Administrative Trustee Volunteer Roles

We are looking for a team player, who is able to support our board to grow the charity over the next few years. Our aim is to break down barriers which prevent people accessing the arts – as well as enriching our community with our workshops, community events and gallery space. We are a passionate and dedicated team in need of support embedding new procedures, strategies and development plans to help the charity grow. We welcome hand-on trustees who wish to come and help at workshops and events, but this is not expected or a requirement of the role.

If you have a background in any of the following it would be very useful for our board: charity experience, marketing and communications, human resources, inclusion and diversity and/or finance. Previous trustee experience is not necessary and we are actively seeking applications from all ages and backgrounds. Having a board with diverse backgrounds and lived experiences will enable SCIP to improve decision making to be more inclusive whilst having better understandings of potential barriers people have experience accessing arts.  SCIP are focused on working with people who share our vision and values.

The Role of the Board

The Board of Trustees is responsible for the overall governance and strategic direction of the charity, developing the organisation’s aims, objectives and goals in accordance with the governing document, legal and regulatory guidelines. Specifically, the Board is responsible for:

• Ensuring that the charity and its representatives function within the legal and regulatory framework of charities and in line with the organisation’s governing document, continually striving for best practice in governance.
• Upholding the fiduciary duty invested in the position, undertaking such duties in a way that adds to public confidence and trust in the charity.
• Determining the overall direction and development of the charity through good governance and clear strategic planning.

Trustee - Role Description

• Ensuring the charity complies with legislative and regulatory requirements, and acts within the confines of its governing document and in furtherance to organisational activities contained therein.
• Acting in the best interest of the charity, beneficiaries and future beneficiaries at all times.
• Promoting and developing the charity in order for it to grow and maintain its relevance to society.
• Maintaining sound financial management of the charity’s resources, ensuring expenditure is in line with the organisations’ objects, and investment activities meet accepted standards and policies.
• Interviewing, appointing, and monitoring the work and activities of the senior paid staff if necessary.
• Ensuring the effective and efficient administration of the charity and its resources, acting as a counter-signatory on charity cheques and any applications for funds if necessary
• Maintaining absolute confidentiality about all sensitive/confidential information received in the course of trustee’s responsibilities to the charity.

Accountable to

• Funders, beneficiaries, the Charity Commission, and Companies House.

Time commitment

• Attendance at quarterly meetings (held in central London on a weekday from 2–5pm)
• Ad hoc advice and support to senior staff and Board members, usually via email.
• Term for all Trustees is 3 years, with the option of re-election by mutual agreement for one further term.

Person Specification

• A commitment to the organisation and fixing our broken food system, including a commitment to Feedback's core values of collaboration, celebration, audacity, solidarity and impact
• Previous governance experience and an understanding and acceptance of the legal duties, responsibilities and liabilities of trusteeship

PANS and PANDAS are complex neuro-psychiatric conditions which are frequently misunderstood and misdiagnosed. PANS PANDAS UK are the only charity in the UK working to improve outcomes and ensure brighter futures for people affected by PANS and PANDAS.

Expression of Interest to become a World Horse Welfare Trustee

Volunteering for World Horse Welfare comes in many different forms, from lending a hand at one of our farms, to providing administrative support at our Head Office.

Another way individuals can provide voluntary support is by joining our Council of Trustees – an elected group of professionals responsible for the overall governance and strategic direction of our charity. Trustees are not expected to take part in the day-to-day running of the organisation, but as a group they are responsible for its general control and are required to act in its best interests. The Association for Palliative Medicine of Great Britain and Ireland (APM) is one of the world's largest representative bodies of medical/healthcare professionals practicing or interested in palliative care, with a growing membership of over 1,400. Most members are doctors, and supporting them is the core focus of the APM. APM members support patients with life threatening illnesses to live and die as well as possible. It is the APM's mission to promote, facilitate, advance and develop excellence for the benefit of every individual patient and those important to them. As part of a wider governance review, the APM is making some exciting changes to it's organisational structures. The current Board will become the APM Council with a focus on professional matters and the creation of a new Board of Trustees will oversee the administration of the APM as a professional membership body and hold elected Officers to account.

About the APM:

The APM is a registered charity, and so it has a Board of Trustees acting as its governing body. The Board of Trustees is responsible for agreeing the APM business plan and monitoring the progress of APM affairs. Trustees also act as the custodians of the APM, ensuring effective management and administration and are registered as APM Directors with Companies House.

About the Lay Trustee Role:

As a Lay Trustee, you will have the opportunity to work closely with fellow Trustees to shape the future of the APM. You will note that a medical background is not a pre-requisite of the role. As part of the Board of Trustees you will use your expertise in either a) financial management or b) equity, diversity and inclusion to ensure the APM is solvent, well-run, and delivering on its charitable objective.

Responsibilities include but are not limited to:

• Be willing to act as a Trustee of the organisation and accept ultimate responsibility for directing the affairs of a charity, and ensuring that it is solvent, well-run, and delivering the charitable outcomes for which it has been set up.
• Ensure that the Board operates within the APM's charitable objective, its governing document and provides clear strategic direction to the APM.
• Fulfil Trustee duties to ensure sound financial health of the charity, with systems in place to ensure financial accountability.
• Support the Chair of the Board of Trustees, President and Board Officers whilst respecting the boundaries of those roles.

