Job description

Title: Programme & Events Coordinator

Reports to: Associate Director of Business & Operations

Salary: £28,000 - £31,500 (dependant on experience)

Location: Primarily home-based with hybrid working – however, must be willing and able to travel, representing the charities as and when required. Attending meetings and events nationally and internationally.

The Role

Arrhythmia Alliance and its two sister charities (AF Association and STARS – Syncope Trust) is one of the world's leading heart rhythm charities, delivering internationally recognised educational programmes, medical conferences, awareness campaigns patient educational events, awareness programmes and exhibiting at congresses to promote and deliver our work.

Working alongside and reporting to the HRC Manager, you will coordinate the planning and delivery of healthcare professional conferences, patient education events, our programmes, awareness campaigns and digital programmes across the UK and internationally.

You will provide day-to-day project coordination and administrative support to ensure programmes and events are delivered efficiently and to a high standard.

Event & Programme Coordination

  • Coordinate the planning and delivery of conferences, meetings, webinars, exhibitions and events.
  • Support the HRC Manager with the day-to-day coordination of multiple projects and event timelines.

· Coordinate venue bookings, accommodation, travel, catering, audio-visual requirements, faculty invites, registration and event logistics.

· Maintain project plans, action trackers and planning documentation.

· Prepare delegate materials, speaker information and event resources.

· Liaise with internal teams to ensure all event requirements are completed within agreed timescales.

· Monitor deadlines and escalate any risks or issues to the HRC Manager.

· Coordinate exhibitor and sponsor logistics, ensuring all requirements are delivered.

· Coordinate event registration, working with the Communications team to launch registration and manage delegate bookings, reporting registration progress to the HRC Manager.

· Coordinate the collection of faculty presentations and supporting materials prior to events.

· Coordinate event compliance requirements, including CPD accreditation; MedTech compliance; country specific accreditation; promotional approvals, and other regulatory requirements, ensuring all deadlines and standards are met.

· Excellent attention to detail with the ability to manage multiple deadlines while maintaining accuracy.

Coordination & Communication

  • Act as a day-to-day coordination contact for faculty, venues, suppliers and delegates, referring decisions and complex queries to the HRC Manager as appropriate.
  • Coordinate communications between internal departments, suppliers and external contacts.
  • Arrange planning meetings, circulate agendas and record actions where required.
  • Ensure information is shared accurately and promptly with everyone involved in each project.

Event Delivery

  • Support the on-site delivery of conferences, meetings programmes and events.
  • Coordinate registration, delegate enquiries and faculty requirements.
  • Assist with the smooth running of live, hybrid and virtual events.
  • Resolve routine operational issues during events, escalating where necessary.
  • Coordinate post-event evaluations, feedback collection and reporting to support continuous improvement.

· Work closely with the Communications team to support the timely promotion of events and ensure all promotional materials comply with Organisational and regulatory requirements.

Essential Experience

· 3–5 years' experience delivering conferences or large-scale events

· Experience managing multiple projects

· Excellent project planning and organisational skills

· Outstanding communication and stakeholder management

· Advanced Microsoft Office skills

· Experience supporting event marketing

· Full UK driving licence and access to a reliable vehicle

· Current valid passport

· Willingness to travel throughout the UK and internationally

· Experience coordinating delegate registration and event management systems

· Experience coordinating exhibitor and/or sponsor requirements for conferences or events

· Experience of working in a non-profit/charity

Working Pattern

This is a full-time position with the working week consisting of Monday to Thursday 9.00am–5.30pm with 1 hour lunch break, and Friday 9.00am-5.00pm with

30-minute lunch break.

Due to the nature of the role, flexibility is essential. The successful candidate will be expected to work occasionally outside normal office hours to support conferences, meetings, educational programmes and charity events. This will include occasional early mornings, evenings, weekends, overnight stays and international travel. Flexibility is a key requirement of this role.
