4.1       GRANT PROGRAMME MANAGEMENT SUPPORT

To work within organisational strategies and policies, and in accordance with the priorities and guidance as specified by the Programme Manager:
 

• Contribute to the delivery of all aspects of the grant cycle, including responding to applicant inquiries, assessment of applications, presenting and discussing applications with the grant committee and communicating decisions to applicants. On occasion, there may a requirement to contribute to this work for other JRCT grant programmes.

• Assist with monitoring grantees’ work and expenditure of JRCT funds.

• Contribute to the design and delivery of networking, convening or learning initiatives for grantees. 

• Manage and co-ordinate the administration of external events and consultations.  

• Assist the Programme Manager with the administration of proactive projects.

4.2 GRANT PROGRAMME ADMINISTRATION
 

• With direction from the Programme Manager, co-ordinate and contribute to the preparation and circulation of committee papers for the grant cycle, including writing assessment memos, meeting notes, agenda papers and minutes.  On occasion, there may a requirement to contribute to this work for other JRCT grant programmes.

• Use the grants administration database to process and monitor grant applications and provide reports and statistics.  Maintain accurate database records to enable the appropriate payment and ongoing monitoring of grants. 

• Ensure that effective information storage and retrieval systems (paper and electronic) are developed, maintained and managed for the programme area and maintain records of committee membership and subscriptions.

• Arrange and co-ordinate committee meetings and meetings with applicants/grantees on behalf of the Programme Manager, including related travel, accommodation and room bookings, liaising with trustees and co-optees.

• Liaise with other staff and external colleagues on behalf of the Programme Manager and assist in implementing good communication systems for the staff team and wider organisation.

Work Location/Hybrid Working Pattern

This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Staff are required to work an aggregate minimum of 90 days per calendar year (pro rata for part timers) at our Head Office, Mary Sumner House in central London. Tuesdays are our anchor days where every staff member is expected to be at the office. The 90 days includes anchor Tuesdays. In addition, Thursday is a core working day where part time staff are expected to work, either at home or from the office as needed.

Volunteer Centre Hackney is a thriving charity (annual income circa £1.1m, with 29 paid staff) providing volunteering infrastructure to the voluntary sector across the City of London and the London borough of Hackney. We support over 1500 residents a year to realise their skills and passions through volunteering and social action, and to share these for the benefit of others. This is a hands-on and strategic role for an experienced fundraiser who thrives in a small to medium sized charity environment. You will have autonomy to develop a whole new fundraising strategy, utilising diverse fundraising methods, and building and developing new project ideas and partnerships. You will lead on income generation primarily through sourcing and applying to multiple trusts and foundations, but diversified by building new corporate partnerships, community campaigns and individual giving. You will build authentic relationships with funders and supporters, and together with VCH colleagues, will identify new programme models as ways to generate income. If you are successful in securing funding there will be the potential to recruit additional support, and for you to become the Head of Fundraising of a small team.

Role Purpose

To provide steady financial leadership, ensuring stability, compliance, and continuity during a period of transition. About KLS’ Future Foundations education team 

Future Foundations is an education programme of Katherine Low Settlement. Since 2004, KLS’ Future Foundations education team of 10 part-time staff and over 100 volunteers, have supported young refugees and their families in Battersea and the London Borough of Wandsworth to thrive in their education. Through mentoring, family support, casework and homework clubs, we provide the tailored support each young person and their family (if they have one) needs to overcome the barriers to education they face at home and school.

•Support staff to liaise with families/carers to communicate information regarding our work

Support for and implementation of the Branch’s strategic and service delivery plans

• Supports the Branch Director and Board of Trustees to ensure that the charity meets its governance responsibilities.

Main Responsibilities:

Governance

• Support the Director and Board of Trustees to ensure that the charity meets its governance responsibilities.

Financial Management & Fundraising

Line Management

Communications

• Work with the Director and Deputy Director for Communications and relevant staff members to support delivery of the branch Communications Plan. This will include coordinating internal and external communications as well as maintaining good relationships with volunteers, partners and other Samaritans branches and the Samaritans Charity.
• Maintain relationships with the Samaritans Central Charity in relation to media activity.
• Work with Director to ensure the Branch is represented on suicide prevention partnerships and involved in strategies with local councils and other organisations within the seven boroughs covered by the branch.
• Work with Branch Leadership Team to ensure the Branch is appropriately represented the branch at external events.

Facilities and Office Management

• Oversees the management of the building on behalf of and in consultation with the Trustees and the Office Manager
• Take overall responsibility for the contracting of services to the organisation
• Take responsibility for compliance with Health and Safety Regulations

Hours of work

1. The basic hours of work are 35 hours per week, spread over five working days. There will be a need to work some evenings and weekend days, so flexibility is essential. The core responsibilities and duties should be carried out during weekdays.

2. The amount of out of hours work will be agreed with the Director on an on-going basis. Time off in lieu will be allowed in agreement with the Director and in line with the current European Working Time Directive.
