Main duties and responsibilities:

IT

· Ensure all staff have IT equipment from their first day of work, ensuring that they are able to access the IT support they need with minimal interruption to daily tasks.

· Keep a record of all IT equipment, key information and renewals due.

· Be the first point of contact for IT provider, leading on Cyber essentials & annual IT audit.

· Lead on the implementation of strategic IT goals.

· Support the Continuous Improvement Officer to find new ways of working and ensure we stay up to date with emerging IT trends.

Data

· Maintain organisational databases, ensuring all data is accurate, meaningful, and compliant with the requirements of current and potential funders, as well as Upbeat’s policies and procedures for data.

· Liaise with Data consultants to manage workflow of data requests.

· Present data in a useful manner for stakeholders.

· Play a key role in the organisation around GDPR and Data Protection.

· Be responsible for the confidential maintenance of service user records and other relevant documents in line with Data Protection legislation (e.g. data protection impact assessments).

Facilities

· Support with office management processes (ordering stationery and equipment).

· Support in the efficient use of premises (organise key holder rota, complete regular checklists).

· Support with risk management and Health and Safety compliance (risk assessments, checklists, PAT checks).

Administration

· Provide administrative support to the charity’s projects (topping up payment cards, phone lines, donation admin).

· Assist with organising and monitoring staff training.

· Assist with the review and writing of policies and the staff handbook.

· Assist with process mapping across the organisation.

Other

· Make an active contribution to the overall work of Upbeat Communities through team meetings, staff training, awareness and fundraising events, and any other appropriate activities.

Purpose of the job/About the role

This is an exciting opportunity to join the Challenge Events Team, helping to coordinate a portfolio of third-party challenge events that drive participation and income for Dementia UK.

As the Challenge Events Executive you will be responsible for the end-to-end coordination of all challenge events within your portfolio. These events include Great North Run, London Landmarks Half Marathon and some international marathons.

Utilising project management tools and strategies, you’ll meticulously plan, organise, and deliver each event while driving targeted marketing campaigns, with a particular emphasis on email and digital platforms. Collaboration with our Fundraising, Marketing & Communications teams will be essential as you work together to maximise income, foster partnerships, and cultivate robust engagement for our challenge events. Through diligent analysis and reporting, you’ll continuously evaluate performance against objectives, refining our processes and systems to enhance efficiency and stewardship.

The ideal candidate will have a proven track record in co-ordinating successful fundraising events or campaigns. You should possess hands-on experience utilising relationship databases, coupled with an understanding of effective marketing channels, particularly digital. Additionally, expertise in stewardship techniques is crucial for optimising remittance rates and maximising average gifts. You should also have an understanding of how to use insight, data and market trends to identify opportunities and make recommendations.

The St Mungo’s Pan London Rough Sleeping Teams (No Second Night Out and Somewhere Safe to Stay) provide a rapid response service, intervening to ensure no one needs to sleep rough. We are currently looking for people to join our teams as Night Assessment Workers in our No Second Night Out Assessment Hubs. In these roles you will: 

• Work as part of a busy team environment working closely with those affected by rough sleeping. 

• Provide a safe and supportive environment at night to clients; carrying out assessment when clients first arrive out the service.  

• Work on a 7 day weekly night rota pattern with an average of 3 waking night shifts in a row (for example 8pm–8.30am or 9pm–8am) 

About you

• Some experience of dealing directly with the public and/or customers in a busy service environment.

As an Assessment and Reconnection Worker, you will: 

• Be part of a busy team environment working closely with people new to, or at risk of rough sleeping. 

• Provide a personalised case management service to clients, turning assessment recommendations into practical action plans which fully involves the client.

• Build and maintain effective relationships to support clients throughout their recovery.

• Develop a knowledge of relevant legislation such as, welfare benefit and housing legislation.

• Work on a weekly rota including early, mid and late shifts (some evening and weekend work may be required).

Job Overview

Roles & Responsibilities:

· Due Diligence: Conduct full operational due diligence on potential offers to be listed on the platform. This includes KYC, legal entity checks and offer document review.

