Role Purpose

GDI Hub CIC is seeking an experienced PA/ Team Assistant to provide high-level support to its CEO and Academic Director as well as support the wider team.

The successful candidate will enable the CEO and Academic Director to be more effective by providing proactive administrative, communication, and operational support. The role will act as a key coordination point across the organisation, ensuring priorities are managed, diaries are coordinated, and that the CEO and Academic Director’s time is used strategically.

In addition, the candidate will also support the wider GDI Hub CIC team, particularly Operations, Comms and Project Delivery.

Across all elements of the role, the successful candidate will need to work with multiple colleagues and balance competing priorities. Responsibilities will include diary and time management, handling written communication, arranging national and international travel and logistics, event coordination, administrative support, and meeting and document preparation.  This role will work closely with members of the GDI Hub team, with some interactions with external partners, collaborators and stakeholders.

We are looking for a candidate with strong organisation, administrative and communication skills. The ability to work in a changing environment is essential, as is a coordinated approach and willingness to take on new tasks.

Successful candidates will need to be proactive and organised with excellent attention to detail.

Responsibilities

Personal assistant

• Manage complex calendars, scheduling internal and external meetings and setting reminders
• Prioritise appointments and resolve scheduling conflicts where these arise
• Ensure the CEO/Academic Directors time is used efficiently and plan for commitments in advance
• Track director credit/debit card spending and supply timely copies of receipts as required
• Collate/ process expense claims
• Monitor and manage inbox as required
• Point of contact for internal and external stakeholders

Travel & Logistics

• Arrange international travel, accommodation, transport and itineraries for both Directors and project staff
• Arrange travel visas for Directors
• Manage travel alterations and resolve issues promptly

Administrative Support

• Implement and maintain procedures/ administrative systems
• Support CEO/Director with line-management administration (1:1s, objective setting etc)
• Provide basic budget tracking and administration
• Maintain organised filing systems
• Draft and prepare routine correspondence
• Prepare presentations and documents
• Maintain accurate records and contact databases
• Provide IT support and troubleshooting where needed

Meeting & Document Preparation

• Assist CEO/Director with meeting prep as required
• Prepare agendas and collate meeting papers
• Take and distribute meeting notes/minutes where required
• Track actions and follow up on outstanding items

Team Assistant  

• Process staff travel claims for payment, checking receipts and sign off from line managers
• Logistical support for UK based events inc. away days for venues, travel, materials
• Logistical support for project events and workshops (UK & overseas) 
• Ad-hoc diary coordination for group events
• Contract management support; including due diligence info and evidence gathering
• Support Comms and other teams as required

About the Youth Endowment Fund 

All of us will experience violence at some point in our lives. For many children, it is a daily reality. Each year, tens of children are killed, hundreds are hospitalised, 1 in 5 teenage children are victims and the majority admit to feeling afraid of violence. It scares them when they travel home from school, prevents them from going out and makes the most vulnerable feel like they don’t matter. It is taking lives, traumatising families and dividing communities. It robs potential, progress and hope.   

But it doesn’t have to be this way.   

The Youth Endowment Fund believes that no child should be affected by violence. We research violence to understand it; we find, fund and test what works to prevent it; and we are building a movement to end it.  

Key Responsibilities 

We are making good progress building the evidence of what works within and around the youth sector to reduce violence. With the launch of the new Practice Guidance we are keen to translate evidence recommendations into practice. The greatest risk is that evidence stays on the shelf and doesn’t help young people – your role is to make sure that doesn’t happen.
 
You’ll focus on helping local authority commissioners use our tools and guidance in their everyday decisions about youth services. This will involve: 

• Creating clear, practical content like guides, toolkits and workshop materials to support the use of Practice Assessment for the Youth Sector (PAYS). 

• Leading our Practice Guidance programme, working closely with commissioners to help them use evidence in their work. 

• Building strong, trusted relationships with senior leaders across the sector. 

• Planning and tracking how we support more commissioners to adopt evidence-based approaches. 

• Spotting what tools or resources are needed and helping develop them. 

• Finding effective ways to share evidence, from events and workshops to online sessions and presentations. 

As a senior member of staff in the organisation, you also: 

• Build a culture where it is natural to perform well and support colleagues brilliantly.

• Contribute to setting the strategy, delivering results and building and modelling the culture that we need to succeed.

About You 

You are this sort of person:

• You understand Local Authority Commissioners working specifically working with the youth sector. You really understand how youth commissioners work, from Directors of Children Services, Heads of Services to senior stakeholders within the youth sector. You have experience of commissioning youth provision, working in youth sector, ideally in a role that worked with young people who are vulnerable to or involved in violence. You can demonstrate ability to reflect on and adopt evidence-based practice in relation to the youth sector.

• You write in a way that people easily understand. You have that rare skill of writing in plain English. You have experience of translating complex information into plain writing that everyone can understand.

• You have excellent project and time management skills and the ability to deliver high-quality work in a fast-paced environment. You can work independently and to a high standard.

• Changing frontline practice and systems: You have significant experience in leading behaviour, practice or policy changes within the youth work sector. You can show how these have been effective in delivering tangible change.

• Commissioning, or supporting the commissioning of, youth sector services, preferably in a role/setting specifically working with young people who are vulnerable to or involved in violence.  

You might have this sort of experience:  

• Crafting and delivering a strategy to get a new piece of evidence or guidance adopted within the youth sector.

• Behaviour change research experience.

• Working with other funders and commissioners of youth services, such as housing investment leads.

Hybrid Working Details     

The office is based in Central London, but you don’t have to be.

Those living in London and within the 32 London Boroughs are expected to be in the office a minimum of 2 days per week. London Youth's vision is for all young Londoners to grow up healthy, able to express themselves, navigating a fulfilling career, and making a positive contribution to their communities. 

