Brief role description
The Salesforce Administrator (Mid-Level) will work closely with the Salesforce Manager, providing guidance to stakeholders and contributing to the ongoing evolution of our CRM.
A key part of this role is educating users and sharing best practices, helping colleagues understand how Salesforce works, what good looks like and how to get the most out of the platform.
Who we're looking for
We are looking for a capable professional with hands-on experience using Salesforce and its core products. You will need to have an understanding of their function and relationships along with excellent troubleshooting, problem-solving, analytical and reporting skills.
You will be confident and have excellent communication, interpersonal and influencing skills, enabling you to interact effectively with colleagues at all levels. You will also have strong documentation habits, attention to detail and be able to balance strategic thinking with daily operational needs.
The ideal candidate will hold a Salesforce Administrator Certification, familiarity with API-based integrations or middleware, such as Zapier and experience with Agile/Scrum environments.

PURPOSE OF POSITION
This role will be responsible for developing and reviewing organisational standards of support in line with contractual and regulatory standards, leading on quality assurance, performance monitoring, and continuous improvement as well as supporting compliance and regulatory requirements.
To lead on the development of new models of support practice which are person centred and trauma informed, working closely with operational managers, frontline teams, and the Head of Compliance, the post-holder will ensure that services delivered to vulnerable adults are safe, effective, person-centred, compliant, and consistently achieving positive outcomes.
The role will provide strategic oversight of quality and performance data, lead on the interpretation and analysis of operational and compliance information, identify emerging risks and trends, and support leaders to implement improvements. The post-holder will also drive organisational learning, promote consistency in practice across services, and lead the development of a robust framework to capture and embed the resident voice in service delivery and improvement. Enabling residents to have a significant contribution in shaping services and contributing to an inclusive and safe community. In addition, this will support contributing to achieving the social housing consumer standard around transparency, influence and accountability.
RESPONSIBILITIES & ACCOUNTABILITIES
Quality Assurance and Performance Oversight
Lead the quality assurance function across support services
Review and analyse and interpret quarterly performance, identifying risks, trends, gaps, and areas of concern, as well as providing solutions
Provide comprehensive analysis and evidence-based recommendations to operational and senior management teams
Ensure quality standards are consistently applied across all services
Monitor service delivery against contractual, regulatory, and organisational standards
Produce high-quality reports identifying key findings, themes, risks, opportunities, and improvement actions to support strategic and dynamic problem solving, as well as continuous improvement
Maintain oversight of our Service Improvement Plan and monitor progress against agreed actions and outcomes
Data Analysis and Insight
Lead on the collection, interpretation, and deep analysis of operational, performance, quality, compliance, and outcome data
Translate datasets into meaningful insights to support informed decision-making
Identify emerging trends, performance risks, and opportunities for service enhancement
Produce executive summaries and reports for senior leadership teams and governance meetings
Use data to drive continuous improvement and demonstrate service impact
Development of Support Practice
Be responsible for developing person centred and trauma-informed practice standards for our support services
Contributing to creating a Psychologically Informed Environment across the organisation
Develop our reflective practice offer across all services
Lead on the development and implementation of an accredited programme of independent living skills activities for our residents
Impact and Performance Management/Reporting
To lead on impact and performance, providing leadership and line management to Impact Specialist
Lead and facilitate regular KPI and performance review meetings with Frontline Management and services
Challenge and support managers to understand performance outcomes and develop improvement plans
Track progress against agreed targets and improvement actions
Ensure accountability and ownership for quality and performance outcomes across services
To maintain up to date project management and reporting records
To write and present regular reports for senior management and external stakeholders/partners, on the development and progress of Quality Assurance.
To contribute to the updating of InForm to capture performance requirements
Practice Development and Workforce Support
Design and deliver workshops, quality forums, and learning sessions for frontline staff and managers
Promote consistency of practice across all services
Share learning from audits, complaints, incidents, safeguarding concerns, resident feedback, and performance reviews
Develop resources and tools to support high-quality, person-centred service delivery
Foster a culture of continuous learning, accountability, and quality improvement
Resident engagement and accountability
To lead on the development of a programme of resident engagement, empowerment and involvement, which targets resources to build strong, sustainable support services that engage proactively with local communities
Establish meaningful opportunities for residents to influence service design, delivery, and improvement through expression of voice, listening, connecting and motivating each other; promoting a culture of co-production
Develop methods for gathering, analysing, and responding to resident feedback
Ensure resident experiences and outcomes are reflected within quality assurance processes
Provide leadership and management of Resident Engagement Specialist
General
To attend internal meetings as and when necessary, for example Directorate, Management and Planning meetings

Experience
Experience supporting rough sleepers and homeless people with complex needs, including mental health, substance use and physical health.

Strong understanding of issues affecting rough sleepers and homeless people with complex needs, including barriers to accessing services, sustaining accommodation and engaging with support.

