ABOUT THE JOB

Job Purpose 

We are looking for an exemplary people-oriented administrator to provide administrative support to the Gestalt Centre CEO and the workstreams she manages. An important role in the organisation, working with senior leadership and across teams, in a welcoming and supportive environment with opportunities to learn and grow on the job.

Areas of work and responsibility

• Administrative Support to the Gestalt Centre CEO
• Coordinate and support projects and workstreams the CEO leads on: Operations, Communications and Marketing, Short Courses and Post Graduate Qualifications, HR, Finance, Policies, Fundraising and Health & Safety.
• Liaise with the CEO and the leadership team to update the organisational plan and workstream plans, also keep track of relevant priority actions and progress.
• Provide administrative support for governance processes such as the Annual Financial Audit, Trustee Board meetings, the Charity Commission and Companies House submissions.
• Provide administrative support to the organising and running fundraising activities and events.
• Administrative support and coordination for the annual planning of Short Courses and Post Graduate Qualifications programmes. 
• Organise, provide administrative support, and attend as appropriate, weekly operational meetings, monthly Executive meetings, and other project meetings, led by the CEO. Prepare meetings set up, information and any required papers in advance. Organise dates, taking and sending out minutes and coordinate follow-up actions ensuring progress and completion.
• Liaise with the CEO to prepare, format, edit and update reports and policies for internal and external audiences to a high standard.
• Provide a professional first point of contact for the CEO and as required liaise with her and the leadership team in order to respond to emails or phone calls and organise follow up meetings.
• Office team support such as reception/admin cover or support with events, as and when occasionally required.
• Carry out responsibilities with due regard to the Gestalt Centre values, policies and procedures.

We are looking for a Prevention and Intervention Programme Manager to line manage the Advisors (Sexual Violence Liaison Officers) and be responsible for an SVLO programme to support students who have experienced sexual violence, sexual harassment, gender-based violence and/or domestic abuse at any point in their lives. The Programme Manager will need to work closely with the Advice Service Manager to support the Specialist Advisors in working alongside the generalist advice provision. The Programme Manager will oversee the Active Bystander Programme as well as the expansion of new and existing programmes, including developing personalised packages for departments and an attractive offer for external partner organisations.

About the role

This Debt Advice Case Manager role combines both technical and pastoral elements. It will involve building a client case, untangling sometimes complex situations, liaising with creditors, providing guidance for volunteers, and discerning and communicating the appropriate choices and strategies for the client. You will also need to lead client appointments and support clients through what at times can be emotionally difficult situations. Ideally, we are looking for someone with prior debt advice experience, and who has experience of working with vulnerable clients and supporting volunteers. However, we will also consider employing someone as a trainee Debt Advice Case Manager if they are able to demonstrate that they possess the skills, maturity, and determination to become proficient in this role.

• 3-5 days per week
• Two roles available, one in the Hammersmith area, and one in the Kensington area
• Being available onsite is an important aspect of this role and so this role is hybrid with around 60% of your time in one of our branches and 40% remote. About the role

The Senior Business & Resource Planning Manager is a role within Philanthropy & Alumni Engagement, acting as a strategic partner to colleagues and driving key processes and activity in areas such as planning, reporting, project management and operational improvements.  

The postholder will support on operationalising plans and lead on the in-year tracking and management of budgets across P&A, and play a key role in supporting the P&A Leadership Team (LT) in making informed decisions relating to the resourcing of staffing and activity.

This role will also lead and coordinate on key aspects of reporting including internal quarterly reviews and also key accountability sessions for P&A with University leadership. Alongside this, they will lead on strategic projects that align and have been identified as being important to progress P&A and wider institutional goals. 

The role is based within the Advancement Operations section of P&A and will be part of the section leadership team. The postholder will be closely involved in taking forward projects to review and enhance processes to drive improvements and streamlining across Advancement Operations. This area of activity will also link to the postholder’s focus on supporting the Director of Advancement Operations in delivering their agenda. 

This is a full time (35 hours per week), and you will be offered an indefinite contract. 

P&A has a hybrid working approach, with a minimum of 40% of time in the office. Typically, this equates to two days per week, but we’re very happy for colleagues to be in more frequently if they so wish.

About You

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria 

1. Proven Experience in Strategic and Business Planning: Including annual planning, integrated budgeting, and resource allocation aligned to strategic goals
2. Forecasting & Financial Analysis: Ability to conduct philanthropic scenario planning and analysis to  provide data-driven recommendations
3. Analytical and Reporting Excellence: Skilled in producing clear, concise executive-level reports and presentations for senior leadership
4. Process Improvement and Operational Efficiency Experience: Demonstrated ability to streamline processes and implement best practices across operations
5. Leadership and Strategic Partnership: Experience supporting directors and leadership team in achieving strategic objectives while advising P&A leadership team on resource allocation and financial position
6. Strong Data Interpretation Skills: Adept at analysing data sets, identifying patterns, and translating findings into clear insights
7. Cross-Functional Collaboration Skills: Proactive and adaptable with strong interpersonal skills to work effectively across teams
8. Project Management Experience: Demonstrated ability to manage complex projects, coordinate stakeholders, and deliver on time

Desirable criteria

1. Higher Education experience
2. Accounting and/or finance experience
3. Experience with Power BI and/or other reporting and analysis tools

To help us achieve this, we’re looking for a proactive and detail driven production specialist who can bring clarity, structure and momentum to our digital learning production workflows. As our Digital Learning Production Scheduler, you will own the end to end production lifecycle of multiple digital learning resources: from scoping and scheduling through development, quality assurance and release.

What you’ll be doing

• Plan, track and coordinate digital learning production across multiple projects
• Keep schedules and trackers up to date, ensuring everyone has a clear view of deadlines, dependencies and risks
• Work closely with our Learning Designers, Digital Content Developers, SMEs and Project Leads to keep delivery on track
• Maintain strong production processes — intake, prioritisation, reviews, approvals and release
• Proactively identify risks, bottlenecks and slippage, working with the Digital Learning Manager and Project Manager to keep projects moving
• Support rigorous quality assurance, version control and release management
• Ensure learning resources are published accurately and consistently to our LMS
• Contribute to continuous improvement of processes, documentation and production standards
• This is a hands on, highly collaborative role at the heart of our digital learning operation.

What you'll need

• Proven experience coordinating digital learning or e learning production, from planning to publication
• Confidence managing multiple concurrent workflows with clarity and composure
• Strong organisational and scheduling skills — you love a good tracker
• Experience supporting QA processes, media checks and issue tracking
• Excellent communication skills and the ability to work smoothly with a wide range of stakeholders
• A highly detail oriented approach and commitment to maintaining consistent standards
