Our Direct Marketing Team is part of this department, and recruits and develops supporters. We are seeking a Direct Marketing Officer to join this team to manage and deliver a series of high standard direct marketing campaigns across our Regular Giving programme. This individual will be recruiting, retaining and upgrading regular donors to generate income through a variety of direct marketing methods such as direct dialogue, DRTV, digital, and direct mail. They will be encouraging regular monthly gifts or support via one of our main products such as general Regular Giving and Sponsorship, our Lottery, Value Exchange programme and other methods of committed giving as they arise.

We’re looking for someone who has a good working knowledge of database systems and who understands their importance to organisations like Al-Khair Foundation. We seek someone who is naturally process-driven and has a great eye for detail. You will be responsible for specific monthly processes, such as organisation income reconciliation and ongoing data uploads and cleansing for the Fundraising teams. You will also become a champion for Salesforce and understand the importance of CRM to help Al-Khair Foundation achieve our goals and provide a better service to our donors, supporters, and participants.
Your Role
Al-Khair Foundation uses Salesforce to manage relationships with our donors, supporters, and stakeholders, including recording all donations made to the organisation. Al-Khair Foundation’s Database Officer will be responsible for the monthly delivery of the income and data reconciliation processes for the Fundraising teams, which includes liaising with a wide range of external agencies and the website to successfully download and query files, update and create new supporter records on the database, process cheques and payment requests, and work closely with the Finance team to ensure all anticipated and banked income tallies correctly.
You will also work closely with colleagues in the Database team to support and maintain regular database processes, data cleansing, and other database-related functions that happen on a monthly or quarterly basis. This may include responding to and being responsible for Support Ticket queries in relation to income, data, and/or the database generally and working with external database agencies such as our web platform partners and Salesforce.
Aside from these core duties, from time to time, you may also carry out general administrative tasks on behalf of the Supporter Engagement team. This may include supporting the Supporter Care Assistant during busy periods with customer care via email and telephone and recording updates, processing invoices, and maintaining and updating team rotas and trackers.
Your Responsibilities
- Delivering the monthly data reconciliation and income reconciliation processes, which include downloading and uploading data files.
- Supporting the Fundraising teams with their monthly income recording and reconciliation.
- Liaising with external agencies and the Finance team.
- Checking for and correcting inaccuracies and updating supporter records.
- Running reports for the Fundraising and Finance teams.
- Maintaining and carrying out regular database processes, including data cleansing.
- Supporting the Database Coordinator and the Senior Data Manager to encourage best-practice use of the database across the organisation, including assisting with onboarding and new user training and being on hand for day-to-day technical support when the Database Coordinator is unavailable.
- Working with external partners (i.e., telemarketing agencies) to ensure the successful and smooth transition of data onto the database.
- Spotting and reporting database glitches and problems.
- Supporting with the ticketing system as a second point of contact in the Database team.
- Contributing to creating a culture committed to the safeguarding of children and adults and compliant with Al-Khair Foundation’s Child Safeguarding and Adults at Risk Policies.
Who You Are
To be successful, you will be:
- Someone who has experience using a Salesforce database to carry out day-to-day tasks and who understands their importance for organisations such as Al-Khair Foundation. Charity/NGO experience would be an advantage.
- Someone with excellent attention to detail and good numeracy skills.
- A great communicator who can manage a variety of stakeholder requirements and resolve requests in a timely and accurate manner.
- Able to organise your time and own workload effectively and able to work to deadlines in a busy environment.

Summary of the role:
This role will provide day-to-day administrative support and project support to the department head and the overall team to ensure the successful delivery of the organisation’s operations in an efficient manner. This role will focus on generating reports, tracking progress, and ensuring all the necessary processes relating to compliance, finance and HR are completed in a timely and accurate manner.
About the Role:
- Develop a thorough understanding of Muslim Aid’s work areas in order to ensure strategic linkages / appropriate dissemination of information or assignment of actions.
- Develop, maintain and review administrative systems to achieve maximum efficiency and to have high-level exposure across the organisation including admin, finance, IT, HR, supporter services, IP, comms etc.
- Prepare purchase orders and document payments according to Muslim Aid’s financial procedure and in conjunction with the Finance team to ensure speedy payment of invoices for internal / external stakeholders.
- Assist the Head of Income Generation and Marketing with the preparation of PowerPoint presentations, documents, briefing papers, action points and reports as requested and to track work across all relevant departments to ensure the nominated Manager undertakes action within the agreed timeframe.
- Provide administrative support to Head of Income Generation and Marketing in preparing and drafting correspondence, booking meetings, minute-taking, planning and supporting events, organising travel and preparing travel itineraries and relevant tasks as required by the Head of Income Generation and Marketing.
- Be the gatekeeper and first point of contact to stakeholders, assessing priorities, redirecting calls, enquiries, and face to face meeting appointments.

Key duties and responsibilities
The post holder will:
-Be responsible for the ongoing delivery of our Workplace Wellbeing Index and Snapshot. Building surveys, generating links and producing reports for delivery to clients
-Lead infrastructure management of the Index and Snapshot (LMS) and Qualtrics survey platform and digital and physical reporting interface
-Within Qualtrics, script and test surveys for the WW Index and Snapshot. Liaising with Qualtrics support teams (service providers) as appropriate
-Deliver WW Index and Snapshot quality assurance activities.
-Oversee the management of the Snapshot LMS as a Super user, creating and managing client accounts, uploading client surveys and client reports

About the role
The Digital Optimisation Analyst is instrumental in advancing Christian Aid's digital strategy and supporting colleagues in achieving their ambitious digital, fundraising and supporter engagement goals. Through utilising measurable data and analytical tools such as Google Analytics, the role provides in-depth campaign analyses, performance reports, and a deep dive into users' online activities and behaviours. The deliverable insights and contributions empower teams to make data-driven, impactful decisions that generate positive change across the organisation.
About you

JOB DESCRIPTION
Strategy and Operations
1. Develop, implement, and lead execution of the charity's annual operational plan and 3-year strategic plan.
2. Identify appropriate level of staffing, volunteering, ensuring that all staff and volunteers are appropriately interviewed, vetted, inducted, trained, developed, and supported to deliver against their objectives.
3. Ensure appropriate upkeep, security, and management of the charity’s premises, including all relevant contracts and payments.

People
5. Line management of seven staff members, and responsibility for staff and team development, cohesion and appraisals.

Finance and Fundraising
10. Develop, implement, and lead charity’s financial and fundraising planning and management, ensuring that the charity operates at least at break-even, ideally with a small surplus.
11. Ensure that the charity has a diverse range of income across various streams, inclusive of (but not limited to) public sector, trusts and foundations, corporate income, events, and online giving.
12. Ensure that the charity is receiving value for money with all expenditure, ensuring contract review on a timely basis as appropriate.
13. Ensure appropriate cashflow projections so that expenditure does not exceed income in any one year unless pre-agreed with trustees.
14. Ensure that appropriate financial controls are in place so to protect charity and anyone handling money on behalf of the charity.
15. In conjunction with the finance administrator and hon. treasurer monitor all income, expenditure, accounts, funding investments and budgets.
Governance
16 Ensure compliance with charity and company law, inclusive of writing, presentation and filing of annual report and accounts and other Company Secretary duties.
17 Organise, attend, record and report at board meetings every two months, inclusive of finance and operations reporting and the regular cycle of governance reviews.
18 Plan, organise and attend AGM and annual strategy session.
19 Ensure appropriate level of risk management and insurance are in place for the charity.

Communications and Impact
21. Represent and promote the charity in public, sourcing media opportunities as appropriate so to increase visibility.
