About the role 

This is a key role in providing administration and organisational support to the CEO and the Board. The successful candidate must have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative skills, and the ability to maintain a balance among multiple priorities. This is a part-time position with flexibility on the number of days worked each week, with a minimum of one to two days in the office. 

What you will be doing 

• Manage the Chief Executive's schedule and diary ensuring there is adequate time for meeting preparation and follow-up. 
• Provide project support and co-ordinate briefing packs for the Chief Executive to ensure they have comprehensive information for any meetings and activities. 
• Manage the Boards meeting schedule and calendar of events. 
• Attend meetings, including the Annual General Meeting, to take and produce accurate minutes and update the Rolling Agenda and Actions Sheet. 
• Handle confidential information with discretion and maintain the highest standards of confidentiality.

About the Role

About You

• Qualified Accountant with experience working in program accounting and reporting in a Charity (minimum of 5 years of experience).

The role

We are looking for an experienced part-time NEBOSH or IOSH qualified Health and Safety Manager, who will lead manage and develop our health and safety requirements and responsibilities around working outside and around water.

We have a health and safety management plan which following on from our Health and Safety audit, has outlined the framework for this role and what is needed to be implemented over the next 12 months.

Main duties and responsibilities

• Work with both Head of HR and Operations Manager on certain aspects of office Health & Safety with as and where necessary
• Project manage and deliver all requirements of the new created H&S Management Plan
• Work with managers on Construction Design Management (CDM) health and safety
• Track and ensure that risk assessments are being completed within teams for events and elsewhere where required in Thames21
• Work with HR and line managers to ensure that Standard Operating Procedures (SOPS) are created, updated and reviewed periodically
• Deliver the H&S induction session with new joiners when and where applicable
• Work with the Operations Manager to ensure vehicle checks are conducted in accordance with the vehicles policy, and that all drivers are trained in the use of the inspection checklists and all aspects of vehicle inspection.
• Compile a quarterly incident report to the Head of HR
• Manage the incident reporting system, escalating serious incidents (including risks) to senior management

• Manage a programme of safety audits to reporting these to the management team
• Manage and run the quarterly H&S group meetings and keep track of progress of actions that have been assigned
• Conduct training sessions on other related health and safety as and when required
• Other duties commensurate with the role

Trauma Treatment International (TTI) is a registered charity in the UK. We focus on providing evidence-based psychological treatment and support to victims of collective violence around the world. Key experience and attributes you will need to bring:

• Minimum six years’ experience at senior leadership/management level, ideally gained in non-profit organisation or other humanitarian setting.
•  Some prior experience of interacting with a Board of Directors.
• Experience of financial compliance including demonstrable experience of actively setting and managing budgets, preparing cashflow projections and working with financial reports – this experience is likely to have been gained over at least 3 years’ active, first-hand participation.
• Prior experience of working in a growth environment, ideally having gained involvement in income generation/fundraising.
• Experience working with external funders, partners, and collaborators
• Demonstrate clear understanding of Charity Code and governance obligations including Charity Commission requirements and charity law.
• Possess and demonstrate strong leadership experience and ability to lead with a coaching / mentoring/ trauma-informed style in order to maintain organisational culture, valuing the people of the organisation.

The Grants Officer will support the Senior Manager to develop and implement monitoring and reporting
processes across the Foundation’s grant-giving activities. To be successful in the role, you must have
excellent knowledge of results-based monitoring and reporting, demonstrate strong organisational and

backgrounds.

The initial focus of the role will be monitoring and reporting in relation to the implementation of a Big 6
EU funded programme, the Youth Empowerment Fund (YEF). This programme focuses on supporting
youth-led initiatives, giving young people the means to be effective agents of change. The YEF is global
in its reach but will focus on supporting local solutions and grassroots initiatives that young people
develop on the ground. The Officer will play a key role in supporting the Senior Manager to maintain and
grow Big 6 advocacy and partnerships for the short and long-term. This role will also work closely with
colleagues from the Operations and Finance team to ensure accurate information is delivered to key
stakeholders.

Key Responsibilities 

Youth Empowerment Fund (60%):

• Support the monitoring and reporting of the EU funded YEF programme. Including coordinationwithin the IAF and with the Big 6 designated leads.
• Communicating with and activating networks of national organizations to participate in the YEF,including sharing opportunities to take part in Big 6 advocacy activities and applying for youthled solutions open-call Local Solutions grants.
• Issuing of grants to successful national organizations and monitoring and evaluation, including regular reporting on outcomes and impact of national projects to the YEF project team.
• Sharing success stories from the YEF to support the Big 6 communication, storytelling and creative reporting efforts.

