We are looking for an Executive Administrator to join our friendly team on a permanent, full-time contract (37 hours per week). Based in our Stirling office, this is a hybrid role with occasional travel across the UK.

As Executive Administrator, you will be at the heart of our charity, supporting the CEO by providing confidential and professional administrative support. This role is pivotal to the smooth and efficient running of the organisation, allowing the CEO to focus on strategic leadership and organisational impact. In addition, you will work alongside other members of LtL’s leadership team and our Strategic Support Manager, as well as providing general administrative support.

1. Proactively engage bereaved families with the support service, respond to bereavement support enquiries and ensure anyone seeking advice and support on bereavement is given a high-quality service in a timely way.

•To be the primary contact for the bereavement support digital services including WhatsApp, text, webchat and other social media channels.
•Proactively engage with bereaved families through social media and other online platforms.
•Ensure any safeguarding concerns are actioned in accordance with the organisations Safeguarding policy.
•Send materials to bereaved contacts, including bereavement packs and follow up emails and ensure all documents and databases are updated with each contact in line with the department guidelines, including Raiser’s Edge, Excel databases.
•Cover and answer the bereavement support helpline and online enquiries responding within the set guidelines and KPIs for the department.
•Ensure any messages on Bereavement Support Facebook Groups are monitored and advice is given via befrienders where appropriate.
•Attend face to face events for bereaved families including family days and memorial events when needed.
•Work with Income and Engagement Team around social media bereavement support content/posts.

2. Deliver and run live bereavement themed sessions on social media
•Run monthly live sessions on social media on bereavement topics/themes, responding to comments and messages during and after the sessions, ensuring anyone seeking ongoing support is responded to and referred to relevant services.
•Work with the Engagement Team to promote live sessions.
•Facilitate monthly remembrance sessions.

3. Ensure the bereavement support services are promoted to those bereaved and to professionals working with bereaved families
•Assist with the recruitment and facilitation of Bereaved Families’ Panel.
•Keep up to date with the bereavement support world including joining National Bereavement Alliance, Child Bereavement Network and research around grief and bereavement.
•Attend events as required to represent the Lullaby Trust’s bereavement support services.

4. Maintain accurate records throughout all services, complying with the organisation’s recording and reporting requirements
•Maintain ongoing knowledge and training on the Lullaby Trust’s advice and the scientific knowledge behind this advice.
•Collate statistics, as required on areas of work within the support services team.
•Assist with the services’ evaluation and impact processes.
•Provide other administrative support to the team as required.

•Attend and participate with External Supervision sessions.

About the Role

As the Triage and Early Interventions Officer you will:

• Act as the first point of contact for clients referred into the service, ensuring that comprehensive needs and risks assessments are completed and a tailored response to each client's needs is provided.
• Deliver initial support services and ensure high quality support and effective triage work is completed for people affected by crime, in accordance with the Witness Service operating procedures and be responsible for delivery of a professional and effective telephone /video call-based support service.
• Ensure each witnesses receives an individually appropriate tailored support and information service that fully meets their needs, keeping complex needs central to all processes and decisions.
• Respond appropriately to safeguarding concerns including both child protection and vulnerable adult issues.
• Foster an inclusive, trauma-informed, person-centred approach that recognises diverse needs and vulnerabilities.

You Will Have:

• Strong administration and organising skills.
• Knowledge of safeguarding issues and legislation relating to both child protection and vulnerable adults
• The ability to undertake needs and risks assessments and identify appropriate support

We are seeking an experienced membership engagement professional to plan and deliver dynamic programme of activities for our Fellowship. In this exciting and varied role, within our growing Mass Engagement department you will be part of the core team responsible for delivering the charities challenge events portfolio to maximise support and increase income.

You’ll manage a range of events from marathons and treks to bespoke fundraising challenges, ensuring participants feel valued, motivated, and connected to the cause.

You will be organised and a strong project manager, confident in solving problems, securing financial targets and take a creative and collaborative approach to deliver outstanding events.

Key responsibilities:

• Develop and deliver mass fundraising events, with end-to-end coordination of various in person and virtual events, ensuring supporters are at the heart of all activity, including budgeting, planning, supplier co-ordination, risk management and on the day delivery.
• Help to identify new event opportunities in collaboration with the Mass Participation Event Manager.
• Meet Income & KPI targets along with maintaining costs within agreed budgets.

Parallel is a small charitable initiative with big ambitions. Our mission is to increase the number and diversity of excellent young mathematicians. We are a Good Thinking project (registered Charity Number: 1147404).

