Administration

• Be responsible for securing contracts by confirming booking information and working with the Head of Budgets, Contracts & Policy to ensure freelance trainer contracts and Service Agreements are in place

• Ensure all finance and operations processes and procedures are rigorously implemented in collaboration with the Finance & Operations team

• Produce budget forecasts for APD and provide monthly updates on current financial position to the Deputy CEO and Head of Budgets, Contracts & Policy

• Chase debtors and regularly report any overdue payments to the Finance team

Strategy

• Contribute to the APD growth strategy through ideas and practical solutions

• Work with the APD team and Deputy CEO in the development of new programmes, routes to market and audience development

Communications

• Help to maintain strong communication channels with all partner organisations and customers

This is a new role for the Circuit, replacing a volunteer. In designing the position, the Circuit has aimed for maximum flexibility to secure the best candidate for the role. Initially, the person will need physically to attend some meetings to familiarise themselves with the Circuit's operations and ensure a smooth hand-over. For the right person, though, there will be considerable flexibility about how the duties are fulfilled in the longer-term. It is specifically expected that the role will allow for flexible scheduling to accommodate other responsibilities, including caring.

The Richmond & Hounslow Circuit comprises seven churches in southwest London. As with all Methodist circuits, these churches function autonomously yet collaborate closely in their ministry and mission efforts. The Circuit oversees joint resources, including staff and property. Presently, it employs four full-time ordained ministers, one full-time lay pastor, and a part-time administrator. As a part of the Methodist Church, its mission is “to respond to the gospel of God’s love in Christ and to live out its discipleship in worship and mission”. To fulfil this mission, the Circuit fosters a broad spectrum of ministry within its congregations, focusing on worship but also engaging in outreach to the homeless, asylum seekers, new parents, and various other groups. 5. Provide administrative support to Head of Income Generation and Marketing in preparing and drafting correspondence, booking meetings, minute-taking, planning and supporting events, organising travel and preparing travel itineraries and relevant tasks as required by the Head of Income Generation and Marketing.

About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.

This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. Key Responsibilities

• Taking charge of the day-to-day financial activities and office administration of the organisation.

• Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines.

• Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance.  TOILs will be provided when the meeting is held outside your normal working hours.

• Assisting the CEO with board papers and circulating them to board members before board meetings.

• Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

• Arranging meetings for the CEO when required.

• Assisting staff and board members with queries on finance or administrative matters.

Essential Skills

• Accounting, finance, or economics qualification.

• A minimum of two years’ experience in bookkeeping and administration roles. 

• Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

• Understanding of the chart of accounts structure, cash/accrual accounting basis.

• Understanding of the expense claim process.

• Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

We are seeking a Finance Officer with a keen eye for detail, and an aptitude for learning new skills, to take on purchase ledger and payroll administration duties in our Finance Department.   You will have either begun on the path of attaining a financial qualification or had some experience in a similar role.  The successful candidate will be responsible for the accurate and timely processing of all purchases, payments and returns, including supplier invoices, staff payments (salaries, expenses and advances), project and contractor payments and credit card transactions.  Responsible for project reporting against budget.

• Ownership of the purchase ledger system, administering the entire process of invoice receiving, checking, coding, distributing for approval, posting to the accounts software (currently Sage), setting up domestic and international payments for authorisation, and electronic filing of documents.
• Administering all credit card returns including distribution of statements to colleagues, checking and coding returns, collating documents, submitting for line-manager approval, posting to Sage and following up on outstanding items.

The Finance Systems Analyst is a newly created role which will have responsibility for the efficient running and maintenance of ClientEarth’s finance systems, including Access Focal Point- which has been in use for over five years and Workday Adaptive Planning, a new system for the organisation. • Ensure the financial management of MAP is compliant with relevant accounting, legal, HMRC and tax requirements, including VAT and corporation tax, and that the correct returns are made. 

• Submit the necessary returns and maintain our records with the Charity Commission and Companies House on a timely basis.

Cashflow & Bank Account Management 

• Manage the ongoing relationships with MAP’s banks in the UK. 

• Maintain UK bank accounts and ensure financial governance is in place for overseas bank accounts.

• Ensure bank mandates and online banking operations are reviewed and updated on time. 

• Monitor and manage the organisation's cash flow to ensure there are sufficient currency funds to meet operational needs. 

• Review fund and payment  requests from overseas offices and that planned activities are within budget. 

• Release all payments from UK bank accounts, including UK payroll. 

Financial Controls 

• Implement appropriate internal controls, policies, and procedures to protect against fraud and misappropriation. 

• Oversee and manage all payroll budgets and forecasts. 

• Oversee the payroll functions, ensuring adequate internal controls and approvals are in place and adhered to, and all statutory requirements are met. 

• Ensure regular reconciliations are made between the accounting system and the CRM. 

• Oversee legacy administration liaising with the Legacy Advisor. 

Risk Management 

• Risk management – manage strategic and operational financial risks working with the Head of Internal Audit & Compliance.

• Maintain insurance policies across all MAP offices to ensure appropriate and adequate risk mitigation and meet statutory requirements.

Overview / purpose of the role

We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The successful candidate will undertake training with the AAT (funded by us) towards a bookkeeping qualification alongside working as our Finance & Operations Assistant, you will be given some time to study during your working hours for this qualification.

The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description.

Responsibilities

Finance

● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required

● Processing and coding invoices  in Xero accounting software ahead of weekly payment runs

● Checking that correct coding and approval procedures are followed for staff expenses in Soldo

● Conducting weekly payment runs via our online banking system

● Coordinating our monthly payroll processes (working with external providers)

● Working with the Head of Operations & Evaluation and Director of Finance to support the development of funding proposals

● Working with the Head of Operations & Evaluation and Director of Finance to support financial reporting on grants for external donors

● Supporting the Head of Operations & Evaluation and Director of Finance with general financial administration, record keeping and tracking budgets

The Ian Karten Charitable Trust is looking for a home-based, self-employed administrator to cover the current incumbent who is going on maternity leave in July 2024.  The Trust is a grant making trust focused on disability and education.

The role is very flexible; hours required are generally between 8 and 16 per month. With the exception of two trustee meetings annually, which usually take place at mutually agreed times during office hours, most of the work can be carried out according to the postholder’s individual commitments and availability.

The administrator will report to the Chair of Trustees, and will be responsible for ensuring that the administrative processes necessary for the running of the Trust are smooth and efficient. This will include monitoring emails and communicating with grantees, processing payments, preparing and distributing papers for trustee meetings, taking minutes at trustee meetings and following up on agreed actions, and ensuring any necessary documentation is kept up to date.