· Offer management: efficiently and effectively managing the end-to-end process of creating, reviewing, tracking offers. This includes administration of post-close payments and investor updates. Serve as the central point of contact for enquiries from both the issuing clients as well as investors.

UKCF are the membership organisation for 47 UK community foundations; the only national network of charitable funders with a physical presence in every part of the UK and the UK’s 4th largest funder.

We are currently using a shared legacy system built with Salesforce Classic though will be implementing and supporting 38 individual Salesforce instances from June 2024 for each Community Foundation. Each individual instance will be based on a network agreed Salesforce design, with the ability for foundations to bespoke their system to fit their individual needs if required.

A medium sized health education charity is seeking a Finance Officer on a full-time, permanent basis.

The organisation is an established charity that provides information and guidance on various aspects of veganism. Services range from general advice on vegan lifestyle – diet, travel, shopping etc, campaigning activities, additional services to charity members, and the certification and labelling of products based on their internationally recognised Vegan Trademark.

The organisation has around 65 staff with a turnover of around £4 million annually. Their central offices are in Birmingham, however this role can be taken on almost exclusively remotely – it is anticipated that there will be approximately 6 journeys per year required either to the Birmingham office or another mutually agreeable location – for staff events and meetings.

The role sits within a small finance team of 3, and will be highly varied covering most aspects of transactional finance. The starting salary is between £29,413 - £31,508, however they have regular salary reviews and growth in the role is possible. They also have an excellent benefits package including a pension scheme, employee assistance programme, 28 days leave + bank holidays, plus additional leave available as part of a sustainable transportation climate perks policy.

The ideal candidate will be AAT part-qualified with experience in a similar Finance Officer level role. Exposure to double-entry bookkeeping and an understanding of charity finance would be an advantage. Experience with Sage accounting is also useful. The organisation is a flexible employer and although the role is ultimately permanent they welcome applicants wishing to be considered on a part-time basis as part of a job share, and will also consider candidates on a shorter term fixed term contract basis if this is preferable to a permanent contract initially.

Typical duties will include:

-Work closely with the sales team and raise invoices in accordance with the sales process.

-Investigate, report and where necessary make improvements to minimise non-compliance to ensure robust policies and procedures.

-Support the Finance Manager and make suggestions for continuous improvement of systems and processes to support business requirements.

-Support the management of the finance mailboxes and respond to emails in a timely manner.

-Act as the first point of contact and provide timely responses to internal and external stakeholders, customers and suppliers by email and over the telephone.

Candidate requirements:

-AAT part or fully-qualified

-Minimum of 2 years’ experience in a customer service environment.

-Good working knowledge of day-to-day transactional finance, including all aspects of purchase and sales ledger, credit control, bank reconciliation, balance sheet reconciliation and journal entries.

-A working knowledge of VAT.

-Excellent customer service skills.

We’re looking for two self-starting team members who will help coordinate our JUMP befriending project for unaccompanied asylum seekers and refugees.

You’ll be responsible for half of the befriending pairs (currently 28, increasing to 50 in the coming months) and undertake tasks such as working with our partner organisations, managing referrals for young people, recruiting volunteer befrienders, and setting-up and sustaining pairs. This includes leading an initial training day.

You’ll also provide JUMP young people with casework support, help organise our group events and facilitate support from our Hardship Fund.

Main functions

Supporting young people and the JUMP Community

1. Managing a caseload of young people; including offering casework support; arranging and attending appointments with the young person where necessary and signposting to available support.
2. Helping plan and organise quarterly group events.
3. Conducting initial assessments with young people to understand their needs, and once paired with a volunteer, hosting befriending initial meetings.

 Supervising and supporting volunteers

1. Recruiting, interviewing and onboarding new befrienders, including organising and delivering training.
2. Supporting befriending volunteers through regular supervisions, meetings, emails and phone calls, and responding promptly to any safeguarding concerns raised.
3. Ensuring that volunteers uphold JUMP’s policies and boundaries for befriending.