The Head of Trusts and Foundations plays a pivotal role in the delivery of this vision, leading on the significant growth of restricted and unrestricted funds through this income stream. You will line manage a Trusts & Foundations Manager and a Trusts & Foundations Officer, collaborating closely with them in order to drive success and deliver against target. You will be personally responsible for securing new high value multi-year relationships (six and seven figures) as well as stewarding a range of existing high value relationships. You will also play an important leadership role across the organisation, working with colleagues in all departments to ensure an efficient and effective approach that delivers for children and young people and youth workers and organisations across the capital. 

What you will be doing

• Lead on the development and implementation of a successful trusts and foundations strategy that achieves £2.5m of restricted and unrestricted income by the end of 2026 and delivers growth from 2027. 
• Offer inspirational leadership to the Trusts and Foundations Team, line managing a T&F manager and a T&F officer. 
• Take overall responsibility for developing and managing a robus pipeline of trusts and foundations and statutory funders that enables London Youth to hit its income targets, coordinating the distribution of responsibilities across the team, including the implementation of a quarterly mailout.
• Work in close collaboration with appropriate teams across London Youth to ensure all applications and proposals produced by the team are compelling, accurate, produced to the highest possible standards, and submitted to deadline. 
• Ensure contracts or MOUs are in place with all funders and that all conditions and reporting requirements are clear and met. 
• Ensure all information is recorded in an accurate and timely manner on Salesforce, enabling you to track progress against monthly income targets and KPIs, and expertly steward and manage all relationships with funders. 
• Lead on the development of the annual Trusts and Foundations budgets and the monthly review of management accounts for your area. 
• Produce appropriate reports and presentations for team, directorate, senior team, committee, and board meetings. 
• Prepresent the fundraising team in leadership team meetings and senior meetings as appropriate when required. 
• Contribute to wider fundraising and communications led activities such as site visits, Lunch and Learn sessions, the London Youth Awards, and external networking opportunities. 
• Ensure you and your team understands the external funding environment, spotting trends, identifying opportunities, and making informed strategic recommendations for how London Youth should be operating in such an environment. 

What you bring to the role 

Knowledge and Experience: 

• Proven ability to lead and manage a trusts and foundations team and deliver growth through this income stream. 
• Experience of successfully delivering six and seven figure funds. 
• Proven ability to lead and collaborate with delivery, finance, policy, data and learning, and senior teams to develop applications and proposals.

The Abbey Centre is entering an exciting new chapter – and we’re looking for a Fundraising Manager who wants to help define it.

Polka is seeking a Development and Events Manager to coordinate Polka’s regular giving programmes, manage an established programme of events and oversee a committed portfolio of corporate supporters. As a key member of the Development Team, this is an exciting and rewarding opportunity to help shape Polka's future as a leading children's theatre. 

The Development and Events Manager will help donors feel inspired, appreciated, and compelled to support Polka. You will do this through high-quality communications and events for Polka’s donors, potential donors and corporate partners. The postholder will devise and coordinate a varied annual programme of stewardship and cultivation events and take a proactive role in attracting new supporters.

We are looking for a dynamic Events Fundraising Officer to help recruit and support our fundraisers, assist with the organisation of events and help us to develop this significant income stream.

Working alongside the Challenge Events Manager, the Events Fundraising Officer is instrumental in every step of delivering well-managed, fun and safe events for our corporate partners and event participants, as well as ensuring the fundraising success of each event.

Excellent communication and people skills will be essential as you will play a key role in building up relationships with the clients, the participants and their supporters. Furthermore, you will be involved in the whole process of event organisation, including developing the event, preparing the resources, helping with logistics, maintaining accurate records, reporting and banking and thanking. 

The Fundraising Officer must be self-motivated, well organised, able to multi-task, a strong administrator, a fantastic team player, have excellent inter-personal skills and enjoy being outdoors.  Paid or voluntary experience in a fundraising environment is essential.  This is a great opportunity for somebody looking to take the next step in their career, with plenty of scope to develop your skills and experience within a supportive team. Whilst the role is home-based you must live in the South West to ensure easy access for in-person meetings.

About Team Domenica

Team Domenica exists to help young people with learning disabilities build independent, fulfilling lives through sustained employment. Founded in 2016 by Baroness Rosa Monckton, the charity combines a Department for Education-recognised Specialist Further Education college, employment coaching and long-term employer support to achieve unrivalled outcomes for young people with learning  disabilities - around 80% of programme graduates move into paid work.

Over the last decade the organisation has supported more than 200 candidates and built a portfolio of social enterprises that provide genuine workplace training: Café Domenica and a coffee roastery. Most excitingly, we have recently opening The North Star pub. The North Star is a purpose-acquired, prime-location commercial venture adjacent to the Royal Pavilion, operating as a full-scale hospitality business (circa £1.3m turnover) and functioning as a peerless, day-to-day training environment for candidates while contributing vital unrestricted income. Now that the pub is fully up and running, it presents a major opportunity for commercial development. Responsibilities

People Operations

• To keep all employment records up to date and ensure files are appropriately filed, in particular recruitment and onboarding and process any contract changes promptly.

Recruitment

• Create an interactive and clear recruitment process from advertising to hiring stage, working closely with the wider People team to develop and deliver an excellent recruitment and retention strategy

• To act as a first point of contact for all recruitment enquires and requests received externally or internally, ensuring that these are dealt with promptly and professionally.

• Work closely with hiring managers on recruitment campaigns including supporting on writing JDs, uploading adverts to the applicant tracking system and various job sites, and liaising with the Marketing & Communications team on placing job adverts on social media platforms.