Founded in 2023 by Simon Singh MBE and Dr Junaid Mubeen, our online Parallel Academy supports highly capable students to excel in maths, by providing them with structured programmes that develop their reasoning and problem-solving skills beyond the curriculum.  We currently support more than 10,000 students through the Academy, around 1000 of whom receive highly targeted support through weekly, small-group online tutorials.

We are at an exciting phase in our journey, with plans to expand tutoring to 5000 students over the next four years. Our students are motivated and ambitious. Our maths programme takes place outside of school hours, yet students have an average attendance above 95%. All of our work takes place online and is subject to safeguarding and data protection policies that are reviewed periodically to reflect up-to-date best practice.

The purpose of this role
 

We are seeking an experienced Head of Operations to join and help lead our committed and energetic team. This role is pivotal to achieving Parallel’s growth ambitions while maintaining the quality of service we are renowned for. As a senior leader, you will be a lynch pin of our core team and will make a real difference to the life prospects of thousands of young students. 

On a practical level, you will coordinate and drive our core programmes, with oversight and accountability for their smooth, day-to-day delivery. You will also line-manage two full-time administrators (this may increase as the team expands), overseeing and supporting their work across communications, data and operational delivery.

We have established several processes and tools for delivering our programme effectively and the ideal candidate will have a sharp eye for process improvement and opportunity. You will need to understand and consolidate our current best practices, but also identify ones that need to be adapted or enhanced as we look to scale up. 

This role is offered initially as a fixed-term contract for 12 months, though we have every intention to extend the position longer term should the appointment prove successful. 

A note on working hours
 

This is a fully-remote role. As part of your contracted hours you will be required to regularly do some work during evenings and weekends (approx 5-8 hours a week). You may occasionally need to step in at short notice, outside of standard working hours, to support and resolve urgent operational issues.

There will also be periods when there is a higher workload (e.g., during student admissions cycles), so you may be required to offer some flexibility in working longer  - and then shorter - hours week to week. Time off in-lieu is provided for additional hours worked. 

In general, you will have significant autonomy in how you structure your working week, provided you ensure that our core operational needs are covered within the whole team.

Key responsibilities

Working for Parallel is challenging and rewarding in equal parts. On a typical day you will be fielding queries from parents, managing the logistics of 200+ tutorials a week and ensuring tutors are fully supported. We are a dynamic team that readily adapts to new situations and relishes the challenge of working through problems together. 

As part of your key responsibilities you will:
 

• Oversee the smooth day-to-day running of our Tutorial and Webinar Programmes, ensuring that sessions proceed as planned, and that any issues - from tutor cover needs to student absence requests - are swiftly and effectively addressed.

• Coordinate key aspects of our start and end-of-term administration, including payments, parent and student communications, website setup, spreadsheets and logistics.

• Oversee the admin team’s responsiveness to our high-volume shared inboxes, responding to the most sensitive student and parent queries and acting as a point of escalation where needed.

• Manage a small but growing admin team, providing regular guidance, support, and feedback.

• Play a key role in overseeing our student admissions cycles, from planning to testing, setup, delivery and communication of decisions.

• Make everyday operational decisions independently, exercising good judgement in when to bring issues to senior management.

• Work effectively with data (e.g. student learning data) - as managed through our central directories - and use it to guide decision-making and to support the effective running of our programmes. 

• Review our policies on an ongoing basis, ensuring that we are complying with our safeguarding and data protection obligations at all times and that our policies are built for scale.

• Support with schools outreach initiatives.

• Develop and document key administrative procedures (an ever-evolving ‘Operations Handbook’) to ensure that we have reliability and stability across all programmes.

• Help to shape and build on our ethos of high expectations, which translates into concrete policies regarding attendance, homework, participation and criteria for both admitting and removing students from our Tutorial Programme.

This maternity cover comes at a defining time for CHAS as we deliver our £20 million More than a Hospice Appeal, a once-in-a-generation chance to redesign how Scotland cares for children with life-shortening conditions and their families – giving families real choice so they can be cared for at home, in hospital or in a hospice, and that they feel held, supported and not alone.

This is the biggest campaign in CHAS’ history, and as a member of the Income Generation & Engagement Management Team, you will play a key role in its delivery, having impact long beyond your time at CHAS.

We provide a stable home and tailored, life-changing support for people who are experiencing or at risk of homelessness. About the role

At Emmaus UK, our partnerships are a key strategic focus and bring about real change – providing significant opportunities for the people we support. Our relationships with Corporate Partners are multi-faceted and go beyond the financial – leveraging the skills, experience and expertise of our partners to bring a wide range of benefits to both Emmaus UK and to our network of communities nationwide.