Publicising JUMP, and engaging with key stakeholders

1. Publicising the project to existing and potential referral agencies, and establishing and maintaining excellent working relationships with them.
2. Representing HIAS+JCORE and JUMP in the refugee sector as required, for example at the Refugee and Migrant Children’s Consortium (RMCC) meetings.

Project monitoring, evaluation and record keeping

1. Working with experts and the JUMP Project Manager on supporting the project and its evaluation, and keeping accurate records in JUMP’s database.

Other Duties

1. Ensuring that JUMP informs our campaigns, communications and education work. As the project develops, there will be opportunities for the post-holder to contribute to and support these areas of our work.

Experience required

• A track record of working directly with asylum seeking and refugee children and young people.

Role details

Salary: £30,000 (pro-rata'd to £18,000)
Hours: 21 hours per week. Flexible working; some evening and weekend work will be required.
Location: Hybrid working between home and our North London office space.

We are seeking a positive, team-focused, relational Trust and Grants Officer to join our small but creative and busy Fundraising area of the Programmes Team.

You will be responsible for liaising with grant givers, and writing and submitting high quality, compelling funding applications to trusts and foundations. The ideal candidate will enjoy cultivating positive relationships with funders, liaising with our operational teams to build excellent submissions and will thrive when working to deadlines. With your excellent time management and organisational skills, you will take ownership of a portfolio of small-medium grant-makers, contributing towards a shared annual income target. As a Membership Engagement Advisor, you will be responsible for ensuring that our members can maximise and improve their engagement with their network. You will help implement our member engagement strategy, developing creative yet simple solutions to improve engagement, whilst considering individual member needs and objectives.

This is an externally facing role, where you will proactively build relationships with individual members and member organisations regularly and at senior levels. You will demonstrate previous experience of building and maintaining multi-stakeholder relationships and partnerships, as well as experience of designing and managing events or conferences. You will exhibit excellent communication skills, with the ability advise, feedback and coach a variety of people, as well as to actively listen and engage with audiences effectively. Strong strategic thinking, collaborative and team working skills are also essential.

Job Title: Senior Finance Coordinator

Salary: £37,500 plus Study Assistance

Responsible To: Finance Manager

Hours: 35 Hours per Week

Job Purpose

To manage the day-to-day accounting and financial tasks, ensuring accurate recording of financial transactions, and providing support in the preparation of financial reports. This includes processing of both purchase and sales invoices and the reconciliation of the books of prime entry. You will assist senior members of the finance team at month end and year end.

Main Duties

1. Go through relevant financial procedures as necessary with new staff.

2. Set up and train new starters on the purchase order system.

3. Review and post all monthly petty cash and prepaid card returns per the management accounts timetable.

4. Maintain the Purchase Ledger making any changes necessary such as name and bank details with the necessary correct documentation.

5. Maintain the Sales Ledger making any changes necessary such as name and bank details with the necessary correct documentation.

6. To clear accounts payable queries daily

7. Answer queries via telephone and e-mail relating to creditors and payment of invoices.

8. Reconcile monthly the balances on the creditor ledger and supplier statements.

9. Prepare BACS run with supporting documentation

10. Document processes used in the Finance function to support the ongoing development of the department and ensure that potential efficiencies are maximised.

11. Support the of Director of Finance with the Business Partnering approach to non finance colleagues.

12. Reconciling the Aged Debt report at month end to the General Ledger ensuring all payments are allocated and providing notes on any outstanding debt and action being taken for recovery.

13. Collecting Payment and managing the credit control function for both Field Lane and Fun.

14. Ensuring all Fee invoices are properly raised accurately for all Client Services

15. Ensure all rent and service charges are billed accurately.

16. To act as a point of reference for guardians when it comes to invoices queries and rent and service charge increases.

17. Produce weekly report showing voids per project and distribute to senior management team.

18. Produce monthly analysis showing the fees received compared with fees expected by client and to raise any adverse variances with the director of finance.

Key accountabilities and responsibilities