Other Grant based support (40%):

• Oversee grant-giving financial processes, creating and issuing of grant payments.
• Support the Senior Operations Manager with the reporting of grant activities for Senior Management and various stakeholders.
• Support the ongoing development of other Foundation grant reporting efforts as required.
• Undertake any other duties as may reasonably be required for the successful delivery of the Foundation’s business objectives.

Operations and Service Delivery Lead

An exciting opportunity is available for a dynamic individual with a passion for providing excellent customer service and event management. The Education Directorate with our client is looking for an operations and service-delivery lead with the ability to lead a team and manage multiple complex workstreams, to join them in the Business development and education support team.

The Education directorate delivers a wide range of educational programmes for doctors of all grades. The portfolio includes one- and two-day workshops, their accredited programmes, commissioned programmes, online courses, podcasts, and Masters programmes in partnership with university partners.

They have wide portfolio including topics such as teaching, learning, assessment, feedback, supervision and communication skills. The directorate has a team of educationalists who design and deliver these programmes and a team of education coordinators and librarians who provide management and all aspects of learner support.

About the role

You will work closely with internal colleagues such as educationalists, project managers and administrators, as well as colleagues in finance, IT, HR, and communications. You will lead and manage a team, and you’ll be required to work collaboratively with a broader team of volunteer clinical faculty who help us develop and deliver our programmes.

You’ll work closely with the Head of relationships and engagement and the Projects and credentials lead, to ensure that the team support all areas of the business, including event management, projects, marketing and quality assurance.

You will make an impact every day by:

• Leading a busy and fast-paced team who deliver education coordination and library services for the directorate, role modelling positive attitude and collaborative working
• Taking responsibility for the team providing excellent customer service to learners, faculty and commissioners
• Taking ownership of providing high-quality written documentation, including templates for learner correspondence, reports for Boards and marketing copy.
• Working collaboratively with others in the directorate, and the finance team to manage budgets and operational accounts

About the role

The Director of Membership Services provides strategic leadership for the Membership Services directorate and is therefore responsible for the development and implementation of all Imperial College Union strategy relating to Student Activities, Representation, Advice, Governance and Policy. The role ensure the delivery and resourcing of operating plans, policy and operating procedures to ensure that the Union delivers its strategic objectives across its Membership Services.

The successful candidate will ensure that the directorate develops and delivers impactful and inclusive services which champion and enhance the Student Experience at Imperial College. As EA to the Chief Operating Officer (COO), this role has a primary focus in providing comprehensive administrative support to the COO, in collaboration with the wider Directors’ office team and the COO’s direct reports.

They will be responsible for delivery of smart and strategic diary management for the COO and handling administrative tasks on the COO’s behalf. This role will provide varying levels of support for the Finance & Audit Committee, NT Food & Drink Board, Enterprises Board, and the Financial Planning Group. This will be done in close collaboration with the key contacts (internal and external), including, where appropriate, acting as central point for preparation of related papers, meeting scheduling; comprehensive minute-taking may also be required.

A key organisational focus over the next year will be delivery of substantive capital and improvement works. The EA will play a central and strategic role in the organisation and oversight of the related administrative complexities.

In addition to having primary responsibility to the COO, this role will provide administrative support to the Legal team, including invoice and expenses management, and diary co-ordination where required.

• Considerable experience in an EA / PA or senior-level equivalent administrative capacity within an Executive environment (business or charity sector)

We are looking for a Grants Management Lead who will manage part of ClientEarth’s existing grants portfolio and provide strategic direction within the team and across departments to ensure successful grant management delivery and fundraising.

Meet your Manager

In this role, you will be managed by Jamil De Dominicis. Jamil joined ClientEarth in 2019 and is based in London. As Global Head of Grants, he leads the Grants Management team and oversees ClientEarth’s grants income from trusts, foundations and other statutory and institutional funders. Prior to joining ClientEarth, Jamil worked in various policy, research and grant management roles at the international affairs think tank Chatham House and the National Foundation for Youth Music.

Main Duties

• Manage existing relationships with major foundations and other institutional funders to ensure that funders are aware of project performance and receive regular updates in compliance with grants agreements
• Oversee relationships with senior stakeholders from current and new donors; act as a key facilitator and steward of relationships between funder staff and key programme contacts
• Support on developing and executing the Grants Team Annual Plans and strategy
• Oversee the development and production of well researched and comprehensive proposals and reports to existing donors that meet funding priorities and requirements within the submission deadline, in coordination with programme staff
• Line manage their team effectively by ensuring the Managers and Officers have support and are empowered to lead on their funding portfolios
