Inter Mediate

Inter Mediate (IM) is a unique and discreet London-based peacemaking organisation established in 2011 to support behind-the-scenes peace negotiations in some of the world’s most challenging conflicts. This role offers an exciting opportunity to join the senior management team of a small high-impact organisation working at the leading edge of international peacemaking.

Reporting to the Deputy CEO and working closely with the CEO and the Financial Director, the Operations Director will lead Inter Mediate’s institutional, Human Resources and project-support systems to keep the organisation running smoothly and ensure we are equipped to deliver the best results.

A successful candidate will be a motivated self-starter with senior management experience in operations, preferably for a non-profit organisation. You will be familiar with the fast and sometimes unpredictable pace of an international operating environment, and confident in handling challenges as they arise. You will be comfortable working collaboratively within a small team and engaging credibly with a wide range of people from senior government officials to project interlocutors in the field.

Key Responsibilities

A) Governance and Institutional Compliance (with the Deputy CEO and senior management)

• Lead the development and implementation of IM’s operational planning, in coordination with the CEO, Deputy CEO, Finance Director, staff, Trustees and supporters.
• Ensure that Inter Mediate complies with its charitable and legal obligations.
• Prepare, attend and minute Trustee and Committee meetings.
• Develop and implement quality improvement process for institutional policies and project delivery to keep Inter Mediate ethical, efficient and delivering value for money.
• Source, manage and review all professional services and suppliers engaged by Inter Mediate including banking, legal advice, accounting and auditing.

B) Human Resources and Office Operations

• Oversee Inter Mediate’s recruitment process and work with the Deputy CEO to ensure that we have fair procedures for benefits, training, probation, diversity and inclusion, gender pay gap, safeguarding, grievance and disciplinary matters.
• Oversee the contracting and on-boarding for new staff, consultants and trustees.
• Manage day-to-day HR functions and queries, including leave recording systems.
• Conduct staff remuneration and salary benchmarking exercises with the Deputy CEO.
• Update and maintain the employment handbook policies and procedures.
• Oversee office operations, equipment and facilities management.

C) IT, Security and Risk Management

• Ensure that the IT and communications systems are optimally configured for effectiveness and security, and that staff can operate them as necessary.
• Ensure Inter Mediate has robust risk mitigation systems and training for staff.
• Ensure Risk Assessments and security plans are completed by staff prior to staff travel.
• Ensure Inter Mediate has a viable business continuity plan.
• Maintain and review the Risk Register for the organisation with the Deputy CEO.

D) Financial Management (with the Finance Director)

• Work closely with the Finance Director to ensure that operational and financial planning processes and decisions are mutually informed and fully aligned.
• Strategise with the Finance Director and Deputy CEO to ensure all wings of the organisation work together to advance the best interest of the institution, its staff, projects and donors.

Experience, qualifications and skills:

• At least 8 years experience leading charity operations at a senior level spanning institutional compliance, Human Resources, IT, security and project support services, ideally in the non-profit sector.
• Track record of excellent business decisions for institutions under UK charity law operating in an international, multi-donor environment.
• Extensive experience of supporting Boards and Board committees at a senior level in a non-profit context.
• Some knowledge of project support mechanisms required for smooth delivery of peacebuilding, humanitarian, human rights or political projects in high-risk environments.

• Evidence of ability to both lead and service a complex network of external relationships.

• Graduate with a relevant degree and, preferably with relevant post graduate qualifications or relevant experience.

• Excellent business planning and decision skills, and a sound understanding of operational and financial management in charities.
• Proven commitment to designing effective and enabling systems for organisation management in support of effective delivery

• Excellent written and spoken English
• Other language skills are desirable
• Good verbal communication skills and the ability to represent IM to a wide range of stakeholders

Working at Inter Mediate

A normal working week consists of 35 hours (or pro rata for part-time). Our office operates between 8am and 6.30pm with core hours from 9.00am to 5.00pm. Inter Mediate operates a hybrid working model, with at least 2 set days per week in the office in London.

Responsibilities

- Work in collaboration with the ESC team and stakeholders to design a programme of inspiring energy and climate themed events in Hastings, Rother, Eastbourne, and Wealden, reaching a total of 1000 residents across the year.

- Create engagement opportunities for your team at the events and activities of other organisations and local groups by networking and working with the Communications and Marketing person to promote our services.

