forecasting, donor reporting, and risk management, while acting as a proactive business partner to drive informed decision-making and value for money. This role will also support the Financial Reporting & Systems Manager in delivering accurate internal reporting and ensuring finance systems meet organisational needs.
WHO ARE WE LOOKING FOR?
The successful candidate must have experience of supporting financial process related to donor reporting and project accounting across a diverse portfolio of projects and possess the confidence and collaborative skills to work effectively with senior management.
The successful candidate must be able to combine technical expertise with strong business partnering skills to support decisions that improve organisation efficiency, protect organisational sustainability, and build confidence in colleagues across the organisation.
The candidate must also have experience of project accounting and charitable donor reporting. Knowledge and experience of inventory accounting would be highly regarded, as would exposure to the management or implementation of a project accounting finance system.
MAIN ROLE AND RESPONSIBILITIES:
- Strengthening financial knowledge and confidence with budget holders through coaching, training programmes and partnership-based support.
- Working collaboratively across the Finance team to design intuitive reports and analysis that meet the needs of colleagues across the organisation.
- Contributing to stronger processes and tools, providing clarity around performance, and acting as a trusted advisor to both finance and non-finance colleagues.
- Support the shaping of financial information guidelines for programme delivery, which informs board-level decisions, and supports organisational strategy.
- Collaborating with the Financial Reporting & Systems Manager to improve reporting tools and ensure finance systems support programme and organisational requirements.
Programme Finance Partnership & Advisory
- Support programme managers by providing financial insight and challenge to improve decision-making.
- Assist with monthly project portfolio reporting and forecasting, ensuring accuracy and actionable analysis.
- Interpret donor requirements and help ensure compliance across assigned projects and grants.
- Advise programme teams on best practice donor reporting and project accounting protocols.
Budgeting, Reporting & Compliance
- Assist in development and maintenance of reports and systems that enable effective financial management of projects.
- Support donor financial reporting, ensuring timeliness, accuracy, and compliance.
- Contribute to the development and usage of project budgeting templates; provide guidance to programme teams.
- Collaborate with finance systems and other colleagues to ensure systems meet programme finance needs, especially for project accounting and donor reporting.
- Support Fundraising department on income projection and integration in project funding gap.
- Assist the Financial Reporting & Systems Manager with preparation and review of departmental budgets, forecasts, and input relevant information for the monthly management accounts.
- Support administration and optimisation of finance systems to meet reporting needs.
Grant & Partner Management
- Assist programme teams with partner due diligence assessments related to project delivery.
- Attend programme coordination meetings providing adequate intelligence on project financial status.
- Support financial management of partner grants, including payment facilitation and compliance checks.
- Review partner financial reports and ensure alignment with donor requirements.
Controls & Oversight
- Monitor project-level financial performance, highlighting risks and variances.
- Monthly reconciliation of funding forecast, ensuring that income received are recognised when due.
- Maintain accurate records and documentation for audits and donor compliance.
- Review departmental budgets with relevant budget holders.
Other responsibilities
- Participate in cross-functional projects as required.

Your Role

About You
To be considered as an HR Business Partner, you will need:
- Proven experience in a complex HR generalist role, across the whole HR lifecycle
- CIPD level 7 (completed or working towards) or equivalent experience, with experience of working within a complex, changing matrix-managed organisation
- Significant experience supporting and managing change initiatives in a dynamic organisational context
- Proactive and collaborative, with a solutions-focused approach and demonstrated problem-solving skills
- Working knowledge of UK employment law
- Proven experience in a DEI-focused role, or leading DEI initiatives as part of a broader role
- Proven track record in coaching and developing managers to resolve issues and lead with empathy
- Adaptive and open-minded, with a willingness to learn and evolve
- Proven ability to collect and analyse HR and DEI data and use it to shape effective HR interventions
- Excellent organisational skills for self and others under own oversight
