As part of Hestia's Head Office team, you'll play an important role in creating a warm and welcoming experience for everyone who gets in touch with us. Whether you're speaking with service users, visitors, colleagues, or callers, you'll be the first point of call, helping to connect them to the right information and services.

Alongside answering telephone enquiries, you'll support our reception area and help with a variety of everyday Head Office tasks that keep things running smoothly. You'll be a valued member of the wider Central Services team, working alongside our Receptionist/Administrator and receiving full training, guidance and ongoing support to help you feel confident and successful in your role!

What you will be doing

• Support the Receptionist / Administrator with reception cover as and when required.
• Answer incoming telephone calls in a friendly, calm, professional and respectful manner and record basic call information where required.
• Welcome visitors to Head Office and notify the appropriate member of staff of their arrival.
• Help ensure the reception area is secure, welcoming, clean and tidy.
• Assist with incoming post, deliveries and other routine reception tasks where required.
• Provide basic guidance to visitors and staff on meeting rooms and Head Office facilities.
• Report faults, defects, spillages, damage or other facilities issues promptly to the Receptionist / Administrator or appropriate member of staff.
• Help check meeting rooms and shared areas and support their readiness for staff, visitors and meetings.
• Assist with maintaining supplies of stationery, refreshments and other routine office consumables.
• Support other reasonable reception, facilities and administrative activities within the scope of the volunteer role.

• Compiling contacts list of potential new business customers.

How can you help? 

As an Events Team Support Volunteer, you will play an important behind-thescenes role in helping our fundraising events run smoothly. You'll help create a positive experience for our supporters from the moment they sign up through to celebrating their achievements after event day. You may be asked to support with a range of activities, including but not limited to:

• Supporter communications: Making phone calls to wish participants good luck before their event, congratulate them afterwards and thank them for their incredible fundraising efforts, as well as preparing and posting good luck cards and other supporter mailings.
• Participant materials: Preparing fundraising packs, participant welcome materials and certificates, ensuring participants receive everything they need.
• Event preparation: Packing event day materials and organising and assembling cheer packs, including banners, pom-poms, signs and other supporter resources.
• Data and administration: Assisting with data entry, updating supporter records, envelope stuffing, labelling and other general administrative tasks.
• Event and team support: Assisting with event logistics in the lead-up to busy fundraising events and helping to ensure the Events Team workspace is tidy, organised and well-stocked.
• Ad hoc support: Supporting wider Events Team projects and administrative tasks, particularly during busy periods, to help keep things running smoothly.

Location and time commitment

This is an office-based volunteering role. We’re therefore looking for someone who is happy to volunteer at our Fleet, Hampshire office initially, before continuing at our new Woking office from early 2027 onwards.

During our busier spring and autumn seasons, we’re looking for a commitment of approximately two hours per week, ideally on a Wednesday. During the quieter summer and winter seasons, this would reduce to approximately two hours every two weeks. We understand that volunteers have other commitments, so we can offer some flexibility and can tailor your experience around your availability. 

Practical considerations You will receive a full induction to The Brain Tumour Charity and any specific training for the role, as well as ongoing direction from one of the Events team, who will be your key contact. We carry out reference checks for all individuals who will be volunteering with us on a regular basis. Volunteers may be required to complete some internal data protection and disclosure documentation before commencing the role. Volunteers must be over 18. Lead Volunteer Role Description

• To update the Volunteers’ Rota from the Court diary and ensure that each Volunteer in the team and the CCSS office has a copy. Wherever possible, the Rota should be kept on a computer for updating and emailed to the rest of the team and the office. 

• Ensure sufficient numbers of Volunteers are on duty for effective and appropriate support for bereaved families and witnesses who attend the Inquests.

• To arrange and re-arrange the Rota between the Volunteers, noting any holiday or leave of absence dates.

• Ensure a finalised Rota is sent to the office at the end of each month in order for volunteer expenses to be checked and processed.

• To ensure that all the Volunteers have each other’s contact details and the Volunteer emergency contact details are included in the court file and updated when changes occur.

• To ensure monthly and yearly statistics are kept up to date and to send the Monthly Statistics to the Volunteer who collates the stats at the end of each month.

• To ensure there are sufficient Report Forms for the Volunteers’ use if collecting stats in paper format.  If alternative methods of collecting stats are used, to ensure that the team are all using the same method.

• To inform the Operations & Training Manager and the CCSS office of the need for more Volunteers or of any leavers.

• To assist with the recruitment interviews and induction of new Volunteers.

