You will be the main person responsible for our UK phone line and be the first point of contact
for our many supporters. You will be working closely with the rest of the Supporter Care Team to ensure every interaction supporters have with our charity is a positive one and that they understand how integral they are to our mission.
You will communicate with supporters on our progress and ensure we utilise every opportunity for positive engagement. You’ll work with a wide range of people, efficiently gathering and providing information as well responding to whatever queries or situations may arise.
As a Supporter Services Executive, you will be working closely with our external fulfilment partners, ensuring that they deliver the high standard of service that we and our supporters expect. With them, you will provide a seamless, first-class end-to-end donor experience.
You’ll be well-organised, self-motivated and display a high level of accuracy, consistency and attention to detail and be comfortable working with supporters and colleagues across all of our markets and teams.
Supporter Care and Communications
- Work collaboratively across a global Supporter Experience team to ensure supporter enquiries are handled to the highest standard, providing prompt, efficient, accurate responses in line with the charity’s messaging and service level expectations
- Keep up to date with programme activities and news from across the organisation to ensure you can provide informed supporter communications and deal with supporter enquiries confidently, efficiently and consistently
- Handle difficult or distressed supporters in a sensitive and skilled manner, displaying empathy and establishing rapport whilst balancing the needs of Animals Asia
- Use agreed letter templates and produce bespoke responses as required
- Coach and co-ordinate with external colleagues to deliver the Animals Asia magic through their work for us
Gift Processing & fulfilment coordination
- Work closely and coordinate with colleagues in the Gift Processing team to ensure that donations are processed in a timely and efficient manner
- Liaise with external partners to ensure that our gift processing is delivered to the highest and most efficient standards
- Work with internal colleagues and external partners to ensure supporter queries are managed effectively and requests for materials to be mailed are fulfilled promptly
- Generate ad hoc acknowledgements and receipts for all offline payment channels, including annual statements to regular donors
- Process donations, online and offline, across all fundraising products
- Administer the end-to-end recurring gift process
- Ensure donations are processed on time and with accurate coding to track the source of fundraising income
- Assist where required in the review and implementation of new payment channels to ensure smooth and accurate gift processing
- Develop and maintain a good understanding of local payment channels and processes
Administration and financials
- Ensure procedure manuals are updated in line with changes
- Occasionally help to organise postal mailings
- Proactively liaise with supporters to capture missing / incomplete donation and supporter information
Legal and compliance
- Keep abreast of GDPR (UK and EU)
- Ensure full participation in training when provided
- Ensure that all processes are carried out in line with the mandatory regulations relevant to each country that we operate in and in line with training protocols
Database Management
- Help to maintain donor records & data integrity
- Accurately enter new data and amend existing data on the fundraising database following contact from supporters, and in line with Animals Asia’s policies and procedures
- Ensure supporter interactions are recorded accurately and consistently
- Ensure recurring gifts records are clear and neat on the fundraising database
Fundraising Support and Supporter Journey
- Assist with the delivery of fundraising materials to supporters
- Assist in acquiring and managing UK Gift Aid declaration from the donors to maximise income from Gift Aid
- Train & supervise volunteers as required
Miscellaneous
- Promote and advocate AAF to the general public
- Actively participate in team meetings
- Always keep the supporters and interests of Animals Asia at heart when dealing with supporters so as to develop and maintain positive long-lasting relationships
Person Specification
Qualifications, knowledge & skills required:
- Excellent written and oral communication skills, with extensive experience communicating with a broad range of people
- Demonstrable experience in a customer service role responding to a high level of enquiries via telephone and email with excellent interpersonal skills and telephone manner
- Experience of working on a customer relationship database (experience with Blackbaud CRM - a NFP database - is highly valuable, but not essential)
- Ability to understand and streamline processes and procedures
- Proven high level organisational and time management skills, including ability to manage workflows and balance competing priorities
- Understanding of working in a fundraising environment
- Accuracy and excellent attention to detail
- Demonstrable ability to respond effectively to challenges, to work effectively in a small, diverse and busy cross-functional team environment with minimal supervision

Duties and Tasks
There are three main areas of work, all of which are vital to achieving the key positive outcome for the individuals we support: sustained meaningful employment.
1. Job Finder Support
Interviewing ex-offenders, offering one-to-one job coaching to help them into work, and providing ongoing mentoring for the first 12 months in employment.
Ours is a face-to-face, holistic and wraparound service that culminates in our candidates finding good jobs that last, with a wide array of socially inclusive employers on our books. Our job finder support can begin in custody and continue through the gate into the community, or start in the community. Typically, we will work with a person for between one and three months to establish work readiness and will continue to support them for up to a year once they find employment. Many people stay in touch and return to us for their second or third job over a period of years, and we consider our door to be open for as long as support is needed.