Time commitment

The APM Board of Trustees will normally hold four meetings per year (likely to be a mixture of in-person and hybrid meetings). On average, it is estimated that the time commitment will equate to half a day per month, spread irregularly over a 12-month period. Trustees will serve a three-year term. Individual tenure may be extended by up to a maximum of a further three-year term to ensure orderly succession planning, subject to the agreement of the membership.

Lothiansound is a small Scottish registered charity based in Edinburgh, run entirely by volunteers, funded by donations, and managed by a Committee of Trustees.  With the publisher's permission, we produce a weekly audio edition of articles selected from the “Edinburgh Evening News”. This is distributed by returnable memory stick inside a returnable wallet.  New Listeners are sometimes referred to us by SSI agencies, or they can self-refer on request.

Lothiansound’s Listeners are mainly in the Edinburgh area, but might be anywhere in the UK (and sometimes beyond) and receive this service completely free of charge.  We know that our Listeners appreciate us hugely, because they regularly tell us so!

Your SECRETARY role would be to assure the Charity’s handling of administrative matters, including:

• Prepare Agendas and Minutes of Committee Meetings (currently on Zoom) – six meetings per year.
• Prepare Agenda, Notice and Minutes of Annual General Meeting (currently on Zoom).
• Maintain Register of Operating Policies.
• (In association with Chair & ViceChair) Maintain existing good relationship with the landlord of our physical office (in an Edinburgh suburb) which is where our weekly admin/copying teams do their stuff with Listeners’ incoming/outgoing wallets.
• Assist (the Treasurer) in preparation of Annual Report and Accounts.
• Be Lothiansound’s nominee with the Charity Regulator (OSCR).

Your (Trustee/Office Bearer) role can be carried out mainly from home, other than ad hoc visits to the office if necessary.. There is no involvement in recording and distributing the audio newspaper unless the applicant wishes to do so.

No professional qualification is needed. Experience of some of the above matters would be advantageous.  Requirement for competency with word processing, plus clear and accurate communication skills, and ability to convey documents efficiently by email etc. Occasional need for printing out can occur – e.g. simple A4 sheets for notice boards at the office.  Outgoing Secretary will be on hand for initial assistance and transition.

Finance

They are looking for a Trustee to monitor the financial administration of the charity and report to the Board on its state of financial health, in line with best practice and in compliance with the governing document and legal requirements, providing the confidence and knowledge to better make strategic decisions.

Main responsibilities

• To oversee the budgets, accounts, management accounts and financial statements on behalf of the Board in discussion with the CEO, Finance Manager and accountant.
• To ensure that proper accounts and records are kept, ensuring financial resources are spent and invested in line with the charity’s policies, good governance, legal and regulatory requirements.
• To be instrumental in the development and implementation of financial and reserves policies.

Fundraising & Income Generation

They are looking for a Trustee with an in-depth understanding of fundraising strategic options and operations. The ideal candidate will be someone with a strong background in general charity fundraising including familiarity with foundations, trusts and corporate partners, as well as an ability and willingness to advise on opportunities for fundraising and income generation as part of our daily operations.

Main responsibilities

• Fundraising Strategy: Provide expertise, advice and guidance in the development and implementation of our fundraising strategy.
• Donor Engagement: Collaborate with the Board and CEO to develop and monitor the implementation of a comprehensive engagement plan that identifies and cultivates relationships with potential foundations, corporate partners and individuals who share our mission.
• Grant Writing and Management: Provide expertise, advice, knowledge, and guidance regarding grant applications, working closely with the CEO to align grant proposals with organisational goals.
• Online Fundraising: Provide oversight and guidance of our online fundraising campaigns, including crowdfunding, peer-to-peer fundraising and digital marketing initiatives. Monitor campaign performance and adapt strategies as needed.

Age UK Bromley & Greenwich are the leading older persons organisation in both boroughs.  We are a local charity with over 80 staff and 250 volunteers we are seeking to add to the expertise of our experienced, professional Board of Trustees.

Role description for Trustees of The Disability Resource Centre

The duties of a Trustee are:

1. To ensure that the charity complies with its governing document, charity law, company law, and any other relevant legislation or regulations.

2. To ensure that the charity pursues its charitable objects as defined in its governing document.

3. To ensure that the charity applies its resources exclusively in furtherance of its objects, i.e. the charity must not spend money on activities, which are not included in its own objects, no matter how worthwhile or charitable those activities are.

4. To contribute actively to the board of Trustees’ role of giving firm strategic direction to the organisation, setting overall policy, defining goals, setting targets and evaluating performance against agreed targets.

5. To safeguard the good name and values of the charity.

6. To ensure the effective and efficient administration of the charity.

7. To ensure the financial stability of the charity.

8. To protect and manage the property of the charity and to ensure the proper investment of the charity’s funds.

9. To appoint and support the Chief Executive Officer and monitor their performance.

10.In addition to the above statutory duties of all trustees, each trustee should use any specific knowledge or experience he or she may have to help the board of trustees reach sound decisions. This will involve scrutinising board papers, leading discussions, focusing on key issues, and providing advice and guidance requested by the board on new initiatives or other issues relevant to the area of the charity’s work in which the Trustee has special expertise.

The Board of Trustees meets every two months at our offices in Flitwick. Trustees are asked to join at least one committee where they can use their skills to discuss matters in more detail. These are Personnel Committee, Services and Marketing Committee and Finance and General Purposes Committee. They meet every two months and are currently held online. Trustees will need time to read the reports in preparation for meetings. Individual Trustees often contribute in other ways supporting working groups or task and finish activity.