The Corporate Partnerships Officer will work with the Corporate Partnerships Manager to manage and develop our growing portfolio of corporate partners. By taking ownership of some of our smaller partners, as well as providing support on the delivery of our larger partnerships, you will ensure our partners at every level receive a consistently high standard of supporter care. This role will be instrumental in ensuring the long-term success of our partnerships programme, and our ability to help more people in the years to come.

Who are we looking for?

We are seeking a proactive, relationship focused individual who can provide exceptional account management to a range of partners. You’ll have excellent communication skills and the ability to build engaging relationships, enthusiastically conveying Emmaus’ mission and impact in a range of settings.

You’ll have strong organisational skills with the ability to work to deadlines, prioritise and manage competing priorities. You’ll be comfortable using a range of IT solutions to communicate effectively with partners and ensure solid records on our partnerships and income are maintained.

What we offer

· Salary: £31,160 (pro rata)

About the Warm Welcome Campaign

Founded in 2022, the Warm Welcome Campaign wants everyone in the UK to find a place of belonging and reconnection at a Warm Welcome Space near their home. We have a bold ambition to enable a more deeply connected society where we all have free access to welcoming community spaces. 

We resource, connect and champion a network of over 6,300 Warm Welcome Spaces and bring together a growing coalition of local, regional, and national partners representing the worlds of charity, faith, business, government, and philanthropy. By working together, we can unlock the power of community spaces made by and for everyone, creating a thriving network of hope and reconnection fueled by human warmth. 

We’re working hard to reach everyone with the message that a Warm Welcome is waiting for them just around the corner, all through the year.

The Opportunity

To support ongoing growth and development of the Warm Welcome Campaign, we are looking for a Head of Operations to be responsible for supporting the Senior Leadership Team in the effective and efficient running of the Campaign and the coordination and development of our ambitious 5-year strategy. The role will sit within Warm Welcome’s Senior Leadership Team, which also includes the Campaign Director, Director of Communications, Director of Programmes and Development, and will report directly to the Good Faith Partnership Operations Director. 

The purpose of the Warm Welcome Senior Leadership Team is to:

• Own and develop the Warm Welcome strategy, ensuring sustainability and delivery

• Lead, direct, engage and inspire the Warm Welcome team, setting the tone and culture

• Be accountable for significant decisions, challenges and risks.

The Head of Operations role will help to support and co-ordinate the work of the Senior Leadership team to be as effective as possible in achieving this purpose.

Responsibilities

The role will be responsible for:

• Supporting and coordinating the Warm Welcome Senior Leadership Team to function as effectively as possible

• Supporting the Warm Welcome team to ensure that our 5-year strategy is delivered on time and to budget, including coordinating our annual workplan of activities against our strategy

• Developing our internal set up, processes and systems during a period of growth

• Overseeing the Warm Welcome financial, compliance and risk management

• Coordinating the Warm Welcome team growth, culture and performance

• Overseeing long term financial planning and forecasting for Warm Welcome

• Supporting the delivery of other Warm Welcome efforts, as appropriate

Person specification 

Strategy Oversight and Development

• Experience in coordinating workplans linked to a strategy to ensure that progress is being made and any areas of concern are identified and acted on quickly

Developing internal processes and systems

• Ability to create and develop high functioning, accessible systems for the whole team’s use

• Highly organised with accurate record keeping and ability to prioritise work to ensure deadlines are met and opportunities are maximised

• All candidates will need to be competent with CRM Systems, Google Suite and Microsoft Office

Financial, Risk and Compliance management 

• Experience of financial management, including budget setting, owning and developing budgets, and reporting processes

• Experience of overseeing risk management and mitigation within a team

• Experience of overseeing compliance i.e. reporting to the Charity Commission, reporting related to GDPR, developing and reviewing policies etc.

Team growth and performance

• Experience of line management, leading and developing high-performing teams, fostering a culture of collaboration and empowerment.

• A strong team player who is flexible, positive and responds with strong influencing and negotiation skills and a commitment to the organisation and team working

• Experience of leading organisational growth, set up and design

Working Arrangements 

• Current members of the team are based across the UK, with some in London, Reading, Bristol, Manchester, York and Northern Ireland. Applicants must be able to travel to Bristol once a month for a Tuesday full team meeting. Given the nature of this role we would also expect the applicant to carry out a reasonable amount of travel to both Warm Welcome Spaces and partners across the UK.