Creating Hope Together
Creating Hope Together is Scotland's suicide prevention strategy and action plan (2022–2032), published by the Scottish Government and COSLA. Its vision is to reduce the number of suicide deaths in Scotland while tackling the inequalities that contribute to suicide, so that any child, young person or adult who has thoughts of taking their own life, or who is affected by suicide, gets the help they need and feels a sense of hope.
All of the work is delivered in line with the strategy's guiding principles: putting inequalities and diversity first; co-developing our work with people with lived and living experience; embedding Time, Space, Compassion; keeping the voices of children and young people central; connecting people across sectors to learn together; reducing the stigma of suicide; and ensuring our work is evidence-informed.
The role
This is a new role, hosted by Change Mental Health on behalf of Suicide Prevention Scotland, created to support delivery of Outcome 3 of Creating Hope Together: that everyone affected by suicide is able to access high quality, compassionate, appropriate and timely support.
The postholder will work alongside colleagues in the delivery collective - primarily the Time Space Compassion (TSC) Lead and the Children and Young People (CYP) Lead - to support delivery of a range of actions across the Delivery Plan. In practice this means helping partners in community, primary care, unscheduled care and mental health settings to put person-centred, compassionate approaches into everyday practice; growing the reach of Time, Space, Compassion across Scotland; and strengthening support for children and young people at higher risk of suicide.
The role focuses on enabling practical change in real-world settings through strong partnerships, effective communication, and the thoughtful use of learning and evidence to support continuous improvement. It sits within a small, collaborative team and works across a wide network of national and local partners, including NHS Boards, local authorities, third sector organisations, the Lived and Living Experience Panel (LLEP) and the Youth Advisory Group (YAG).
Key Responsibilities
Support delivery of implementation and improvement resources in practice
- Support partners to work at a national and local level to embed person‑centred, compassionate approaches to supporting people affected by suicidal thoughts and behaviours.
- Work with partners and draw on the latest evidence, best practice and a range of experts, to identify and respond to barriers and enablers to implementation
- This includes supporting the adaptation and implementation of national improvement and implementation resources, with a particular focus on:
o The roll out of the Enabling Conversations Toolkit for children and young people, in the CYP sector
o The Time Space Compassion approach, including work to support the implementation of personalised risk management approaches in community and clinical settings.
Build and maintain stakeholder relationships
- Develop and maintain relationships with strategic, community and lived experience partners at both national and local level, holding a portfolio of implementation partnerships.
- Represent the work of Suicide Prevention Scotland in multi-agency partnerships and networks, building trust, setting realistic expectations and delivering reliably.
- Work in close partnership with colleagues across the delivery collective to ensure a coherent, joined-up approach across Outcome 3 and the wider delivery plan.
Lead communications and knowledge sharing
- Develop and deliver engaging, accessible communications that promote learning and support the spread of our resources and projects.
- Use digital channels and networks to share insight and good practice.
- Create content that is trauma-informed, inclusive and practice-focused.
Support evaluation and continuous improvement
- Work with local and national partners to develop and implement proportionate evaluation activity that identifies impact, learning and opportunities for improvement.
- Synthesise and share learning to inform the future development of our resources, including producing clear, accessible written summaries.
Project coordination and management
- Support national and local partners to plan, coordinate and administer implementation activity, maintaining project plans, milestones and risk registers.
- Monitor progress against delivery plan milestones and prepare updates and reports for governance groups.
- Support budget tracking and ensure value for money.
General Duties:
- Act in accordance with Data Protection legislation. Ensure all records, personal, staff and client data are managed in line with Data Management and Information Governance policies.
- Comply with legal and regulatory requirements such as provisions set out in the Health and Safety at Work Act 1974.
- As with all employees, workers and volunteers; to encourage people to join Change Mental Health as a member, donor or activist.
- To act in accordance with the charity's Health & Safety and Safeguarding policies and to notify your line manager promptly if there are any concerns.
- To participate in regular supervision and appraisal and undertake any relevant training as appropriate to the role.
- To work in accordance with the charity's national policies and local operating procedures and those of external regulators or professional bodies.

The service is based in each of City and Hackney’s neighbourhoods in order to be accessible, local and inclusive. A full integrated service will contribute to recovery, social inclusion and improving the quality of life of all our service users in the City of London and Hackney borough. A full integrated service, shaped by the community needs and voices of service users, carers, families, communities, all staff and volunteers will contribute to recovery, social inclusion and improving the quality of life of all our service users in the City of London and Hackney borough.
The service has three elements: Out There, Everywhere- specialist outreach, in reach and engagement, Building Blocks- low, medium and hi intensity support pathways, and Get Connected- building on our local, individual, and shared assets to provide recovery capital and peer support.
This role will connect the staff teams and service users to wellbeing opportunities within the local community. The role will promote the City & Hackney Recovery Service within the local community through events, social media and local community engagement. They will identify the needs of the client group and provide adequate support.
This role will lead on management of subcontractors, coordinate quarterly contract monitoring and build partnerships including commissioners, GPs, politicians, and other stakeholders to increase collaborative and effective service in City and Hackney’s neighbourhoods. The role will also lead to support MindCHWF’s policies and delivery in the blended service in order to provide efficient and high-quality service.
Job Role:
1. Nurture external partnerships across specific areas and being responsible for overseeing and ensuring all appropriate pathways are in place and reviewed
2. Maintain and enhance appropriate key relationships with statutory and VCS partners who co-locate/joint work with or refer into the service
3. Lead on expanding the partnership network on an ongoing basis by identifying opportunities to streamline delivery and maximise joint working