You will:
- Conduct one-to-one assessments with job-seeking candidates and, using your professional judgement, accept them directly into our paid-work search services or refer them to partner organisations for pre-employability support where issues such as substance misuse or homelessness remain significant barriers.
- Work with candidates over several weeks and months as a job mentor, meeting regularly to assist in all aspects of their job search.
- Help craft strong CVs and disclosure letters, ensuring candidates understand the facts and disclosure obligations relating to spent and unspent convictions.
- Check that candidates have the correct Right to Work documentation and arrange replacement birth certificates and National Insurance letters where required.
- Book candidates onto relevant training courses with third-party providers, including CSCS cards, HGV driver training and renewable energy qualifications.
- Encourage and support candidates in their own job search activity, including teaching them how to use online job boards and complete application forms.
- Submit candidates for vacancies with our inclusive employer partners and proactively identify additional opportunities on their behalf.
- Organise interviews, ensuring candidates have suitable interview clothing and the financial means to travel to interviews where required.
- Follow up immediately after interviews, helping candidates process outcomes, manage expectations and rebuild confidence if unsuccessful.
- Confirm job starts with both candidate and employer, ensuring candidates have access to any required workwear and travel-to-work support.
- Offer practical assistance as needed, including food parcels, hygiene packs, pre-loaded SIM cards, clothing and utility top-ups.
2. New Employer Engagement
Expanding our network of employers to generate a regular flow of job opportunities and enable more candidates to move into work.
This requires new business development and excellent relationship management. You will identify the roles most sought after by our candidates and focus on employers who demonstrate agility and responsiveness in their hiring processes. Contacts are likely to include business owners, divisional managers and site supervisors rather than social value or EDI teams.
You will:
- Proactively approach local employers advertising roles that match the skills and experience of current candidates, with the aim of securing interviews and recruitment instructions.
- Approach organisations that are not currently recruiting but are likely to offer suitable opportunities in the future.
- Maintain and develop a database of active and prospective employers.
- Take ownership of specific sectors or geographical areas in consultation with colleagues to maximise reach and avoid duplication.
- Visit employers to explain our services, answer questions about employing people with convictions and gain a thorough understanding of the workplace environment.
- Select and submit suitable candidates, advocating for each individual based on your knowledge of their strengths, achievements and progress.
- Positively challenge employer concerns where appropriate and advocate for fair consideration of candidates.
- Disclose offending history and risk profiles appropriately, highlighting personal attributes and workplace strengths while guiding employers through the recruitment process in partnership with the candidate.
3. In-Work Support
Supporting candidates to sustain employment for up to one year after starting work.
Maintaining employment is a key part of the journey. Newly employed candidates, particularly recent prison leavers, can face a range of practical, emotional and lifestyle challenges. The strongest chance of successfully supporting both candidate and employer comes from strong relationships built on trust, honesty and confidence.
You will:
- Advise employers on successfully onboarding new employees during their first weeks and months in work.
- Help employers understand and accommodate any additional support needs, such as housing transitions, medical appointments or probation requirements.
- Be aware of and proactively manage issues relating to media attention around previous convictions, including advising on measures to protect privacy and reputation where appropriate.
- Maintain regular contact with candidates during their first 12 months in employment through phone calls, meetings and ongoing mentoring support.
- Record all candidate and employer interactions, progress and outcomes on the Itris recruitment CRM database.
This is a non-exhaustive list of tasks and may be amended from time to time in line with the needs of the charity.

At Betknowmore UK, we work to prevent and reduce gambling-related harm through support, education, training and community engagement, embracing the insight and knowledge of 'Experts by Experience' alongside evidence-based approaches. As our Grants, Contracts and Commissioning Lead, you'll grow our income from two connected routes: grants from charitable trusts and foundations, and statutory and commissioned income secured through contracts, tenders and procurement. You'll be expected to at least sustain our current grants and contracts turnover, with real ambition to grow it by a further 10-20%.
This newly created role owns the full grants and contracts cycle — identifying opportunities, managing the pipeline, project-managing complex bids and writing tailored, persuasive applications. You'll be well supported: subject matter experts across the organisation will provide technical content for bids, budgets are prepared alongside finance, and our CEO and directors front the most senior funder relationships.
What you'll be doing
- Delivering a pipeline of high-quality grant and statutory/commissioned bids to meet agreed income targets, prioritising by value, likelihood and strategic fit
- Researching and identifying trust and foundation funding opportunities, and writing compelling, tailored proposals drawing on our impact data and stories