- Find interesting speakers and organisations to participate in our events.

- Create public events for our No One Left Behind project, finding new, exciting ways to engage the public in conversation about energy and climate topics.

- Manage the administration and logistics of the events, including room bookings, ticket booking processes, etc.

- Look for opportunities to invite our funder along to events and participate in the activities.

- Manage relationships with staff team and volunteer Energy Champions on local events.

- Create event plans and risk assessments for each event.

- Work with the Marketing and Communications Officer and local volunteers to plan PR and promotion of events to agreed timelines.

- Create and work to agreed budgets.

- Ensure you are collecting the data needed to monitor and evaluate the project.

- Create inclusivity in the event registration and attendance experience to support people with a variety of needs.

- Ensure events feed into the wider work and services of Energise Sussex Coast.

- Provide event reports to manager detailing the number of attendees, write-up of the event, and feedback.

- Provide general assistance with ESC events and projects as required.

- Adhere to Energise Sussex Coast’s policies around safeguarding, data protection, etc.

- Attend monthly in-person team meetings in Hastings.

Key Details

• Hours: 30 hours a week, flexible working. Will include some evening and weekend work.
• Job location: Home based (or optional hot desk in Hastings) with regular events in Hastings, Rother, Eastbourne and Wealden. Headway East London is a charity supporting people affected by brain injury. Working across 13 London boroughs we offer specialist support and services for survivors and their family. About the Role

We are looking for a Day Service Co-ordinator to join our art studio team and support people living with brain injury in our day centre in Haggerston.

You will take responsibility for organising and delivering activities in the Submit to Love art studio, such as supporting members in creating new artworks, planning and delivering events and outings, and engaging members in a variety of other activities in response to their needs and interests.

The role also involves providing advocacy and support (key working) for up to 12 members and ensuring the smooth running of the day service as a member of the co-ordinating team.

Principal Duties and Responsibilities

Activities in the art studio:

•  Support members to engage creatively and develop their personal artistic practise.
• Work alongside the studio manager, day service members and volunteers to plan and deliver events, including artist led workshops, exhibitions and open studios.
•  Plan trips to cultural events and experiences.

Key working:

• Act as key worker for up to 16 members, checking in regularly about their engagement in the centre and their general wellbeing, and supporting them with information, advice, and advocacy as appropriate.
• Establish and maintain contact with members’ families, carers, and relevant statutory partners to facilitate good communication and better provide appropriate support.
• Maintain accurate and up-to-date records, including comprehensive individual risk assessments.

Day Service co-ordination:

• Work closely with colleagues and volunteers in the day service and other teams at Headway East London to create a welcoming, supportive, and stimulating environment for members.
• Share responsibility for practical tasks in the day service to ensure its smooth running.
• Work sensitively with volunteers, supporting them alongside the volunteer co-ordinator to take on meaningful and rewarding roles in the day service.

We have an exciting new opportunity for a Social Prescribing Link Worker to join our team in Merton.

The Merton Social Prescribing service is one of the most established and mature services in the UK and is celebrating its 7th anniversary this year. We are seeking an individual to join our successful service in Southwest London. • MYcommunity Lambeth works in partnership with a large number of statutory and community services and organisations across the borough. We are looking for a Finance and Payroll Officer to join our team. Reporting to the Director of Finance and operations, this role will ensure that appropriate financial processes and systems are followed and developed to support our charity’s sustainable growth and safeguard our financial health. The Finance & Payroll Officer will ensure that financial tasks and transactions are undertaken in an efficient, effective and timely manner and, importantly, that relevant financial information is provided to keep the Senior Leadership Team informed to make the best decisions for the charity. The role will also cover responsibility for all payroll operations, ensuring that all payments are accurate and on time and that appropriate and accurate information is provided to the Director of Finance & Operations, HMRC, pension providers and other external bodies. We are looking for a confident and experienced individual to join our supportive team. Previous charity finance knowledge and Xero is helpful but not essential, above all we want an individual to be tenacious, curious, diligent and show strong initiative.

RESPONSIBILITIES

1. Research and evaluate new funding opportunities from trusts, foundations, and other grant funders, maintaining a 12-month funding calendar.

2. Cultivate and nurture relationships with funding/grant-making organisations, both new and existing.

3. Develop compelling cases for support for designated projects or organisational areas, tailoring funding bids and applications accordingly.

