KEY TASKS, ROLES, AND RESPONSIBILITIES

• Provide administrative support to the Director of Membership and Education and the wider department
• Coordinate meetings, including scheduling, agendas and tracking actions
• Manage multiple shared inboxes, ensuring queries are handled promptly and professionally
• Collate data, insights and information as required for reports and updates
• Coordinate travel and accommodation bookings for the Membership and Education team and volunteers
• Support the planning and delivery of RLSS UK events, campaigns and initiatives
• Assist with procurement of goods and services, liaising with suppliers and the Finance team
• Support membership administration, including managing enquiries, payments and record-keeping
• Assist with the delivery of communications to members and volunteers
• Contribute to providing a high-quality service to members and volunteers
• Produce notes from meetings including the various Working Groups, attending in person as required

• Ensure compliance with UK GDPR and the Data Protection Act 2018 by complying with internal information governance policies and maintaining up to date documentation as part of RLSS’s compliance programme.

Leading a small creative team, you'll combine strategic thinking with hands-on creative expertise to produce exceptional design, video and visual storytelling that brings our mission to life. What you'll do

• Lead the creative development, design and production of high-quality, impactful marketing and communications materials across print, digital, photography and video channels for the Charity
• Be an active and influential member of the core Brand Refresh project group, delivering the project to time and budget, strengthening brand awareness, consistency and impact.
• Collaborate with colleagues across Fundraising, Marketing and Digital teams to produce effective marketing and communications which meet audience objectives, interpreting briefs and deliver creative solutions that achieve campaign objectives.
• Lead creative concepts from initial brief through to final delivery, presenting ideas confidently to stakeholders and translating feedback into exceptional outputs. Develop efficient creative briefing and workflow processes that support excellent project delivery.
• Run weekly design clinics to review all business as usual design and video outputs.
• Manage and develop the creative team, including the Designer and Video Producer, providing leadership, coaching and support.

Job Description: Facilities Manager

Reports to: Head of Services

Location: Woking, Surrey

Hours of Work: Part time, 22.5hrs per week

At York Road Project, we are dedicated to transforming the lives of individuals experiencing homelessness in Woking. We believe in harnessing the unique strengths and potential of each individual to create a pathway towards stability and independence.

The Role:

This is an exciting time to join the organisation, as we are planning the refurbishment of our flagship 10-bedroom supported accommodation service alongside ongoing development of our wider accommodation portfolio.

The Facilities Manager is responsible for ensuring the safe, compliant and effective operation of all facilities at York Road Project, which includes a 10-bedroom main site shelter and three additional properties comprising a further 14 beds. The role ensures all buildings are maintained to a high standard, remain fit for purpose, and meet statutory and regulatory requirements.

Key Responsibilities:

Facilities Management

• The Facilities Manager monitors the delivery of maintenance activity across all sites, ensuring issues are escalated where standards, timescales or compliance requirements are not met.
• The role ensures all accommodation and premises are maintained to a high standard, remain fit for purpose, and operate safely and efficiently.
• The Facilities Manager reviews and improves facilities processes to enhance operational efficiency and ensure consistent delivery across all sites.

Health and Safety & Compliance

• Oversee Health and Safety compliance across all properties and service.
• This includes the development, review and maintenance of risk assessments for all properties and relevant work activities, ensuring they are suitable and sufficient, regularly reviewed, updated following changes or incidents, and effectively implemented.
• The role also ensures statutory inspections, fire risk assessments, fire safety compliance, emergency preparedness, HSE requirements, and DSE compliance for home working staff are in place and maintained.
• Responsible for ensuring compliance systems and documentation are maintained to an audit-ready standard.
• The role supports internal and external audits, including annual health and safety and fire risk assessment audits, ensuring evidence and corrective actions are completed.

Governance & Reporting

• As part of the role you will attend the charity’s Health and Safety Sub-Committee, providing updates on H&S, risks, compliance, audits, and improvement actions.
• The role contributes to audit processes, monitoring compliance status and ensuring follow-up actions are completed and embedded across the services.

Budgets & Operational Reporting

• Manage facilities-related budgets, reporting on spend, risks, compliance status and planned maintenance priorities.
• Develop a maintenance schedule for all properties.

Professional Standards & Ways of Working

• Maintain accurate and timely records of inspections, compliance checks, maintenance activity and statutory requirements
• Ensure all property and compliance documentation is audit-ready and consistently maintained

We are looking for an Interim Head of Marketing and Communications to lead this function during an exciting period of transition and growth. Focusing on cash appeals and alternative gifts, this role will manage the planning, delivery, and evaluation of multi-channel campaigns that inspire supporters to give, strengthen loyalty, and maximise return on investment.

About You

You are organised, proactive and experienced in delivering successful direct marketing campaigns across channels such as direct mail and email. With excellent planning and project management skills, you can manage multiple campaigns from concept to completion, working collaboratively with colleagues, agencies and suppliers to deliver high-quality results on time and within budget.

You have strong analytical and numerical skills, enjoy working with data and databases, and use campaign insights to drive continuous improvement. Comfortable using Excel, Word and CRM or database systems, you're confident managing campaign data, monitoring performance and identifying opportunities to improve supporter engagement and response.

An excellent communicator, you have strong written skills and experience writing and editing compelling email and campaign copy. You build positive relationships with internal stakeholders and external partners, working collaboratively while confidently managing priorities, negotiating deadlines and solving problems as they arise.