• Responsible for the support of new Volunteers and their final sign off.  Where the Lead Volunteer has concerns about the level of support required or the competency of a new Volunteer, they should refer those concerns to the Operations & Training Manager.

• To organise Volunteer team meetings (minimum of 3 meetings per year) and to inform the Operations & Training Manager and the CCSS office via email of the dates of these so they can attend if necessary/appropriate.

• To immediately refer any serious concerns raised by the Coroner or Coroner’s Officers to the CEO.

• To inform the CEO immediately of any issues or concerns that arises at the Court that might impact on the CCSS.

• To provide local information for the Helpline Court Information Sheet when requested.

• To ensure the team follow the practices of the court and work in partnership with the court staff.
• To forward any testimonials about the support provided by our volunteers to the CCSS office.

• Responsibility for maintaining the stock of CCSS leaflets.

• Organise cover for themselves when they are on holiday or need to take time off.

About the Service

Our Information & Advice service provides free, confidential and independent support to people aged 50 and over. We are looking for a reliable and confident volunteer to help clients complete important paper and online forms.

About the Role

As a volunteer, you will help older people complete welfare benefit applications, online application forms, and other documents in person, by telephone or during a home visit. Your clear and accurate support can help clients overcome complex forms, health barriers or limited digital skills.

Task may include:

• Help clients complete paper and online forms accurately.
• Explain practical next steps within the boundaries of your training and role.
• Support appointments at our offices and outreach venues, by telephone, and in clients’ homes.
• Data entry to ensure clear and accurate records of client contact
• Work closely with staff and other volunteers

Who would this role be suitable for?

· This role would suit someone who is patient, caring and non-judgemental, with strong communication, literacy and digital skills.

· You will need to be confident using IT systems and online forms, able to explain information clearly and comfortable handling personal information confidentially.

· Experience in administration, advice, teaching, health or social care may be helpful, but it is not essential.

· Full role-specific training will be provided before you begin supporting clients independently.

Training

You will receive core volunteer training, GDPR and data protection training, form-filling training and guidance on lone working. You will initially work alongside experienced staff in office and outreach settings.

There may also be an opportunity to work towards a Level 2 qualification in Information, Advice or Guidance and to access optional adviser training over approximately 12 months. Although this does not guarantee employment, it can provide valuable knowledge, skills and experience.

Due to the training involved and the nature of the work, we are ideally looking for volunteers who can offer regular, longer-term support.

Working Safely

The service completes a risk assessment before every client home visit. Volunteers must use the lone-working app and follow all agreed safeguarding, confidentiality and safety procedures.

DBS

A DBS check is required for this role. Risk assessments are completed before home visits, and volunteers are supported to follow all safeguarding, confidentiality and lone-working procedures.

Prison-based volunteers are the backbone of Fine Cell Work (FCW). Supported by the Fine Cell Work programmes team and by other staff at the FCW office, they teach and administer FCW stitching groups in prisons.

Prison volunteers work in teams to organise classes and teach our stitchers, as well as providing information about the group to the prison and to the FCW office. The precise mix of skills will vary from prison to prison.

Volunteering in prison for Fine Cell Work requires ideally a good level of needlework skill (or a willingness to learn), some teaching experience and/or experience of working with socially-excluded groups. Volunteers must be patient and non-judgemental in order to work effectively. As a prison volunteer you will be:

• Developing skills and confidence
• Teaching prisoners to stitch FCW products within the framework of our training programme
• Encouraging and supporting prisoners to volunteer as class coordinators and peer mentors
• Encouraging and helping prisoners who wish to undertake their own creative projects

It is essential for volunteers to support FCW's ethos, believe in rehabilitation, be an excellent teamworker, observe personal boundaries, be reliable and patient to ensure cell groups run smoothly, and have record-keeping skills and have some knowledge of needlework.

Volunteers work in prisons around the UK dependent on where groups are based, therefore it is requred that volunteers will be able to travel to the relevant prisons. Travel expenses will be reimbursed by the charity.

• Teach people in prison how to stitch and support the completion of our premade kits in our cell groups, which consist of around 10-15 stitchers.
• Communicate with staff at our hub in Battersea to receive kits and supplies for your group and send back completed work for your stitchers to be paid.
• Encourage and help stitchers to complete our Open College Network certifications in creative needlework.
• Develop stitchers’ skills and confidence by encouraging them to take responsibility as peer mentors.
• Act as an ambassador for the charity and sharing our vision and values throughout your volunteering.