4. Enhance Buttle UK's ability to deliver compelling reports to donors, meeting or surpassing their expectations.

5. Submit timely reports to donors, ensuring compliance with monitoring and evaluation requirements.

6. Support the maintenance of systems tracking fund allocation and expenditure, ensuring accuracy and up-to-date information for funders.

7. Manage donor records on the Raiser's Edge fundraising database, including recording activities, income, and producing management reports.

8. Stay informed about funding opportunities and trends in the sector through attending conferences, workshops, and events.

9. Generate accurate and timely management information on fundraising activities and budgets.

10. Ensure integration of fundraising activities within the wider staff team and provide necessary support.

11. Perform other duties as directed by the Director of Fundraising and Marketing and/or the Trust Fundraising Manager.

12. Proactively assess own performance and development needs.

PERSON SPECIFICATION

Experience

1. Proven experience and success in developing and drafting proposals and/or reports raising funds from trusts, foundations, other grant makers or the equivalent.

2. Experience of creating compelling and concise funding proposals, written documents and reports from a range of information sources, including detailed technical or sector specific information. about the organisation’s work.

3. Proven ability to communicate effectively both in writing and verbally.

4. Experience of research techniques applicable to identifying funding opportunities and framing funding bids.

5. Financially literate with the experience of producing and interpreting budgets, or other detailed numerical information.

6. Experience of working under your own initiative, dealing with conflicting demands and working under pressure to meet tight deadlines.

7. Experience of project planning and/or project coordination.

8. Proven IT skills, ideally with experience of using databases.

9. Good knowledge of the charity sector.

Main duties and responsibilities:

IT

· Ensure all staff have IT equipment from their first day of work, ensuring that they are able to access the IT support they need with minimal interruption to daily tasks.

· Keep a record of all IT equipment, key information and renewals due.

· Be the first point of contact for IT provider, leading on Cyber essentials & annual IT audit.

· Lead on the implementation of strategic IT goals.

· Support the Continuous Improvement Officer to find new ways of working and ensure we stay up to date with emerging IT trends.

Data

· Maintain organisational databases, ensuring all data is accurate, meaningful, and compliant with the requirements of current and potential funders, as well as Upbeat’s policies and procedures for data.

· Liaise with Data consultants to manage workflow of data requests.

· Present data in a useful manner for stakeholders.

· Play a key role in the organisation around GDPR and Data Protection.

· Be responsible for the confidential maintenance of service user records and other relevant documents in line with Data Protection legislation (e.g. data protection impact assessments).

Facilities

· Support with office management processes (ordering stationery and equipment).

· Support in the efficient use of premises (organise key holder rota, complete regular checklists).

· Support with risk management and Health and Safety compliance (risk assessments, checklists, PAT checks).

Administration

· Provide administrative support to the charity’s projects (topping up payment cards, phone lines, donation admin).

· Assist with the review and writing of policies and the staff handbook.

About the role

You’ll empower your clients to take actions for themselves or will advocate on their behalf for better service, support and outcomes, so they can live their life with Parkinson's in the way they choose.

You’ll deliver tailored information and support through a range of channels including telephone, video and email and, where appropriate, home visits and in community settings.

You’ll be responsible for building excellent relationships with healthcare professionals and other relevant agencies, as well as our network of volunteers and groups.

What you'll do:

• Provide professional person centred, in depth support to clients by a range of means, ensuring the most efficient and effective use of resources.

• Provide support on a variety of health and social care issues, including appropriate emotional, employment and welfare benefits support and advocating with and on behalf of clients. 

• Work flexibly across the service responding to enquiries through a range of channels.

• Work closely with clinicians, specialist nurses and other professional colleagues to raise the profile of the service, increase depth of support and achieve improved outcomes for people with Parkinson’s.

Since 1923, we have supported the welfare of working animals, including donkeys, horses, camels and elephants, in communities that depend on working animals for water, transport, agriculture and their very survival. The Head of Global Operations is a key member of the Global Resources Team, responsible for professional business support at both a strategic and an operational level across the organisation. Key responsibilities include providing essential operational infrastructure to the global support and country teams, encompassing office facilities, travel security, and IT and HR services.

While we classify this role as hybrid, it's worth noting that the vast majority of your work can be done from the comfort of your own home. Key responsibilities

• Proven experience in Head of Operations role or similar.