You're highly organised, able to manage a varied workload and adapt quickly in a fast-paced environment. You take ownership of your work, bring fresh ideas and a creative approach to campaign development, and are always looking for ways to improve results.

External Affairs & Influencing:

• Develop productive relationships with key stakeholders (journalists, NHS trust leaders, ICBs, ICSs, VCSE orgs) to gather intelligence and shape strategy to inform the charity's positioning
• Lead the charity's thought leadership development providing strategic advice to senior leadership on political, NHS and mental health policy developments
• Strengthen the charity's role in mental health policy and advocacy coalitions, by contributing to collaborative advocacy, media and communications outputs
• Lead the charity's response to government mental health care consultations and calls for evidence
• Monitor funder sector trends and conversations, and actively seek out opportunities for the charity to strategically engage and influence by sharing learning from its grant making practice

Media management

• Develop and implement integrated external affairs campaigns that support the charity's influencing work
• Create persuasive materials, including press releases, op-eds, spokespeople briefings, comment pieces, and digital content and pitch to relevant outlets
• Maintain and grow relationships with journalists, broadcasters and sector media to secure relevant high-quality coverage of the charity's activities, grant holders and their projects
• Act as first point of contact for media enquiries, managing proactive and reactive press activity
• This role is expected to grow and develop and the postholder will be fully supported from across the organisation as the position evolves, within an organisation that offers a friendly, values led culture.

1. Conduct thorough prospect research across NHS BHRUT procurement suppliers, local businesses and priority sectors to build a strong and accurate pipeline of prospective corporate and community partners in our new CRM, Beacon.

2. Create a corporate partnership fundraising deck for prospects that brings to life all the ways businesses can get involved, from social value opportunities, do your own fundraising and challenge events, sponsorship opportunities, to volunteering and in-kind support. This will need to be compelling and can be tailored for NHS procurement suppliers and aligned to the charity’s strategic goals.

3. Develop a corporate volunteering opportunities deck, ready to share with prospective and current partners. 

4. Identify key stakeholders within target prospect organisations and make proactive outreach to arrange prospect meetings between corporate contacts and the Head of Fundraising, to support the charity’s income growth ambitions.

Day to Day Financial Management

Budget Process Management 

• Take the lead on preparing the Annual Budget, working closely with SLT to capture all spending plans Develop and run a process which is thorough, consistent and inclusive of all managers. 

• Alongside the Co-Director, present the Draft Budget to Board for approval 

• Present monthly management accounts and Cost Centre reports for all managers

• Work closely with all SLT to ensure they fully understand their budgets and ongoing organisational performance against budget 

• Monitor variations against spend and integrate within an overall Cashflow analysis 

• Recommend corrective actions to Co- Directors and/or Board as necessary 

Statutory Reporting & Charity compliance 

• Act as lead member of staff with the Charity’s Auditors

Help keep our food bank running and support people facing food insecurity across South Bucks

One Can Trust is a thriving local charity supporting individuals and families experiencing hardship across South Bucks. Alongside our food bank, we run a clothes bank, toddler groups and a community café. With a dedicated team of 11 staff and over 400 volunteers, we currently support around 360 people each week.

We are looking for a practical, organised and community-minded Warehouse Coordinator to oversee the day-to-day running of our warehouse operation. This is a hands-on role that combines stock management, volunteer supervision, health and safety responsibilities and general warehouse administration.

About the role

As Warehouse Coordinator, you will be responsible for ensuring the smooth and efficient operation of the food bank warehouse. This role is ideal for someone with warehouse or stockroom management experience who is happy to be actively involved in the physical day-to-day operation.

Hours: 17 hours per week (Monday to Friday, ideally 8.30am to 11.30am), plus approximately two flexible hours per week as required for food collections and operational needs.

Key responsibilities

Warehouse Operations

• Receive, inspect and record food donations from suppliers, businesses, community groups and members of the public.
• Organise and rotate stock to ensure food is stored safely and efficiently.
• Monitor inventory levels and maintain accurate stock records.
• Ensure adequate stock levels are available for food parcel preparation.
• Maintain a clean, safe and organised warehouse environment.
• Report shortages, surpluses or operational issues to the Operations Manager.

Volunteer Coordination

• Supervise and support warehouse volunteers during daily operations.
• Provide clear guidance and ensure volunteers follow warehouse procedures.
• Work closely with the Volunteer Coordinator to ensure sufficient volunteer cover.

Food Stock Management

• Carry out and review weekly stock checks.
• Identify low stock levels and report requirements to the Operations Manager.
• Liaise with the Finance and Procurement Coordinator regarding purchases.
• Oversee the collection of surplus fruit and vegetables, including undertaking collections when volunteer support is unavailable.

Health & Safety

• Promote and maintain a strong health and safety culture within the warehouse.
• Carry out routine checks, including temperature monitoring and environmental checks.
• Ensure compliance with food hygiene, manual handling and warehouse procedures.
• Act as Deputy Fire Warden.
• Work with external contractors, including pest control and PAT testing providers.
• Escalate concerns and support the implementation of health and safety improvements.

Facilities and Vehicle Management

• Support the upkeep, security and maintenance of the warehouse building.
• Ensure the charity van remains roadworthy, legally compliant and well maintained.
• Liaise with waste management providers and other service contractors.
• Undertake other reasonable duties as required to support the charity's operations.
